C) Portfolio Updates i. Presidential

- BCC townhall 51 rsvp, aiming for 100, we want more people- Clubs townhall meeting execs so we can consult them.- Talking to Pam and Ruth there are 3 new initiatives, an international business case

comp. EDGE and another conference. These would be 3 new CUS conferences.- Go to the meet the dean candidates meeting and give Dylan your feedback

ii. Finance

- Hired FSD, hiring finance commission- Dealing with awards night and Style

iii. Academic

- Hired almost everyone, then he’ll have his get together.

- Working on transitioning and need to meet up with some people.- Working on BCC forum with Jacky.- Talking with alumni of the BMMP to figure out its direction, there are many different

opinions, need to figure out what the real status of the program is iv. Internal

- Hired everyone, transitions- FROSH hiring – everyone can apply

- only missing alumni relations and CR director- started to transition people, all other chairs have already been hired- planning a get together

- CUS Sunday- New poster-ing CUS rules, no more limit of 3, promoted Cavalier- FB event for hiring

D) Cabinet Business i. Hiring – Round 3

- Done this weekend and Monday

ii. VPX and VPM and President are the spokesperson for the Exec iii. Service Council Retreat, Service Council Turnover Event

- Retreat going to happen March 29-30, Thursday afternoon to Friday afternoon- Looking at two locations: Camp Alex in Crescent Beach or Camp Squamish in Squamish- I’m leaning towards Camp Alex because it’s closer, less expensive and they have the

requirements of what we’re looking for. Since its pretty close, people can come late if they have Style or leave early, it’s around an hour away from UBC.

- Service Council Turnover event looking at maybe Apr 02 or 03, Mon/Tues. This is open to all outgoing and incoming service council members. They had it last year at the Global Lounge at Marine and I’m looking into that. I’ll send out a Doodle to see which day works better.

iv. Awards Night

- Need to do something for the outgoing exec team

v. Chris and Veronica Extra Funding?

- Deans funding fell through, no more money- Should we consider giving them more?- We met our obligation.- Our decision wouldn’t change if this was a deciding issue.- This is a fairness issue

- Charity conference/event- 3 new ideas, I’m delighted. So Excited.

E) Presentations to Council: i. JDC West 2013 – (Co Chairs) Andy Nesta and Pia Ghosh See attached presentation- Pia- internal, Andy – external- Wanted to walk us through the competitor experience and then the OC experience, what goes into, what’s in it for the CUS and moving forward- Competitor experience, 52 sent with Sauder winning academic school often and winning school of the year.- Pre-competition, team hired early in the fall – hires godparents, academic, athletics, social and debate team- Plane, bus there, exciting welcoming – spirit welcoming, buffer zone, check in, opening ceremony, each school is identified by school colours, there is lots of interschool spirit, official opening of JDC West – big symbolism (maybe light up the torch?) FRIDAY. Competing days SAT SUN. Friday night Friday – swag night, lots of mingling and cool stuff, Saturday night, skit night – each team presents a skit- 3 main social points: inter-school mingling, break the monotony of competition, a treat of the delegates- Academics- 2 hour case, debate- parliamentary style debate, athletics- 2 sports on 2 different days, social – crazy competition. The bulk of team is on academics- NEW! Educational Resource Center, 1. Created to give sponsor that extra touch point, to raise brand awareness, recruiting, talking to students, 2. Extra opportunity for students to meet industry people. 3. Active lunch break- Gala, Awards Ceremony the spirit of JDC West, crazy camaraderie. Selfless and genuine care for fellow team members. - Organizing Committee- Sauder founded JDC West, from an idea in Quebec, Jeff Potter and Nik Laufer-Edel, hosted in 2006, 2007- Each year, 16mths before the conference there are bidding procedures, 20mins to win the support of the business school presidents. Pia and Andy bid and won their support. Now have a 16 person OC.- Conference would be the biggest conference Sauder would host this year: taking into account 572 delegates from 11 business school, 240 volunteers - a significant number, 100 business delegates from companies. Budget is much larger. Each member has their own control over their own portfolio.- 4 conferences that are hosted ahead of time.This weekend: Captain Turnover, West Coast Leadership Retreat for presidents,

another conference here in August and then Regina for NBSC to make sure everyone is on the same page.- JDC West as a non-profit org.- 2010 ran into financial liability… what if it ran into bankruptcy? Got approval to create:- JDC West Business Competition Incorporated. With BoD made up of 6 alumni: past co-chairs, captains, presidents, they provide: 1 financial oversight to make sure it’s viable each year 2. Strategic oversight to make sure JDC west vision is upheld. Advantage: it’s not the school’s responsibility if JDC goes bankrupt. Easier to transition since the company owns all the logos and materials- Moving Forward, what does it mean for the CUS:- Viewed as 1. Sponsor, and the Deans Office, separately, an external sponsor, defined financial liability, who gets sued?- It’s JDC West, (and they’re insured) 2. Largest stakeholder at Sauder, the support system, the CUS was involved in the bid process, support network 3. As we move for the next 9 months, we can share resources, for example marketing. This bridges that gap. They are associated with CABS. But know the bridge goes both ways.

David: can each VP hire, or do they do their own work?- On a need basis,

Joey: when would this hiring occur?- Probably in September

Jacky: in terms for financial support, what are you looking for?- There’s a limit on what you can give us, and you’re almost there. Funding is always

beneficial, don’t want to make this go to referendum, there is a specific range.Sean: dates for JDC West?

- Jan 18, 19, 20 unless you are hired, applications are open to all- Even though we’re hosting, we want to keep this impartial, there may be details that you

will not be privy to.Maria: will Henry Angus be closed off to studnets during the duration of the competition?

- Space constraints with Henry Angus so we will probably have it somewhere else, Life Sciences maybe,

- Jacky: they’ll continue this conversation later on

ii. Entrepreneurship@UBC – Ben Cappellacci see attached presenation:- Joint initiative, founded in July, relatively new- 10mil venture capital fund- A spectrum for Entrepreneurship- Goals to foster this spirit to make sure there is support. Not just for undergraduates, it’s a place for young alumni too- 140 new ventures in this new 4-5 months, how are they support. Connecting with alumni so they can offer their supports.- Each faculty has their own contact, to connect- Want us to reach out to people interested, keep the group small and people who

are actually interested.- Providing information by request.

Discussion/Questions:

- Jacky: what’s your ask?- More important to reach people who are engaged, so you know we are aware of what

you’re up to

iii. Enterprize – Jesse Xin, Jasmine Yeh- Thoughts on making Enterprize a 2 year conference..?- Enterprize has been Sauder’s flagship conference since 2001. Then, Sauder lacked an

entrepreneurship component and there was no drive for that at UBC. The students wanted to do something similar and Michael Lee looked at events across Canada and didn’t find anything that filled this need. Enterprize has a strong brand but faces many challenges: finances, team burnout, and sponsorship.

- Why is Enterprize necessary? It was seen as a party conference. It went over budget, like $30 000 for AV equipment. Enterprize used to hire their own chairs. There were chapters in other universities. There has always been this rift between the CUS and Enterprize. One year there were 2 candidates for president, one that had been part of the Enterprize team before and another that didn’t have as much experience but closer in ties to the CUS. The CUS chose the one that was closer to the organization as president. In retaliation, the past Enterprize president, Charles and Sophia called some of these chapters and sponsors to dissuade them from supporting Enterprize, saying that it was doomed. Enterprize essentially had to start from scratch. What happened was that Boris, the other candidate, fell in love with Enterprize, and worked extremely hard to re-build connections. He worked to reduce cost since nothing had cost this much before.

- What is the purpose and why is it significant? This is one of the things that our school is being accredited on. Not many people think about this. One of the advisors told me: Harvard cancelled their entrepreneurship and admission plummeted, why was it so significant? We’re much younger and more inexperienced. We want to work for companies, instead of standing on our own two feet.

- How is this valuable? Enterprize needed to prove that it was legitimate and just needed to prove that it could happen. That’s what they did this year. When I was in 3rd year I had a hard time figuring what I wanted to do, Enterprize provided me with support, a family.

- It’s not about starting your own business, it’s about having the courage to innovate. What I wanted to give Sauder students was a break. One of the things we did was “7 minutes in Networking Heaven”, the chance to talk with amazing professionals. Have a resume dinner. Brought in speakers that inspired. People who fell and stood back up. Embody the student to spring board their passions. Take away the fear of failure. Look at the upside. So students can take risks and be entrepreneurs.

- A 2 year conference does take some of the strain off the team. They had support from the CUS. I understand that it’s a fiscally taxing conference. The benefits of keeping this one year make this a legitimate conference and continuity. It builds on this year, and there are people (sponsors) who want to get involved. There are many talented

students and I want to share this experience with other students. People still talk about that now. The two year gap, makes Enterprize lose momentum. Although I (Jasmine) am young, this doesn’t hinder me, Jacky was younger was me when he organized PNAC. I have the support of the current team, many referrals, talking to classroom for hiring.

- David: some companies are hesitant to sponsor so far in advance, speakers as well. The bulk of the work happens the second year.

- Jasmine Yeh: turnover makes transitioning tougher. This provides consistency and continuity. I want to build long term sponsorship with some of the companies. I am confident that I can bring more. Many speakers were confirmed 2 months in advance. Speakers want something they can see in the near future.

Questions:Joey: The 2-year conference will lessen the work load…Claire: it will build up its network, so that it has more build upCindy: from finances, there was such a tight time, for sponsors to manage timeRiley: open to ideaDavid, Sean: there are good points for both sidesJacky: What do you hope to see in the relationship with the CUS in the future.

- There was lots of support from the CUS, getting the word out and promoting.- There’s a mindset that Enterprize need to be controlled. Starting this position was really

scary, I wanted support from the CUS, and to build trust. We like creating a big issue out of smaller things. Getting to know one another and knowing that Enterprize has more than just help, but emotional support. We don’t want to doubt the CUS’s support. It was a collaborative event. Moving forward, I hope that it be a good relationship with lots of support. Enterprize and CUS, both want to represent Sauder’s brand in a positive way. I want to make sure this is more of a partnership. We’re all students at the end of the day. It’s a national conference, there more many students that come from all over and we want to show them that we can accomplish something this big

- Ben: Who brought the 2-year idea up?- Jesse: It was me. I was really tired and I wasn’t able to do many things that I wanted to

do this year. I thought it would be a neat idea. The big thing is the financial scrutiny. 20% of their budget before. And the close financial watch continued. I was afraid of the slap in the face from the CUS, as the trust and collaboration increase; the most important is the learning experience. It’s do-able and it’s been done for the past 11 years.

- Ben: issue I see is the continuity and work load. What makes more sense is to have a concurrent team to have one working on the next conference while the current one is being planning. Discussion:- Joey: difficulty hiring a team, things like co-op and exchange may lock them down. Worried about burnout. Go to two-year or scaling it down.

- David: she is so passionate, age shouldn’t be an issue and she wants to dedicate her time

- Claire: would moving it address the concerns? And the person who brought it up,

doesn’t support the idea anymore- Cindy: worried about having a strong enough team…- David: there are at least 3 or 4 keys- Jacky: they ran a deficit right?- Riley: around a 7 000 deficits..?- Jacky: I like the JDC model creating BoD. Incentives not aligned with them to not to go

over budget because as students we will bail them out.- Sean: $60 000, sold 165 tickets, $300ish per person. If cost $70 000 then $400

something per person.- David: I want to hire the team, and get the ball rolling, and keep Jasmine in constant

update and speak about downsizing.- Jacky: minor changes- Sean: I didn’t get that value? ($400)- David: maybe downsizing this a lot, even this year.- Joey: I want more down-scaling and making 2 year.- Cindy: money goes to prizes and hotel- Riley: what about just one day conference- Jacky: people won’t fly in for one day- David: base it off the NIBC model. It was so successful- Jacky: Enterprize should incorp. as a club with the AMS- Riley: what did they do different?- David: there was a lot of demand? Would one day- Riley: being a club won’t motivate the team more?- Claire: bring different cost mentality….- Sean: the numbers just don’t add up,- Joey: many delegates were just day pass- Jacky: it’s not about how they spend their money, it about the vehicle- David: if we don’t do anything then nothing happens- Jacky: if their AMS club then they would be more conscious of their spending.\- Riley: we hire her and make a plan with her- Jacky: hiring her would make her part of the CUS and tie that in- Joey: what’s the benefit of it being a club?- Jacky: if they go into cost override, we have a responsibility to bail them out, if their

AMS then we have no responsibility to pay- Cindy: if they are under AMS, they come for a presentation to get money, no need to

check their budget and make sure everything is on track. More responsible and more pressure to success because they couldn’t come back. I’m in support of less stress for the CUS to support them if they don’t success, we don’t do this for other conferences.

- Claire: what keeps them performing?- Riley: didn’t IBC go over by like 47%- Jacky: people need to start learning fiscal responsibility.- Seans: options?- Joey: status quo, smaller conference, 2 year, club- David: they’ve been scaling down every year. Jasmine doesn’t need to start from

scratch, many potential sponsors out there- Jacky: more about our responsibility,

- Sean; does it add that much value?- David; what else do we need to spend it on?- Jacky: I’m not in support of cancelling; I’m just not in support of giving them free rein.- David: if we don’t get the ball rolling nothing would be happen?- Claire: is it feasible for them to become an AMS club?- Cindy: no need to go to the BoD.- Jacky: go normal, and- Joey: will get constituted?- Jacky: there should be no issue, it’s the history- Jasmine: we just change it- Jacky: we have that historical privilege- Claire; seems like by kicking them out the CUS and we are de-valuing them- David: want event scaled back and no bailouts- Sean: one year is appropriate.
