Delivery and Assessment Guide Follow up the meeting

* If you do not have a suitable workplace, please speak to your facilitator about an alternative.

The meeting could be with your project team, project stakeholders or an ongoing group or a standing committee, such as an occupational health and safety committee, or a weekly staff meeting. This meeting could be to give progress on your project.

Element 1: Prepare for the meeting – 20%

Prepare for the meeting by:

developing the agenda with at least six items including meeting purpose identifying the appropriate participants arranging the time and venue for the meeting and notify the participants preparing the meeting papers ensure that the meeting papers are dispatched on time.

Submit documentation including meeting arrangements, timelines, list of participants and meeting papers.

Element 2: Conduct meetings and Element 3: Follow up meetings – 40%

1. Conduct and chair the meeting you have organised. Arrange for some else to take the minutes of the meeting and brief them on requirements – 20%

Note: Online students will need to make an audio-visual recording of the meeting and submit the link to their facilitator. Face to face classes will be given the opportunity to complete this in class. If they are absent they will need arrange the meeting to take place outside of class time, make an audio-visual recording of the meeting and submit the link to their facilitator.

2. Submit typed, but unedited meeting minutes. Include your recommendations for amendments as tracked changes (ask your facilitator of you are unsure how to do this).

3. Discuss how you would distribute and store the minutes – in line with organisational policies and procedures.

4. Arrange for at least two people at the meeting to complete a meeting evaluation checklist – see Appendix A.

5. You are to complete the self-assessment form – see Appendix B.

Note: It is important for project management to show you can meet deadlines.

Assignments will be submitted by uploading documents to the Assignments area in studEspace – electronic copies are required for audit purposes. More than three attachments for a submission

Feedback and Resubmission

You will receive your feedback within two weeks - you will be notified by email by your facilitator when results are available. You will need to visit this Assignments area in studEspace and down load your feedback.

Where students answers are deemed not satisfactory after the first attempt a resubmission may be requested. If a student has demonstrated consistent effort in the learning of a module then, at the teacher’s professional discretion, the student may be awarded a resubmission. This resubmission must be made as soon after the initial assessment as possible.

Criteria for competency

Competent grade:

To achieve competency in this unit, if you demonstrate competency in the performance elements listed above and you provide evidence of:

applying conventions and procedures for formal and informal meetings chairing meetings in relation to agreed agendas.

Credit grade:This will be awarded if you demonstrate competency in the elements and performance criteria of this unit and superior skills in chairing meetings. These skills be will graded based on the knowledge and skills demonstrated in regarded to communication, team work and management. Distinguishing characteristics of Credit grade performance may include:

Ensuring participation by all attendees Keeping attendees focused on agenda items Good time management skills Well-prepared documents and resources that are used in the meeting Effective use of technology during the meeting

Distinction grade:To receive a Distinction grade you must satisfy criteria for Pass and Credit Grades plus:

Organise and run a formal meeting according to parliamentary procedure.

OR Use innovative methods to improve the effectiveness of meetings and their outcomes.

Assessor Instructions

Assessment Task 1 requires the student to submit evidence to demonstrate that student has the knowledge, skills and experience to manage meetings.

assesses each student’s work to ensure that their work satisfies the performance criteria for competency listed above in Assessment Task 1

Delivery and Assessment Guide completes each student’s assessment within 2 weeks of submission provides feedback as required about the student’s work overall and/or individual task

elements in writing requests each student to resubmit their work or components of their work to satisfy the

performance criteria for competency as soon as possible after each assessment notifies each student that they are Satisfactory/ Not Satisfactory and their grade in writing record each student’s results in CLAMS.

Assessment Task 2: Knowledge Test – 20%Student Instructions

The Knowledge Test is comprised of 11 short answer questions and is administered by studEspace in the Tests and Tasks area of the Manage Meetings Site. The questions are drawn from the Learning Program. There are four parts to the test – you can choose to do these all together at the end of the unit or as you progress through the unit.

You must receive 16/20 total for the Knowledge Test – total for all four parts.

All knowledge tests are untimed and are conducted as an open book revision exercise. It should be undertaken as an individual assessment with no student interaction or facilitator interaction. If you leave the Tests for a long period of time the session may timeout. You need to be careful to save or complete the Test before timeouts.

It is strongly recommended, as these answers can be lengthy, that you type your answers into Word and then paste these into the Test. If you leave studEspace half way through a test it will time out or the connection could be lost and you will lose your work. This is a common problem mentioned by students.

Feedback and Resubmission: You will receive your feedback within two weeks - you will be notified by your facilitator when results are available. You will need to go back into the Test to view any comments and a breakdown of marks received per question.

Assessment Task 2 requires the student to answer questions about managing meetings and submit their answers on the studEspace Manage Meetings site. Answers must demonstrate the student’s application of their knowledge to their skills and experience.

The assessor:

assesses each student’s answers in accordance with the performance criteria for competency listed in Assessment task 1

should not accept theoretical answers or answers copied directly from texts without acknowledgement of the text

Assessment Task 3: Classwork – 20%Student Instructions

Short Classwork exercises demonstrate your knowledge, skills and experience in meetings including your employability skills, such as teamwork and communication.

This assessment task is generally completed as group exercises. You will need to attend a minimum of 6 units’ classwork exercises and complete the remaining 5 units’ classwork exercise in your own time to satisfy the course performance requirements to achieve competency.

The five units that you complete in personal time must be submitted and assessed by the facilitator as satisfactory prior to the course completion date.

Details of the Classwork Exercises are in Appendix C.

Assessment Criteria

The classwork or individual exercises must satisfy the performance criteria listed above.

Submission:

Discuss your ideas with your group in the class. You write your answers on a piece of paper, clearly identifying each contributor in class and hand this to your facilitator on completion.

If you complete your classwork exercise individually at home, write your answer on a sheet of paper with your name and date and submit to your facilitator according to your course program.

Assessment and Feedback:

You will receive assessment results and feedback from your facilitator within two weeks of your submission.

Your classwork activities must be complete and assessed as satisfactory by the completion of your course to achieve competency in the overall course.

You must receive 14/20 to satisfactorily complete this assessment task.

Assessor Instructions

Assessment Task 3 requires the student to participate individually and/or in groups to complete the required manage meetings activities. Answers must include the names of any group participants.

Additional Assessment Information

Finding out results

Other than from your teacher, unit results may also be accessed using your log-on to Student e-Services. You should have received information about how to register for Student e-Services when you enrolled.

Dispute of Mark/grade

If you do not agree with the mark/grade given for your assessment, you may appeal the assessment decision. You should first discuss the assessment result with your teacher. If you are not satisfied with the outcome of that discussion you can access the appeal process through the staff in the campus administration office.

Reasonable Adjustment

If you have a permanent or temporary condition that may prevent you successfully completing the assessment task(s) you should immediately talk with your teacher about ‘reasonable adjustment’. This is the adjustment of the way you are assessed to take into account your condition and may include providing a support person or extra time. The assessment criteria cannot be altered.

Recognition of Prior Learning (RPL)

All TAFE students are eligible to apply for credit for previous formal, informal and non-formal learning. Refer to the Training and Education Support website for information about Credit pathways (Articulation, Credit transfer and Recognition of Prior Learning (RPL). There is also a brochure widely available throughout the campus on RPL.

Policy on Late Assessment

Each case of student absence from an assessment event, or late submission of an assessment event, will be considered by the teacher on an individual basis. Students should endeavour to notify their teacher in advance where an absence will prevent them from attending, or submitting, a planned assessment event (e.g. class test, presentation, project, report, portfolio or assignment). Unexpected absence and/or late submission due to illness, work commitments and/or other unforeseen misadventure MUST be supported by documented evidence (e.g. medical certificate, statements from employers etc.). If you fail to adequately notify and/or explain your absence/late submission penalties may apply as follows:

1. If a student is late handing in an assessment event the following penalties may apply:

a. Penalty A – if the assessment event is up to 7 days late the total mark is reduced by 15% OR the grade is reduced by one level, for example reducing a Distinction to a Credit or a submission may be eligible for a Pass grade only. Note: In Pass/Fail (or Ungraded Competency) units, penalty A will not apply.

b. Penalty B – if the assessment event is more than 7 days late the mark is reduced to a zero OR the grade is reduced to a Fail/Not Competent for this event.

2. No penalty will apply if the student has an acceptable reason and negotiates a new date with the teacher before the original due date, or if it is not possible, at the first attendance after the event or within 7 days

The negotiated or revised date will become the due date and Penalties A or B (see above) will apply if the assessment event is not submitted by the revised due date. If extension is not accepted the original due date applies and the penalties will be as outlined.

3. If the student does not attend a class test, presentation or other classroom-based assessment event on a negotiated date, Penalty B may apply.

4. Failure in one particular assessment event may not necessarily mean a Fail in the unit. Is there a penalty for late submission of assessment tasks? What is the procedure if a student is absent on the day of an assessment event? Policy on Plagiarism

Definition: Plagiarism involves using the work of another person and presenting it as your own.

A STUDENT WILL BE GUILTY OF PLAGIARISM if they do any of the following in an assignment, or in any piece of work which is to be assessed, without clearly acknowledging their source(s) for each quotation or piece of borrowed material:

a) copying out part (s) of any document or audio-visual material, including computer–based material;

b) using or extracting another person’s concepts, experimental results, or conclusions;

c) summarising another person’s work;d) in an assignment where there was collaborative preparatory work,

submitting substantially the same final version of any material as another student.
