Gilbert Historical Museum Date: January 21, 2016 – Immediately following the Annual Membership Meeting

Directors Present: Rebecca Field, Rita Mayer, Mark Sequeira, Ryan Ernsberger, Paul Gonzales, Jonathan Bailey, and Larry Weaver Management Company Representatives: Jen Amundson, Ruby Coronado and Chante Valdez Guest Speakers: Rod Milburn from ELS Call to Order With quorum met, the meeting was called to order at 8:01 p.m. by Paul Gonzales at the Gilbert Historical Museum in Gilbert, Arizona. Officer Appointments Rebecca Field made a motion to appoint Larry Weaver as Vice President for 2016. Jonathan Bailey seconded, with all in favor the motion carried unanimously. Rita Mayer made a motion to appoint Jonathan Bailey as Treasurer for 2016. Ryan Ernsberger seconded, with all in favor the motion carried unanimously. Jonathan Bailey made a motion to appoint Becky Field as Secretary for 2016. Larry Weaver seconded, with all in favor the motion carried unanimously. ELS Landscape Maintenance The landscape report was reviewed by the Board. SRP Erosion Paul Gonzales made a motion to approve the ELS Maintenance Inc. bid in the amount of $3,075, to repair the erosion in the SRP basin. Rebecca Field seconded, with all in favor the motion carried unanimously. Tree Trimming Bid Tabled 2016 Plant & Tree Replacement Bid Tabled Approval of Minutes Jonathan Bailey made a motion to approve the November 2015 meeting minutes. Larry Weaver seconded, with all in favor the motioned carried unanimously. Financial Report Rita Mayer made a motion to accept the November and December 2015 Financial Reports. Jonathan Bailey seconded, with all in favor the motion carried unanimously. Manager’s Report The managers’ report was reviewed by the Board. Website Maintenance Contract


Gilbert Historical Museum Date: January 21, 2016 – Immediately following the Annual Membership Meeting

Mark Sequeira made a motion to approve the Tekunoff Solutions, LLC website contract. Jonathan Bailey seconded, motion carried 6-0-1 with Rebecca Field abstaining. Secureone Resident Letter Review Tabled Tot Lot Rubber Surface Bid Tabled. Board of Directors would like to not be charged for the labor. Architectural Committee Board discussed to put a mini monument on the entrance of Warner Rd. Board will revisit at a later time. Social Committee Community dates will be confirmed at the February 18, 2016 meeting. Board discussed the Chili Cook Off and Easter Event. ELS Landscape Maintenance The landscape report was reviewed by the Board. 2016 Plant and Tree Replacement Bid Paul Gonzales made a motion to accept the ELS Maintenance Inc. bid in the amount of $4,235.00, to enhance certain areas of the property with new spring planting. Jonathan Bailey seconded, with all in favor the motion carried unanimously. Tree Fertilization Bid Jonathan Bailey made a motion to accept the ELS Maintenance Inc. bid in the amount of $1,755.00 to deep root inject several trees throughout the property with fertilization. Rebecca Field seconded, with all in favor the motion carried unanimously. Arborist Report – Tree Trimming Bid Paul Gonzales made a motion to accept the ELS Maintenance Inc. bid in the amount of $15,897.00 for the recommended tree pruning for vehicular clearance, pedestrian access, and tree health and risk management. Jonathan Bailey seconded, with all in favor the motion carried unanimously. Approval of Minutes Jonathan Bailey made a motion to approve the January 2016 meeting minutes with corrections. Paul Gonzales seconded, with all in favor the motioned carried unanimously. Financial Report Ryan Ernsberger made a motion to accept the January 2016 Financial Reports. Rebecca Field seconded, with all in favor the motion carried unanimously. Manager’s Report The managers’ report was reviewed by the Board. Insurance Jonathan Bailey made a motion to accept the Farmers Insurance bid for $5,375.00. Rebecca Field seconded, with all in favor the motion carried unanimously. Collections Policy Board of Directors accepted the collection policy as is.


Gilbert Historical Museum Date: February 18, 2016 – 7:30 P.M.

Block Walls Ryan Ernsberger made a motion to use $10,000.00 for block wall repairs starting at Warner & Columbus, working towards Mesquite, and from Mesquite to Sagebrush. There will also be touch up paint at the SRP Basin & Warner. Jonathan Bailey seconded, with all in favor the motion carried unanimously. Architectural Committee No discussion Social Committee Board discussed the upcoming Garage Sale, Chili and Rib Cook Off, Easter Event, and the Adult Movie Night. Replacement of Val Vista Clock Jonathan Bailey made a motion to accept the ELS Maintenance Inc. bid in the amount of $1,109.22, to replace the irrigation clock on Val Vista and Mesquite. Rita Mayer seconded, with all in favor the motion carried unanimously. Pine Tree Removal and Pruning Bid at 1639 E Spur St. Jonathan Bailey made a motion to accept the ELS Maintenance Inc. bid in the amount of $1,182.40, to remove the pine tree adjacent to the lot by cutting down and grinding the stump, crown cleaning and to prune selective branches off the pines. Ryan Ernsberger seconded, motion carried 5-0-1 with Larry Weaver abstaining. JWC Wall Damage Proposal Tabled ELS Maintenance Inc. Top Dress Bid Tabled Approval of Minutes Jonathan Bailey made a motion to approve the April 2016 meeting minutes with the completed corrections. Rita Mayer seconded, with all in favor the motioned carried unanimously. Financial Report Rebecca Field made a motion to accept the April 2016 Financial Reports. Torrent Resources Proposal – Drywells Ryan Ernsberger made a motion to accept the Torrent Resources bid in the amount of $11,021.84, to repair the drywells throughout the community. Jonathan Bailey seconded, with all in favor the motion carried unanimously. Manager’s Report The managers’ report was given by Jen Amundson and reviewed by the Board.
