Final Instructions WESTMINSTER HIGH SCHOOL FIELD SHOW TOURNAMENT WEDNESDAY, NOVEMBER 13, 2013 ARRIVAL AND PARKING – See map for directions to WESTMINSTER HIGH SCHOOL! Buses and equipment vehicles arriving from the east, via the 22, should exit at Golden West, turn left onto Garden Grove Blvd and then another left onto Golden West. Go south until main St, turn right into school and proceed to parking. Buses and equipment vehicles arriving from the south, via the 405, should exit at Golden West and turn right and go north on Golden West to Main St. and go left into school and then proceed to parking. Buses and equipment vehicles coming from the north via 405 or 22 can exit at Westminster or Goldenwest/Bolsa, see map. All other vehicles will find ample parking at Hazard entrance or front parking lot or adjacent neighborhoods. TICKETS-Each director will receive a badge and six wristbands in their packet upon arrival to use for instructors and staff. Call me at (714) 893-1381 ext. 4387 or [email protected] to request more if needed. Student’s chaperones and support personnel that are on the buses and equipment vehicles will have their hands stamped on arrival. Tickets should be purchased at the main gate for boosters, parents etc. at a cost of $10.00, $7.00 students/seniors, children 3 and under free. HOSTS-You will be met by your hosts at the check in table before you enter bus parking. The hosts will be able to answer or find the answers to your questions. The hosts will be with you throughout your warm-up and up to your performance. SEATING-Unit seating will be indicated on a map in your arrival packet. We hope you will be able to observe the performances of other groups. Seating is tight and we encourage you to return all instruments to buses before re-entering the stands after your performance. ADJUDICATION-Our tournament employs SCSBOA judges, using current sheets. The tournament will employ one head judge, five band judges (2 on music), an auxiliary judge, a percussion judge, and a tabulator. TIME LIMITS- Minimum of seven (7) minutes; Maximum of eleven (11) minutes. Timing will begin with the announcement “(school name) the judges are ready.” Timing ends when all personnel and equipment are off the field (side line or goal line). PENALTIES-See attached SCSBOA rules. A one point penalty can be assessed by the head judge if any band, in his/her opinion, warms up or plays in or out of the staging area or stadium, thereby interfering with a show in progress.

WARM-UP – Each band should be at the warm up area one hour before their performance time. Bands that are warming up should face away from the stadium so that they will not interfere with performing groups. NO AMPLIFIED METRONOMIC DEVICES PLEASE. If at all possible don’t have a rehearsal at the school, please be prepared to have a half an hour to warm up, be ready to begin warm up on time and this should not be a problem. Big, loud percussion sections should warm up within the school buildings east of the parking area. Auxiliary units will find warm up areas south of the parking area and near the tennis courts east of the parking area. ANNOUNCER-The tournament employs an announcer that will read what you have sent ahead of time, i.e. tournament announcement and post-show announcement forms, period. STAGING AREA-The band entrance to the stadium is the staging area. This is a silent area. You will be directed to proceed at the appropriate time by a staff member. Pit Crews should enter at the band exit, plan to get there twenty to thirty minutes before the performance time to observe process. AWARDS-Have leaders assemble at the south end zone at the end of Westminster’s performance. All bands will receive awards in their divisions, all auxiliary units will receive awards in their division, the top seven percussion sections will receive an award. There will be an award for high music, music effect, visual effect, and visual. There will be a Sweepstakes award for the highest overall band score, auxiliary score, and percussion score. FOOD SERVICE-There will be a wide variety of food and beverage items available at the concession areas. NO OTHER FOOD PREPARATIONS BY BANDS OR PARENT BOOSTERS ARE PERMITTED. Please cooperate and have your students use our concession stand inside the stadium. Programs, general admission and food sales are the only profitable part or our tournament and help pay for the awards that are presented. NO COOKING OR FOOD PREPARATION WILL BE ALOUD. VIOLATORS WILL BE CITED BY THE WESTMINSTER POLICE DEPARTMENT. VIDEO RECORDER OPERATORS AND PHOTOGRAPHERS-We no longer can allow anyone to use the top of press box, please let your video personnel know that this has changed, they will need to find a suitable spot for recording elsewhere and plan to record your group only. PERUSAL PERIOD-Five minutes will be provided for directors to check for tabulation errors. At that time, results will be declared final. Before the awards are presented, only the head judge is authorized to make changes in placement based on tabulation errors.

SCSBOA FIELD ADJUDICATION CONTEST RULES

Classification of Competitive Units 5.0 Penalty applied to the band only There are six (6) classes of bands in SCSBOA field show competitions. Classification of each band is based on the TOTAL number of Woodwind, Brass and Percussion Performers (Performing Musicians).

Performing musicians include all Brass, Woodwind and Percussion players. Drum majors or equipment/sound operators are not counted unless they also perform on a musical instrument.

Classification is as follows: 1A……….1-50 2A……….51-70 3A……….71-90 4A……….91-120 5A……….121-150 6A……….151-up (or fewer than 151 by Director’s choice)

Based on the above formula, bands will select the classification at their first SCSBOA adjudicated tournament. Once this decision is made, the group will remain in that division for the entire season. Bands may select to compete in a larger band classification if they wish. Bands may not compete in a smaller band classification.

Contest hosts will distribute a Field Tournament Application, which will include the “Band Classification Formula.” The host will forward this information to the SCSBOA Head Judge panel for the final band classification.

If the number of performing musicians exceeds the classification assigned to that unit, the group will be penalized. An application may be duplicated and sent to other SCSBOA adjudicated contests for classification purposes.

Note: Bands desiring to compete at SCSBOA adjudicated field tournaments must perform in their class at the assigned time. Bands may perform in exhibition if performing in class is not feasible. Bands performing in exhibition will receive comments and scores, however no placement will be assigned and no trophies will be awarded. Eligibility 1.0 Penalty applied to the band only SCSBOA defines a high school band as one in which all participating members are enrolled at the same high school. Other eligible students may include students from feeder elementary, junior high and/or middle schools.

The function of all field show elements, including operation of props and equipment, playing musical instruments, and oral presentations MUST be performed by participating student members. To clearly identify these members they are required to wear a uniform.

Support staff, adults and non-participating students may assist in bringing equipment and props onto the field and track but must vacate the field and track at the “Judges are ready” signal.

The only exception to the eligibility rule is the sound equipment operator. There will be no penalty for the use of noncompetitive personnel such as parents/students or directors who have been assigned to operate sound equipment.

The director may choose to conduct and may designate sideline conductors who are not participating student members.

Classification of Auxiliary Units At SCSBOA judged events, all non-musician performers (no minimum number required) will be adjudicated on the Auxiliary Adjudication Form. Standardization of Timing Limits Timing of Show: _________ Number of Points Penalty applied to the band only After the departing unit has made the field and the sideline accessible, the next unit will be allowed to enter when the announcer says “’X’ High School, you may now take the field.” (This announcement will be approximately four (4) minutes before the group is to perform.)

One minute later, the announcer will say “’X’ High School, you have three minutes.” Two minutes later, the announcer will say “’X’ High School you have one minute.” The official SCSBOA show announcement script will be read at this time.

One minute later, the Announcer will say “’X’ High School the judges are ready,” and the head Judge will begin timing. All announcements, pre-show and post-show, will be made by the official tournament announcer. Performance timing will end when the field (inside the sidelines and goal lines) has been cleared of all personnel and equipment.

Field performance time limits: Minimum 7 minutes. Maximum 11 minutes.

One (1) point penalty for each thirty (30) seconds or fraction thereof under time or overtime. Professional Courtesy/Local Site Rule 1.0 Penalty applied to the band only, after the first warning and at the discretion of the Head Judge No competing band, color guard or drum line may intentionally distract or disturb another performing unit in the parking area, in warm-up areas, while entering the field or while exiting the field. This includes, but is not limited to, inconsiderate use of loud metronome devices, full drum cadences played while exiting the field and additional rules set by the tournament host (attach tournament penalty/rule sheet). Tie-Breaker In the event of a tie in scoring, the following procedures will be instituted to determine the winner: BAND: The recaps are set-up to break ties with the higher music score. If there is a tie in the Music score, the Head Judge will request the Music Judge(s) to break the tie. AUXILIARY/PERCUSSION: The recaps are set-up to break ties with the higher Excellence score. If there is a tie in the Excellence score, the Head Judge will request the Percussion or Auxiliary Judge(s) to break the tie.

SCSBOA Championships Director membership in SCSBOA is required. All scores received prior to membership will NOT count toward Championship qualification. Any group desiring to qualify for SCSBOA championships MUST PERFORM in their division as scheduled throughout the entire season. Any out-of-class score received will not count towards championship qualification.

Host bands may perform in their own tournament to secure a qualifying score for the SCSBOA Field Championships. They must be scheduled within their appropriate class. Scores earned will appear on the official recaps. Trophies need not be awarded. Rain Policy When inclement weather or poor field conditions prohibit field performances, competitions may take place out of doors or inside Gymnasiums at the discretion of the tournament host and Head Judge. The entire judging panel will be used to adjudicate the music, general effect, auxiliary and percussion captions. Scores from these events will NOT count as qualifying scores for the SCSBOA Field Championships.
