Work is underway to facilitate Non Confidential Overview (Lv1) requests from Health & Social Care Partners accessible outside the SWAN network, but via the UAS and with the need for user specific usernames and passwords. This development can be tracked via the public Discovery development board. Summary

This document provides instructions for potential Discovery users on how to request access to Discovery.

Requests are made via the web based “Users Access System” (UAS). Key Points

Important contextual information (Please read before skipping ahead to ensure you gain access to Discovery quickly) Requesting access to Discovery requires you to use two separate systems:

Which you need to use in order to;

(a) Set-up an NSS UAS account to get an NSS UAS username and password (if you do not already have one);

(b) Log back into the NSS UAS using your NSS UAS username & password to request access to specific NSS products and services e.g. Discovery listed as a UAS product;

(c) Your UAS product requests are assessed via the UAS by your own organisation Caldicott/SRO;

System 1 NSS User Access System (UAS) –

Follow these steps if you don’t have an NSS UAS

an existing account

Step 1

If you do not have an NSS UAS account, then you will need to sign up for an NSS UAS username & password. You can do that from the Discovery Home webpage by selecting on the “Sign Up” button and when the UAS Log In page opens, select the “Register” option (white button situated at the

bottom of the window situated to the left of the blue Log In

button). You can see images of how to work through this process here.

N.B – If you are not sure if you already have a UAS account then you can check here.

If you already have an existing NSS UAS account, please use your existing NSS UAS username & password to log into the UAS to request access to Discovery. You can see images of how to work through this process here.

You will be required to update your 1st system generated temporary password; you can see images of how to work through this process here.

Step 3

Now that you have your NSS UAS username and password, you should log back into the UAS system to request access to the Discovery Service product. You can see images of how to work through this process here.

System 2 Discovery – Log in using your NSS UAS credentials (see above on how to request these)

Step 4 Log in to Discovery from the Discovery Home webpage by selecting on the “Log In” button. When prompted, enter your NSS UAS username & password to access the system. You can see images of how to work through this process here.

Step 1: Requesting a username & Password (Please skip to Step 3 if you already have an NSS-UAS username and password):

1. Enter this address into the URL window in your browser:

2. The following web page will appear in your browser. Select on the “Register” button in the bottom window:

3. Completed the fields that appear in the new screen and then select “Submit Request”

5. NSS’s IT department, Customer Support Desk ([email protected]) will then create an account and send the details by two separate emails within 24 hours. If you have not received them, please check your spam folder.

Step 2: Change your temporary password

1. Login into the UAS using your username and temporary password:

2. Read disclaimer and if happy to progress, select on “Accept”

3. Select “Change Password” from the top left hand menu:

N.B – If you can’t see the change password option here, use this link to take you to it instead,

(and move ahead to view image in step No:5, Pg. 6).

4. The following warning may appear, select on “Change Password” in the red box in the centre of the screen.

5. You will now get the following prompt, please re-enter your temporary credentials.

6. You will now be asked to complete the following information:

Select “Save” when you have done this. Now, log out of the system and log back in with your username and newly self-set password.

Step 3- Logging in and applying for access to Discovery:

Discovery can only be accessed by approved individuals within each Health Board/organisation e.g. – Discovery Champions/ Caldicott or NSS User Access System (UAS) - Discovery authorisers.

All requests to access Discovery must be made via the NSS-UAS system. The steps to do this are outlined below:

1. Open up your web browser and navigate to this URL: https://useraccess.nhsnss.scot.nhs.uk/

2. Enter your user details See screenshot below:

i. Username & Password

ii. Select on the blue “Login” button, located at the bottom of the screen (far right).

3. Select on “Request New Access”: iii. Green box, located near the top left hand side of screen

4. Select on the drop down arrow in the “Information Product window”:

iv. Select to activate list

5. Select the “Discovery” product or service you wish to request access to from the dropdown list:

v. Alphabetically listed

6. Once you have selected on the Discovery product you wish, select “Next” (blue button).

vi. Select “Discovery” and select on “Next” in the blue box.

vii. Select your access level from the additional options that now appear in the dropdown list.

viii. There are three access levels available (more information on Discovery access levels can be

found here: Discovery_Security_Levels.pdf

7. Current options you can choose for Discovery are:

ix. Three options: selecting one will cause different pop up boxes of options dependent upon

your selection to appear on the screen.

x. If you wish to request access to patient level data (“Confidential” / “Level 3”) three options

are presented to choose between: Data source/ GMC/ Health Board. The example below

shows the options for “Data Source Access”;

xi. The example below shows the options for “GMC Access”;

xiii. Once you have made your selection Select on “Continue” button

xiv. Now complete the training requirements section:

xv. Complete your details along with reasons for request (telephone number - requires a full

phone number with prefix e.g. – 0131 275 6000 or system will reject it).

N.B – If you are the Senior Responsible Officer for your organisation e.g. a Chief Executive, you can

enter the Non Exec Chairs details in the line manager fields and vice versa.

xvi. Select on “Create Request”

xvii. A warning appears, the screen refreshes (takes a few seconds), please select on the blue “OK”

button to proceed.

xviii. Now tick the box to the left of the word “View/ Edit”

xix. Now select on “Submit Requests”

The request will now be sent electronically (typically within 15 minutes) via the UAS to your organisations Discovery authoriser/approver. If your request is approved, the notification is sent back electronically to NSS who apply the access typically within a maximum of 1 hour from receiving the request. Any delay caused is in the approval process is often a result of the time it takes your organisations Discovery authoriser/approver to consider your application and notify us that they have approved it.

Step 4- Logging into Discovery:

xxi. Once you have received your email notification from the NSS UAS System that your Discovery

access has been approved, open up the Discovery Website “Home” Page and then select on

the blue “Log In” button.

xxii. Now enter your NSS UAS username and password into the pop up box when prompted and

then select on the “Login” button.

Background

Discovery is an information system that provides approved users with access to a range of comparative information to support performance and quality improvement. Indicators within Discovery can be viewed by NHS Board of treatment or residence. The information within Discovery can help NHS Boards to review performance, benchmark against peers and identify areas where resources can be targeted to address local health and care needs. We provide support to Health Boards in order to get the most out of the functionality that is available in discovery. This includes providing more detailed analysis and working with different staff groups and creating more useful visualisations and developing additional content that will allow easier and improved monitoring of activity and performance for Health Boards. The information in Discovery combined with local knowledge (of the dataset, topic or context) allows recognition e.g. of patterns, that leads to intelligence which enables strategic choices and decisions to be taken to assist in improving the health and care of the population.
