Before you get started

Introduction This user guide is for businesses that are using CWB Wire Service. This document is intended to be a high level overview and should be referenced while using CWB Wire Service. It does not contain extensive screenshots or exhaustive details of every step. Instead, it shows you how to achieve a goal (such as initiate a wire) by briefly describing each step you will need to complete.

Your Canadian Western Bank branch will be happy to help you with any international payment support questions.

Security

Navigation security • Do not try to refresh any page within your CWB Wire Service session. If you do, you will receive a popup

message warning you that you will lose your work.

• Click Cancel to return to your CWB Wire Service session. If you click Retry, you will exit the session and

lose any unsaved work.

• Do not click the Back button on the browser. Instead, use the navigation bar in CWB Wire Service to move

between pages. If you click the Back button on the payment pages—Initiate Order page, Payment Entry

screen, Quote screen and Update Payment screen—you will receive a popup message.

• Click Cancel to return to CWB Wire Service. If you click OK, you will exit the application and lose any

unsaved work.

Note: The message pictured below is specific to Internet Explorer. Other browsers will return different

messages.

• If you click the Back button on any non-payment screen, you are automatically exited from the application

and you will lose any unsaved work.

• Your session will time-out after 20 minutes of inactivity. If you are inactive in CWB Wire Service for more

than 20 minutes, you are automatically exited from the application and will lose any unsaved work.

Data security CWB Wire Service does not support certain characters or keywords in specific data fields.

Examples of restricted characters are:

• # (hash)

• , (comma)

• / (slash)

Examples of restricted words are:

• from

• system

• like

If you input a restricted character or keyword into a relevant data field, you will receive a popup message

instructing you to remove the restricted character or keyword from the relevant field in order to continue.

How does CWB ensure that my orders are safe?

System security

o All transmissions to our order processing computer are encrypted. Encryption is the process of

scrambling data into an unreadable format so that only authorized machines can read it. On CWB

Wire Service, data is sent through an encrypted channel to our secure systems where the

message is safely received. This reduces the chance that anyone can decipher your orders as they

are being transmitted.

o We use firewalls to shield our systems against computer hackers. A firewall is a program that

prevents unauthorized access to a computer network.

Procedural security (CWB Wire Service’s good business practice)

o Canadian Western Bank has built in several procedural checks that you can use to reduce the risk

of error or fraud. For example, a record of your transaction request appears on the site after an

order is submitted. A similar record is sent to your e-mail address. Records should be verified to

ensure they match. Please contact your local branch immediately to notify them of any

discrepancies.

o Another procedural check is made for new wire beneficiaries. The Bank will re-confirm the

banking and contact information for all new wire beneficiaries prior to executing the wire.

o Canadian Western Bank may confirm any unusual wire activity with you prior to executing the

wire.

o Each user at your company will be assigned a separate log in to CWBdirect® Business Online

banking to build a clear audit trail.

What can I do to enhance security? Keep your CWBdirect Business Online Banking password confidential.

If there are additional employees in your company who require a username and password, we would be

pleased to provide them with their own username and password. The additional user will only have access

to those accounts where you assign online banking rights.

Be sure to close your browser whenever you finish a CWB Wire Service session on your computer. Never

leave your computer unattended as this will prevent someone else from using your computer and

entering orders from your secure browser.

Be sure to verify your records by checking the order confirmations within CWB Wire Service and those

sent through email. If there are any discrepancies, contact your local branch immediately.

If you have any reason to believe that your password or account has been compromised please contact

your local branch immediately.

Is email secure? While banks and law enforcement take extensive steps to protect clients and the public at large from fraud, there are some simple steps Canadians can take to protect themselves:

Be skeptical of any unsolicited e-mail asking you to provide personal information, no matter how

legitimate it looks. If you are unsure, contact the company it purportedly comes from: but make sure you

use a phone number, e-mail address or website address that you know is legitimate. Do not use the ones

provided in the e-mail.

Never send personal and/or financial information by e-mail.

Always enter Canadian Western Bank's website using www.cwbank.com or www.cwb.com.

Fraudulent e-mails are not personalized and instead are addressed in general terms, such as "Dear valued

customer".

Check the domain name shown as the link in the e-mail. When you hover over the link, if the address in

the pop-over window does not match the address shown in the email, it may be a fraudulent website.

If you receive an e-mail notifying you that a wire is being sent from a person you don't know, delete the e-

mail as it is likely fraudulent.

Be aware of social engineering. Normally appearing as an email from a major financial institution, the

message explains that your account information needs to be verified and directs you to visit the website

listed in the email. This website may look identical to your financial institution's website and will prompt

you to enter your account information. These emails and websites are likely fraudulent and will

compromise your account.

Make sure your home computer is protected by installing personal firewalls, anti-spam, anti-spyware and

anti-virus software, and keep these up-to-date. In addition, check for operating system patches and

upgrades on a regular basis.

Regularly review your bank and credit card statements and immediately report any unauthorized

transactions to your financial institution. Also check your credit report at least once a year by contacting

Equifax Canada or TransUnion Canada.

If you suspect you have received a suspicious email pretending to be from Canadian Western Bank (CWB),

CWB Group or Canadian Direct Financial that asks you to follow a URL or link to a website, please report

the email by forwarding it to [email protected]. Once you have reported the phishing email, delete it

without replying or clicking on any of the links provided in the email.

How to operate CWB Wire Service

Login

First-time login CWBdirect Business Online Banking is accessed online at Canadian Western Bank’s website www.cwbank.com or through www.cwb.com. Canadian Western Bank’s Cash Management Support will mail the User ID and temporary password to users in separate envelopes. Once you have received your user id and temporary password you can log in for the first time by clicking on the login button as show in the figure below.

Password

Enter your User ID and temporary password to login for the first time. After you have authenticated successfully, you will be prompted to enter a new password of your choice. Enter and confirm the password and click Submit.

Note: For your convenience, bookmark the URL address from the login page, or save it as a “favourite” in your

internet browser

CWB Wire Service CWB Wire Service will be accessed under the transfers tab by clicking Wire Service on the left-hand side

navigation.

From the Welcome page, you can select from the following options available on the top navigation bar.

Quote and order There are three options presented in the Quote & Order sub-menu

Initiate Order: Select this option to begin creating a new wire order.

Last Saved: Quickly access a last saved order. This will present the last order created, but not submitted, by the user.

Approve: This option is only shown to users who can approve orders. It provides a list of the items awaiting their approval. Users can still access the Pending Approval list from the Home page of CWB Wire Service.

Before initiating an order Before initiating a new wire order, you will need to create a beneficiary or select an existing beneficiary. To create

a beneficiary, select Manage from the top level navigation bar and click Manage Beneficiary on the dropdown

menu, then follow the on-screen instructions. If a beneficiary has already been created, skip to Initiate Order to

begin your wire order.

More information about adding a beneficiary is included later in this guide.

Note: Each beneficiary is associated with a specific currency. If you will be sending several currencies to a single beneficiary, you will need to create a separate beneficiary entry for each currency.

Initiate an order

1. Select Quote & Order from the top level navigation menu and click on Initiate Order on the dropdown menu to begin a new wire order.

2. Buy and Wire will be pre-selected for you under the Direction and Product drop-down lists.

3. Select a currency by clicking on the Currency drop-down list. To access an extended list of currencies, select

the Minor Currency check box next to the drop-down list. An extended currency list will be populated for you to choose from.

4. Type in the amount of the currency that you wish to buy (for example, to buy 10,000 British Pounds select GBP from the currency drop-down list, and type in 10000 in the amount field). Using the * symbol in front of the amount will quote the payment as base currency worth of beneficiary currency (for example, *10000 in the amount box and selected currency as GBP gives you 10,000 CAD).

Note: Each currency is identified by a standard three letter abbreviation and its name. For example, USD stands for U.S. Dollar, EUR for Euro and CHF for Swiss Franc, etc.

5. To select a beneficiary, either:

Choose a pre-defined beneficiary from the drop-down box;

Choose a pre-defined beneficiary Short Name from the Available Short Names drop-down box; or,

Add a new beneficiary by clicking on the Create New button located to the right of the beneficiary drop-down box then follow the on-screen instructions.

Note: CWB Wire Service will only populate beneficiaries with the same currency as the wire being created. The relevant wire details will be automatically displayed for the selected beneficiary.

6. Your ID, Notes to Beneficiary, and Notes to CWB are optional fields. Any information entered will be for your information only.

7. Once all the information is complete for your wire you can:

Click Add Payment & Complete Order; or,

Click Add Payment to add another wire. Up to 15 wires can be added to a single order.

8. Once you have entered all the wires for your order and clicked Quote, select the source bank account that you’d like the wire to come from. Once you have selected the appropriate account and checked all your wire entries, click Post for Approval to submit your order.

Note: An order can only be made up of wires that are drawn from the same account.

Saving your order To save your current order, select Action within your new order screen and click Save. Saving an order can

only occur once the wire order is built and you’ve moved on to the Quote/Quote & Order page.

To pull up your saved order, select Quote & Order from the top level navigation bar and click on Last Saved.

Note: Only your last saved wire order can be retrieved. It is recommended you save your wire order at least

once during your session just in case you lose your work due to technical issues.

Editing/correcting an order

Editing your order/payment

To edit your order, simply click on the checkbox for the payment you wish to edit and select Action in the new order screen then click on Update. Make all necessary changes and click on the Update button.

To delete a line item on an order, click the checkbox for the line item in question and select Action in the new order screen and click on Delete.

To clear the form and start over, select Action in the new order screen and click on Clear.

Correcting errors After clicking Quote, click on the checkbox for the payment you wish to edit and select Action in the new

order screen then click on Update.

After you click Post for Approval to submit your wire order, your order is placed immediately or sent to a wire approver for approval depending on your CWB Wire Service approval model. If your wire order is placed immediately without requiring an approval, you cannot change or cancel the order. If your wire order requires an approval, the approver can reject the order and you can redo the order

If it is necessary to cancel the transaction, call your local branch immediately. Depending on the status of the order, your branch may be able to recall it. Recalls will be performed by CWB on a best efforts basis, as CWB Wire Service transactions are completed in real time.

Obtaining quotes

Once your order is assembled, select Quote to view the latest rates for each currency in your order.

Each currency quotation is live market rates. Your quote is sent electronically for priority processing. Quotes are only available during CWB Wire Service trading hours, from 6:00 a.m. to 1:00 p.m. Mountain Time. Any items received after the cut-off times will be processed the following business day.

When you have entered your wire orders, click Quote in the new order screen to view the current pricing for each currency in your order.

You can select Re-quote to obtain the current pricing for each currency in your order. A dialog box displays asking “Do you want to re-quote?” Click OK if you want to proceed. You can quote your order as many times as you like to capture changes in the markets.

Any items received after the cut-off times will be processed the following business day.

If there are delays in obtaining a quote for any reason, a message page will describe the type of problem and ask you to try again.

If there is a time delay problem on the internet, or if there are delays with the incoming rate feeds, a message page will describe the type of problem and ask you to try again.

If there is a significant time delay between clicking Quote and Post for Approval, you may notice a slight difference in rates. This is a result of the movements in the market at that time.

Placing your order

Once you have entered and double-checked all of your wire entries, you are ready to place your order.

1. Select the source account that you’d like the wire to come from. 2. Click Post for Approval when you are ready to place your order. 3. If you do not require another user’s approval, you will receive confirmation that the funds are available in your

account and the order has been processed. You will also receive confirmation via email once the wire has been sent.

The selectable email feature shown above will give the initiator the ability to send an email notification to selected approver(s) from the eligible approver list. Please note, all eligible approvers will still have the access to approve the order even though the approver was not selected to get the email notification. For example, if only one approver (or none) is selected, the wire still can be processed by other eligible approvers.

If there is a significant time difference between clicking Post for Approval after clicking Quote, you may notice a difference in rates. This is normal as the markets will make movements during that time.

If approval rights and limits are enabled for your business and an order requires more than one approval, you will not receive confirmation that the funds are available in your account and the order has been processed until both approvals are given.

You can enable approval rights and limits for your business that will require another user to approve a wire order before it is processed. For more information, or to enable this feature, please contact your local branch.

As a fraud prevention measure, any new wire beneficiaries who have not been previously confirmed by Canadian Western Bank will not be processed until a security confirmation takes place.

Note: Clicking Post for Approval is the same as giving your written authorization to proceed with the order.

Approving pending orders Once orders are posted for approval they will need to be approved for the order to be placed. Select Approve from the Quote & Order tab, or click on View List and Approve from the top level navigation

bar.

A listing of all pending orders will appear. Each pending order is referenced with a Pending Order ID. Click on Review and Quote this Order for the appropriate order, and a detailed page showing the pending order will appear. On the right side of the page, you can approve the order, reject it, or go back to the Pending Order Summaries page.

Activity reports

Payment reports You can review a more detailed report of prior transactions by selecting Activity Reports from the CWB Wire

Service Welcome page and click on Payment Reports.

This screen allows you to specify the following information for which orders will be reported: the date and amount

ranges, currency, individuals who authorized transactions, beneficiaries or a specific ID number. Complete the

appropriate information to generate your desired report.

Once the appropriate criteria have been entered, click Generate Report.

The Payment Report shows the following columns:

• Order ID number (automatically generated at the time the order is placed)

• Order date

• The amount of the transaction, provided in the foreign currency

• Service charges

• The amount of the transaction, provided in your base currency

• Notes to beneficiary comments

Managing beneficiaries

Adding a new beneficiary Set up and save your beneficiaries so payments go to the right person, in the right currency and communicate the

right information.

Select Manage from the CWB Wire Service home page and click Manage Beneficiaries then follow the instructions before you initiate your order.

Each beneficiary is associated with a specific currency. If you will be sending wires in several currencies to a single beneficiary, you will need to create a separate beneficiary entry for each currency.

CWB Wire Service requires you to record specific information for each beneficiary. If you are missing information,

the screen will indicate specifically what is missing.

Storing beneficiary information in CWB Wire Service takes a few moments to set up, but will save you time in the long run as it eliminates the need to re-enter or double-check these important details with each wire.

Each beneficiary can only be assigned one currency. For example, a beneficiary in the United States would typically have a USD currency. If you need to send a specific beneficiary payment in different currencies, you will need to set up a new beneficiary for each currency.

For security reasons, Canadian Western Bank screens all beneficiaries. A certain amount of mandatory information is required when you set up a new beneficiary to complete our security checks.

You can also set up user authority levels requiring any new beneficiary added to CWB Wire Service be approved by someone else in your organization. For more information, or to enable this feature, please contact your local branch.

Managing beneficiaries

Mandatory fields are marked with an asterisk (*). Depending on the type of beneficiary being created (draft or wire), complete the fields as follows:

Bank Name Provide the name of the beneficiary’s bank to which you are wiring funds.

Bank/Routing Code This is comparable to the ABA number in the United States.

SWITFT Code This is a code that allows banks worldwide to communicate through a secure network environment. The SWIFT code contains up to 11 letters. The first 4 letters stand for the financial institution’s name, the next 2 letters represent the currency, the next two letters represent the financial institution’s home office and the last 3 letters identify the specific branch, if applicable. If the beneficiary does not provide this code, please call your local branch for assistance.

Beneficiary Name Provide the name of individual to whom you are wiring funds.

Account Number Provide the account number of the beneficiary to which funds should be transferred. This is also the field where an IBAN or C.L.A.B.E. should be entered.

Beneficiary Bank Address

Be as complete as possible with the address of the beneficiary’s bank. For more information see:

Beneficiary Check the “Send Email Notification” box and enter an e-mail address if you want your

Payment Notification

beneficiary to be notified that an incoming payment should be expected.

Reference Comments

Enter any permanent notes for this beneficiary. These notes are for your use only and will not be sent to the beneficiary.

One Time Use?

If checked, the beneficiary record is maintained only on the current business day. A record of the beneficiary will not be available for payments after the close of the business day, and will need to be re-created.

When you are finished entering the Beneficiary Information, click Create New Beneficiary.

If you wish to start over, simply click Reset Form and all fields will be cleared.

If you would like to create a transaction using this new beneficiary, click on Create and Pay Beneficiary. For more information about specifying account numbers, IBANs, SWIFT/BIC codes, and other bank codes by currency, see the Payment Formatting Guidelines, available on the CWB Wire Service welcome page. Note: You may have beneficiaries you only have to pay once. To keep your beneficiary list manageable, use the One Time Only checkbox. Once your payment is complete the beneficiary will no longer appear in your beneficiary list and no details will be saved. The payment information will continue to appear in your reports.

Search beneficiaries Select Manage from the top level navigation bar and click Manage Beneficiaries then click Advance Search.

From the Beneficiary Search Results page, you can: • Select a beneficiary name for making a payment • Manage beneficiary name or status • Update beneficiary record • Complete a new search • Cancel to go back to manage beneficiary

Correcting beneficiary information

To change beneficiary information, click Update/Disable and make the necessary changes. Once all changes are made, click Update Beneficiary at the bottom of the page or “Cancel” to retain the original information, or Update and Pay Beneficiary to create a transaction using that beneficiary. If you have added incorrect information for a new wire beneficiary to an order and the order was submitted, please contact your local branch.

Removing a beneficiary To remove a beneficiary, select the appropriate beneficiary from the Look Up Existing Beneficiaries drop-down list on the Manage Beneficiaries page, and select Update/Disable. Review the beneficiary information and if you are sure you want to remove this beneficiary, click Delete at the bottom of the page.

Beneficiary bank lookup When creating a wire beneficiary, the Find a Bank button can be used. CWB Wire Service provides a bank lookup option which allows you to search for a beneficiary bank details and select a bank from the list provided. Find a bank is for searching beneficiary banks only. Please do not input details for your beneficiary’s intermediary bank. This online bank search feature ensures quick access within CWB Wire Service to current bank details and eliminates the need to manually enter the bank’s details. Note: The Find a Bank feature cannot be used on intermediary banks. Please enter the bank’s details manually.

To search for a bank, you must provide at least:

Bank name or a portion of the name

Bank city or a portion of the city name

Country (select from the pick list provided in the country field)

NOTE: Bank name search may require the input of the full bank name in order to retrive results. For example,

“TD Bank” or “TD Canada Trust” for the bank name will not return bank lookup results. The full bank name or a

portion of the name “Toronto” or “Toronto Dominion Bank” will need to be entered in order to retrieve results.

To review the full bank details from the search list, position the mouse over the item number beside the details

and a dialog box displays containing that bank’s details.

To select a bank from the search list, click on the radio button beside the item. The bank fields will be populated

with the selected bank’s information.

Beneficiary bank IBAN lookup The International Bank Account Number (IBAN) is a standard adopted by many countries for identifying bank

accounts across national borders.

The IBAN's primary purpose is to facilitate cross-border inter-bank routing and avoid routing errors. IBAN imposes

a flexible but regular format for account identification and contains validation information to avoid errors of

transcription.

The IBAN consists of a 2-character country code, followed by two check digits and up to thirty alphanumeric

characters for the domestic bank account number, called the Basic Bank Account Number (BBAN). It is up to each

country's national banking community to decide on the length of the BBAN for accounts in that country, but its

length must be fixed for any given country.

When creating a beneficiary in an IBAN-activated country, CWB Wire Service provides a feature for validating

IBANs.

1. On the Create New Beneficiary screen, upon selecting an IBAN-activated country, a validation tool

displays for entering the IBAN.

2. The first two characters are already supplied, based on country. The total number of required digits is also

provided.

As you enter the complete IBAN, the corresponding digit count increases until it has reached the required number

of characters for that country. When the digit length is correct, the IBAN field appears in green, indicating that the

account number is ready for further verification.

Complete the IBAN entry by clicking Verify. If all data are accurate, CWB Wire Service populates the remaining

bank information fields, along with an IBAN Verification Result section, as shown below:

Ensuring correct data 1. If there is an error, CWB Wire Service IBAN validation system identifies the area which has been marked invalid,

under IBAN Verification Result. To see exactly where in the numeric sequence of the IBAN the error is located, click

Show Advanced Entry.

2. After correcting the error, click Verify to proceed.

Order templates

Benefits of creating templates Your organization may conduct similar transactions each week or month. For example, every Friday may see the purchase of 15 wires, all to the same group of companies, but with the amounts changing every week. Instead of re-entering the order each week, you can do so once, then save the order as a template (perhaps naming it Friday Orders). The following week, simply load the template by clicking Append in the new order screen (you can also drag and drop each template into the order section), change the amounts, and then submit the order. Templates are a great way to share the workload. One or more people can build templates for approval.

Building a New Template

1. Building a new template is simple: o Click the Quote & Order tab and select Initiate Order from the dropdown menu. Complete the

payment entry fields and click Add Payment. o Before the order is posted for approval, click the Action button and click Save Order As button to

save it as a template. o Complete the Template Name field. We recommend you assign a meaningful name to your template

to help you retrieve the template in the future. o Select a privilege for your template:

Private - This template will not be shared. Read Only - Other users will be able to use this template to create orders. They will not be

able to edit its content or permissions. Read Write - Other users will be able to use, edit content and edit permissions of this

template. o Click on the Save button to complete the template.

2. Building a new template based on one or more existing templates is simple:

o Click the Quote & Order tab and select Initiate Order to begin. Start with a clear order form. You can clear the form by clicking on the Action button and click on the Clear button.

o Add any existing templates to your current order by selecting each template under the Available Template menu in the new order screen and click Append (you can also drag and drop each template into the order section).

o Add any other wire items you want to have in your template. o Edit and delete as necessary. o Save your work as a template under a new name for future use or finish your order by clicking Post

for Approval. o If you wish, you can save amounts for each item.

3. Editing a template is easy:

o Click the Clear/New form button under Action in the new payment order screen to start with a fresh page.

o Select the template you want to edit and click Append. This will copy the template to your screen. o Add, change or delete any item you wish. o When you are finished, enter the original template name in the Save Order As box and click the Save

Order As button; your edited template will be saved in its new form.

4. To use templates most effectively, use descriptive names that indicate currency, timing or purpose. For example, use “UK Pounds" instead of "Template 1".

5. Organizing templates by currency allows you to quickly pay all of your suppliers in a given country at the same time ensuring the best possible price. New users will have full access to the beneficiary list, however, depending on the privilege set for the templates access may be restricted.

6. Templates can be built over time to keep track of upcoming payments.

o When an invoice arrives for future payment, add the beneficiary and amount to an Accounts Payable template you have previously created.

o When you are ready to place an order you can simply load your Accounts Payable template. o Do any necessary last minute editing. o Click Quote when you have finished and click Post for Approval and the order is completed in

seconds.

7. If you are working on an order, remember to save your current order as a template before leaving CWB Wire Service. The system will automatically reload your work when you return.

Note: You can use reports to monitor payments and improve the ordering process:

You can re-use any previous order listed in your report and quickly build a new order by clicking the Web Reference Number link and click Append To Current Order.

Add any other items you want to have in your order.

Edit and delete the order as necessary.

Save your work as a template under a new name for future use or finish your order by clicking Post for Approval.

If you wish, you can save amounts for each item.

Only orders that have been approved will appear on your reports; orders still in pending status will not.

Each order will be attributed to the person that approved the wire, not the initiator of the wire.

To review your orders, select Activity Reports from the CWB Wire Service Welcome page and click Review Orders.

Sharing and managing templates You may want to control which users within your organization can see your order templates. CWB Wire Service

provides you the flexibility to choose the sharing permissions for your template.

Private - This template will not be shared.

Read Only - Other users will be able to use this template to create orders. They will not be able to edit its content or permissions.

Saving a current order as a template Within the template section, type in your template’s name. It is recommended you assign a meaningful name

to your template to help you retrieve the template in the future.

Select a sharing permission for your template.

Click on the Save button

Using an existing template In the top half of the screen, select the name of the template you wish to use. Click on the Append button (you can also drag and drop each template into the order section). This adds the

template on to your current order.

Deleting a template In the top half of the screen, click on the pop-up menu that contains all of the available templates, selecting

the one that you want to delete.

Click on the Delete button. Note that you cannot delete the All Wires automated template.

Ordering controls

Enable approval rights and limits Enable approval rights and limits, a feature of CWB Wire Service, allows you to establish a stronger degree of

internal control over CWB Wire Service usage. This is done by assigning users privileges and maximum approval

limits. Ask your local branch for details on your current limits or to request a change to user limits and privileges.

Review privileges

Initiate orders only

This will allow the user to build and post orders for approval

Initiator The user will be able to build orders, but cannot submit them to be processed. Instead, they will post the orders for approval by a user with approval rights.

Initiate and approve own orders allowed

This will allow the user to build and post orders and will not require an approval to process the order.

Approver

This will allow a user with approvals rights to approve pending orders

View payment reports

This will allow a user to view payment reports. User will not have any wire transaction access.

Custom reports This will allow a user to view custom reports. User will not have any wire transaction access.

Specified amount Each order submitted by the user cannot exceed a specified approval limit. For details on the maximum CWB Wire Service limit, contact your local branch.

4) Branch closed – Wire service is only available from 6:00am to 1:15pm MT. Wire cannot be approved after branch hours.

5) User cannot access online wires

Make sure the correct login ID is being used for CWBdirect Business. For example. User ID: LCBO45 login for CWBdirect Business and Online Wires. CWBdirect Business is not case sensitive and the client can login without CAPS lcbo45. But when they click wires under the transfer tab, the below error will happen as the system uses single sign-on and is looking for LCBO4 in caps to authenticate the user to access Online Wires.

6) Wire is returned due to incomplete beneficiary details

Use Find a bank feature. Must have the final bank details of the beneficiary in order to use the feature. If the beneficiary bank is an intermediary bank, the wire can still be sent but the fields must be completed manually without using the find a bank feature.

Beneficiary is responsible for providing accurate bank details such as: SWIFT CODE, BANK/ROUTING CODE and IBAN/ACCOUNT NUMBER. Find a bank can eliminate discrepancies.

Glossary of Terms

Definitions

Terms Description Approver Users that have authorization to approve wire orders on assigned accounts. Approvers

may also be able to initiate wire orders. The Approver could be granted the right to both build and approve a wire order, whereas an Initiator would only be able to configure wire orders for someone else’s approval.

Approval model Establishes maximum approval limits (in dollars) for approvers on a user-by-user basis. There are usually two types of individuals involved in placing a wire order: an Initiator (the user who builds the wire order), and an Approver (the user authorized to approve wire orders). In a sole proprietorship situation (for example), this may be the same user.

Bank code A bank code is a code assigned by a central bank, a bank supervisory body or a bankers association in a country assigned to all its licensed member banks. The rules vary to great extent between countries. Also the name of such a code varies. For example: o Canada: Transit Number o United States: Routing Number or ABA Number o United Kingdom: Sort Code o Australia/New Zealand: BSB Code (Bank State Branch) o India: Indian Financial System Code (IFSC) o Hong Kong: Hong Kong Branch Code o Singapore Singapore Branch Code

The bank code typically appears on the bottom of negotiable instruments such as checks identifying the financial institution on which it was drawn.

Base currency The currency used to affect a wire order. For example, a wire is sent in U.S. dollars and the source account used draw the funds from is in Canadian funds. The “base currency” would be Canadian dollars.

Batch order (or bulk order)

A wire order containing multiple transactions or wires (or line items). CWB’s banking system restricts batch orders that contain no more than 15 individual transactions.

BBAN Basic Bank Account Number. An identifier that uniquely distinguishes an individual account, at a specific financial institution, in a particular country. The BBAN includes a bank identifier of the financial institution servicing that account. The BBAN contains most of the same information as the IBAN but is used mostly for domestic transfers in local currency.

Beneficiary approver Has authority to create, edit and/or approve wire beneficiaries (i.e., the names and associated banking information of individuals who can receive wires from the company).

Beneficiary audit Allows a customer to review who created a beneficiary, who approved that creation (if a beneficiary approval model is in place), and when the beneficiary was created.

Beneficiary bank The bank which will receive the funds on behalf of the final beneficiary/customer.

Beneficiary bank’s bank code:

Also known as the branch doe, this number is used to identify the bank or branch where the beneficiary account is held. For example, in the U.K., the bank code is provided as a 6-digit sort code, in Australia it is referred to as a BSB code, and in Canada, a transit code has 8 digits.

Beneficiary bank’s SWIFT code or bank

An identifying alphanumeric code for the beneficiary bank also known as a BIC (bank identifier code). Note: not all international banks are members of SWIFT.

Business User Administration (BUA) Tool

The CWBdirect Business Online Banking Business User Administration Tool (BUA) is a web-based administration tool for managing your corporation profile and users within CWBdirect Business Online Banking.

CWBdirect Business Online Banking

An online banking system that allows a client to view and perform transactions on multiple accounts and/or UCMs in a single login. Clients can set up multiple users with different authority levels and access rights to customize their risk management through assigned user authority levels for transactions and approvals, transaction size limits, and division of duties. There are two versions: o Non-Delegated - allows CWB to manage and administer all accounts and users

for the client through Cash Management Support. o The Delegated version gives a client the ability to manage and assign CWBdirect

Business users different online banking access rights and limits. CWB still manages all accounts.

IBAN International Bank Account Number. An international standard for identifying bank accounts across national borders. The IBAN’s primary purpose is to facilitate cross-border inter-bank routing and avoid routing errors. An IBAN includes a country code, bank code, branch code, and account number. An IBAN number replaces the need for an individual account number, bank code, and SWIFT code.

Initiator Users of the Western Union platform are established as either an Approver (someone who has authorization to approve transactions on that company`s accounts), or an Initiator (someone who has authorization to configure transactions on that company’s accounts). This can be the same person; for example, an Approver could be granted the right to both configure and approve a transaction, whereas an Initiator would only be able to configure transactions for someone else’s approval.

Line item rejection Approvers are provided with line-item rejection capability. This means that an Approver can authorize/approve all transactions within a multi-line order with the exception of one or two lines; the rejected transactions will not proceed but the remainder of the order will proceed unimpeded.

Payment reference Invoice numbers or the reason for the payment should be captured in the Notes to Beneficiary field. Thirty-five character spaces are allotted for payment references.

Payment report Provides detailed information for which orders will be reported: the date and amount ranges, currency, individuals who authorized transactions, beneficiaries or a specific ID number. Complete the appropriate information to generate your desired report. Clients are granted access to reporting (the Payment Report) on a user-by-user basis.

Selectable emails The ability to select individual approver names to send email notifications only to those selected. This is only in regards to email notifications. Any users who are designated as a wire approver for the order would be able to approve the order.

Single sign-on (SSO) If you have access to CWBdirect Business Online Banking and have signed up for CWB Wire Service, a subsequent log-in (and password) to access CWB Wire Service will not be required.

Secure socket layer (SSL)

This is the standard security technology for establishing an encrypted link between CWB and Western Union.

Terms Description Wire Approver The individual authorized to approve transactions on a business’s account in CWB Wire

Service. If approval rights and limits are enabled on the application and agreement, ensure the wire approvers are set-up here.

SWIFT (Society for Worldwide Interbank Financial Telecommunications): SWIFT is a non-profit messaging service owned by 8,000 member banks.

SWIFT/BIC code Also known as SWIFT-BIC, BIC code, SWIFT ID or SWIFT code. A standard format of Bank Identifier Codes approved by the International Organization for Standardization (ISO). It is the unique identification code of a particular bank. These codes are used when transferring money between banks, particularly for international wire transfers. The SWIFT Code is 8 or 11 characters, made up of: o 4 characters: bank code (only letters) o 2 characters: ISO 3166-1 alpha-2 country code (only letters) o 2 characters: location code (letters and digits) (if the second character is a “1,”

then it denotes a passive participant in the SWIFT network) o 3 characters: branch code, optional (letters and digits) Where an 8-digit code is given, it may be assumed that it refers to the primary office.

Template By using templates to re-create orders that are made on a regular basis, clients can reduce their time and effort. For example, if a wire needs to be sent to the same 10 suppliers every month, a template can be created so that each supplier’s information does not need to be re-entered, but the dollar amounts can be adjusted for each supplier.

User: Someone who uses the Western Union platform. Could refer to either an Approver or Initiator.
