About this guide

This guide contains information about setting up and configuring the Desire2Learn Platform using the DOME tool.

Audience This guide is intended for anyone involved in administering the Desire2Learn Organization Management Environment (DOME).

Important Access to features in the Desire2Learn Learning Environment is dependent on your permissions. You may not have sufficient permissions to access all of the features described in this guide.

What is the DOME?

The Desire2Learn Organization Management Environment, or DOME, is a control panel that allows you to manage your organizational structure and system configurations.

Configuration Variables

Configuration Variables help you to define how you want Desire2Learn to operate. They let you specify—among many other things—where Desire2Learn should look for 3rd party software, how various tools are configured, and what preferences users should have.

The Configuration Variable Browser has a folder/subfolder structure for browsing the multiple configuration variables used to operate and configure Desire2Learn.

The effect of a variable depends on its scope. Variables can be specific to all organizations in an instance, all Org Units in an organization, an individual Org Unit, or a user. (See Types of configuration variables, p. 11, for complete information.)

Org Unit Properties

Org Unit properties contain information about Org Units at a high level, including:

• Org Unit Name.

• Org Unit Code – must be created FIRST in the DOME (before SIS integration) and must be unique for departments and courses if you are integrated with SIS/UIS.

• Org Unit Path.

• Any children/parents of the Org Unit.

In the Org Unit Editor, you can:

• Edit Org Unit properties.

• Edit tools associated with an Org Unit.

• Enroll/unenroll users from an Org Unit.

• View/edit Org Unit homepages and navbars.

• Move Org Units around in the organizational structure.

• Delete Org Units.

• Change the colors used on an Org Unit homepage.

Org Unit Utilities In addition to modifying Org Unit properties, in the DOME you can:

• Search for Org Units based on the Org Unit type.

• Restore deleted Org Units to their original place in the org structure.

• Search for Org Units that have no children (useful for finding unused course templates).

• Search for Org Units that have no parents (useful for finding Org Units that cannot be found anywhere else in the system).

Org Unit Type Editor

The Org Unit Type Editor allows you modify different types of organizational units within a larger organization (e.g. department, course template). Here you can set up your organization hierarchy. For example, your organization may use Schools in place of Departments, and each school might be grouped into a College.

Form Elements

Form Elements allow you to manipulate fields that you want to customize and enable or disable from user view.

Accessing the DOME

The DOME utilizes much of the same organizational principles as Windows Explorer. It is hierarchy-based, and operates on the root/sub-folder organization principle.

You can access the DOME by clicking the DOME link in the My Admin Tools widget on your My Home page.

The main DOME page displays a list of top level links that you can use to navigate through the DOME’s folder structure. Depending on your permissions you may not see all of the links.

Key terms and concepts The following table explains the terms used to describe functions or areas in the DOME.

DOME structure

Term/Concept Description

Org Unit Type Org Unit types are different types of organizational units within an organization (e.g. department, course template).

There are five default Org Unit Types: Semester, Course Template, Course Offering, Group, and Section.

Organizational Unit (Org Unit) Organizational units define the structure of an institution. Each Org Unit is an instance of a particular Org Unit Type (e.g. ‘Fall 2006’ and ‘Winter 2007’ could both be semesters—different org units, but the same org unit type).

Parent Org Unit The top-level or “parent” Org Unit that is a level above another Org Unit. A parent can have many children. For example, a course template Org Unit can be the parent of many child course offerings.

Term/Concept Description

Child Org Unit Sub-levels of an Org Unit. Some children can have several parents. For example, a course offering is the child of a Course Template as well as a Semester.

Orphaned Org Unit An org unit not attached to any parent. (E.g. a course offering that was separated from its associated course template, perhaps because the template was deleted.)

Config The short term for configuration.

Navbar The short term for navigation bar, which refers to the menu across the top of your website.

The navigation bar contains links to all areas of the site and is completely customizable, including layout, colours, logos, link text, etc.

Homepage This is the page that a user sees first when they enter an Org Unit.

Setting up DOME permissions You must have the applicable permissions to the DOME (defined using the Roles and Permissions tool) to view the DOME-applicable functions via the Desire2Learn interface.

Refer to the Roles and Permissions Guide for complete details about all permissions. DOME user security permissions can be found in the Roles and Permissions tool accessible from the My Admin Tools widget on your My Home Page.

Note Access to the applicable permissions is generally limited to high-level site administration. Please contact your Desire2Learn Account Manager if you require access to (but currently cannot see or modify) specific DOME variables.

Managing configuration variables

The Config Variable Browser allows you to view and modify configuration settings for your organization, including organization-wide settings, settings for individual org units, and settings for users.

Note Depending on your permissions, some configuration variables may be read-only, while others may not be visible at all. Specifying which variables are read-only and which are visible can only be done by high-level administration. If you require additional access, contact site administration or your Desire2Learn Account Manager.

Types of configuration variables There are a number of different types of configuration variables. The scope of a variable’s effect (the org units and users affected) and the way the variable is edited through the DOME are determined by its type. A variable’s type is listed with its other properties in the right pane when it is selected.

This section describes each of the seven variable types, including an explanation of what will happen when each type of variable is edited through the DOME.

Org (Organization) Org variables are settings that apply to the entire organization. When an Org setting is changed, it immediately affects all users and all org units in the organization.

For example, the setting d2l.Tools.Content.HasComments is an Org variable that controls whether users can add comments when editing content modules and topics. If

this setting is disabled, it will immediately affect all org units and all users—no one will be able to add comments to any module or topic anywhere in the organization.

Org Unit With Org Unit variables, each org unit can have its own value or setting for each variable (for example, “Anthropology 101” and “English 101” could have different settings). When updating an Org Unit variable in the DOME, you first select the org unit you want to apply the value to and then specify the value. The new setting is applied to that org unit immediately, and will not affect any other org units.

The only exception to this is the value for the organization—this value applies to the organization itself (as an individual org unit) and also serves as the default for all other org units that have not specified their own value. When the value for the organization is changed, all other org units using the default value are affected immediately.

When viewing an Org Unit variable, the current value for each org unit is displayed in the Values table. Org units using the default value are not displayed. (When the value for the organization is edited, the new value will be applied to all org units not listed in the Values table.)

In many cases, Org Unit settings can be modified through an interface within each org unit, so that users can modify these values without requiring access to the DOME.

For example, the variable d2l.Tools.Competencies.Users.ActVisible is an Org Unit variable that determines whether competency activities are displayed to users on the Competency Results page. This value can be different for different org units; activities might be visible to users taking a course in one course offering, but not in another. When a user modifies this value through the Settings page, the org unit where the value has been modified is added to the Values table for the variable in the DOME, along with the specified value.

User User variables store the values for settings specific to each user in your organization. In most cases, users are able to change their own settings through the interface.

Unlike Org Unit variables, the values for individual users are not displayed in the DOME, nor are you able to change the settings for individual users through the DOME. With User variables, the only thing you can do through the DOME is change the value for the organization, which is applied to new users created after the setting is changed and existing users who have not yet accessed the associated functionality.

Variable Properties for updating the Organization association for new users

For example, the variable d2l.Tools.Discuss.ShowPreviewPane is a User variable for the Discussions tool that controls whether discussion messages are displayed in a preview pane or a pop-up window. By changing the value of this variable for the organization, you can control whether the preview pane is displayed for new users and users who have not yet accessed the Discussions tool. Users can change this setting through the Display Options dialog in the message list.

User–Org Unit User–Org Unit variables store the values for personal settings users can specify on an org-unit by org-unit basis (i.e. users can specify a different value in each org unit).

In the DOME, these variables work just like User variables in that you cannot see or modify settings for individual users, and setting the value for the organization changes the option for new users and users who have not yet accessed the associated functionality (for all org units).

For example, the variable d2l.Tools.Grades.GradesList.ShowFinalGradeAtStart controls whether topic descriptions are displayed in the message list. Users can change this setting for each org unit through the Discussions Settings page. Changing this setting for the organization through the DOME controls whether users see descriptions when they first access the tool.

System variables are settings that apply to all organizations on the same instance. These are global configuration settings for the Learning Environment. Most organizations only allow high-level site administration to edit system variables. Lower-level users should not be able to see these variables, or should see read-only copies.

Session Session variables store temporary information about a user’s current actions; their values expire when the user logs out of the system. While these variables appear in the DOME, they cannot be updated, nor can you see individual values for specific users.

Role–Org Unit Role–Org Unit variables apply to specific user roles. These variables are configured by selecting a role and then setting the value for that role. The value is immediately applied to all users enrolled in the organization in that role.

For example, the variable d2l.Tools.Mail.StorageSpace is a Role–Org Unit variable that controls the maximum space available for saved email messages. This value can be set for each role, so that you can provide different amounts of storage space to different roles in your organization.

Finding configuration variables Configuration Variables are organized into folders and subfolders and are accessible through the tree structure in the left pane of the DOME, beneath the Config Variable Browser node. Folders are indicated by the Files icon, while variables are indicated by the Variable icon.

When you expand the Config Variable Browser (by clicking the plus sign beside it), two nodes appear:

• All Variables Beneath this node you will find all configuration variables organized into their respective folders and subfolders.

• By Type Beneath this node you will find four more nodes corresponding to the four most common types of variables: Session, User, Org Unit, and Organization. Each node acts as a kind of filter displaying only variables of the corresponding type. For example, beneath the User node, you will find all User variables organized into their folders and sub-folders.

Note Session, User–OrgUnit, and Role–OrgUnit variables are not accessible by type.

When you select a variable, its properties and values are displayed in the right pane.

Folders and prefixes In Desire2Learn, the folders and subfolders in which a variable appears are encompassed into the variable’s name as a series of prefixes separated by periods. For example, the variable pictured below, “Attachments,” is accessible through Folders > Mail. The full name for this variable is therefore d2l.Folders.Mail.Attachments.

The prefix “d2l” is added to all variables. All other prefixes represent the path to the variable, the location where the variable is located.

(Variables listed in ALL_CAPS have no prefixes in their official names. For example, the variable CLASSLIST_HAS_EMAIL appears under d2l.Tools.Classlist, even thought its official name has no prefixes. This is a legacy issue that stems from the way these variables are handled in the architecture.)

How variables are organized Configuration variables are organized into a number of different top-level folders. Each of these folders contains variables that are functionally related in some way, as described in the following table.

Editing configuration variables

Variables in ALL_CAPS Some Org variables appear in ALL_CAPS (e.g. COMPILE_FOR_PRINTING in d2l.Settings, CLASSLIST_HAS_EMAIL in d2l.Tools.Classlist). These variables are edited in a different way from the other variables in the DOME.

To Edit an ALL_CAPS Variable

1 Select the variable in the left pane.

2 Click the Edit button in the top-right corner of the right pane.

3 In the Default Value field, specify the new value.

4 Click the Save button in the top-right corner.

All other variables For most config variables (where their names do not appear in ALL_CAPS), values are modified by adding the relevant entity to the Values table and modifying its value. If the entity is already listed in the values table, you can change its value directly within the table.

The relevant entities for each type of variable are listed in the following table.

To edit a variable

1 Select the variable in the left pane.

2 If the relevant entity (organization, org unit, or user role) is already listed in the Values table, specify the new value in the Value column and click Save Values.

3 Otherwise, click Add Value at the bottom of the Values table.

4 If prompted, indicate the relevant entity (either by entering an org unit’s ID or Code, or by selecting a role) and click Next.

5 Specify the value in the Value field.

6 Click Save.

To restore default values

1 Select the checkboxes next to the applicable entities in the Values table.

2 Click Remove Selected Values.

When you restore the default value for an entity, the entity is removed from the Value table.

The Org Unit Type Editor: setting up your organization hierarchy

The Org Unit Type editor is a central location from where you can manage Org Unit types. When working with Org Unit types, it is recommended to try and keep the organizational structure as simple as possible. Complicated organizational structures generally result in a need for extensive maintenance without the benefit of added functionality.

To access the Org Unit Type Editor from the main DOME page, click Org Unit Type Editor in the left tree view.

From this page you can:

• View the properties of each existing Org Unit type.

• Create new Org Unit types.

• Delete existing Org Unit types.

Standard org unit types There are two standard types of org units in Desire2Learn: Department and Semester. Each org unit type in your organization can be classified as the department-type, semester-type, or neither.

By default, the Learning Environment includes an org unit type called “Semester” and another called “Department.” You can change the names of these types or delete them and replace them with alternate types (which amounts to the same thing).

The standard type is set using the Standard Org Unit Type field when editing an org unit type. (When creating a new org unit type, this field is called Org Unit is standard.) For example, if you have a custom org unit type called Session that you want to use as the semester-type in your organization, you would set the Standard Org Unit Type to “Semester.”

Caution Do not set two different org unit types to “semester” or “department” at the same time. One org unit type should be set to the standard type “semester,” another to “department.” All other types should be set to “other.”

The role of standard types in the organization structure In the Learning Environment organization hierarchy, the department-type is the org unit type immediately above course templates; all course templates are attached to a department (i.e. an org unit whose standard type is set to “department”). Course

offerings are then attached to course templates, so that a course offering’s department is determined by the template it belongs to.

Course offerings are also attached to semesters (org units whose standard type is set to “semester”) while course templates are not. This means that different course offerings attached to the same course template can each belong to a different semester.

Are they required? You aren’t required to have an org unit type set as a semester or department. For example, if your organization uses open-ended course offerings that continue for years with new user enrolling whenever they like, then you may have no use for a semester-type.

But be aware of the following:

• If you’re using SIS Integration, the mapping process assumes that course offerings are associated with semesters and that course templates are associated with departments. If your SIS has something corresponding to semesters or departments, you will probably need to have these types in the Learning Environment as well. See the Holding Tank Features Guide and the Holding Tank Course Mapping Interface and FAQs reference guide for more information, or talk to you Desire2Learn Integration Specialist.

• If your My Courses widget has been configured to group course offerings by department or semester, the system will use the org units of the corresponding standard-type to group course offerings. If no org unit type has been set to “department” or “semester,” course offerings will not be grouped.

• When an org unit type is flagged as “semester,” org units of that type will be listed in the Semester field when creating new course offerings or editing existing ones. (This field is controlled by the Semester form element in CreateCourse and CourseOfferingInfo. The name of the field will be updated to match the name of the org unit type flagged as the “semester” standard type.)

• When an org unit type is flagged as “department,” org units of that type will be listed in the Department field when creating or editing a course template, and when editing a course offering. (This field is controlled by the Department form element in CreateCourse and CourseOfferingInfo. The name of the field will be updated to match the name of the org unit type flagged as the “department” standard type.)

Child org units • Any Org Unit can either be a child or a parent Org Unit.

• The system enforces lineage: an instance of an Org Unit Type cannot be the child of another instance of the same Org Unit Type (e.g. a department cannot reside below another department in the hierarchy).

The Sample Organization Hierarchy diagram shows how the basic org unit types are arranged into a hierarchy. Custom org unit types are normally inserted between Departments and the Organization. For example, Departments might be grouped into Faculties, Faculties into Colleges, and Colleges attached directly to the Organization.

Creating a new org unit type The main goal when creating Org Unit types is to understand how your organization is structured so that you can set up your org structure in the DOME to allow for easy on-going maintenance.

It is important to have a clear understanding of how you would like your organization to be set up prior to creating Org Unit types. Please consult with your Desire2Learn Account Manager for assistance and direction.

• Two instances of the same Org Unit Type (e.g. department, etc) cannot reside in the same org hierarchy.

• You must create a unique Org Unit Code for all departments and semesters.

• Course templates need to be above course offerings.

• Groups need to be below course offerings.

For example, if your organization is divided into the following type of hierarchy:

• Colleges

• Faculties

• Departments

It may not be necessary to create an Org Unit type for each level of the hierarchy, unless specific, individual homepages for each level are required. In the example above, you may not need to create a College or Faculty org unit type—it might be sufficient simply to have departments. Keep in mind the following points when deciding which levels of your hierarchy to create in the DOME:

• Reports can be generated that aggregate data on all Org Units of the same Org Unit type. For example: for each department, a report could be generated that shows how many courses are using the Chat tool.

• Users can be enrolled in a cascading role in any org unit, automatically enrolling them in all of the org unit’s descendents.

• Homepages can be set up for any org unit type. For example, you may want users to be able to access a homepage for the College of Arts & Sciences.

To create a new Org Unit Type from the main DOME page

1 Click Org Unit Type Editor from the left-hand tree view.

2 Click Create New Org Unit Type.

3 Type a Name for the new Org Unit type.

4 Type a Display Name (the name that will appear in the left tree view).

5 Type a value for the Sort Order if you want to change the order of Org Unit types displayed in the Desire2Learn interface.

6 Type a Description for the Org Unit type, if applicable.

7 In the Org Unit is standard field, select Other, Semester, or Department, depending on the type of Org Unit you want to create.

Note Your organization should have one (and only one) org unit type flagged as “semester,” and one (and only one) flagged as “department.” All other org unit types should be set to “other.” See Standard org unit types, p. 19, for a complete explanation of these options.

8 Click Create.

The new Org Unit type displays as a link in the table on the Org Unit Type Editor page.

Editing an existing org unit type Making changes to an Org Unit type will affect all Org Units of that type. For example, when you make changes to the “Department” Org Unit type it affects all associated departmental Org Units.

To edit Org Unit type properties from the My Home/DOME/Org Unit Type Editor page

1 Select the name of the Org Unit type you wish to edit.

2 Click Edit in the top right corner of the Org Unit Type Properties page.

3 Make any applicable changes to the Org Unit Type properties. Refer to the topic Creating a new org unit type, p. 21 for details about each field.

4 Click Save.

1 Click the desired Org Unit in the left tree view under the Org Unit Type Editor node.

2 Click the Change Icon button on the Org Unit Type Properties page.

Deleting an existing org unit type Click the Delete icon next an Org Unit Type on the Org Unit Type Editor page to delete it.

Notes

• If there are still Org Units of the type you are trying to delete, the following message will display: “The Org Unit Type that you attempted to delete could not be removed. There are Org Units of that type currently in the system, and they must be removed before the Org Unit Type can be deleted.”

• Some org unit types cannot be deleted, namely Course Template, Course Offering, Group and Section.

Viewing org units: options There are three ways to access individual org units.

By Hierarchy Expand this node to view the organizational structure from the top down. Most editing and management of the org structure is performed using the hierarchy.

• Ordered by hierarchy of the Organizational Units.

• Shows the Organizational Unit type (e.g. course offering).

• Click the next to an Org Unit to display any children associated with that Org Unit.

By Type Expand this node to show all instances of the selected type.

• Shows the Organizational Unit type (e.g. course offering, department).

• Click the next to an Org Unit Type to show all instances of that Org Unit Type.

Search All Org Units This allows the user to find an Org Unit based on search criteria entered. The Org Unit name and the Org Unit code are searched. Users can restrict their search to a particular Org Unit type.

Options for viewing Org Units

Searching for org units You can search for a specific Org Unit from the Org Unit Editor by selecting the Search All Org Units link.

To find an org unit

1 Enter part of the org unit’s name or code in the Search String field.

2 If you want to restrict your search to a particular org unit type, select the type from the Org Unit Type to Search drop-down list.

3 Click Search.

The results display as links in the results table. Click the applicable link to go to the associated Org Unit properties page.

Deleting org units The DOME allows you to delete Org Units created in error. The Org Unit Recycler (restoring Org Units) works together with the Delete option as a built in security measure, whereby Org Unit properties are stored until you choose to delete them permanently.

To delete Org Units in the DOME

1 Select the Org Unit you want to delete and click the Delete button.

Note Child Org Units must be detached before you can delete an Org Unit. See Removing a child from a parent org unit (orphaning a child), p. 29.

2 Click the OK button if you would like to officially delete the Org Unit, or click Cancel.

The deleted Org Unit must be deleted from the Org Unit Recycler to be permanently deleted from the organization.

The Org Unit Recycler (restoring org units)

To restore deleted Org Units from the DOME

1 Click Org Unit Recycler from the left tree view.

2 Check the box beside the Org Unit you want to restore.

3 Click Restore Org Unit.

The Org Unit is restored to its original place in the Org Unit hierarchy.

Modifying org unit properties Once you select an Org Unit, you can edit the Org Unit properties, including:

• Name The name of the Org Unit.

• Org Unit Id The Org Unit ID as it appears in the web address (the parameter passed to each page inside the org unit). (Read-only.)

• Org Unit Type The type of Org Unit (e.g. department, semester, etc). (Read-only.)

• Org Unit Code Depending on your type of implementation, this code can just be informational, or is required for integration with external information systems (SIS/UIS).

Important If your organization is integrated with a SIS, you must create a unique Org Unit Code for each org unit.

• Org Unit Path This defines the location in the /content/ directory that the user will be taken to when visiting the Manage Files area for the org unit. This must be specified in order to view the ‘Manage Files’ link.

To change current Org Unit properties

1 Select the applicable Org Unit from the tree view in the left pane.

2 Click the Edit button to change the Org Unit type properties.

3 Make the applicable changes to the Name, Org Unit code (apply another existing code, or create a new one) and Org Unit Path, and click Save.

Management Quick Links: configuring the learning environment directly from the DOME

Management Quick Links is an area in the DOME where you can update specific information about users and courses without having to enter the Desire2Learn interface directly.

Different links display depending on the type of org unit you select.

Edit Multiple Org Units page

Adding a child org unit Note Only Department and Semester org units (or their equivalents) and custom org unit types (e.g. Faculty, Area) can be created in this way. You cannot create course offerings, templates, groups, or sections.

To add a child to the current Org Unit

1 Click the Add Child Org Unit link.

2 Do one of the following:

a) Add an existing Org Unit as the child by selecting Existing Org Unit and clicking Next.

b) Enter the Org Unit Id or Org Unit Code for an existing org unit, then click Next.

OR

a) Create a new Org Unit by choosing New Org Unit and clicking Next.

b) Select the applicable Org Unit Type from the drop-down list.

c) Enter an Org Unit Name that reflects the child Org Unit Type (e.g. College Name, Department name, Course Offering name, etc.).

d) Enter an Org Unit Path (the location where all org-related files and variables will be stored).

e) Click Next.

3 Click Next to complete the process of adding the new child Org Unit.

Removing a child from a parent org unit (orphaning a child) Removing a child org unit breaks the link between the current org unit and the selected one; it does not delete the child org unit.

To remove children from the current Org Unit

1 Check the checkboxes beside the child Org Units that you would like to remove.

2 Click Remove Selected Children.

Moving child org units manually You may wish to assign a new parent Org Unit to a child if you find that certain courses are under the wrong template or the incorrect semester.

To assign a child to a new parent Org Unit from the main Org Unit Type Editor page

1 Click Assign a new parent beside the name of the child Org Unit you want to re-assign.

OR

To re-assign multiple children together, select the checkboxes next to each child and click Move Selected Children at the bottom of the list.

2 Type the Org Unit ID or Org Unit Code of the parent to which you want to move the child Org Unit.

3 Click Next.

Moving child org units automatically (using the clipboard)

To move child Org Units without having to type in the Code or ID of the new parent, you can use the clipboard

1 Check the checkboxes beside the child Org Units that you would like to move to the clipboard.

2 Click Move Selected to Clipboard.

3 Navigate to the new Org Unit and click the Move copied children that appears at the top of the page.

Click Clear Clipboard to remove the child Org Units from the clipboard.

Changing org unit colors Org Unit Colors determine the color of widgets within an Org Unit.

• Colors should match (or compliment) your organization’s color scheme.

• Dark and light tables have white text (so choose Dark and Light colors against which white text will be legible).

• Soft is used as the background of tabs, which have black text.

Note Colors that are applied across the Org Unit can be changed for Course Offerings from the Course Offering Information page. (The Course Colors field must be enabled on the Course Offering Info form).

To change the Org Unit colors

1 Click the Edit button in the top right corner.

2 Click the applicable Dark, Light or Soft color box.

3 Pick a color using the Color Picker dialog that appears.

4 Click Set.

5 Click the Save button in the top right corner.

Org unit utilities Using Org Unit Utilities, you can scan for the following types of Org Units in the DOME:

• Org Units without children (e.g. a course template with no associated course offerings).

• Orphan Org Units (e.g. a course offering that is not associated with a course template).

Scan for org units without children This utility searches for Org Units that have no associated children. Sometimes during setup of your Desire2Learn site, unnecessary departments or course templates get created that require cleanup; this utility helps you find those Org Units so you can delete them, if applicable.

To scan for org units with no children

1 In the tree view, select Org Unit Editor > Org Unit Utilities > Scan for no children.

2 On the ‘Scan for no children’ page, select the type of org unit to scan for (e.g. Course Templates, Semesters, etc.).

A list of the org units of the selected type that have no children is displayed.

Scan for orphaned org units This utility finds Org Units without associated parents. Org Units returned from this Utility are not be visible in the ‘Hierarchy’ view of the Org Unit Editor.

Org Units returned using this search are typically ones that have been removed from their only parent Org Unit. Orphaned Org Units can be re-introduced into the org structure from this page.

To scan for orphaned org units

1 In the tree view, select Org Unit Editor > Org Unit Utilities > Scan for orphans.

2 On the ‘Scan for orphans’ page, select the type of org unit to scan for (e.g. Course Offerings, Departments).

A list of the org units of the selected type that are not attached to any parent is displayed.

Form elements are used to define fields that will be visible or hidden from the user. Depending on the security settings defined in your organization, only specific forms will be editable.

From the main DOME interface, select the beside Form Elements in the left tree view.

Modifying forms There are two ways to modify a form; you can modify the entire form at once, or you can modify an individual field on the form.

When modifying the entire form, you can quickly select which fields are displayed and you can visually change the order of fields using Up and Down arrows. However, you cannot specify which fields are required.

When modifying an individual field, you can specify both whether the field is displayed and whether it is required (whether a user must enter data into the field or make a selection to save the form). You can also enter a Sort Order number to control the order in which it will appear.

To modify a form or a field

1 Select the form or field you want to edit.

2 Click the Edit button in the top right corner of the right pane.

3 Make the applicable changes.

4 Click Save.

Managing organization tools

Tools are the components used within an org unit, like quizzes, content, discussions, chat, gradebook, etc. From the Manage Org Tools section of the DOME you can control which tools are available in your organization and whether they are enabled by default.

To access the Tools page

In the DOME, click Manage Org Tools in the navigation pane at the left.

Adding tools Adding tools through the DOME Tools page makes them available for use throughout your organization. For example, if you add the Checklists tool, users can use checklists in their course offerings. (To actually use a tool within an org unit, the tool also needs to be enabled and added to the org unit’s navigation bar or homepage.)

To add a tool to your organization

1 In the DOME, click Manage Org Tools in the left pane.

2 Click Add Tools on the action bar.

3 Select the tools you want to add.

4 Click Add Selected.

Removing tools Removing a tool makes it unavailable in your organization. For example, if you remove the Chat tool, users cannot create chats in their course offerings.

To remove tools from your organization

1 In the DOME, click Manage Org Tools in the left pane.

2 Select the tools you want to remove.

3 Click the Remove Tool icon at the top or bottom of the list.

Setting a tool’s default state You can specify whether tools are active (on) or inactive (off) by default. In this way you can specify the standard configuration of course offerings by turning frequently used tools

on, while turning rarely used tools off. Tools you don’t want your users to use should be removed.

Turning a tool on does not by itself make the tool available to users enrolled in an org unit; the tool must also be added to the navigation bar and/or homepage (depending on the tool), and users must have adequate permission to access the tool. You can use the default tool state in conjunction with navigation bar and homepage templates and permissions to configure the standard setup for org units in your organization.

Note Setting the default state for a tool is different from setting its state for the Organization as an org unit. You can disable the FAQ tool by default but still enable it for the Organization to make it available from My Home. (To change a tool’s state for the Organization as an org unit, select the Organization from the Org Unit Editor section

of the DOME and click Tools.)

To change a tool’s default state

1 In the DOME, click Manage Org Tools in the left pane.

2 Select the tools whose default state you want to change.

3 Click the Set default state to Active or Set default state to Inactive icon at the top or bottom of the list.

Renaming tools Renaming a tool changes the wording used in the interface wherever the tool is represented. By renaming a tool you can use the terminology most familiar to users at your institution.

You rename a tool by changing its name for the Organization. The name used for the Organization becomes the default name for all other org units. Users can override this name within individual org units if they have permission to manage tools for that org unit.

To rename a tool

1 In the DOME, expand Org Unit Editor in the left pane.

2 Expand By Hierarchy.

3 Click the name of your organization.

4 In the Management Quick Links section in the right pane, click Tools.

5 Type the new name in the Display Name column beside the tool.

6 Click Save.

d2l.Tools.Surveys.HasBranchingTool OrgUnit off Determines whether the 'Branching Wizard' button is displayed on the Layout/Questions tab of surveys, which allows users to control which questions are presented to survey participants based on previous responses.

d2l.Tools.Surveys.HasConfirmSubmission Org on Controls whether users see a warning page when submitting a survey containing unanswered questions.

When disabled, survey participants can submit a survey with unanswered questions without receiving a warning. When enabled, participants see a warning page that lists and provides links to the survey questions they have not answered.

d2l.Tools.Surveys.HasInviteParticipants OrgUnit off Determines whether the 'Invite Participants' button is displayed on the Survey Properties page.

d2l.Tools.Surveys.UseSignedComments Org off Makes the 'Allow signed comments' checkbox available when creating or editing Long Answer questions.
