Introduction

This white paper describes a Microsoft Dynamics® AX feature, released in a rollup 8, that is specific to users in Norway.

For more information about other features that apply to Norway, refer to the Help. Information that is specific to Norway includes (NOR) in the title.

EHF electronic invoices for Norway

You can send sales order invoices, free text invoices, project invoices, and credit notes as electronic invoices to Norwegian public sector organizations. The electronic invoices must be in the Elektronisk HandelsFormat (EHF) format EHF is based on the Universal Business Language (UBL) 2.0 and is

maintained by Direktoratet for Forvaltning og IKT (DIFI), also known as Agency for Public

Management and Government. In Microsoft Dynamics AX, the Application Integration Framework (AIF) is used to generate the electronic invoices as .xml files. These .xml files are then converted to the EHF format.

Prerequisites

The following prerequisites must be met before you work with the EHF electronic invoicing:

The Norway configuration key is activated.

A three-character International Organization for Standardization (ISO) currency code is defined for all the currencies in the Exchange rates form (General ledger > Setup > Exchange rates). This ISO code is used for electronic invoicing.

The license key for Application Integration Framework (AIF) is available, and AIF is set up for EHF electronic invoicing.

The inventory units are set up according to the United Nations Centre for Trade Facilitation and Electronic Business Information Content Management Group (UN/CEFACT ICG) standards.

Setting up EHF electronic invoicing

You must complete the following setup procedures before you can generate electronic invoices in the EHF format:

Set up customer accounts for EHF electronic invoicing

Set up AIF for EHF electronic invoicing

Set up channels for EHF electronic invoicing

Set up the AIF services and AIF actions for EHF electronic invoicing

Set up the endpoints for EHF electronic invoicing

Set up a batch group for EHF electronic invoicing

Set up batch processing for EHF electronic invoicing

Set up recurring batch jobs

Configure Microsoft Dynamics AX for EHF electronic invoicing

The electronic invoices that you generate include required information, such as the invoice number and address information. Validation rules are applied when invoices are generated so that you can

verify that the correct information has been entered. If you find errors, you can correct the errors before you submit the invoices to the government.

You must set up folders to save the error messages, the .xml files, and the EHF files.

Set up the following folder structure in a shared location that is accessible from the Application 1.

Object Server (AOS) computer and from any client computers that are used as batch servers in your system.

For project invoices:

\\Server\EHF\Project\Error

\\Server\EHF\Project\Processed files

\\Server\EHF\Project\Source

\\Server\EHF\Project\Target

\\Server\EHF\Project\XSLT

For sales invoices:

\\Server\EHF\Sales\Error

\\Server\EHF\Sales\Processed files

\\Server\EHF\Sales\Source

\\Server\EHF\Sales\Target

\\Server\EHF\Sales\XSLT

The folders are used as follows:

Error – Used to save error messages that are generated when the .xml file is converted into the EHF format.

Processed files – Used to save documents after they are processed. The documents are

moved from the Target folder to this folder.

Source – Used to save the .xml file that is generated by Microsoft Dynamics AX.

Target – Used to save the EHF file after the .xml file has been processed.

XSLT – Used to contain the eprojectinvoice_no_oioubl.xsl or esalesinvoice_no_oioubl.xsl file.

Copy the style sheets to the locations specified in the following table. 2.

Set up company information for EHF electronic invoicing

Use the Company information form to set up company information for each company that you will use to generate electronic invoices. For more information, see “Company information (form)” in the Help. Payments received by the company are transferred to the customer bank account specified for

the customer method of payment.

Click Basic > Setup > Company information to open the Company information form. 1.

Click the Contact information tab, and then in the Routing number field, enter the company 2.registration number.

Close the form. 3.

Click Basic > Setup > Addresses > Country/region to open the Country/region form. 4.

Verify that in the ISO field, the ISO code for the country/region that is used for electronic 5.invoicing complies with the two-character ISO standard.

Close the form. 6.

Set up customer accounts for EHF electronic invoicing

Use the Customers form to specify the address and contact details for each company that you need to generate electronic invoices for. You can create contacts in the Contacts form and assign the contact to a customer account. The contact information is included when you generate an electronic invoice for a customer. For more information, see “Customers (form)” in the Help.

Click Accounts receivable > Common Forms > Customer Details to open the Customers 1.form.

Select or create a customer account. For more information, see “Create a customer account” in 2.

the Help.

Click the Setup tab, and then select the eInvoice check box to use electronic invoicing for 3.customer transactions.

Click the Addresses tab, and then enter the primary address information. 4.

Close the form. 5.

Note: You must update the constraints list for the sales order endpoint and the project endpoint to include the customer account that is created after the initial setup of EHF electronic invoicing is complete. For more information, see Add a customer account to the endpoint constraints list.

Set up AIF for EHF electronic invoicing

Use the Global settings form to set up AIF default settings for all document exchanges, and use the Local endpoints form to set up local endpoints. Endpoints are the points of origin for sent messages

and the destinations for received messages. Use the Transport adapters form to activate and

configure transport adapters to exchange data by using AIF.

For more information, see “Global settings (form),” “Local end points (form),” and “Transport adapters (form)” in the Help and “Configuring and managing AIF” in the Server and Database Administration Guide.

Click Basic > Setup > Application Integration Framework > Global settings to open the 1.Integration Framework global settings form.

In the Default encoding format field, select UTF-8. 2.

Close the form. 3.

Click Basic > Setup > Application Integration Framework > Local endpoints to open the 4.Local endpoints form.

In the Company field, select the company for which EHF invoices are generated. 5.

In the Local endpoint field, enter a local endpoint. 6.

Close the form. 7.

Click Basic > Setup > Application Integration Framework > Transport adapters to open 8.the Transport adapters form.

In the Adapter class field, select AifFileSystemAdapter. This adapter is used to create and 9.save the .xml file.

Select the Active check box to indicate that the adapter can be used. 10.

In the Direction field, select Receive Or Send. 11.

Close the form. 12.

Set up channels for EHF electronic invoicing

Use the Channels form to create channels for sales and project invoices in AIF. For more information, see “Channels (form)” in the Help.

You must create Source folders to save the sales and project invoices as .xml files before you create channels. For more information, see Configure Microsoft Dynamics AX for EHF electronic invoicing.

Click Basic > Setup > Application Integration Framework > Channels to open the 1.Channels form.

Create a channel for a sales invoice. 2.

In the Channel ID and Name fields, enter a channel identifier and a name for the sales channel. 3.

Select the Active check box to indicate that the channel can be used and can exchange messages. 4.

In the Adapter field, select the file system adapter. 5.

In the Direction field, select Outbound. 6.

In the Address field, enter the path to the folder where the .xml files are saved. The files are 7.saved in the Source folder for sales invoices.

Close the form. 8.

Note: Similarly, you can create channels for project invoices. In the Channel ID field, enter the

channel identifier for the project channel. In the Address field, enter the path to the Source folder for project invoices.

Set up the AIF services and AIF actions for EHF electronic invoicing

Use the AIF Services and Actions forms to configure the services and actions to use with AIF. For more information, see “AIF Actions (form)” and “AIF Services (form)” in the Help.

Click Basic > Setup > Application Integration Framework > Services to open the AIF 1.

Services form.

Click Refresh to display a list of services and operations, if required. 2.

Select the Enabled check box for the SalesSalesEInvoiceService and 3.ProdProjEInvoiceService services.

Close the form. 4.

In the Actions form (Basic > Setup > Application Integration Framework > Actions), verify 5.that the Enabled check box is selected for the SalesSalesEInvoiceService.read and

ProdProjEInvoiceService.read actions.

Close the form. 6.

Set up the endpoints for EHF electronic invoicing

Use the Endpoints form to configure endpoints, which are recipients, for outbound sales invoices and

outbound project invoices. For more information, see “How to: Send and receive electronic documents automatically” and “Endpoints (form)” in the Help.

Click Basic > Setup > Application Integration Framework > Endpoints to open the 1.Endpoints form.

Create an endpoint, and then in the Endpoint ID and Name fields, enter an identifier and name 2.for the endpoint.

In the Local endpoint ID field, enter a local endpoint, which is the company that generates the 3.electronic invoices.

Click the General tab, and then in the Outbound channel ID field, select the channel that you 4.set up for the sales or project invoice. For more information, see Set up channels for EHF electronic invoicing.

In the Default encoding format field, select UTF-8. 5.

Click the Constraints tab, and then select the customer accounts for who electronic invoices are 6.generated.

Click the Users tab, and then select the user or group who can use the selected endpoint. 7.

Save the endpoint, and then click Action policies to open the Endpoint Action Policies form. 8.

In the Action ID field, specify the action (SalesSalesEInvoiceService.read or 9.ProdProjEInvoiceService.read) to use for the selected endpoint.

Click the General tab, and then in the Status field, select Enabled, and in the Logging mode 10.

field, select Log all.

Save the endpoint action policy. 11.

Select an action, and then click Configure to open the Value Mapping form. 12.

Click the Items tab, and then in the Document value field in the Handling item numbers field 13.group, select Not specified. This is required to generate electronic invoices for free text invoices. In the Document value field in the Handling units field group and Handling warehouse

numbers field group, select Our.

Click the Other base data tab, and then in the Document value field in the Handling currency 14.codes field group, select ISO currency code. In the Document value fields in the Handling delivery methods, Handling terms of delivery, and Handling misc. charges code field groups, select Our.

Close the Value Mapping form. 15.

In the Endpoint Action Policies form, click Data Policies to open the Parameter Data 16.

Policies form.

Click Data Policies to open the Endpoint action data policies form, and then click Set > 17.Enable all to select all the fields.

Close the Endpoint action data policies, Parameter Data Policies, and Endpoint Action 18.Policies forms.

In the Endpoints form, click the Overview tab, and then select the Active check box for the 19.endpoints.

Close the form. 20.

Set up a batch group for EHF electronic invoicing

Use the Batch group form to set up a batch group to process the invoices by using batch jobs. For more information, see “Batch group (form)” in the Help.

Click Administration> Setup > Batch group to open the Batch group form. 1.

Create a batch group to process the sales or project invoices. 2.

Click the Batch servers tab, select a server, and then move it to the Selected servers list. 3.

Close the Batch group form to save your changes. 4.

Set up batch processing for EHF electronic invoicing

Use the Batch job form to set up batch processing for EHF electronic invoicing. You can process the electronic invoices by using batch jobs. For more information, see “About batch processing” in the

Help.

You must set up a batch job for sales outbound electronic invoices and another batch job for project outbound electronic invoices.

Click Basic > Inquiries > Batch job to open the Batch job form. 1.

Create or select a job, and then click View tasks to open the Batch tasks form. 2.

For the batch job, create three tasks that use the following class names: 3.

AifOutboundProcessingService

AifGatewaySendService

EInvoiceFileTransform_OIOUBL

Select the task that uses the EInvoiceFileTransform_OIOUBL class name. 4.

In the Batch group field, select a batch group. 5.

Press CTRL+S to save the batch task. 6.

Select the task that uses the EInvoiceFileTransform_OIOUBL class name, and then click 7.Parameters to open the E-invoice OIOUBL XSL file transformation form.

Specify the location of the Source, Target path, and Processed file storage, and Error file storage 8.folders. For the XSLT file path, select the path for the esalesinvoice_no_oioubl.xsl file for sales outbound electronic invoices, or the path for the eprojectinvoice_no_oioubl.xsl file for project outbound electronic invoices.

Click OK to close the E-invoice OIOUBL XSL file transformation form. 9.

To set up the order in which the batch tasks are run, in the Batch tasks form, on the Overview 10.tab, select the batch task that uses the AifGatewaySendService class name (the second task).

Set up a condition for the selected batch task to run when the batch task that uses the 11.AifOutboundProcessingService class name (the first task) has ended.

In the lower pane, press CTRL+N to create a condition, and then in the Task ID

field, select the batch task that uses the AifOutboundProcessingService class

name.

In the Expected status field, select Ended. Note: You can also select the batch task that uses the EInvoiceFileTransform_OIOUBL class

name and set the condition to run the batch task when the batch task that uses the AifGatewaySendService class name has ended.

Close the forms. 12.

Set up recurring batch jobs

Use the Recurrence form to specify recurrence patterns for batch jobs. For more information, see “About batch processing” and “Recurrence (form)” in the Help.

Click Basic > Inquiries > Batch job open the Batch job form. 1.

Select the outbound electronic invoices batch job. 2.

Click Recurrence to open the Recurrence form, set up the batch job process, and then click OK. 3.

In the Batch job form, select the batch job, click Functions > Change status, and then select 4.Waiting.

Close the forms. 5.

Add a customer account to the endpoint constraints list

Use the Endpoints form to update the constraints list for the sales order endpoint and the project endpoint to include the customer account that is created after the initial setup of EHF electronic

invoicing is complete.

Click Basic > Setup > Application Integration Framework > Endpoints to open the 1.Endpoints form.

In the Endpoint id field, select an endpoint that uses the SalesSalesEInvoiceService.read 2.action.

Click the Constraints tab, and then add a customer account. 3.

In the Constraint type field, select Customer. 4.

In the Constraint ID field, select the customer account. 5.

Note: You can also add the customer account to the endpoints constraints list for the project invoices. Select the endpoint that uses the ProdProjEInvoiceService.read action.

Close the form. 6.

Posting invoices and generating .xml files

You can post sales invoices, free text invoices, project invoices, and credit notes, and generate .xml files that can be submitted to the government. You can also post multiple invoices by using batch processing. For more information, see “Post an order in batch” in the Help. The EHF files are created in the shared folder that is specified for the EInvoiceFileTransform_OIOUBL batch job task for the batch job.

Complete the following procedures to post the invoices or credit notes and to generate the .xml files:

Create and post a sales order invoice for public sector organizations

Create and post a sales order credit note for public sector organizations

Create and post a free text invoice for public sector organizations

Create and post a project invoice for public sector organizations

Create and post a project invoice credit note for public sector organizations

Create and post a sales order invoice for public sector organizations

Use the Sales orders form to post a sales order invoice and generate the invoice as an .xml file. The .xml file is then converted to the Elektronisk HandelsFormat (EHF) format. You can generate electronic invoices for customers for whom you select the eInvoice check box in the Customers form. For more information, see “Sales orders (form)” in the Help.

Click Accounts receivable > Common Forms > Sales Order Details > Advanced to open the 1.Sales orders form.

Select or create a sales order. For more information, see “Create a sales order” in the Help. 2.

Click the References tab. 3.

In the Customer requisition and Customer reference fields, enter the customer requisition 4.number and the customer reference number.

Click Posting > Invoice to open the Posting invoice form. For more information, see “Post and 5.print sales order invoices based on packing slips and date” in the Help.

Select the Posting and Print invoice check boxes. For more information about printer 6.

Click OK to post the sales order invoice and generate the .xml file. The .xml file is converted to 7.the EHF format.

Close the form. 8.

When the batch job for electronic sales invoices is processed, invoices for customers for whom the

eInvoice check box is selected are generated as .xml files, and then converted to the EHF format. The resulting EHF files are created in the shared folder that is specified for the EInvoiceFileTransform_OIOUBL batch job task for the sales order batch job.

Create and post a sales order credit note for public sector organizations

Use the Create credit note and Posting invoice forms to create and post a credit note for a sales order and to generate the credit note as an .xml file. The .xml file is then converted to the Elektronisk

HandelsFormat (EHF) format. You can generate electronic credit notes for customers for whom you have selected the eInvoice check box in the Customers form. For more information, see “Creating

and using credit notes” in the Help.

Click Accounts receivable > Common Forms > Sales Order Details > Advanced to open the 1.Sales order form.

Select an invoiced sales order, and then click Functions > Create credit note to open the 2.

Create credit note form.

Select an invoice to create a credit note for, or select the Select all check box to select all the 3.invoices to create credit notes for.

Note: You can select the Mark check box to select a specific transaction in the sales order for the credit note.

Click OK to close the Create credit note form. The details of the selected transaction are 4.updated with the negative amount in the lower pane of the Sales order form.

Click Posting > Invoice to open the Posting invoice form. 5.

Select the Posting and Print invoice check boxes. For more information about printer 6.management for transactions, see “Set up print management for transactions” in the Help.

Click OK to post the credit note and generate the .xml file. The .xml file is converted to the EHF 7.format.

Close the form. 8.

When the batch job for electronic sales invoices is processed, invoices for customers for whom the

eInvoice check box is selected are generated as .xml files, and then converted to the EHF format. The resulting EHF files are created in the shared folder that is specified for the EInvoiceFileTransform_OIOUBL batch job task for the sales order batch job.

Create and post a free text invoice for public sector organizations

Use the Free text invoice form to post a free text invoice and generate the invoice as an .xml file.

The .xml file is then converted to the Elektronisk HandelsFormat (EHF) format. You can generate

electronic invoices for customers for whom you select the eInvoice check box in the Customers form. You can also post multiple invoices by using batch processing. The EHF files are created in the shared folder that is specified for the EInvoiceFileTransform_OIOUBL task for the batch job.

Click Accounts receivable > Common Forms > Free Text Invoice Details to open the Free 1.text invoice form.

Create or select a free text invoice. For more information, see “Create a free text invoice” in the 2.

Help.

Click the Invoice tab, and then in the Sales tax group field, select the sales tax group for the 3.item.

In the Customer requisition and Customer reference fields, enter the customer requisition 4.number and the customer reference number.

Click the Invoice lines tab, and then in the Description field, enter a short description for the 5.free text invoice line.

In the Ledger account field, select an account. 6.

Click Posting > Free text invoice to open Post free text invoice form. 7.

Select the Posting and Print invoice check boxes. For more information about printer 8.management for transactions, see “Set up print management for transactions” in the Help.

Click OK to post the free text invoice and generate the .xml file. The .xml file is converted to the 9.EHF format.

Close the form. 10.

When the batch job for electronic sales invoices is processed, invoices for customers for whom the eInvoice check box is selected are generated as .xml files, and then converted to the EHF format. The resulting EHF files are created in the shared folder that is specified for the EInvoiceFileTransform_OIOUBL batch job task for the sales order batch job.

Create and post a project invoice for public sector organizations

Use the Post invoice form to post a project invoice and generate the invoice as an electronic invoice. For more information, see “Projects (form)” in the Help.

When you post project invoices, invoices for customers for whom you select the eInvoice check box in the Customers form are generated as .xml files. The .xml file is then converted to the Elektronisk HandelsFormat (EHF) format.

Click Project > Common Forms > Project Details to open the Projects form. 1.

Create or select a project, and then click the Setup tab. 2.

In the Sales tax group field, select the sales tax group assigned to the sales tax code for an 3.electronic invoice.

Click the General tab, right-click the Project contract field, and then click Go to the Main 4.Table Form to open the Project contracts form.

Click the Other tab, and then in the Customer requisition and Customer reference fields, 5.enter the customer requisition number and customer reference number.

Close the form. 6.

In the Projects form, click Invoice > Invoice proposal to open the Invoice proposal form. 7.

Click Create invoice to create a new invoice proposal for the project. For more information, see 8.“Create invoice and on-account proposals” and “Invoice time and material” in the Help.

Click Post invoice to open the Post invoice form. 9.

Select the Posting check box to post the project invoice. If you clear the check box, a pro-forma 10.invoice is created, and no transactions are posted.

Select the Print invoice check box to print the project invoice. For more information about printer 11.management for transactions, see “Set up print management for transactions” in the Help.

Click OK to post the project invoice. The transaction status is updated to Invoiced in the Invoice 12.proposal and Projects forms (Project > Common Forms > Project Details).

Close the forms. 13.

When the batch job for electronic project invoices is processed, invoices for customers for whom the eInvoice check box is selected are generated as .xml files, and then converted to the EHF format.

The resulting EHF files are created in the shared folder that is specified for the EInvoiceFileTransform_OIOUBL batch job task for the project order batch job.

Create and post a project invoice credit note for public sector organizations

Use the Post invoice form to post a credit note for a project invoice as an electronic invoice. For more information, see “Post invoice (form)” in the Help.

When you post credit notes, credit notes for customers for whom you select the eInvoice check box in the Customers form are generated as .xml files. The .xml file is then converted to the Elektronisk HandelsFormat (EHF) format.

Click Project > Common Forms > Project Details to open the Projects form. 1.

Select a project invoice, and then in the lower pane, select a journal transaction that has the 2.

Transaction status field as Invoiced.

Select an invoice journal, and click Functions > Select for credit note to open the Select for 3.credit note form.

Select the Select check box to specify the project invoice for the credit note. 4.

Click OK to close the Select for credit note form. The Transaction status field of the journal is 5.updated as Selected for credit note in the Projects form.

Click Invoice > Invoice proposal to open the Invoice proposal form. 6.

In the Invoicing method field, select Credit notes to specify that the transactions are to be 7.credited.

Select the Hour check box to include the hour transactions. 8.

In the From date, To date, and Invoice date fields, select the starting and ending dates to 9.include project transactions posted to the project and the ledger posting date.

Click OK to create a credit note in the Invoice proposal form. 10.

Click Post invoice to open the Post invoice form. 11.

Select the Posting and Print invoice check boxes. For more information about printer 12.management for transactions, see “Set up print management for transactions” in the Help.

Click OK to post the free text invoice and generate the .xml file. The .xml file is converted to the 13.EHF format.

Close the forms. 14.
