What is Event Management?

Event Management aims to filter and categorize tasks and/or activities in order to decide on a set of appropriate actions that are required to complete an Event successfully .

Give some examples of events we do?

• Satsang

• Pooja (Hanuman, Lakshmi etc)

• Ram Leela Celebrations

• Yagna

• Social Events (Sports, Family Day)

What is the purpose of this event?(Why are we doing it?)

• Goals/Objectives

• Expected Outcomes

• Learning

• Practices

What needs to be done? Develop a Plan

Agree on the resources needed to accomplish event

Assign Responsibility and ensure Accountability:

What,

Who,

When,

Where,

How

Implement the Plan

Review the outcome

Planning What is Situation

What is our Mission (Objective)

How do we Implement the plan (Who, What, Where, When, How)

What other Support do we need? (Who else?)

What Controls are we putting in place

What Reports do we need to generate and who needs it.

What resources do we need?

• Manpower

• Materials

• Money

• Timelines/ Time constraints

Implement the plan...

• Activities to be done

• Who will do it

• When do we need it? (Timelines)

• What are our constraints? (Time

constraint etc.)

• On-going evaluation to ensure

that it is going as planned

• If not, what changes are

required

The Four Questions:

What did we intend to do?…what was our goal/mission/expectations?

What really happened?…what did we do? (process/steps etc.)

Why did it happen?…what went well?…what went wrong?…what can be improved?

What are we going to do about it?…what actions or changes are needed to

improve?

After Action Review (AAR)

Seven Steps to Success:….. how to develop and Implement a Plan

Define the task and the objective (SMART Objectives)

What resources are available?

Look at several options

Select appropriate option. Consider contingencies (Plan B)

Assign Tasks

Implement the plan. Adjust as required

Evaluate after completion

Who’s in charge?

What are we trying

to accomplish

?

What resources

do we have?

How could we do it?

What is the best way to

do it?

Who is going to do what

by when and how?

Get on with it

How did it go?
