DEVELOPING SUB-TEAMS SESSION
•What does leadership need?
–How many teams?
•Who needs to sit on each team?
•What are the roles of the team?
•Who is going to chair the team? (Private
and DHHS)
GETTING COUNTY “BUY-IN” TO THE TEAMING PROCESS
• Joint gathering of ALL County Staffs to share specific
information regarding what each team is charged with
and to recruit membership.
• Share how each team will address numbers
–Celebrate success and challenges

PREPARING FOR SUB TEAM MEETINGS
Schedule Regular Meetings
– Frequency determined by county
– Should be before the leadership meeting

•Develop Agendas
– Ask members for their thoughts
– Develop an agenda style that is easy to read
– Agenda should go in order of meeting discussion
EXAMPLES: AGENDA

•Membership- Standing Agenda items
– Whose missing at the table?
– Evidence suggests no more than 10 per team. There are
exceptions to this
DURING MEETINGS
• Introductions at beginning
• Pass around a sign in sheet
• Identify a note taker for the group (standing/rotating)
• Discussing ground rules for meetings
DURING MEETINGS
•Need to ensure ALL voices
are heard
– Draw out the silent members
– Purposeful in soliciting thoughts from
each and every member
DURING MEETINGS
•Respectful Atmosphere
– Everyone can agree to disagree
• Open Mindedness (No idea is Stupid!)
– Utilization of Brainstorming Strategies
DURING MEETINGS
• Develop action plans to propose to leadership
– Based on review of data reports (QSR, CFSR, MMR, Fidelity; etc.)
EXAMPLES: ACTION PLANS

• Specify action steps for which members are
assigned with tasks.
•Designate time frames for tasks to be
completed.

•Address any concerns or questions from
members
•Discuss Agenda for next meeting
•Discuss times/dates that ALL members can
meet again.
IN BETWEEN MEETINGS
•Draft a meeting summary
• Send to all members for review first then to
leadership before their meeting
EXAMPLES: MEETING SUMMARIES

• Facilitators may need to follow up on progress
made on action steps.
IN BETWEEN MEETINGS
•May need to meet with leadership to gain insight
into whether the direction the team is moving is
consistent with their expectations.
–After meeting with leadership discuss the
outcome with the team at next meeting.
IN BETWEEN MEETINGS
• Send out next agenda and ask for member input
again.
GROUP DISCUSSION
• Give examples of times teaming discussions have been
beneficial.
– What made the meeting beneficial?
– How did the facilitator structure the meeting?
• What are some challenges you’ve experienced during
teaming meetings?
– What made the meeting challenging?
– What could the facilitator do to enhance the meeting structure?
