Important: Exhibitors are strongly urged to follow the Ingress and Egress schedule allotted them.
Any Ingress and Egress procedures done prior or beyond the prescribed schedule will not be
allowed. Charges for overtime shall be to the account of the Exhibitor. Payment of the booth
space/s does not include Overtime. Any activities beyond the Ingress/ Egress and show days
schedule will merit overtime charges.
Overtime Rates: The overtime fee shall be to the account of the Exhibitors who will request for
overtime. Overtime rate is on a per hall basis, based on the rules and regulations set by the Event
Venue Management (please refer to table no.2). Billing will be made before the start of the
overtime with accompanying overtime agreement contract for settlement on or before Egress.
Payments shall be made to the Organizer on or before Egress. Since the Venue charges overtime
rate per hall, overtime charges will be to the account of the Exhibitors with the total overtime
rate per hall divided equally among the number of the exhibitors that requested for overtime
within each hall.

ELECTRICAL CHARGES
Exhibitors are allowed to use electrical outlets installed by the Official Contractor. However,
electric consumption will be charged accordingly to the exhibitors. Exhibitors are required to
observe the maximum wattage capacity of 300 watts/ 220V per booth to avoid dangerous electrical
tripping and overload.
Since electric consumption, arising from the installation and use of the outlets duly requested
from the Contractor, is not included in the booth cost. Exhibitors are required to settle payment
for Electrical Charges on or before Egress. A billing statement for electrical charges will be
delivered to the Exhibitor’s booth.
Formula:
No. of kilowatts used x No. of Hours x ₱ 24.00 kilowatt/ hour = Total Amount Due
C. BOOTH CONSTRUCTION
PRE- EVENT
1. Submit via facsimile transmittal or via e-mail the Reservation Form (also found attached in
WORLDBEX 2019 brochure, flyer or print ad) to Worldbex Services International (WSI) or to an
authorized WSI agent. Indicate desired booth locations and numbers.
2. Should the booth/s of your choice be unavailable, WSI shall inform your company via
phone/fax/e-mail immediately upon receipt of your reply form about the other available booth
you can choose from.
3. Upon agreement on your desired booth spaces, WSI shall send via mail or personal delivery
the Contract of Agreement along with the Billing Statement to officially signify your
participation in WORLDBEX 2019.
4. An Exhibitor’s Manual along with other information materials will be given during Exhibitors’
Orientation Day. The meeting will be held before the exhibition dates. All exhibitors will be
informed by the Organizer through facsimile and are obliged to attend the briefing.
5. All exhibitors are expected to have read the Exhibition Contract and Manual thoroughly to
ensure proper conduct of the exhibit.
6. Every special design booth must submit the detailed, scaled, dimensional drawings and
perspective drawing to the Organizer 60 days before the exhibit dates subject for approval. It
is compulsory to seek approval from the Official Contractor and Venue Holder should the
height of your booth exceeds 3.5 meters in height.

INGRESS/ MOVING- IN/ SETTING UP
1. A memo will be passed to all exhibitors two weeks before the said date indicating their specific
build- up schedules during Ingress. All exhibitors are expected to be ready with their exhibition
materials by this time.
2. To get all the Exhibitor passes and materials from the Organizer please proceed to the
designated Ingress Area and follow the procedures below:
Step 1. Settle payments with the Accounting Desk and get Ingress Clearance
Step 2. Fill out the Waiver of Claims and submit to the Organizer.
Step 3. Accomplish three (3) copies of company delivery receipt (list of all items to be brought
inside the exhibition hall) and attach to the Official Organizer’s Gate Pass. Each copy will be
given to the guard, to the Organizer and to the exhibitor.
AV Declaration Forms: Fill out the AV Declaration Forms for any audio visual equipment or
gadgets to be carried in and out from the exhibition hall. “Security Stickers” will be issued by
the Organizer to every equipment being carried out in/ out from the exhibition hall for security
checking.
Step 4. Fall in line to the first letter of your company name submitted to the Organizer (letters
are done alphabetically) to get the Exhibitor’s Ingress/Egress Ids, Exhibitor’s Ids, Car Pass,
Delivery/ Truck Pass, Gate Pass and other materials. Allotment of Ids is shown below. Extra Ids
have to be purchased from the Organizer. Ids should be worn at all times and are NOT
TRANSFERABLE. Strictly NO ID, NO ENTRY.
Booth Ids: Exhibitors are required to submit a list of all personnel who will man the booth/s
for the entire 5-day event 60 days before the exhibition dates.

Temporary Passes: Temporary passes are for supplier’s general worker, dispatch or lorry driver
who delivers items to the respective exhibitor’s booth. Passes can be collected from the
Organizer’s booth. They must surrender a personal valid ID and properly log the time in and out.
They are advised to remain in the exhibition hall for not more than 15 minutes. If overstayed, lost
and misplaced, they will be charged five (5) times the cost of the ID or entrance fee.
Step 5. Get additional materials if any and proceed to Ingress.

EXHIBIT PROPER
1. Exhibition halls open one (1) hour before the exhibit proper. Replenishing of goods and stocks,
fixing and arranging of booths should only be done within the given period. All users of the
exhibit halls are expected to ensure cleanliness within their own booth.
2. Exhibitors are expected to take necessary measure to ensure safety of their display within
their booth premises. Provide your own booth cover, net or sting to secure your booth. The
Organizer and the Venue Owner are not responsible for any losses or damages that may occur
inside the hall and within the exhibit venue premises.
3. Seminars and activities will be held during the exhibit dates. Seminar schedules will be posted
on the Bulletin Board of World Trade Center, East Wing and SMX.
EGRESS/ MOVING- OUT/ DISMANTLING
1. To get the necessary documents for Egress kindly proceed to the Organizer’s Office and follow
the procedures below:
Step 1. Settle all pending payments for additional equipment, electrical consumption, booth
rental and all other requirements, etc. on or before 3:00pm of March 16, 2019
Step 2. Fill out the Exhibitor’s Survey Form and submit to the Organizer
Step 3. Accomplish three (3) copies of company delivery receipts to be attached to the Official
Pull- out Gate Pass.
Step 4. Get additional materials if any and proceed to Egress.
General Rules:
A. Those wearing slippers, sandos and short pants shall not be allowed entry into the exhibition
hall.
B. Sanitation within the booth area shall be maintained by the exhibitor.
C. All exhibitors are strictly prohibited from using the aisle as display/ storage during Ingress and
show days. Please keep materials within your designated booth areas.
D. The entry of heavy equipment must have prior written permission from WTCMM; the floor
loading capacity is 250 lbs/sq.ft.at WTCMM only. Entry of heavy equipment are prohibited
at East Wing A & B and SMX.
E. No one is allowed to use the main entrance at any given time to bring in items to be used/ sold
during the fair. Exhibitors are advised to use the loading bay entrance for this purpose.
F. The height limit for all structures/ booth displays/ booth design is 6 meters for World Trade
Center; 3.4 meters for East Wing A & B and North Wing; middle booths, 2.4 meter for East
Wing A & B Perimeter booth and 3.5 meters for SMX. However, all exhibitors who will
consume the maximum/minimum height limit must submit the design/ perspective to WSI
not less than 60 days before Ingress
G. Persons below 10 years old are not allowed during Ingress and Egress.
H. Ingress and Egress starts exactly at the given time. All exhibitors with special booth designs are
expected to assemble and to dismantle their systems within this period. Assembling and
dismantling shall be done by the Official Contractor for those exhibitors who availed of its
booth system package.
I. No bringing in of foods and drinks inside the exhibition hall.
J. The Exhibitor is responsible for the daily cleaning and maintenance of their booth/s, the
Organizer will be responsible in cleaning the gangways only.
K. No Production number will be allowed on the booth (emcees & very loud sound system will not
be allowed)

D. WTCMM RULES AND REGULATIONS
1. No Exhibitor is allowed to move in or move out the exhibit goods without prior clearance and Gate
Pass before the scheduled time.
2. Electrical Consumption arising from the use of the power outlets will be charged accordingly by
the Organizer.
3. Exhibiting company is prohibited from spray painting, punching by screws and nails, pasting or
any action that may otherwise damage or disfigure the booth modules, shells, framing system.
Any such damage to booth modules or exhibition premises will be invoiced to the Exhibitor. Only
retouch painting of odourless paints with brush or rollers are allowed inside the exhibition hall.
Proper wall and floor covering must be used to prevent staining thereof.
4. Hanging of heavy loads from the exhibition hall ceiling structure is regulated. Only 1,000 kilos load
per truss is allowed and proper rigging points is to be observed (for WTC main hall only). A permit
from the Venue Management is strongly required. However, nailing, drilling or fixing onto the floor
is prohibited. Inclusive of any column, wall or any other part of the Venue.
5. No bolting, nailing, tacking, screwing and boring of holes and gluing of adhesives or devices of any
description likely to deface or damage walls, floors, furniture and furnishings on any part of the
exhibition venue.
6. No welding, grinding, heavy sawing and cutting of any construction material. No on- site build- up
from basic material to finished construction is allowed inside the exhibit hall. Only the assembly
of pre- fabricated components is allowed to be done on site, provided that prior written approval
from organizer is obtained.
7. For construction of double deck or structure of more than 3.5 meters height, plans and
specifications duly signed by a registered civil or structural engineer are required. These
documents will have to be submitted for evaluation and approval of WTCMM at least 60 days
before the construction of materials (applicable to WTC main hall exhibitors only).
8. Do not decorate or display company name using the side and back panel or partition and of your
neighbouring booth as well. Cover with white/ black cloth or paint with white/black paint the side
panels or back panels facing your neighboring companies. Failure to do so will penalize the
exhibitor.
9. No display of materials/ storage access construction behind perimeter booths in compliance with
the Fire and Security Regulations.
10. All constructions, installations or activities carried out, apart from those agreed in the sales
package shall be at the expense and responsibility of the Exhibitor and be done in such a manner
as to cause no unnecessary disturbance or disruption to the activities of the other users of the
Venue.

11. Multi- socket points may not be fitted as it may cause an overload and tripping. No tapping of
electrical connections to the building power points. Exhibitors are obliged to submit power load
requirement to the Official Contractor for proper installation of electrical supply to avoid power
interruption during exhibit proper.
12. Pasting of banners, posters and any other materials on walls, comfort rooms, columns and floors
are not allowed.
13. No tapping of water connection is allowed without prior written permission and supervision of the
Venue and the Official Contractor.
14. Strictly no cooking within the exhibition hall.
15. Liquors and other alcoholic beverages shall not be allowed in the exhibition hall except when
requested and approved by the Organizer.
16. Inert gases, combustible materials, toxic substances and other open flames are not allowed unless
with prior written permission from the Venue.
17. Exhibitor’s goods shall be removed from the exhibition hall and shall be held by the Organizer until
full payment of accounts. Likewise, the Exhibitor shall be held liable for any losses and storage fee
shall be charged accordingly.
18. For the protection of the general public, the Organizer, its Exhibitors and visitors and personnel of
the Venue, firearms and deadly weapons are not allowed entry even if accompanied with proper
government permits, documentation or licenses, if these are not for exhibit purposes.
19. The Organizer and the Venue Management reserve the right to refuse entry of persons, materials
or equipment which it considers detrimental to public safety.
20. Smoking is not allowed in the entire premises of WTCMM, East Wing A & B, North Wing and SMX.
21. Food and drinks are not allowed to be brought inside the building (there are restaurants and food
kiosks to serve food and beverage requirement of the clients and guests).
Note: (a) General hall lighting and air- conditioning will be switched on one (1) hour before the exhibition opens
and switched off exactly 15 minutes after the exhibition closes throughout the whole period except for Ingress
and Egress. (b) Exhibitors are not allowed to cover exhibits during exhibition hours and also not allowed to
dismantle, pack or remove exhibits before the last day of exhibition. (c) All activities and display items (model,
bunting stand, rack, etc.) conducted by Exhibitors, must be within the exhibit space only. Distributions of leaflets
or promotional items are strictly confined to the Exhibitor’s booth area. Other areas in the exhibition hall are
strictly prohibited. (d) Exhibitors must ensure that their respective booth/ display stand must be fully staffed and
fully displayed with exhibits at all times during the exhibition hours. (e) Do not leave booths unattended during
the Exhibition Operating Hours. The Organizer will not be held responsible for any loss of/ damage to exhibits
neither on exhibition day nor should exhibitors fail to move out after the Egress day.

SMX Convention Center RULES AND REGULATIONS
1. Affixing of Decorative Materials
Nothing may be taped, screwed, stapled, nailed, tacked or otherwise affixed to ceilings, walls, painted
surfaces, fire sprinklers, or air conditioning vents. Posting of decals and other stickers on the walls is strictly
prohibited. Backdrop banners should be supported by stand-alone frame support. Any damage shall be
charged to the Event Organizer, or deducted from the Building Protection Bond.
The SMX Management reserves the right to remove any material that is not in compliance with the
agreement during the contractors’ set-up.
2. Air Conditioning
Air conditioning will be provided during the event proper. Any requests for air conditioning outside the
published event hours will be charged accordingly.
3. Animals
Animals are not allowed within the Convention Center premises, except if the animal is legitimately part
of an approved exhibit. If allowed, the Event Organizer will be liable for any damages or injuries it will
cause. They will also be responsible for all sanitary requirements associated with the animal.
Special considerations will be made for service animals that assist law enforcement personnel and
persons with disabilities.
4. Candles
The use of candles is not allowed within the SMX Convention Center, except when given special approval
by the Operations Manager and the General Manager. If allowed, hurricane holders will be required for
each candle.
5. Carpentry
Carpentry is not allowed unless properly coordinated with and approved by the SMX Management.
6. Carpet and Wall Coverings
The Event Organizer is responsible for any damages on the carpet and wall coverings during ingress, event
proper and egress. Damages such as cuts, rips or tears, as well as major stains will be charged accordingly.
Depending on the set-up, the SMX Management may require protective covering for the floor/carpet.
7. Delivery of Goods and Arrival of Exhibitors (Ingress)
All goods will be inspected prior to entry. Prohibited materials such as firearms, gunpowder, ammunition,
explosives, drugs, radioactive materials, and goods beyond the building’s capacity that may hinder normal
operations will be denied entry. Only items that are declared on the Gate Pass (provided to the exhibitors
by the Event Organizer) will be allowed entry inside the premises. All deliveries must be directed to the
loading bay at the back of the building. The main lobby (front) is for personnel only.
The delivery bay area will only be opened during the stipulated ingress and egress hours. All personnel
must wear the contractor or exhibitor ID issued by the Event Organizer. The “No ID, No Entry” policy will
be strictly enforced.
8. Egress
All booths, stages and other equipment need to be dismantled and transported out of the Convention
Center within the stipulated egress hours. The SMX Management reserves the right to confiscate or
dispose of any materials left behind by the Event Organizer, the contractors and the exhibitors if
unclaimed within the holding period of one (1) month.

A thorough inspection will also be conducted upon the exit of exhibitors and their goods. Items that are
not listed in the Gate Pass may not be brought out of the facility. As with ingress, the cargo must pass
through the loading bay
9. Exhibit Areas
Exhibitors are responsible for the carpeting within their respective booths/areas. For exhibits on carpeted
areas, exhibitors are required to have additional protective carpet laid on top of the Convention Center's
carpet to protect it from possible damages. No alterations may be made on any part of the facility. All
electrical installations and tapping, plumbing and other fixtures will require approval from the SMX
Management, and must be undertaken by the official booth contractors if allowed.
10. Exhibit Goods and Demonstrations
Prohibited materials (listed under Delivery of Goods and Arrival of Exhibitors – Ingress section of this
manual) are strictly not allowed inside the premises. Please consult your Event Services Officer for more
information.
The SMX Security Department may provide the exhibitor with a laptop cable lock upon the request of the
Event Organizer. The cable will only be unlocked by SMX Security when the owner leaves the venue. Due
to the limited number of laptop cables, provision will be on a first come, first served basis.
Exhibit demonstrations must not be threatening to persons and property nor annoying to neighboring
booths and the general public. Indecent displays will not be tolerated. The SMX Management reserves the
right to remove such materials without permission from the exhibitor or the Event Organizer.
11. Food and Beverage
The Convention Center has accredited caterers to service all events within the venue. The Event Organizer
and their caterer of choice must coordinate with the Event Services Officer regarding the specific
requirements. No food and beverage may be brought inside the building unless coursed through the
accredited caterer.
The catering staff must be in uniform while inside the premises, and they must enter through the service
entrances at the back of the building. Caterers are responsible for the disposal of their own trash.
No storage rooms will be provided for food and other equipment; the kitchens will only be opened on the
day of the event. In addition, the SMX Management will not provide equipment to the caterer for buffet
purposes.
12. Helium Balloons
Helium balloons may not be sold or distributed inside the Convention Center. These are not allowed
within the facility.
13. Lights and Laser Displays
The SMX Management reserves the right to regulate the use of lights and laser displays of an event or
exhibitor if and when it interferes with other ongoing presentations and exhibitions.
14. Load Limit
The Function Rooms, Meeting Rooms and the second level pre-function lobby can hold 100 lbs. per square
foot. The maximum capacities of the car lift and the freight elevators are 4,000kg and 2,500kg, respectively.

15. Loading Bay
The Loading Bay at the back of the building has provision for 15 cargo trucks. There are two (2) freight
elevators and one (1) car lift to haul the equipment intended for the second level. Each Hall in the ground
level has a roll-up door with a vertical clearance of 4.2 meters.
The Loading Bay is solely intended for loading and unloading exhibit items, and may not be used for
parking of delivery trucks and other vehicles.
16. Other Prohibitions
Sleeping and gambling are strictly prohibited within the facility.
17. Painting
Spray-painting is strictly not allowed within the facility. Painting may be allowed for minor re-touching of
pre-fabricated modules, and must be done with water-based and odorless paint and a paintbrush or a
small roller brush. Protective covering for the floor/carpet must be provided by the Event Organizer or
contractor. This must be coordinated with the SMX Management for approval.
18. Pyrotechnics
Only SMX accredited suppliers may handle pyrotechnic requirements of the client.
19. Safety
Safety certifications (government standards) are required for certain exhibitor displays and equipment.
The exhibitor will be liable for personal injury or damage to the facility caused by the display module. The
doors to the emergency exits must be kept clear at all times. It is strictly prohibited to install or display
anything that could block the path to the exit.
The automatic sprinklers must also be free from obstructions. For exhibits directly underneath a sprinkler,
there must be a clearance of at least two (2) meters between the sprinkler and the top of the exhibit booth.
Scaffoldings must be covered in black cloth, and a whole plywood not less than ¼ inch thick must be placed
under the scaffolding at all times. All legs of the scaffolding should rest on the plywood.
All electrical wires on the floor must be covered by rubber ducts. Carpets need to be securely taped to the
floor, and the color of the duct tape must be similar to the color of the carpet or the floor.
20. Smoke Machines
Smoke machines may be allowed with approval from the SMX Management, but the usage should be
minimal, as excess smoke could trigger the automatic fire alarm and sprinkler system.
21. Smoking
The SMX Convention Center is a non-smoking facility, compliant with the Tobacco Regulation Act of 2003
(Republic Act 9211), which prohibits smoking in all enclosed spaces that are open to the general public. In
the interest of public health and safety, designated smoking areas are located outside the building.
22. Sound Volume
The SMX Management reserves the right to regulate the volume of music and sound system of an event
or exhibitor if and when it interferes with other ongoing events, presentations or exhibitions. Drumming
and other loud music will not be allowed in the common lobby areas during simultaneous events. Sound
systems installed in the common lobby areas will be monitored to ensure proper volume levels.

23. Supervision/Responsibility Fee (SRF)
The SRF is charged by the official exhibit contractor to sub-contractors hired by individual exhibitors for
the designs of their own areas. The official contractor thus becomes responsible for monitoring the work
of the sub-contractors, and they will also be liable for any damages on the venue.
24. Telephone Lines
Requests for telephone lines must be coordinated with the Event Services Officer at least three (3)
business days prior to the event. For exhibitions, one (1) complimentary telephone line will be installed
for the Secretariat. Additional telephone line requests will incur installation charges and service fees to be
charged to the Event Organizer.
25. Waste Disposal and Sanitation
The SMX Housekeeping Staff will be responsible for the waste disposal in the common areas such as the
lobby and restrooms.
The leased premises must at all times be kept clean and presentable and within sanitary conditions
according to the SMX standards. The Event Organizers must advise their exhibitors to provide receptacles
and sufficient containers for trash inside their respective booths. Event Organizers may opt to employ the
services of the building’s janitorial agency for the cleaning requirement for a fee.
Caterers and food concessionaires are responsible for hauling out their own trash, as these cannot be
thrown in the venue’s disposal area.
26. Water Features and Displays
The use of water features such as, but not limited to fountains, ponds, or waterfalls must be approved
and supervised by the SMX Management. The Event Organizer must provide protection for area/s where
the fixtures will be placed.
27. Welding Equipment
Welding is not allowed within the facility. Exhibit modules that require welding must be constructed at
another location before they are brought to the Convention Center.
28. Wi-Fi/Internet
Wi-Fi and internet access is available upon request with corresponding charges. This must be coordinated
with the Event Services Officer two (2) weeks prior to the event. PhilCom is the building's official provider.

F. CANCELLATION OF PARTICIPATION AND FAILURE TO EXHIBIT
Should there be requests for release from the contract and should the Organizer agree to it, the Exhibitor will be liable for all, or part of the cost stated in the Contract in accordance with the following scale below. Cancellation Period must be before the show.

In Recognition of the creative efforts of those exhibiting with special booth designs, the Organizers will award the Best Booth Design Award for Special Booth Design classified into two(2):Large Scale (5- 10 booths);and Small Scale (2- 4 booths) and Standard Booth System following the criteria below: 25% Concept/Originality 25% Design 25% Construction 25% Over-all presentation The Award will be given at the venue during the 5-day event. Renowned architects, interior designers and engineers will compose the panel of judges for the Best Booth Design selection. I. LOCATION MAP/VENUE
The World Trade Center Metro Manila on Roxas Boulevard is the home of the Worldbex Services
International shows. It’s convenient location, well-guarded grounds and spacious parking means it’s easy
to reach by private of public transport. Here’s a reference guide for those who wish to go to the Philippine’s
biggest trade fairs and events.
All-day parking is available within The World Trade Center Metro Manila premises for a rate of Php 40.00.
Likewise, you may park at the Manila Bay Home Depot along Diosdado Macapagal Avenue.
Metered taxis, jeepneys and buses are widely available in the area. Alternatively, you may opt to take the
railway system. The LRT connects the northern district of Monumento to the southern district of Baclaran
with stations situated at major intersections (including Sen. Gil Puyat Avenue). The MRT traverse the length
of EDSA and connects North Avenue in Quezon City to Taft Avenue in Pasay City, passing through the
financial district of Makati.
