Executing Documents in the eClosing RoomThe Settlement Agent or Notary will receive an email with instructions, which will provide them access to the eClosing Room. By Selecting the “Click Here” button within the email, will launch
your default internet browser and the eClosing Room homepage will be displayed.

The option to view and print Wet-Signed
Documents is also available within the
email notification that is received by the
Settlement Agent or Notary.
Please see the following technical requirements for performing a closing using the eClosing Room application.

The eSignPad App which is available for download from the Apple or Google
Play Store, by searching for “eSignPad”. (Only required if accessing via desktop computer)
Internet Connectivity (Wifi)
Adobe Flash Version 8 (or higher)
The Notary will then be required to “Sign In” with their Notary credentials.
If you do not have an existing Notary Account, the Notary will be redirected to a different screen where they will be able to create a Notary Account.
You may also click on the “Click Here” to create a
Notary Account at anytime when on the home page of the
eSign Room.

When creating a new Notary Account, the Settlement Agent or Notary will be required to fill out all the fields listed in the “Add Notary User” Screen.
The Notary will enter their Commission Number and Registration information,
which populates the Electronic Acknowledgement and Notary Seal.
Once “all” the Notary fields are completed, click the “Submit” button at the bottom of
the window.

Once the Notary has submitted their Account information, they will receive the Account Activation email notification. The Notary will be required to click on the hyperlink that is displayed
within the email, in order activate their account.
The Notary will not be able to access the eSign Room or notarize loan documents until the Account Activation process has been completed.

The Notary will then receive a message reading “Your Account has been activated. You may now log in”. They will then click on the “OK” button on the displayed Message from Webpage.
The eSign Room website will launch and the Notary can now login by entering their email address and password.

Once the Settlement Agent or Notary has logged into the eClosing Room application, a dropdown menu will be displayed at the top right hand side of the webpage displaying their
individual name.
By clicking on their name, the dropdown menu will display options for “My Notary Settings” and “Change My Password”. There they will be able to update their Notary profile information or
change their current password.
The dropdown menu will also display “Mobile Device” which indicates if the application is being viewed on a computer or on a Mobile Device, such as a Smart Phone or Tablet, as
well as the ability to “Sign Out” of the application.

If the Settlement Agent or Notary has selected the “My Notary Settings” option, they will be redirected to the “Edit Notary User” screen. Here the Notary information can be updated if
their Commission Number and Registration information has changed or expired.
Once the Notary information has been updated, click the “Submit” button at the bottom of the window
to save the changes.
If your Notary Commission Date has expired, the application will
prompt you to update your Expiration Date before being
allowed to notarize any documents.

If the Settlement Agent or Notary has selected the “Change My Password” option, they will be redirected to the “Change My Password ” screen. Here the Settlement Agent or Notary can enter
their “Existing Password”, “New Password” and “Confirm Password”.
Once all three fields have been completed, the Settlement Agent or Notary will click the “Submit” button at the bottom of the window to save the changes.

Once the Settlement Agent or Notary has logged into the application, there will be a “Get Seller Documents” and “Get Borrower Documents” section within the dashboard.
When you click on Get Seller or Get Borrower documents, you will be redirected to a
Challenge Response page to authenticate access for that individual set of loan
documents to be signed electronically for the borrower or seller.

The Settlement Agent or Notary will now complete 3 of the 4 Challenge Response fields for the specific loan within the eClosing Room. The information entered will be specific to each and
every loan in order to access the eClosing Room.
Once the Challenge Response fields have been entered, click
the “Submit” button at the bottom of the window to continue.

The Settlement Agent or Notary can now review the loan documents with the consumer prior to signing any of the loan documents electronically in the eClosing Room by clicking on the
“Documents” section within the dashboard.

The Settlement Agent or Notary can also view and print the “Wet-Sign” documents that are required to be wet-signed by consumer directly from within the eSignRoom, by clicking on the
“Wet-Sign Documents link by clicking on the “Documents” section within the dashboard.

After the Settlement Agent or Notary reviews the loan documents with the consumer, they now have access to walk the consumer through the signing process by clicking on the “Begin
Signing” section within the dashboard. The “Begin Signing” section lists all parties associated to the loan that requires their signature.
The Notary will click on the name of the consumer who is present to begin the signing process for that individual consumer. If more than one consumer is present and is listed in the “Begin
Signing” section, the Notary will facilitate the same process until all consumers who are present have signed electronically.

If the Notary attempts to sign and notarize the loan documents prior to the consumer, the application will display the following message to the Notary:
“Please notarize the documents after the signer has signed”.
Note: For enhanced security purposes, the application does not allow “cross-signing” (One Party Signing), which eliminates the Settlement Agent or Lender from being able to execute
signatures or notarize for other parties associated to the loan.

When logged in as the Lender, there are additional options the Lender can select from under the “Actions” column. The Lender can select “Review” or “All Loan Docs”.
The “Review” section allows the Lender to review the loan documents for that individual Loan.
The “All Loan Docs” section allows the Lender to review “all” loan documents associated to an individual property for multiple packages types, such as Disclosures, Loan Estimate and Closing
Documents.

Before the signing process begins, the Settlement Agent or Notary has the ability to upload additional documents that will be combined with the loan documents requiring a signature by
selecting the “Add Docs to Package” icon within the dashboard.

The Settlement Agent or Notary will then select which signers will need to sign the document, enter the document name and then browse to the document to be uploaded. Once the document
has been uploaded, click on the “Submit” button to save the document to the closing package.

To begin the signing process, the Notary will select the individual party who will be executing first. When each signer completes the electronic signing process, the word “(Signed)” will be
displayed out to the right for each signer in the “Begin Signing” section of the dashboard.

The Electronic Consent Disclosure will then be presented to the signer for review. The purpose of the Consent Disclosure is to allow the signer to demonstrate the “reasonability” test . This test confirms the
signer is able to view the loan documents in an electronic format, while agreeing to execute electronically.
A unique “Consent Code” is generated at the bottom of the form for each signer to enter and click the “I Consent” button in order to proceed.

Once the signing party has completed the eConsent process, they will then be required to read the “Signing Agreement” and click the “I Agree” button for each document that requires a
signature within the closing package.

After the signing party has agreed to sign the loan documents, a pop-up window will display a list of all the documents the signer has reviewed and agreed to sign electronically. They will then
click on the “OK” button and be redirected to the “Apply Signature” page.

The “Apply Signature” page will display an eSigning Code. The Settlement Agent or Notary will need to download the eSignPad App onto their Smart Phone or Tablet device. The signing party will enter the loan specific eSigning Code displayed on screen into the text box on the device the App is
installed on and click “Submit”.

for download from the App Store or
Google Play Store, by searching for
“eSignPad”.

The signature window will appear for the signing party to execute their signature electronically by using their finger or a stylus pen. Once you have signed, tap on “Apply Signature” at the
bottom right of the screen.
The borrower should sign the eSignPad the same way the signature lines read on the
closing documents. (i.e. John Test is on the signature lines, signer should sign the same
way “John Test”). The signer should not sign with a middle initial if the closing
documents do not have a middle initial, etc.
Once the signature has been applied, the “Apply Signature”
screen will refresh with the captured signature of the
individual signer.
Clicking on “Done” will take you back to the dashboard screen where you can select the next
signer.

When the Notary begins the signing process for notarization of the loan documents, they will complete the “Identity Data Information for Signer” they are notarizing for.
With the exception of the “Witness” field that is optional, the fields displayed on this screen are required to be completed,
Once all the required information has been entered, the Notary will select the “Submit” button.

The Notary will follow the same process as the signers they authenticate and notarize for. The Notary will receive an Electronic Consent Disclosure and enter the provided Consent Code as well as go through the “I Agree” process for each document they are agreeing to sign, notarize
and apply their state notary seal.

After all parties have completed their signatures, the document package will be processed. During this process, the electronic signatures are placed appropriately throughout the document
package, along with the Notary Seal and Execution Dates. The eNote is tamper-sealed and automatically registered with the MERS® eRegistry.
Once the process is complete, the window will display a “Continue” button. Click the “Continue” button and the application will direct you back to the main dashboard.

You now have the option to view the “Documents” section on the Dashboard. Here you can review the signed Tamper Sealed documents in PDF format and the SMARTDOC eNote.
The Notary can now print or save the documents for the consumer to take a copy of the executed loan documents with them before they leave the closing.

You will also be able to view the Audit Trail for all parties that signed electronically. The Audit Trail captures the eSign Room URL, IP Address for each signer as well as the mobile device
used by each signer for executing their signatures.

In addition to the Documents section on the dashboard, you have the option to review the Signatures of all parties who signed electronically.

The Notary can use the “Deliver Docs” section on the dashboard to deliver the executed documents via email to the borrower or any other party associated to the closing. The Notary
can also print the executed documents or save them to the computer and copy them to a flash drive for the consumer to take with them.
