PRESS RELEASEPRIMERA press release is a simple,cost-effective means of pro-moting your state or localorganization and the dentalassisting profession. But writ-ing an effective press release isnot enough: you must get thepress release placed in news-papers and periodicals. Thiswill take time, organizationand follow up, but it is oftenworth the effort. The publicity that press releases gener-ate for your group is invaluable. If you have not estab-lished a regular “media contact” (a local reporter, colum-nist or editor who prints items about your group), thenfollow these pointers:

Get an early start. Publications generally work wellin advance of their publishing date.

Make a list of local newspapers and publications. Besure to include suburban, community and neighbor-hood papers. If you’re not sure how to find them, ask the librarian in the reference section to acquaintyou with Bacon’s Newspaper Directory.

Scan the publications you are interested in to deter-mine which reporters and columnists usually printcommunity news items. Address your release tothose individuals.

Retype the press release on your organization’s letter-head. Use double-space typing. Be sure to includeyour own name and phone number in case the editorneeds additional information. If you do not use yourorganization’s stationery, include a cover letter withyour name and phone number. Also, state when thepress release should be published. If you prefer tosend the release by e-mail, you will find this informa-tion in Bacon’s too. Be sure to include all contactinformation and release date in your e-mail.

Address the release to a specific person rather than to“the editor” or the newspaper office. If you cannotdetermine an appropriate recipient for your material,at least try for a specific department (such as COM-MUNITY CALENDAR or COMING EVENTS,etc.). Bacon’s can help here too.

If you cannot decide who should receive the pressrelease, follow these guidelines: address the CITYDESK for daily newspapers; NEWS ASSIGNMENTDESK for radio and television stations and LOCALNEWS for wire services and periodicals.

NOTE: If you’re fortunate enough to receive aProclamation, this should go in with your press releaseincluding a photo of the event (if available)* and infor-mation on when and where the signing took place, along with the names of those appearing in the photo. You can also e-mail this if it’s more convenient, but ahard copy of a proclamation would, of course, have tobe mailed. *These can be scanned in on e-mails.

GUBERNATORIAL AND MAYORALPROCLAMATIONS

Many state and local dental assisting organizations havebeen very successful in obtaining gubernatorial and may-oral proclamations or greetings for Dental AssistantsRecognition Week observations.

Often, a short ceremony accompanies the signing ofsuch proclamations. The event offers state and local soci-eties an ideal opportunity to have photographs taken andalso increases the likelihood that news of DARW willappear in local newspapers.

If you would like to try to obtain a proclamation fromyour governor or mayor, you will have to contact theproper authorities well in advance of Dental AssistantsRecognition Week (at least four weeks).

You are welcome to use the sample letters included inthis packet. Retype the letter on your organization’s sta-tionery, and fill in the missing information. Be sure toenclose a sample proclamation with your request, and follow your request with a polite call, as indicated in theletter.

If the governor or mayor consents to issuing a procla-mation, he or she may have a staff photographer recordthe event. If not, after you receive word that a proclama-tion will be issued, ask the press secretary if you maybring your own camera to record the event.

Regardless of whether you have a photo, you should tryto use the proclamation to gain some publicity for yourorganization and for Dental Assistants Recognition Week.Send the photo (if you have it), a copy of the proclama-tion and copies of the press release to your local newspa-per and state dental publications. Be sure to check thepublications to see if your efforts have been successful. The Dental Assistant Journal might be able to use a goodquality photo of this nature in the Association Bulletin.

Make a personal follow-up phone call about a weekafter you send the press release to find out whether thematerial has been routed to the appropriate person. Thisphone call may also give you some indication as towhether the item will be used. When you call, identifyyourself, your group and your connection to the release. For example, “I’m Kathy Phillips from the ChicagoDental Assistants Society. We’re promoting DentalAssistants Recognition Week. Have you received ourpress release?” If the reporter cannot locate the release, offer to send copies. If the reporter has received it, he orshe will probably mention if and when it will be used.

Check the papers daily to see if the release has beenprinted.
