Creating an E-RFX / Tender Document

Creating an RFX with attachments

of the RFX document, available fields can be populated and customized specifically to any type of initiative. All content within RFX documents can be developed specific to industry standard tender types, with the ability to populate documents with products, services, or equipment type line items. Custom questionnaires, and attachments as you see fit. can be created as a new template; or details be copy and pasted from existing business process documents. Once RFX document sections are created, they can be saved as a template for future use and will display in a tabbed format with-in the document. Mandatory requirements, item specifications, and other common type files can be added as an attachment to either the line item or header of the RFX document.

Vendor Area

When the E-RFX/Tender document is complete, the RFX administrator can submit the RFX/Tender to ORMED X. When prospects or associates are notified by email of the competitive bid process, a secure URL link is embedded into an automated email notification. This link will take the proponent or associate to a login page where they can begin the bidding process.

Client Interface

Clients can search for existing RFXs by description or reference, or search for archived documents by using the available search functionality. The grid display on the main page, shows all active and work in progress E-RFX/Tender initiatives and for convenience, each column within the grid can be sorted to display E-RFX/Tender information in a sequential order. Once an E-RFX/Tender document is selected, the document will open and the client can continue working on the document. Documents that have not been submitted

to ORMED X can be deleted, however if an E-RFX has been submitted for bid, the delete function will not be available. If a competition closing date becomes past due, the E-RFX will automatically move to the archive file, where it can be reopened and dates can be edited.

On-line messaging

Online messaging provides a method for all engaged user to collaborate throughout the RFX process whether a closed or publically opened competition. The tool allows proponents to ask questions specific to the initiative or by a particular line item by clicking on the messaging icon.

The messaging icon is available throughout the RFX content of the document and both the RFX administrator and other responders will see the messages. The responders will only see the message, at what time it was sent and from what time zone. Only the RFX administrator will see the name of proponent that sent the message and are the only user that can reply to a message.

Awarding Process

Vendor responses are only visible to the RFX administrator once the competition is closed. The awarding process can only take place after the due date and time has expired at which time the competition becomes closed.

The RFX administrator will be able to view each bidder’s response side by side and can utilize the point rate values to begin the analysis stage or score based on evaluation criteria.

Submitted price quotes will automatically be scored by the software, with the lowest price achieving the highest point value. All automated scoring can be over written by the RFX administrator at any time throughout the analysis process and when the analysis is complete, a summary of the point value is provided.

When scoring is determined complete, the contract can be awarded to the selected vendor(s). Email notifications will be sent to both the successful and unsuccessful vendors. The software tracks the item file information, therefore automated price updates, descriptions, manufacturer & vendor details, UPC codes, and GTIN will take place in ORMED X.
