Times and distances quoted here are approximate and are intended to be used as a guide only. They are dependant on the route taken, and do not account for peak hours. At all times you should use your own judgement regarding these distances, timeliness at school bookings
and driver safety including the taking of regular breaks on long drives.

NOTESRental Vehicle - Damage, Accidents, Excess Reduction and refuelling
Avis - Under our corporate vehicle rental agreements with Avis, Musica Viva has reduced the excess to $550 (standard vehicle) and $1100 (commercial vehicle) in the event of an accident or damage (the usual excess
on standard vehicles is $2,500). Please ensure you pick up your car no more than 2 hours after scheduled time as Avis bills companies for cars not picked up when booked.
Hertz - Under our corporate vehicle rental agreements with Hertz, Musica Viva has reduced the excess to $770 (standard vehicles) or $1650 (commercial vehicles) in the event of an accident or damage to the vehicle (the usual excess on standard vehicles is $2,500).
Other rental companies – Other rental companies will have varying excess amounts ranging from $500 for standard vehicles to $3000 for commercial vehicles in the event of an accident or damage to the vehicle.
Further excess reduction - Upon collection of the vehicle, at the Group’s own expense, you may choose to take up the option of paying a per-day amount to further reduce the excess to between $0-$500 depending on the company (please check exact amount per day on hiring). Please note an option to further reduce excess is not available on our Avis Corporate Account.
As per the agreement with the Group, with all rentals, Musica Viva will pay 50% of that excess in the event of an accident or other damage to the vehicle or, at Musica Viva’s absolute discretion, we may pay more than 50% of the excess if the Group can show they were not at fault. Please ensure that prior to driving the vehicle away you complete an inspection of the vehicle and report any damage which has not been noted on the rental agreement to the rental company.
Please ensure you refuel the rental vehicle before returning it. Hire companies charge an excessive rate for refuelling if the car is not returned full and any refuelling costs charged back to Musica Viva will be recharged to the group (plus a 12% administration fee).
Petrol ExpensesThe group will be reimbursed for petrol costs only upon presentation of original receipts (credit card receipts will not be accepted). Please forward these to Laura Milner Operations Manager, Musica Viva In Schools, PO Box 1687, Strawberry Hills 2010 within one month of the end of the tour.
Domestic FlightsThe standard check-in time for domestic flights is 60 minutes for Virgin Blue and Qantas. Please ensure you arrive in sufficient time, especially if you are checking in instruments etc. Please note, whilst fare conditions vary, flights generally cannot be amended on the day of travel and no-shows for a scheduled flight result in forfeiture of the fare. If you would like changes made on your behalf please contact us well before the date of travel. Please also note that generally names on tickets may not be amended. Most tickets will be issued as e-Tickets. Please ensure you have a form of photo identification with you for check-in.
Excess BaggageIf you are required to check-in an item that is required for your performance and have been requested to pay Excess Baggage charges, and no previous arrangement has been made, please do so and request a Tax Invoice/Receipt for the cost of the charges. Musica Viva will reimburse these costs. It is preferable to see if the item can be taken onboard as hand luggage. If you think you may have excess luggage please advise your MVIS Coordinator before traveling.
Accommodation ExpensesGenerally accommodation costs will be charged back directly to Musica Viva. However you may be requested by the facility to provided a credit card imprint for all incidental costs (phone, mini-bar, meals etc). Any costs which have not been authorised by Musica Viva but are charged back to Musica Viva, will be recharged to the group (plus a 12% administration fee).
Accommodation Check In/OutMost hotels have a check-in time of no earlier than 2pm and check-out of 10am. If these times are unsuitable please advise your MVIS Coordinator prior to departure.

NB. From experience it is best not to book freight more than 48 hours in advance so the return freight will only be booked in whilst you are on tour. I will fax booking references through to the hotel where you are staying.
