INTRODUCTION
It is the aim of Oathall Community College to make the examination experience as stress-free and successful as possible for all candidates.
I hope that this booklet will prove informative and helpful for you and your parents. Please read it carefully
and show it to your parents so that they are also aware of the examination regulations and the procedures
to follow in the event of any problems occurring. These guidelines apply to all exams. This includes exams
set externally by the Awarding Bodies and exams set internally by the College.
Many of the guidelines are set out by the Awarding Bodies and must be strictly adhered to. Breaking of the
regulations must be reported to the Awarding Bodies and could lead to disqualification from all subjects.
The College also expects these regulations to be adhered to during internally set exams. You should
therefore pay particular attention to the Information and Warning to Candidate Notices.
Some of the questions you may have are answered at the back of this booklet. If there is anything you
do not understand or any question that has not been addressed, PLEASE ASK.
If you or your parents have any queries, or need help or advice at any time before, during or after the
examinations please contact:
The Examinations Officer – Mrs Andrews (General Office)
The school telephone number is: 01444 414001 or E-Mail [email protected]

BEFORE THE EXAMINATIONS
STATEMENTS OF ENTRY
All Candidates receive an Individual Candidate Timetable from school indicating the subjects they are being
entered for and the levels of entry, where applicable (i.e. Geography, Languages, Maths and Science). Some
subjects only have one tier of entry, some have Foundation or Higher tiers. Please check it carefully and
report any concerns in the first instance to your subject teacher(s) or to the Examinations Officer. If there
is an exam on the list that you are not expecting to take (e.g. you know you have already dropped or been
withdrawn from a subject) you MUST tell the subject leader immediately. Keep it safe. Note – your
timetable is also available on Insight but will not show any special arrangements made for exam clashes.
EXAMINATION BOARDS
The School uses the following Examination Boards: AQA, Edexcel, OCR, and WJEC.
CANDIDATE NAME
Please ensure that if the name you are known by in school is different from your official name (as on your
birth certificate), your official name is used on your exam papers. Your entry is made using your official
name, and if it differs then your results may be delayed.
CANDIDATE NUMBER
Each candidate has a four-digit candidate number. This is the number you will enter on examination papers.
It will appear next to your name on seating cards and on examination registers. It is on the front of this
booklet. Please learn it.
TIMETABLES
You will also have received an exams timetable showing specific examinations with details of date, time, and
duration of the examinations. Check it carefully. If you think something is wrong, see Mrs Andrews in the
General Office immediately.
A few candidates may have a clash where two subjects are timetabled at the same time. The school will make
special timetable arrangements for these candidates only. You must check your individual timetable and see
Mrs Andrews if you are unsure what to do. If you think there is a clash on your timetable that has not been
resolved, please see Mrs Andrews immediately.
CONTACT NUMBERS
Please check that school has at least one up-to-date contact number for you in case we need to contact you
regarding examinations.
EQUIPMENT
Make sure you have all the correct equipment before your examinations. Check the regulations in the
Notice to Candidates and the information on the following pages.
7
SEATING
A copy of the seating plan for the hall will be displayed on the Exams Notice Board the day before, and on
the day of an exam. Seat numbers and exam rooms can also be found on Insight by clicking on Assessment – Examination Time. You will be able to find your seat number on Insight at least one week
prior to an exam.
CONTINGENCY DAY
For the Summer 2019 exam series a “contingency” exam day has been arranged by the examination awarding
bodies which all students need to be aware of. This contingency day for GCSE (or equivalent) examinations
has been put in place “in the event of widespread, sustained national or local disruption to examinations
during the June 2019 examination series.” The decision comes following the tragic events of last summer,
namely the Manchester attacks and the Grenfell Tower fire. The Joint Council for Qualifications (JCQ) have
decided that they need the option to postpone an exam (or exams) in the event of an incident and rearrange
them for a later date to allow all students a fair and equal chance. The date that has been set aside as the
contingency day is Wednesday 26 June 2019. This means that all exam candidates must be available
to sit exams from the date of their first exam until Wednesday 26 June 2019. This decision is not
a school decision and does apply to all candidates in all schools. Please can all students/parents/carers make
a note of the contingency exam date in the event that an awarding body needs to invoke its contingency
plan.
8
DURING THE EXAMINATIONS
EXAMINATION REGULATIONS
A copy of the “Information for Candidates” and “Warning to Candidates” which is issued jointly by all the
Examining Boards, is enclosed with this booklet. All candidates must read these carefully and note that to
break any of the examination rules or regulations could lead to disqualification from all subjects. The school
must report any breach of regulations to the Awarding Body.
ATTENDANCE AT EXAMINATIONS
Candidates are responsible for checking their own timetable and arriving at school on the correct day
and time, properly dressed and equipped. Candidates must arrive by 8.30 am for morning exams and
by 1.30 pm for afternoon exams, and gather on the tennis courts for examinations in the hall, outside
IT1 for Claroread or on the Plaza for examinations in EX1, EX2, EX3, P1 or P2.
Candidates who arrive late for an examination may still be admitted but will not receive any additional
time. If special consideration applies then you must speak to the Examinations Officer (see ABSENCE
FROM EXAMINATIONS). It is at the Awarding Body’s discretion whether the script is accepted from
candidates who are admitted late to an exam.
The College will require payment of entry fees should a candidate fail to attempt an examination
without good reason.
Full school uniform must be worn by all students.
All items of equipment, pens, pencils, mathematical instruments, etc. should be visible to the invigilators
at all times. You must use either a transparent pencil case or clear plastic bag. A tin is NOT acceptable.
Pens should be BLACK ink or ballpoint only. Many papers are now scanned for marking, and anything
other than black may not be scanned. No correction pens are allowed.
For Mathematics and Science exams, students should make sure their calculators conform to the
examination regulations. If in doubt, check with your teacher. Remove any covers or instructions and
make sure batteries are new.
Watches of any description are not allowed in the exam room. If these are stored in bags please
make sure that alarms are switched off.
Do not attempt to communicate with or distract other candidates, as this could be an indication of
malpractice and must be reported to the Awarding Body.
Examination regulations are very strict regarding items that may be taken into the examination room
(see FAQs at the end of this booklet). If you break these rules you will be disqualified from the
examination.
If a mobile phone (or any other type of electronic communication or storage device) is found in your
possession during an examination (even if it is turned off) it will be taken from you and a report made
to the appropriate exam board. No exceptions can be made. This may well lead to zero marks for
9
that paper, or even disqualification from that subject. If you must have your phone with you,
please either hand it in to the invigilator as you enter the exam room (ensuring it is turned
off) or store it in your bag, again ensuring that it is switched off. Phones that are not
switched off will be removed from the exam room.
You are allowed to bring in a bottle of water but please make sure that it is in a clear plastic
bottle with the label removed.
Please do not write on examination desks. This is regarded as vandalism and you will be asked to pay
for any damage.
Do not draw graffiti or write offensive comments on examination papers – if you do the examination
board may refuse to accept your paper.
Do not enter an exam room with any writing/pen marks on your hands/arms. This could indicate
malpractice and result in disqualification.
Listen carefully to instructions and notices read out by the invigilators – there may be amendments to
the exam paper that you need to know about.
Check you have the correct question paper – check the subject, component/unit and tier of entry
along with the day, date and time of the paper.
Read all instructions carefully and number your answers clearly especially when using additional answer
booklets or a laptop.
You will not be allowed to leave an examination room early. If you have finished the paper use any
time remaining to check over your answers and that you have completed your details correctly. The
extra marks you find may well be the ones to give you the next grade up.
At the end of the examination all work must be handed in – remember to cross out any rough work.
If you have used more than one answer book ensure that it has been completed with your name,
candidate number and centre number and place it inside your original exam script.
Invigilators will collect your exam papers before you leave the room. Absolute silence must be
maintained during this time. Remember you are still under examination conditions until you have left
the room.
Question papers, answer booklets and additional paper must NOT be taken from the exam room.
Remain seated in silence until told to leave the examination room. Please leave the room in silence
and show consideration for other candidates who may still be working.
If the fire alarm sounds during an examination, continue with your exam, the exam invigilators will
tell you if you need to leave the room. Don’t panic. If you have to evacuate the room you will be
asked to leave in silence and in the order in which you are sitting. You will be escorted to a designated
assembly point. Leave everything on your desk. You must not attempt to communicate with anyone
else during the evacuation. When you return to the exam room do not start writing until the invigilator
tells you to. You will be allowed the full working time for the examination and a report will be sent
to the awarding body detailing the incident.
10
COATS AND BAGS
Please do not bring bags into school unless necessary. For candidates in the hall, coats and bags should
be left on the balcony. In all other exam rooms you will be instructed by invigilators as to where to
leave your belongings. Please ensure that they do not block doors or walkways.
INVIGILATORS
The school employs external invigilators to conduct the examinations. Students are expected to
behave in a respectful manner towards all invigilators and follow their instructions at all times.
Invigilators are in the examination rooms to supervise the conduct of the examination. They will
distribute and collect the examination papers, tell candidates when to start and finish the examination,
hand out extra answer booklets if required and deal with any problems that occur during the
examination, for example if a candidate is feeling ill. If you need any assistance during an examination,
please raise your hand clearly and wait for an invigilator to come to you.
Please note that invigilators cannot discuss the examination paper with you or explain the questions.
Pupils who are disruptive or behave in an unacceptable manner will be removed from the examination
room by invigilators and reported to a member of the Senior Leadership Team.
ABSENCE FROM EXAMINATIONS
If you experience difficulties during the examination period (e.g. illness, injury or personal problems)
please inform school at the earliest possible point so we can help or advise you.
Only in ‘exceptional circumstances’ are candidates allowed special consideration for absence from any
part of an examination. It is essential that medical or other appropriate evidence is obtained on the
day by the candidate/parent and given to the Examinations Officer without delay in all cases where an
application is to be made for special consideration. A self-certification form (JCQ Form 14) can be
obtained from the Examinations Officer which can be countersigned by your doctor or nurse.
Parents and candidates are reminded that the school will require payment of entry fees should a
candidate fail to attend an examination without good reason and without informing the school. Failure
to pay may result in your examination results being withheld.
Please note that misreading the timetable will not be accepted as a satisfactory
explanation of absence.
11
Candidate Instructions for use of a Word Processor in Examinations
The use of a laptop/word processor MUST reflect the candidate’s normal way of working within
the centre and be appropriate to the candidate’s needs.
A laptop/word processor will be provided with the spelling and grammar check facility and
predictive text facility switched off.
Wordpad is the software installed on laptop/word processor used for examination purposes.
Laptops/word processors will be in good working order at the time of the examination.
Candidates may use their answer booklet in addition to the laptop/word processor if they wish to
do so.
Only authorised memory sticks provided by the centre may be used, if appropriate.
Candidates must save their work at regular intervals.
Printing must be carried out after the examination is over and the candidate must be present to
verify that the work printed is his/her own. Candidates are to remain seated at the end of the
examination and wait to be accompanied by an invigilator to print their scripts, taking their personal
belongings and exam papers with them.
Candidates must ensure that their centre number, candidate number and unit code are typed on
the first page of their typed script.
A JCQ word processor cover sheet (Form 4) must be completed and attached to the candidate’s
script (Not required for Mock Examinations).
If equipment failure should occur, the candidate should immediately report their concerns to an
invigilator.
12
AFTER THE EXAMINATIONS
NOTIFICATION OF RESULTS
Results will be available for collection on:
If you wish any other person (including family members) to collect your results on your behalf, you
must complete and return the attached ‘Results Form’ giving your written authorisation to school
before results day.
Candidates who do not collect their results on 22nd August will receive notification through the normal
post. Letters will be posted on 22nd August and not before.
POST RESULTS
If you need post-results advice, Oathall Community College teaching staff will be available on Results Day. Further information regarding post-result services will be included in your results envelope and
posted on the school website.
Oathall Community College does not enter former pupils for re-sits.
CERTIFICATE COLLECTION
A Certificate Collection afternoon has been arranged for Wednesday 13th November
from 3:15pm to 4:30pm. Certificates will be available for collection in the canteen where drinks
and light refreshments will be served. Students who are unable to collect their certificates on this
afternoon can collect them from reception from Monday 18th November. Students should be aware
that certificates will not be given to anyone other than the candidate without the student’s written
authorisation.
Please keep your certificates safe. Colleges, places of Higher Education and Employers will ask to see
them. If you need to replace them you will have to apply to each individual exam board and this incurs
a substantial fee.
Oathall Community College is only obliged to keep certificates for a period of one year after issue. If
candidates do not collect their certificates within this time (or if they lose their certificates) they can
only be replaced by direct application to the appropriate awarding body. This will require proof of
identity (such as birth certificate) and a substantial fee per awarding body. You are therefore urged to
collect your certificates on Certificate Collection afternoon or as soon as possible thereafter and to
keep them safely.
Thursday 22nd August 2019
from 10.00 a.m. to 11.00 a.m.
13
Reviews of marking - centre assessed marks
(GCSE controlled assessments, GCE coursework,
GCE and GCSE non-examination assessments and Project qualifications)
Oathall Community College is committed to ensuring that whenever its staff mark candidates’ work this is done
fairly, consistently and in accordance with the awarding body’s specification and subject-specific associated
documents.
Candidates’ work will be marked by staff who have appropriate knowledge, understanding and skill, and who have
been trained in this activity. Oathall Community College is committed to ensuring that work produced by
candidates is authenticated in line with the requirements of the awarding body. Where a number of subject teachers
are involved in marking candidates’ work, internal moderation and standardisation will ensure consistency of
marking.
1. Oathall Community College will ensure that candidates are informed of their centre assessed marks so that
they may request a review of the centre’s marking before marks are submitted to the awarding body.
2. Candidates may request copies of materials to assist them in considering whether to request a review of the
centre’s marking of the assessment.
3. Oathall Community College will, having received a request for copies of materials, promptly make them
available to the candidate.
4. Oathall Community College will provide candidates with sufficient time in order to allow them to review
copies of materials and reach a decision.
5. The deadline for candidates to submit a request for a review of the centre’s marking is Monday 23rd April
with the exception of Art and Photography where the deadline is Monday 21st May. Requests will not be
accepted after these deadlines. Requests must be made in writing.
6. Oathall Community College will allow sufficient time for the review to be carried out, to make any necessary
changes to marks and to inform the candidate of the outcome, all before the awarding body’s deadline.
7. Oathall Community College will ensure that the review of marking is carried out by an assessor who has
appropriate competence, has had no previous involvement in the assessment of that candidate and has no
personal interest in the review.
8. Oathall Community College will instruct the reviewer to ensure that the candidate’s mark is consistent with
the standard set by the centre.
9. Oathall Community College will inform the candidate in writing of the outcome of the review of the centre’s
marking.
10. The outcome of the review of the centre’s marking will be made known to the head of centre. A written
record of the review will be kept and made available to the awarding body upon request.
The moderation process carried out by the awarding bodies may result in a mark change, either
upwards or downwards, even after an internal review. The internal review process is in place to
ensure consistency of marking within the centre, whereas moderation by the awarding body ensures
that centre marking is line with national standards. The mark submitted to the awarding body is
subject to change and should therefore be considered provisional.

FREQUENTLY ASKED QUESTIONS
Q. What do I do if there’s a clash on my timetable?
The school will re-schedule papers internally (on the same day) where there is a clash of subjects.
Candidates will normally sit one paper then have a break during which they will be supervised and must
not have any communication with other candidates. They will then sit the second subject paper. If
you have been identified as having a clash of exams an additional letter will be included in you exam
pack detailing the changes to your timetable. It may be necessary for you to bring a packed lunch if
you have exams in the morning and afternoon as you will have to remain in isolation until both
examinations are completed. If in doubt consult the Examinations Officer, Mrs Andrews.
Q. What do I do if I think I have the wrong paper?
Invigilators will ask you to check before the exam starts. If you think something is wrong put your
hand up and tell the invigilator immediately.
Q. What do I do if I forget my Candidate Number?
Candidate numbers are printed on the name card which will be on your allocated desk. Please do not
damage or remove these cards as they have to be used for a number of exams and are time consuming
to produce.
Q. What do I do if I forget the school Centre Number?
The Centre Number is 65125. It is printed on the name card which will be on your allocated desk.
Q. What do I do if I have an accident or am ill before the exam?
Inform school at the earliest possible point so we can help or advise you. In the case of an accident
that means you are unable to write it may be possible to provide you with a scribe to write your
answers but we will need as much prior notice as possible. You may need to obtain medical evidence
(from your GP or hospital) if you wish the school to make an appeal for Special Consideration on your behalf (see below).
Q. What is an Appeal for Special Consideration?
Special Consideration is an adjustment to the marks or grades of a candidate who is eligible for
consideration. The allowance for Special Consideration is from 0% (consideration given but addition
of marks considered inappropriate) to 5% (reserved for exceptional cases). Parents should be aware
that any adjustment is likely to be small and no feedback is ever provided. Candidates will only be
eligible for Special Consideration if they have been fully prepared and covered the whole course but
performance in the examination or in the production of coursework is affected by adverse
circumstances beyond their control. Examples or such circumstances may be illness, accident or injury,
bereavement, domestic crisis. The Examination Officer must be informed immediately, so that the
necessary paperwork can be completed (within 7 days of the last exam session for each subject) and
the candidate will be required to provide evidence to support such an application.
19
Q. What do I do if I feel ill during the exam?
Put your hand up and an invigilator will assist you. You should inform an invigilator if you feel ill before
or during an exam and you feel this may have affected your performance.
Q. If I am late can I still sit the examination?
Depending on your arrival time, it may still be possible for you to sit the examination. You should get
to school as quickly as possible and report to Reception. A member of staff will escort you to the
exam room. You must not enter an examination room without permission after an examination has
started. It may not be possible to allow you any extra time if you start the examination late.
You should be aware that if you start the exam more than 30 minutes after the published starting time
(9.00am or 1.30pm), the school must inform the awarding body. It is possible that they may not accept
your work. Please ensure you allow enough time to get to school so that if you are delayed (e.g.
through transport problems) you will still arrive on time.
Q. If I miss the examination can I take it on another day?
No. Timetables are regulated by the exam boards and you must attend on the given date and time.
Q. Do I have to wear school uniform?
Yes. Normal school regulations apply to uniform, hair, jewellery, make-up etc.
Q. What equipment should I bring for my exams?
For most exams you should bring at least two pens (BLACK ink only).
For some exams you will need a calculator (Maths/Science), HB pencils, a 30cm ruler (marked
with cm and mm), pencil sharpener and rubber, compasses, protractor, coloured pencil/crayons
(not gel pens).
You are responsible for providing your own equipment for examinations. You must not
attempt to borrow equipment from another candidate during the examination.
Q. What items are not allowed into the examination room?
Only material that is listed on exam papers is permitted in the examination room and students
who are found to have any material with them that is not allowed will be reported to the
appropriate examinations board. In such circumstances, a student would normally be disqualified
from the paper or the subject concerned. It is very important that students check their pockets
to make sure there is no unauthorised equipment on their person eg paper/notes/phones etc.
Bags, coats, hats and scarves and any other items not permitted under examination regulations
and must be stored in the designated areas for each exam room. Do not bring any valuables into
school with you when you attend for an examination.
No food is allowed in the exam room.
Mobile telephones, smartwatches etc. must be handed in to an invigilator.
20
Q. Why can’t I bring my mobile telephone into the exam room?
Being in possession of a mobile ‘phone (or any other electronic communication/ storage device, e.g.
ipod, iwatches, mp3/4 players, headphones, blackberry) is regarded as cheating and is subject to severe penalty from the awarding bodies:
The minimum penalties are as follows:
- Device found on you and turned ON - disqualification for the entire subject award.
- Device found on you and turned OFF – disqualification from the specific paper you are
sitting at the time.
- Phone rings during the exam wherever it is in the room, the awarding body must be informed
and you will be disqualified from all papers for that subject (including any already
taken).
Q. How do I know how long the exam is?
The length of the examination is shown in minutes on your individual timetable. Invigilators will tell
you when to start and finish the exam. They will write the finish time of the exam on a flip chart or
board at the front of the exam room. There will be a clock in all examination rooms.
Q. Can I leave the exam early?
No. Candidates may not leave the examination room until the exam is complete. You will not be
allowed to leave early even if you have finished the paper before the published time. If you do finish
early you should spend any time you have checking that you have answered all of the questions that
you are required to do.
Q. What do I do if the fire alarm goes?
The examination invigilators will tell you what to do. If you have to evacuate the room, when instructed
leave everything on your desk and leave the room in silence row by row. You must not attempt to
communicate with any other candidates during the evacuation.
Q. Can I go to the toilet during the exam?
If it is absolutely necessary. You will be escorted by an invigilator and will not be allowed any extra
time.
Q. What do I do in between exams?
Follow the school day as normal.
Q. If I have more than one exam on a day can I get lunch at school?
Pupils who have examinations in both morning and afternoon sessions may obtain lunch from the dining
hall in the usual way or bring a packed lunch.
21
Q. When can I stop coming into school?
Once you have sat your final exam.
Q. Why do I need to check the details on my Timetable?
The details on your Timetable will be used when certificates are printed. If the name or date of birth
on your certificates does not match your birth certificate it could cause you problems if you are asked
to show your certificates to a potential employer for college/university at some time in the future.
You should also check that the subjects and tiers of entry you are entered for are correct and that no
subjects are missing.
Q. I am entitled to extra time – how will this affect the way I take my exams?
Some students receive an allowance of 25% extra time. The card on your desk will indicate that you
qualify for extra time. The invigilators will include the additional time when they display the finishing
time of your exam on the board. If using extra time you must put your hand up to request permission
to leave the exam room once you have used the extra time that you require. An invigilator will then
collect your script before allowing you to leave the exam room.
Q. What do I do if I don’t get the grades I need for college?
Teaching staff will be available to advise you on results day. If you feel strongly that it is necessary to
make an enquiry about your result you should first consult the Faculty Head to obtain their advice as
to the advisability of requesting a re-mark.

THINK!! Have you got everything you need for the exam?
Do you have the right equipment? Make sure you have
more than one BLACK pen. You can guarantee
that if you only have one it will run out.
All the equipment you bring into the exam hall must be in
a clear pencil case or plastic bag. Do you need a
calculator for the exam you are sitting?
If you have exams for the whole school day, make sure you
bring lunch with you or have enough funds on your
catering account.
If your exam finishes later than 3:10pm, how are you
going to get home?
BE ON TIME for the start of your exam.
Arrive at least 20 minutes before the start.
We will NOT wait for you.
If you miss the bus or your bus is late, DO NOT
PANIC. If possible contact the school to let us
know. Report to Reception as soon as you arrive.
Bringing a mobile phone or smart watch to school?
These MUST be handed to the invigilator, or kept
switched off in your bag.
ASK if you are unsure about anything.
Remember we are here to help.
