MW TIP
Automatic members: Please upload the obligatory and optional documents yourself to your DocGS account (www.docgs.tum.de). If you do this regularly, you will know in good time, if your performance will be recognised. Please keep all original documents certifying your participation, in case they should be required by the Faculty Graduate Center.
Voluntary members: Please keep all original documents certifying your participation in courses. Three to four weeks before submitting your dissertation, you may request your transcript of records (Excel table) from [email protected]. Please fill out the form and return it together with your participation certification documents to the FGZ MW to be checked.When the transcript of records is complete, you may request your supervisor to sign it. After it has been checked and approved by the FGZ MW, it will be confirmed on DocGS that you have completed the qualification programme. (The approval process can take 1-2 weeks.)
You are cordially invited to the information session “Doctoral certification” in which the individual steps leading to certification will be explained and any remaining questions about completing your doctorate will be answered.

At the end of your doctoral pro-gramme at the Faculty Graduate Center Mechanical Engineering
Parts of the TUM Graduate School qualification programm require submitting of some documents during the doctoral programme. For deadlines, see ‘Qualification programme’ in Step II.
By the end of your doctoral programme, at the latest, you must have submitted the following documents or confirmation:
Automatic members of the TUM Graduate School (see the MW Tip)
Registration on or after 01.01.2014• Nomination of a mentor in addition to a supervisor• Participation in the 3-day kick-off seminar• Participation in the seminar ‘Good scientific practice’• Interim evaluation• Participation in subject-specific courses equivalent
to 6 semester credits• Proof of a peer reviewed publication as principal
author• Externally employed doctoral candidates:
Proof of integration in the academic environment for at least 20% of your normal working hours.
Step III
Optional certification to be confirmed by the end of your doctoral programme:• Participation in multidisciplinary seminars• International research and conferences• Teaching and supervision that you have carried out
Submission of dissertation, examination and certificate
1) Consultation with your supervisor regarding the examination committee
2) Electronic submission of dissertation via www.docgs.tum.de
3) After your membership at the TUM Graduate School and/or your registration in the doctoral candidacy list has been confirmed, you will receive your doctorate application.
4) Make an appointment with the Doctoral Office. Take the doctorate application and other documents listed thereon with you when you go to the appointment (at least 3 weeks before the professors’ meeting).

1. Submits dissertation using DocGS account
3. Submits 5 copies and doctorate application (incl. required
documents) to Doctoral Office
2. Confirms membership (if neces-sary) and registration in doctoral candidacy list. Requests office of
primary examiner to name members of Examination Committee
4. Sends submitted documents to
FGZ MW
At least 2 weeks
before PM
5. Informs FGZ MW who will form Examination Committee
6. Draws up list for Professors’ Meeting (PM) and
Faculty Council (FC)
PM and DCM8. After FC, receives letter informing that dissertation
has been sent to examiners
7. After PM and FC, sends copies of dissertation to Examination Committee
2-3 months10. Collects reports
from examiners9. Writes reports and send them to the Chair of the Examination Committee
As a rule 3 months after DCM
11. Requests commencement of faculty involvement
process from FGZ MW
12. Starts the faculty involvement process and confirms
due date of the voting to Chair of Examination Committee
At least 2 weeks before oral examination
13. Forwards oral examination details
to FGZ MW
14. Writes and sends invitation to oral examination
15. Oral examination
1-2 weeks
16. Sends the ‘Rücklaufmappe’/
documents to FGZ MW
17. Processes the documents and enters the results in the
system
18. Issues doctoral certificate
19. Publication of dissertation in accordance with regulations
20. Hands over certificate to
doctoral graduate
