Preparation for the fundraising team including arranging internal and external meetings, including paperwork, room or travel booking, organising catering where appropriate and ensuring technology is set up correctly. 2.2. Liaise with the Fundraising Manager over priorities, forward plan to ensure that meetings and logistics can be arranged accordingly, and track ongoing fundraising activity to ensure lower priority tasks are carried over. 2.3. JOB DESCRIPTION: Fundraising Assistant (Maternity cover)

Reports to: Fundraising Manager

2.2.Liaise with the Fundraising Manager over priorities, forward plan to ensure that meetings and logistics can be arranged accordingly, and track ongoing fundraising activity to ensure lower priority tasks are carried over.

2.3.Collate departmental performance data for fundraising activities. 2.4.Receive and screen telephone calls and emails and respond as appropriate,

using own judgement to determine those that require priority attention.2.5. Act as point of contact for a wide range of supporters, some high profile,

conveying a professional image at all times. 2.6.To assist with the administration of fundraising recruitment activities, as

required, including online research.2.7.To ensure that effective information storage and retrieval systems are

maintained for the fundraising function, including paper filing systems and supporter’s records.

2.8.To provide support for meetings and events for the fundraising function. Including taking and dissemination minutes of meetings, both external and internal as required.

2.9.To carry out administrative and information tasks for the Fundraising and Communications department as required.

3. Database duties3.1.To maintain the Fundraising Database: Raiser’s Edge, including the processing

of donations and grants, and thanking donors.3.2.To carry out internal database queries and reporting as required.

4. Communication duties4.1.To be first point of contact for enquiries, providing a friendly, professional and

efficient first point of contact for the fundraising function.4.2.To provide enquirers with relevant information, in consultation with line

management as and when required and to maintain good relationships with all contacts.

4.3.Sending out supporter fundraising packs and merchandise.

5. General responsibilities5.1.To contribute to team meetings and organisational priorities, to prepare and

participate in supervision and appraisal meetings.5.2.To oversee the work of volunteers or temporary support staff as required.5.3.To maintain clear and adequate records of work completed and to produce

reports on work programmes and activities as requested by management.5.4.To take direction on projects and priorities from their line manager which may

vary from time to time.5.5.To abide by organisational policies, code of conduct and practice, and to work

within a framework of equal opportunities and anti-discriminatory practice.5.6.To be flexible within the broad remit of the post.5.7.To be able to travel within England, particularly between Bristol and London,

and work occasional unsociable hours.

PERSON SPECIFICATION: Fundraising Administrator (Mat Leave)

EXPERIENCEEssential:

Experience of using a variety of computer packages particularly Microsoft Office, with a willingness to learn new packages as required.

Experience of using database, preferably a fundraising database such as Raiser’s Edge.

Experience of maintaining systems from information storage and retrieval. Experience of working in a fundraising or sales/customer facing role.

Desirable: Experience of preparing, writing and typing letters, presentations and other

documents. Experience of liaising with a variety of individuals and organisations at a

variety of levels. Experience of working within a team and individually to achieve success.

SKILLS & ABILITIESEssential:

A wide range of communication skills, including friendly and persuasive telephone manner and ability to produce high quality written material.

Ability to provide a friendly and efficient service to a wide range of individuals and organisations, and to maintain and develop positive relationships.

IT skills, including accurate data inputting skills, ability to use Access, Word, Excel, Powerpoint, email, and the internet etc.

Organisational skills including ability to manage varied workload and to work on own initiative, work to tight deadlines and respond to urgent unplanned demands.

Understanding of the need to maintain confidentiality in all areas of work.

Desirable Ability to carry out a range of information gathering activities. Ability to learn on the job and to develop an understanding of both the

principles and practices of fundraising and the work of Women’s Aid.

KNOWLEDGEEssential:

An understanding of the Fundraising function or of customer facing/sales function.

Desirable Basic understanding of and sensitivity to the issues relating to domestic

violence, including the nature of domestic violence and its impact on women and children.

Basic understanding of the work and role of Women’s Aid.

SUMMARY OF TERMS AND CONDITIONS OF EMPLOYMENT

Terms of appointment: Confirmation of appointment will be subject to the satisfactory completion of a probationary period. This will normally be of six months (less for short term contracts). During this time an employee will be expected to establish their suitability for the post. During the probationary period employment may be terminated in writing, giving one week's notice by either party (this may be waived by mutual agreement). Only any statutory dismissal procedure will apply during the probationary period. There is no probationary period for contracts of under 3 months.

Salary: £19,153 - £21,258 (On an incremental scale guided by the NJC Local authority pay scale points 20-24) + benefits. Salary is paid in arrears through bank credit by the 25th of each month. Part time staff receive pro-rata payment based on hours worked.

Working hours: The standard working hours for this post are 37 hours per week, based in Bristol; benefits include a generous bank holidays and annual leave package and contributory pension scheme.

Support and supervision: Women’s Aid has a commitment to providing regular supervision and support to staff with annual appraisals forming a key part of staff development. We have a training policy in place and encourage staff to take an active role in their career development plan. Pension: Women’s Aid is enrolled with the People’s Pension scheme. Women’s Aid normally contributes 7% of salary and the employee contributes 3% towards the group pension scheme. Eligible staff will be automatically enrolled on the scheme when they have successfully completed the 3 month interim probationary review. .

Annual Leave: Women’s Aid offers an annual leave entitlement of 25 days per year rising by one day per year until 30 days annual leave per year is reached. In addition, we offer 8 days public holidays plus 2 additional days in March and August. All leave entitlement is calculated pro-rata for part time employees.

Other leave: Employees have contractual rights to time off for reasons of sickness, maternity and other circumstances.

Period of notice: 1 month after your probationary period has been completed.

Union: You have a right to membership of a trade union. Women’s Aid recognises Unison.

Asylum and Immigration Act 1996: To confirm your right to work in the UK, Women’s Aid will need to see the original of at least one document from a specified list (available on the gov.uk website). Most commonly this is a British Passport.
