Building Emergency Coordinator (BEC)
A BEC is a pre-identified point of contact
designated by a department / college for an
assigned space within a building. BECs provide
pertinent building or departmental information
relating to their area to public safety officials
in emergency situations. BECs also relay
information from public safety officials back to
their areas through the receipt of email
communications and / or course instruction.
What are BEC’s Roles & Responsibilities?
• Proponent of preparedness in your area
• Point of contact for safety & emergency preparedness
• Liaison with emergency services in the event of an incident at your
building
• Knowledgeable about your building and people
• Maintains Emergency Supply Closet/Cabinet
Area Supervisors
Area supervisors are responsible for coordinating
response and recovery for the people, computers,
collections and facilities under their supervision in
the event of an emergency.
What are Area Supervisors Roles & Responsibilities?
• Proponent of preparedness in your area
• Liaison with your BECs and emergency services in the event of an
incident in your area
• Be knowledgeable of your area and employees

Supply Closet/Cabinet
• Every library building has supplies on hand, such as visqueen,
flashlights, tape, gloves, etc., to use in case of an emergency
• Designated closet, cabinet, or bin, used before and after a disaster
• BEC responsible for maintaining this supply.

Evacuation and Rally Points
A Rally Point is a pre-designated unit gathering
point that is located at a point that is convenient to
the building, but does not interfere with
emergency response staging.
Know where your Rally Point is!!!
Evacuation and Rally Points
• Know entrances and exits of your building and of buildings you
routinely use
• Exit route maps are located throughout the libraries
• Two exit locations

• Remain at the rally point
• Area Supervisor verifies employees
• Area Supervisor alerts emergency response personnel of any missing
employees
• ONLY re-enter a building when informed it is safe to do so by
emergency personnel

What to do before an emergency
• Contact Peter Miller in Library Facilities to request an emergency assistance card
• Inform your Area Supervisor that you have an emergency assistance card
What to do in an emergency
• Alert Area Supervisor
• Give Area Supervisor your emergency assistance card
• Wait for assistance
Hurricane Preparedness
• A hurricane warning is declared when
hurricane conditions are expected within
24 hours.
• When this condition is declared for the
Gainesville area, the UF president or his
designee may declare the university
closed.

1. Secure immediate area
2. Call 911

If there is an immediate threat of
danger:
1.Get to safety
2.Call UPD
3.Advise other employees of danger

1. Obtain as much information as possible about the threat
2. Alert co-workers to call UPD
If expected detonation is imminent:
1. Pull fire alarm
2. Call University Police Department after evacuating
3. Meet at Rally Point
If expected detonation is not imminent:
1. Call UPD immediately
2. Alert Library Facilities Department

unauthorized entry.

assist in evacuating the building.
