Dear Employee Campaign Coordinator:

I am very excited to serve as your Voluntary United Way Campaign Chair for the upcoming 2016-2017 year. Having

been active in giving to the United Way in the past I am keenly aware of the need in our community and the benefits

they provide. This year 29 agencies within our region are being supported by United Way Alberta Northwest,

providing 30 programs that focus on making communities stronger, reducing poverty and empowering children to be

successful.

As the name implies, United Way Alberta Northwest supports a huge region. From Grande Cache to the Northwest

Territories boarder and from the BC border to Slave Lake. The funds raised in any community in this region stays in

that community. As a donor you can specify the region you wish the funds to be used for and United Way Alberta

Northwest will make arrangements to fulfill each donor’s request. This is because the United Way represents you.

We recognize the need in our communities has increased over the years and the United Way strives to provide funds

to each of our Community Partners. The requests for funds are always increasing and without continued support,

our partners have added stresses to run their much needed programs.

Donations received are greatly appreciated because we know it makes a difference in all aspects of the community,

from your neighbours and co-workers to family & friends. If you have donated in the past, “Thank you”, and we hope

you will continue or increase your contribution for the upcoming year. If you haven’t given in the past, please consider

starting this year as someone you know may need your assistance. 1 in 3 individuals benefit from the programming

funded by the United Way. Change starts here…. Are you in?

Yours truly,

GIVETogether, we are inspiring people to

come together to make a lasting differ-

ence in our local communities.

VOLUNTEEREvery day volunteers across the country

come together to make a lasting differ-

ence in our communities by contribut-

ing their time, expertise and talents.

Volunteers are critical to our operations

and we wouldn’t be able to inspire

change without you.

ACTAwareness and advocacy are key elements in creating change. United Way has become a trusted voice for our communities

to inuence and shift public attitudes, policies and systems. It’s easy to participate in your community when you feel passion-

ate about a cause and participating is rewarding.

WHAT IS UNITED WAY?United Way brings together research, resources, funding, and people to

create permanent solutions to needs in Grande Prairie and the Region.

WHO DO WE HELP?Our United Way serves an area of roughly one quarter of Alberta, from

Grande Cache to the NWT border and from Slave Lake to the B.C.

border. We focus on ensuring the funding we provide our community

partners has significant positive impact in our communities and is

based on outcome measures and identified need.

For maximum community impact we focus on Poverty Reduction, Strong

Communities, and Successful Kids. We believe that to address those

issues in a meaningful way, we will need to increase our resources.

To examine the programming, which has signicant community impact,

we need to identify and support areas where our communities have

debilitating issues currently not being addressed.

HEALTHY PEOPLE, STRONG COMMUNITIESThe focus of ‘Healthy People, Strong Communities’ works to engage and

mobilize residents to take collective action to improve access to and avail-

ability of the resources needed to revitalize and strengthen neighbourhoods.

United Way invests in programs that help create neighbourhoods that are

vibrant, where residents can experience a sense of safety and well-being. We

assist residents to identify community strengths and leverage resident knowl-

edge, skills and experience to help neighbourhoods become stronger.

FROM POVERTY TO POSSIBILITYPoverty is a far-reaching, complex issue. It is also a lasting one. Once in the

cycle of poverty, it is extremely difcult to overcome and can continue for

generations.

United Way is committed to ensuring access to immediate support for

families and individuals. We invest in numerous programs across our

region to give people the ability to stabilize, avoid or move out of the cycle

of poverty.

ALL THAT KIDS CAN BETo be successful, independent adults, children and youth need a good

start in life, access to early literacy and development programs and to

graduate from high school. They benet from recreational activities, men-

tor relationships and opportunities to discover and develop their talents

and interests.

United Way partners with all levels of government, the business communi-

ty, human service organizations and community members to identify,

address and alleviate the barriers children and youth face.

WHY DO I GIVETO THE UNITED WAY?

TAX SAVINGSo Alberta has the highest tax allowance

for donations in Canada.

o A total annual donation to registered

Canadian Charities of less than $200

result in a tax benit of 17%.

o A total annual donation to registered

Canadian Charities of more than $200

results in a tax benit of 50%.

To accomplish those goals, the United Way depends on volunteers like you

to ensure we have a successful campaign. We know the best Campaigns

are run with open and honest dialogue, and hope that you will never

hesitate to bring any concerns or questions forward for discussion. We want

you to look back on this time as a truky great experience.

- Mike O’ Conner, 2012 Campaign Chair

WHY DO WE GIVE? BECAUSE...o “My single donation reaches more people with more impact than it

would have on its own.”

o “My money stays in my community, supporting my neighbours.”

o “United Way can bring people and dollars together.”

o “I know my donation is allocated to agencies who do great work.”

o “I can afford a small amount off of every pay cheque. Without that

benefit, I would not be able to support my community.”

o “I like the fact my company matches my donation. It makes me feel like

they care about my community.”

o “I live here. We should all be proud to support our own communities.”

o “I know my donation stays in my community.”

“I donate because 1 in 3 people use ser-

vices funded by the United Way.”

- Fletcher Bootle, Board Member

With United Way, it’s not about supporting one cause. In fact, it’s something far more profound. Each and every contribution

becomes part of a major community building effor that works to achieve an inspiring vision. It’s a vision where we all live with

nancial stability and independence, where all neighbourhoods are safe and residents have a sense of well-being, and where

all children are getting the right start in life and have the support they need to get them through the middle years and their

high school graduation.

At United Way, we bring together oganizations, businesses, governments, and community members who care about the

issues we face in Northwest Alberta, to make every effort possible to turn the vision into reality. We are currently partnering

with organizations in the social service sector, delivering key community impact programs and inititives. It is why, with United

Way, donations and support go farther and wider than any other charitable investment a community member can make.

That’s what a shared vision is about and what it takes to be the change we all want to see in our community.

UNITED WAY ALBERTA NORTHWEST 2016 SPECIAL EVENT IDEAS

Most workplace campaigns have one -two special events to create enthusiasm and build momentum. These may include a kick-off event, early bird draw, and a final draw. Events should not take away from the employee pledges and are best scheduled after the pledge forms have been distributed. To help with your special events, United Way Alberta Northwest (UWABNW) has supplies available e.g. banners, balloons, aprons etc.

Special Events should be:• Limited in number – These events can be time consuming for you and your Campaign Committee members. Havingfewer, more exciting events is always a better choice.• Awareness builders – Each special event held should help raise awareness about UWABNW and your workplacecampaign. Get in contact with us to find out more information about any of our charities that you may want to focus on forthis event.• Fun and free – Employees do not wish to be asked to donate repeatedly throughout your workplace campaign. Eventsthat cost money, e.g. silent auctions should always be held at the end of your campaign.• Food Safe whenever food is being prepared and served. We have the rules and regulations at our office and ready toprovide to you if needed.

THE ABC’S OF AWORKPLACE CAMPAIGN

-

A Workplace Campaign takes place when any number of employees band together to raise money for the United Way. Usual-

ly, this effort takes place with the support of management, but there are exceptions to that standard. A Workplace Campaign

is a very effective and affordable way for employees to give back to our community. Such a campaign can include elements

from any of the following, although we have listed the most efcient to the most labour intensive.

PLEDGE DRIVE:Very similar to payroll deductions, except that donations are not collected through payroll.

o One-time donations can be made with cash, cheques, or credit card payments.

o Monthly donations can be set up using electronic fund transfers (EFT’s) or monthly credit card payments.

o Pledge Drives are as much work as payroll deductions, but raise less money, as the amount employees can donate is

determined by the amount they have available the day they fill in their pledge form.

o Pledge Drivers can be matched by corporate dollars as outlined in best practices.

PAYROLL DEDUCTIONS:o Raises the most money with the least work.

o Our office will supply you with pledge forms,

powers, brochures, etc., to make your job easier.

o Employees use a United Way pledge form to request

an amount of money to be taken off of each pay

period to be donated.

o Donations are before tax and are receipted on the

employee’s T4.

o Deductions can be any amount, but normally

range from $10 – $100 per month. We receive

some as low as $1/pay period.

o Payroll department handles the deductions, and

submits the total amount to the United Way

monthly, quarterly, or semi annually.

o Money is deposited into the United Way

Community Chest unless employees have directed

their donation, such as to any registered Canadian

charity/charities.

SPECIAL EVENTS:Many organizations will hold events to supplement their work-

place campaign. Events can be held anytime during the year,

regardless of when you run your campaign.

o Some organizations like to introduce their employees to the

United Way by running special events the first year. This is

the most effective when combined with the opportunities for

payroll deductions.

o Money raised through special events cannot be receipted as

per CRA rules.

o Can’t decide what kind of event to hold? Our office has many

great ideas that we have collected over the years. Our most

important advice? Choose events that do not involve a lot of

work, because the return can be disappointing.

CORPORATE DONATIONPerhaps you are not ready to start a Campaign, but still wish to

make a donation. A corporate donation is always welcomed. It

will not meet the criteria of a Workplace Campaign, but will

qualify for other recognition programs.

Page 11: Dear Employee Campaign Coordinator - UWABNW...#213, 11330 106 Street Grande Prairie, AB T8V 7X9 | P. 780 532 1105 | info@unitedwayabnw.org Rob Petrone 2016-17CHAIR and BOARD MEMBER

The United Way Annual Campaign runs from September 15th to March 31st. However, your campaign:

o Should run when it is best for your organizations, regardless of the time of year.

o Prior to the beginning of your fiscal year makes deductions easier for your payroll.

o Don’t pick your busiest time, but also don’t pick a time of the year when employees may be earning less. Spring

breakup may not be a good time for oil and gas industries.

o Your campaign should be short—2 or 3 weeks only—with an identified beginning and end. Long campaigns lead to

procrastination and tired volunteers.

WHEN SHOULD YOU RUN YOUR CAMPAIGN?

Workplace Campaigns are most effective when supported

by the employer or management team. Effective ways to

show support include:

Identify a volunteer to serve as Campaign Coordinator.

Ensure he/she receives your support and remember to al-

locate resources such as time to do the work. The Cam-

paign Coordinator is the face of United Way at your Work-

place. The enthusiasm and drive they exhibit will deter-

mine the success of the campaign. We provide Campaign

Coordinator Training, a must for rst-time coordinations.

Match your employee donations with a corporate

donation. This could be:

o A set amount, such as up to $5,000

o A set match, such as $1 per $1, or $0.25 per $1

o You are likely already making corporate donations to

the community. Re-directing some of those funds

shows support for your employees, yet remains

within your budget.

Build team spirit by sponsoring events. Match the event

to your team’s interest, to generate support and funds:

o If your employees are young males, perhaps a Texas

Hold’em Tournament or a day at a paint-ball facility

would generate interest. Food is an important

motivator and many organizations hold pancake

breakfasts, BBQ’s, and dessert days.

o Organize incentives and draws. Your employees will

see that you recognize such community support

does come at a cost to them. incentives can include:

Each employees name in a draw for every $10

donation (the amount is up to you). Draw for

items with more prestige than cost, such as that

sought-after parking spot near the door for a year

or an extra day off with pay. If you are phasing

out computers or other equipment, consider

having them refurbished and used as a prize.

Grocery and travel vouchers are also popular.

Show support for the Campaign and Campaign Team:

o Invite the United Way to your safety meetings and

staff meeting to do a presentation. These are about

15 minutes long, and are effective.

o Ensure that you give your volunteers enough time in

their day to do a good job. Recognize them for their

efforts and be proud of the work they are doing.

Welcome new employees throughout the year.

Include a United Way pledge form in your new hire

packages. It’s a great way to introduce employees to

your company culture.
