Entering Service Deliveries in Consumer Groups.1There are Units of Service which must be entered using Consumer Groups.Aggregate Guest:Services that are provided to Consumers under 60 and therefore do not qualify for reimbursement.In the case of meals, these Consumers are required to pay the Full Cost of the meal.Aggregate Staff:Services that are provided to Center employees under 60 and do not qualify for reimbursement.Staff are also required to pay the Full Cost of the meal.Aggregate Visitors:Services that are provided to Consumers who qualify for reimbursement and are provided in a group setting such as Nutrition Education.Reimbursable Units of Services such as Congregate Meals or Transportation must have prior approval from the AAA before those units can be entered into the Aggregate Visitor Consumer GroupUnregistered Eligible Consumer:Services that are provided to Consumers who qualify for reimbursement but have not been registered into the SAMS Database.In this lesson we will learn how to record units of service using these Consumer Groups.Once you have logged into SAMS select Consumers from the toolbar at the top of the screen and Left Click.

ConsumersThis will take you to a list of all available Consumers and Consumer Groups in the SAMS Database.

You can modify this list to show only Consumer Groups by locating Consumer Type, second from the left on the tool Bar and left clicking.

A drop down box will appear, select the box next to Consumer Groups by left clicking and then left click on Apply.

Now you only see a list of Consumer Groups. From the list select the Consumer Group that you would like to enter Service Units for by single Left Clicking on the Row and highlighting the Consumer Group name.For this lesson we will enter Service Units for Aggregate Guests in Colfax County.

Scroll down the list until you find the Consumer Group titled, PSA2 Colfax County Aggregate Guests and double left click on the row.

The Details screen for the consumer group is now open. Select Service Deliveries from the tool bar at the top. Open the Service Deliveries with a single left click.

If your program has multiple sites such as the City of Tucumcari you can display which site delivered the services listed by formatting the columns.To format your columns single left click on Format Columns located on the tool bar at the top right of the screen.

A screen will appear with a list of available columns on the left

And a list of Current Columns on the right.

We want our list to include the Site so simply single left click on Site from the list of available columns to select it.

Then single left click on the arrow pointing to the list of current columns

Site has now been added to the bottom of your list of columns to displayLets say we would like for the site to be display right after the provider in our list. To move it up the list single left click on Site to highlight it.

Then single left click on the Up button until Site is after Provider on the list.

Next single left click on OK to save your changes.

You can now see what site provided the service.For this example lets say we wanted to record Units for Congregate Meal Guests. From the Guest sign in sheet it is determined that Colfax County had 6 guests that ate a total of 10 meals in the Month of September 2014.There are two ways to record Units of service to the Service Delivery in a Consumer Group. Lets take a look at the easiest way first, copying a service delivery record.On the Service Deliveries screen lets find the most recent month in which Congregate meals were recorded.

As you can see there were Congregate meals entered in August 2014. Single right click on that Service Delivery.

A drop down box will appear with a list of actions for you to choose from. Select Copy from the list by single left clicking on it.

Or you can left click on Copy on the tool bar.

The screen will turn grey and a box will appear that says Copy Service Delivery.

If the Service Delivery period is correct, all you will need to do is single click OK.

If it is not, then you will need to enter the correct month in the space provided next to "Enter New Service Period and left click Ok.

The Service Delivery screen will appear with all pertinent in formation already entered;ProviderSite (if applicable)Service CategoryServiceSubservice

Notice that the Subservice is listed as CM Non-Reimbursable.

The Non-Reimbursable Subservice is used for ALL services provided to Guests and Staff.An exception to this rule would be for Services provided to Unregistered Consumers, the Subservice would be other. As we determined earlier Colfax County had 6 guests that ate a total of 10 meals in the Month of September 2014. 1 Meal = 1 Unit You will want to change the Units to 10 by single left clicking in the space next to Units and entering 10 Units

4.0010.00 Even though it was determined that Colfax County served those meals to 6 Consumers, the number of Consumers Served will always be 1 in the Service Delivery Record.

The only exception to this rule are services provided to a group of Consumers as a whole, for example;Nutrition EducationSupport groupsExercise classes In those cases the Consumers Served would match the number of Units entered.

When entering Units in the Unregistered Eligible Consumer Group it is important that you list the Name and number of units For each Consumer in the Comments section of the Service Delivery screen

To save and record the Units simply single left click on Save and Close on the tool bar.

If there is not a Service Record that can be copied you will need to create a new Service Record. To ad a new Service Record begin by single left clicking on add New From the tool bar.

You will be taken directly to the Service Delivery screen.Notice that there is very little information that is pre-filled.

Therefore it will be necessary to complete this information.Lets start by identifying the Care Program.

Left click on the arrow to the right of the space labeled Care Program. A list of Care Programs associate with this Consumer Group will appear.

From the list single left click on the appropriate Care Program. The most common Care Program used is,Senior Program-NAPIS Title III (B,C,D)

The list will close leavingSenior Program-NAPIS Title III (B,C,D) in the space provided.

As you can see the Provider is already displayed

Follow the same procedure to identify the site (if applicable), Service Category, Service, and Subservice.

Confirm that the Service Month and year are correct.

If the Service Month and Year are incorrect you can change it by single left clicking on the Calendar icon found to the right of the Month/Year field.

A drop down box will appear with the year displayed across the bar on top.

You can change the Year by left clicking on the arrows to the left or right of the year displayed

You can change the Month by left clicking on the correct Month in the box below the Year.

The box will close leaving the Month and Year displayed.Next enter the number of units as you learned earlier.

4.0010.00Once you have entered the Units you can save and close the service delivery by following the instructions for Save and Close.That is how you enter Service Units into a Consumer Group.Thank You!118
