Welcome to the Best Of India Jewellery Show-Bangalore Edition (BIJS)!

At the outset, I would like to take this opportunity to thank you for your support and participation in the Best of

India Jewellery Show, South India's biggest consumer show on jewellery, to be held from 15th – 17th April 2011,

at Tripura Vasini (A/C), Palace Grounds, Bangalore .

BIJS is jointly organized by The Art of Jewellery - India’s No.1 Jewellery Magazine and The Jewellers’ Association,

Bangalore in an effort to showcase the best jewellery designs to the consumers.

BIJS is ideally timed, just about two weeks before Akshaya Tritiya and the wedding season. The show will be

instrumental in bringing an extensive variety of designs from across India under one roof.

We are pleased to present the Exhibitor’s Manual for BIJS, which has got the show details for your ready reference.

This manual will simplify your planning and preparation efforts for the show.

Please go through the contents carefully and kindly return all the necessary forms duly filled and signed

within the stipulated deadline of 15th March 2011 in order to avoid any last minute delays. We will be unable

to guarantee the provision of extra services and requirement if the order forms are received later than the specified

dates.

Branding or any other promotional material should not be displayed inside the exhibition hall other than in the

allotted stall area.

A standard stall of 9 sq. mtrs. It includes the following:

Stall walls in powder coated octonorm polycam panels of 2.5 mtrs height

6 spot lights

1 Glass counter

1 Glass Showcase

1 Glass Shelve (set of 3)

1 Table with 2 Chairs

1 Waste paper basket

1 Power point

Fascia with company name in standard letter size

Additional requirements of any material will be charged at actuals, directly by the Stand Contractor. Please fill

Form 4 for the same.

Exhibitors using the built-up stall should report to the site and commence their stall decoration / window display

work by 4.00 pm on Thursday, 14th April 2011. Stall decoration should be completed in all respects by 12.00

midnight on Thurs day , 14th April 2011.

Bare Indoor Space stall consists of raw carpeted space as the exhibitors are required to design and construct

their own stalls.

Exhibitors who have taken Bare Indoor Space and who wish to design and construct their own Stand should send

a detailed blue print of the same to the organisers and must abide by the rules and regulations.

Furthermore, the exhibitors must report on Wednusday, 13th April 2011, 4.00 pm and commence their work.

Stall erection must be completed in all respects by 12.00 midnight of Thursday, 14th April 2011.

Raw Carpeted Space

Exhibitors will be made available with fully built-up and furnished booths by 4.00 pm on Thursday, 14th April

2011. You can then decorate your stand and complete it in all respects by 12.00 midnight on Thursday, 14th

April 2011, giving us time for final cleaning by dawn. Please ensure all passage areas are clear of crates, boxes,

packing materials, etc.

Important: Nails and / or glue will not be used for hanging / displaying poster / photo panels etc. These should be

hung by fishing wire (available in local market) or system hooks which are provided on request by the organisers,

at nominal cost. These can be displayed by using double sided tape or local 3M tape also.

If you wish to use your own side panels, make certain they meet the following conditions:

Height of each panel from carpet level should not exceed 2.5 metres

Panel(s) are self-standing and do not lean in any way on the existing booth panels

Carpentry is not allowed inside the hall. Podiums, platforms, dais or other decorations must be pre-fabricated

and must only be assembled and finished inside the hall. Please follow this strictly

Raw carpeted space must be pre-fabricated. It must only be assembled and finished at the venue. Carpentry is not

permitted inside the exhibition hall. Construction rules applicable to raw carpeted space exhibitor are the same as

for built-up stall (except for Fascia).

Exhibitors who have taken Bare Indoor Space and who are constructing their own stall must report on Wednesday,

13th April 2011 by 4.00 p.m. and commence their work. Stall erection must be completed in all respects by

12.00 midnight of Thursday, 14th April 2011.

A Fascia (standard size) will be provided to all the exhibitors including those doing their own stalls. Please fill up

Form No. 1 correctly to ensure that exact name of your Company appears on the Fascia.

Lighting and power plug points will be provided as per the type of stall booked / allotted. Only 3 pin sockets 5/15

amps can be used as a source of power in the exhibition venue. No multi-plug is allowed for use. Electric current will

be supplied in 210-230 volts, single phase. Electric current of higher voltage (3 phase) will be supplied subject to

prior arrangements with the stadium authorities. Electricity, whether from mains, batteries or generators will be

supplied only through the official contractor. For higher voltage / 3 phase connection a surcharge is payable.

No charges will apply for general lighting and for spotlights provided in your built-up stall as per your entitlement.

Additional power requirement will be charged @ Rs.2,000 per KW. Please note that this will be provided in your

stall only if applied for and paid in advance as per details in Form No. 5.

The organisers will make arrangements for cleaning of the passages. But, it is the responsibility of the exhibitors to

get their stands cleaned and their exhibits dusted in the evening. No sweeping will be allowed after 9.00 a.m. You

can also contact the official Conservancy Agency for sweeping with direct payment.

The Organisers are not responsible for insurance coverage of articles of any kind brought to the Exhibition

except for Exhibition Fire Risk Insurance and Civil Liability. Exhibitors are therefore advised to arrange for full

insurance coverage during transit (both ways) as well as during the days of the exhibition.

All property of an exhibitor stored in the Strong Room or any other place at anytime is stored at that

Exhibitors’ own risk. Each Exhibitor must have, at all times, valid and adequate Insurance Cover against

theft, damage to property, personal injury, third party loss, accidents, natural calamities, acts of God and

such other risks normally insured against by Exhibitors and / or as the Organiser may require, including,

without limitations, use of the Strong Room. Please contact insurance agents for further advice.

Overnight Storage and Related Transportation of Precious Goods

Brink’s Arya India (P) Ltd is a designated service provided for overnight storage and related secured

transportation of precious cargo (Goods) for the Best of India Jewellery Show – Bangalore Edition

Timing for Withdrawal and Deposit of Precious Goods

The Exhibitor shall ensure & be solely responsible:

1. To hand over the Goods to Brink’s Arya India (P) Ltd for overnight storage using only ‘Hard Top’

bags, to ensure appropriate protection for their contents during handling and storage

2. To ensure that the Goods are properly packed and each bag is securely sealed, so that the Goods will not be

susceptible to any loss during handling, transportation & storage

3. To ensure that the outside of each bag is clearly and securely labeled with the Name, Address and Phone

number of the Exhibitor along with the Stall / Booth number, clearly visible on both sides of the bag

4. To ensure that the weight of each sealed/locked bag does not exceed 20 kgs at a time

5. To maintain a record of all Goods packed & sealed in the bag each day

6. To retain ultimate responsibility and liability for any and all taxes, freight, duties, charges & all other statutory

& government levies

7. To adequately insure the Goods which have been given to Brink’s Arya India (P) Ltd for overnight storage, and to

have Brink’s Arya India (P) Ltd as a co-assured in the Exhibitors Insurance Policy. Brink’s Arya India (P) Ltd shall

not accept any right of recourse by the Exhibitors and / or their insurers

8. To pre-register their authorized representatives with Brink’s Arya India (P) Ltd, along with their Names,

photographs & signatures, for the purpose of handing over / taking delivery of their bags (Goods) to/from

Brink’s Arya India (P) Ltd each day

Note: Change in Authorised Personnel is discouraged in the best interests of the exhibitors. No substitution of

persons will be accepted after the day of commencement of operations for the exhibition i.e., 15th April 2011.

Brink’s Arya India (P) Ltd:

1. Accept the Goods for overnight storage and related transportation only.

2. Accept the Goods on a “said to contain” basis in the packed & sealed / locked bag.

3. Arrange for overnight storage and related transportation of the Goods handed over by the Exhibitor, after each

day of the exhibition.

4. Arrange to hand over the Goods to the Exhibitor each day in the morning, against production of the original tag

given to the Exhibitor against receipt of the Goods. The Goods will be handed over only to the authorized

representatives of the Exhibitors who have been pre-registered with Brink’s Arya India (P) Ltd.

5. Accept a maximum of 2 bags per stall. Weight per bag should not exceed 20 kilos.

Security

Once the exhibition is closed the stall area must be restored to in its original condition. Exhibitors must mend any

damage caused to the floor, building or other exhibition structure or equipment by repairing the same or paying

the charge for repairs or replacement, whichever is applicable. Exit Passes will be issued only after all dues are

cleared.

Each Exhibitor is entitled to get Exhibitor Badges. These Badges will be available at the Exhibition Venue on

14th & 15th April 2011.

Please fill up Form No. 03 with the names of your sales personnel who will be present during the show at your

stall, together with their passport size photograph enabling the Organisers to issue Photo-Identity Badges.

Please note that without proper photograph on the badges, no person will be allowed to man the stall, for

security reasons.

Elaborate security arrangements including electronic surveillance have been made at the venue using the

services of Uniq Detective & Security Services, Bangalore – the topmost agency. However, for all their

precious materials, Exhibitors are advised to avail of the Strong Room Facility, after the exhibition

hours prearranged by the organisers at no extra cost. Exhibitors should take care of their exhibits during

the exhibition hours.

Entries and Exits will be strictly controlled by use of Photo Identity Cards. Exhibitors and their Visitors are kindly

requested to observe the rules and maintain the discipline required.

For details, please read the insurance clause.

Each Exhibitor will be given 10 Complimentary Entry Passes for every 9 sq.mtrs. from the Organizer for inviting

their clients The Entry Passes should be exchanged at the registration counter showing their photo and ID proof.

These passes will be valid for all 3 days of the show.

Exhibitors please note that entry into the Exhibition Hall is not permitted against exhibitor’s self printed

invitations.

Please note: 3 complementary lunch coupons per day will be provided to each 9 sq.m. stall.

A First Aid Box will be available at the Organiser’s Exhibition Office. It is however recommended that exhibitors

keep a small stock of emergency supplies such as pain killers, band aids, iodine, cotton wool, etc. There will be a

Doctor-on-Call. Phone numbers will be available at the Exhibition Office and Reception. There will also be an

arrangement for calling ambulance in an emergency.

Fire extinguishers will be placed at strategic locations.

Exhibitors should utilise the services of the Official Photographer, who will be available at the venue, appointed by

the Organisers for their requirement. No other photographers by the Exhibitors will be allowed inside the

Exhibition Hall, for security reasons.

1. All Manufacturers, Dealers, Whole sellers, Designers intending to exhibit their products shall be registered

under Sales Tax/VAT Act in their respective States.

2. The Goods intended to be displayed by the Exhibitors shall be accompanied by a Delivery Challan and any

other document specified by the respective State Governments for the movement of Goods.

3. The Goods shall be accompanied by a “Delivery Challan” of the participants disclosing the Consignee as

“Self” at the Address of the Exhibition at Palace Grounds, Tripura Vasini (A/C), Bangalore, Description, Type,

Quantity and approximate value of the Goods.

4. The goods shall be accompanied by copies of the Registration Certificates under Sales Tax/ Vat Act of their

respective States.

5. The goods shall be accompanied by a self declaration stating the goods are meant for display at the Exhibition

and that they are not meant for sale.

I. For Exhibitors

Entry into Exhibition Hall for representatives of the participants of BIJS will be allowed only on the basis of

(Photo Identity) Exhibitor Badges.

II. For Exhibits

Entry of vehicles into the Venue will not be permissible during the fair. However, vehicles carrying exhibits etc.

will be allowed into the Venue up to 8.30 a.m. and after 8.00 p.m. with prior approval of the Organiser.

Temporary Exit permit will be required for taking out any material from the Exhibition Hall during the

exhibition period, but only during pre or post exhibition hours. Temporary Exit permits will be issued by

the Organisers only.

BIJS will officially close at 7.00 p. m. on 17th April 2011 evening. It is mandatory that clearance of all dues in

Exhibitors to obtain the final Exit Gate Pass from the Hall Manager.

For taking out the exhibition materials and exhibits after the closure of the exhibition, exhibitors would need a final

exit gate pass from the organizers. The exhibitors should contact the hall manager for obtaining a ‘No Dues

Certificate’ and approach organizers office for final exit gate pass. The final exit gate pass format to be produced

on the company letter head in triplicate is at Form-6.

Please Note The Final Exit Gate Passes will be given to the exhibitors only on the condition that all dues towards

participation are cleared. A copy of each final exit gate pass issued will be retained by organizers, venue

authorities and security personal at the gate. The last copy is to be retained by the exhibitor.

1. Exhibitors and Registrants (hereafter referred as Applicants) shall be bound by the conditions, rules and

regulations set forth in this agreement. Any changes must be made in writing and signed by the authorized

official from The Best Of India Jewellery Show ( hereafter referred as organizers), who shall have the full rights

to change, alter, modify and / or these rules, provided that such amendments and additions do not operate to

diminish the rights reserved for the Exhibitor / Applicant under this contract / application and shall not

operate to increase liabilities of its Sponsors, Organisers, Agents or Employees.

2. The exhibitor will be allowed to exhibit only after he has made the due payments payable before the

exhibition as mentioned in the contract / application.

3. No exhibitor has the right to assign any other firm or person or to sublet the whole or any part of the

space contracted.

4. Exhibitors will not showcase the products / exhibits in a manner that is objectionable to other / adjacent

exhibitors and should not obstruct the adjoining exhibit. All lightings, phonographs, radios, or other sound

devices operated, if objectionable to the Exhibit Committee will not be permitted.

5. Attendance hours shall be controlled solely by the Exhibit Committee who will specify hours etc., and

admission shall be by the invitation, ticket or badge only.

6. Identification badges will not be transferable.

7. No exhibitor will be allowed to remove his exhibit from the exhibition hall, prior to the end of the fair.

The exhibitor shall have an authorised representative present at the exhibition hall throughout all

exhibition period and during the installation and dismantling of his exhibit.

8. The execution of the Application and its receipt by organiser is deemed conclusive evidence of the

Applicant’s agreement to pay the full fees due from the date of signing this application. The application

is non-cancellable by the Applicant. The Applicant further acknowledges that organizers having

incurred expenses as a result of the contract, is not required to refund any of the fees agreed to in the

application and that organisors is also entitled to any unpaid amounts that may be due by the Applicant

to organisers.

9. The Exhibit Committee, organisers, Sponsors, its Agents and Employees are not responsible for any loss,

damage or delay incurred in freight shipments (transport, handling and clearing) into and out of the country in

which the exhibition is held. Exhibitors are requested to adequately insure all shipments.

10. No food or drink may be taken into the Exhibition Hall.

11. Exhibitor expressly acknowledge that no representations whether oral or in writing-expressed or implied –

have been made concerning the amount of business to be gained from the exhibit, its success or that

organisors, or any of their subsidiaries or affiliates, employees or other entities allied with them have made

any guarantees or assurances concerning the exhibition. Exhibitor further acknowledges that this document

constitutes the entire agreement and the binding rules and regulations existing between the parties, and that

he has been given no oral change and modification. No one is authorised to make any oral changes in this

agreement.

12. Space Allocation and Use:

(i) The Organisers reserve the right to allocate booths in any manner they deem fit and all decisions to such

effect shall be final.

(ii) The Organisers are entitled, in their absolute discretion, to change withdraw or otherwise deal with

exhibition space allocated to an Exhibitor or change the dates and / or venue of the Exhibition even if such

matters have been confirmed, and, in such circumstances, the contract between the Organisers and the

Exhibitor shall continue to bind the parties as appropriate.

13. Insurance, Indemnity by the Exhibitor and the Organisers exclusion of Liability

(i) The exhibitor must have, at all times, valid and adequate insurance cover against theft, dacoits, terrorism,

use of Strong Room service, damage to property, personal injury, third party loss, accidents, natural

calamities, acts of God and such other risks normally insured against by Exhibitors and / or as the

Organisers may require, in connection, with, inter alia, the Exhibitor's property and its activities during

the Exhibition (including the moving in and moving out periods). And it is made that the Organisers, is not

liable or responsible for whatsoever risk, loss that the exhibitor incurs at the Exhibition or that the

Transmission of goods inside / outside the Exhibition.

(ii) The Exhibitor's property is brought to, displayed and stored at, and removed from the Exhibition Hall at the

Exhibitor's own risk and the Exhibitor is responsible for the safety of its property at all the times.

(iii) The Exhibitor agrees to indemnify the Organisers on demand, against all and any actions, claims,

demands, losses (including consequential losses), proceedings, damages, liabilities, costs and expenses

incurred by or made against the Organisers in connection with (a) any breach of any of these terms, rules

and regulations, the Exhibition Manual or any applicable laws and regulations by the Exhibitor or (b) any

act, omission, default or negligence of or loss or damage caused by the Exhibitor in connection with any

person, the Exhibition and the Exhibition Centre.

(iv) The Organisers shall not be liable for any losses (including consequential losses), damages, demands,

cost, claims, charges or other expenses of any kind suffered or incurred by the Exhibitor or any person

arising in connection with the Exhibition including without limitation, any theft, dacoit, terrorism, use of

Strong Room service, defect in the Exhibition Centre howsoever caused, cancellation or early closure of or

in the opening or closing of, the Exhibition for whatever reason outside the control of the Organisers, any

matter referred to in clause no. 13 (ii) of these terms, rules and regulations, any acts of God, howsoever

arising. The Exhibitor should insure against such matters. The Exhibitor shall be liable to any third party,

for, inter alia, any claims, injury or damage arising from its booths and its portion shell scheme.

(v) If the Exhibition is cancelled or closed early for whatsoever reason beyond control of the Organisers, the

Organisers performance under the contract shall be absolutely discharged and the Organisers shall

refund any rental payments (or portion thereof, as appropriate) made by the Exhibitor to the Organisers in

relation to the Exhibition and shall not be liable for any losses (including consequential losses), damages,

demands costs, charges or other expenses of any kind howsoever arising in respect thereof. The Exhibitor

shall insure against any such eventualities occurring.

14. All the counter sales must be carried out by issuing a VAT invoice. The organizers are not responsible for any

noncompliance and action taken by government officials in this regard. Further, the Organisers shall take

action as is deems fit including debarring the Exhibitor from participating in the Exhibition.

15. Failure of the Exhibitor is cancelled at any time before or during the Exhibition period to comply with any of

the Exhibition rules and regulations and conditions shall automatically deprive the Exhibitor the right to

participate any further in the Exhibition. Any claim for refund of any fee paid by the Exhibitor for the

Exhibition shall not be entertained by the Orgainsers.

16. This agreement shall be governed by the construed according to Indian Law. Any dispute between the parties

under this agreement hereby is submitted to the jurisdiction of Bangalore Courts. 16
