Dear Parents and Campers:

Thank you for choosing the Town of Flower Mound Parks and Recreation Quest Camp Series!

We look forward to an exciting summer of fun. The program is intended to provide a safe and

entertaining atmosphere for children aged entering first through ninth grade.

Please take the time to go over this handbook with your child. It is very important that you and

your child understand the following guidelines:

SCHEDULE/HOURS OF OPERATION

Camp sessions:

Session I June 6 - 12 Session VI July 11 - 15 Session II June 13 - 17 Session VII July 18 - 22 Session III June 20 - 24 Session VIII July 25 – July 29 Session IV June 27 – July 1 Session IX August 1 -5 Session V July 5 – 8* Session X August 8 - 12 *no camp on M, July 5 Session XI August 15-19

The hours of operation will be:

*Early Drop-Off 7:00am - 9:00am

Regular Camp Hours 9:00am - 4:00pm

*Late Pick-Up 4:00pm - 6:00pm

*During these hours, campers will have supervised free time, as camp will not officially begin

until 9:00am and will conclude at 4:00pm.

Camp will begin each day at the Community Activity Center. Day Camp will meet in the Post

Oak and Elm Rooms. Adventure Camp will meet in the Chill Zine.

Discovery Camp and Explorer Camp Typical Day:

7:00am–9:00am: Free Time in CAC Multipurpose Rooms or Gym

9:00am–12:00pm: Games/Activities in the Gym or Outside

12:00pm–1:00pm: Lunch in Post Oak/Elm Rooms

1:00pm–3:30pm: Swimming

3:30pm–4:00pm: Snack

4:00pm–6:00pm: Free Time in the CAC Multipurpose Rooms or Gym

Adventure Camp Typical Day:

7:00am–9:00am: Free Time in Chill Zone or Gym.

9:15am–4:00pm: Field Trip

4:00pm–6:00pm: Free Time in Chill Zone or Gym.

Campers may spend quite a bit of time outside during each day. In order to protect them from

heat related issues, camp staff will limit the amount of time spent in the heat, provide a water

cooler and cups for the children, and encourage children to take breaks if they feel too tired. In

addition to these measures, parents are encouraged to send water bottles, hats, and other

protective clothing to camp with their children. Please be sure to label these items with your

child’s first and last name.

PICK UP AND DROP OFF PROCEDURES

A completed/signed Camp Registration Form and an Authorized to Pick-Up Form must be on

file for each child. Only those listed on the Pick-Up Authorization Form will be allowed to sign

participants in and out of camp each day. Picture ID is required for all individuals on the Pick-Up

Authorization Form. No exceptions. No child is permitted to sign themselves out of camp;

authorized individuals must enter the facility to officially sign-in and sign-out the child.

Authorized adults are responsible for picking up their children on time. After 6:00pm our late

fee policy is as follows:

$10: 1 TO 14 MINUTES LATE

$20: 15 TO 29 MINUTES LATE

$50: 30 TO 59 MINUTES LATE

Your child will not be permitted to attend any future camp sessions until all fees are paid. The

Camp Director will assess fees and submit them to the Program Coordinator to be added to

your account. We accept cash, checks made payable to the Town of Flower Mound, Visa or

MasterCard, or money orders as forms of payment.

CAMP DOWN PAYMENT

A non-refundable $30 down payment is required for each camp session your camper plans to

attend. These down payments will guarantee a spot for your child. Remaining registration fees

will be due by 5:00pm on the Monday one week prior to the registered session.

For example, a child wishing to attend Session 3 and Session 4 must pay a down payment of

$60 to have a spot held. The remaining balance for Week 3 is due in full on Monday, June 13 by

5:00pm. The remaining balance for Week 4 will be due Monday, June 20 by 5:00pm.

BREAKFASTS, LUNCHES, SNACKS

Breakfast - for Explorer and Adventure Campers - You may choose to purchase your child’s

breakfast from the CAC for $3.00.

Lunch – Explorer and Adventure Campers - Your child must bring his/her own lunch with a drink

in a cooler to camp every day. Lunches should also be ready-to-eat as there will not be a

microwave available for camp use.

-Explorer Campers only (not Adventure) - You may choose to purchase your child’s lunch

from the CAC for $6.00.

Snack – Explorer and Adventure Campers - All campers will receive an afternoon snack.

Breakfast/Lunch - Available a minimum of 1 day a week, up to 5 days a week (Monday – Friday)

Breakfast will include: box cereal, fruit, and a drink

Lunches will include: main entree, 2 Side Items, and a drink

Lunch Menu Options will include hot lunches and cold lunches:

Mondays Hot Lunch Hot Dogs, Chicken Sandwich, or Peanut and Jelly Sandwich

Tuesdays Hot Lunch Restaurant Day

Wednesdays Cold Lunch Cold Sandwiches

Thursdays Cold Lunch Cold Sandwiches

Fridays Hot Lunch Pizza Day

Menu options are limited to one entrée, choice of two side items and one beverage. Additional items may not be purchased from Camp Staff. Vending machines are available on Fridays for an additional charge.

Breakfasts/Lunches can be pre-purchased.

WHAT TO BRING TO CAMP

Label all items your child brings to camp including clothing.

Swimsuit, towel, full change of clothes (on designated swim days)

Sunscreen (Campers are responsible for applying their own sunscreen or having a fellow camper assist them)

Baseball caps, sun hats, or visors (recommended)

If your child needs medicine, please fill out the Medicine Dispensation Form.

Please do not bring items such as video game systems, MP3 players, or cell phones to Camp. The CAC Staff will not be responsible for any lost or damaged items.

FIELD TRIPS

Adventure Camp

The field trips for Adventure Camp will be held every day. The vans will leave the Community

Activity Center at 9:00am and return no later than 4:00pm. Camp Staff will have the camp cell

phone during the trip and can be reached at 469.340.8184. If for some reason you cannot

reach Staff, please call the Community Activity Center main line at 972.874.7275 and select

option 0 to speak with a staff member.

Explorer Camp

The field trips for Explorer Camp will be held on the Wednesday of each week. The buses will

leave the Community Activity Center at 9:00am and return no later than 4:00pm. Camp Staff

will have the camp cell phone during the trip and can be reached at 469.418.6796. If for some

reason you cannot reach Staff, please call the Community Activity Center main line at

972.874.7275 and select option 0 to speak with a staff member.

Campers must bring their lunch in a cooler for all field trips, unless otherwise informed by the

Camp Director. Coolers will be stored in the bus until lunch time. Campers will be permitted to

bring personal money on these trips, but camp staff will not be responsible for any losses.

General Field Trip Procedures:

Transportation for all Day Camp field trips will be provided via bus by Durham Charter.

Transportation for all Adventure Camp field trips will be provided via 15 passenger vans by the Parks and Recreation Division.

In the event any of these trips are cancelled due to inclement weather or other unavoidable circumstances, every effort will be made to reschedule or to find an alternate location.

If you need to pick up your camper during a field trip, you will need to let the Camp Director know prior to leaving on the field trip. You will be expected to sign the child out at the field trip location.

FIRST AID AND EMERGENCY PROCEDURES

All camp staff members will be certified by the American Red Cross in CPR, AED, and First Aid for the Professional Rescuer and will understand camp emergency procedures.

Each child’s Camp Registration Form with emergency information will be taken on all field trips. In the case of an emergency, parents or emergency contacts will be notified as soon as possible.

A first aid kit and the camp cell phone will be on hand and will be taken on all trips. Camp staff will administer any immediate treatment for minor injuries. If a more serious injury occurs, emergency transportation will be called or transportation will be given to the nearest hospital.

MEDICATION ADMINISTRATION

If your child takes prescribed medication, please complete a Medicine Dispensation Form.

No over-the-counter medications will be given unless prescribed by a doctor. This includes aspirin, cough syrup, etc.

Parents are required to fill out a form on each child that needs to receive medication.

Do not send a sick child to camp. In the event your child gets sick at camp, or comes to camp sick, you will be notified and asked to pick up him\her immediately.

DRESS CODE

Parents, please remember that proper outdoor shoes (not flip-flops, sandals, etc.) must be worn at all times. Do not send your child in their best shoes or clothing as the kids will be active and could get dirty. You will be notified and asked to pick up your camper if they are not properly dressed.

DISCIPLINE POLICY

Camp will operate on a “3 Strike” system of discipline.

o Strike 1: Verbal Warning to Child from Camp Counselor o Strike 2: Both Parent and Programs Coordinator notified o Strike 3: Expulsion from Camp at the discretion of the Programs Coordinator,

Programs Supervisor, and CAC Manager after meeting with parent/guardian

If staff has a discipline issue with your child, all efforts will be made to see that your child’s inappropriate behavior is corrected. Please remember that extreme incidents may require immediate dismissal without prior notice and without a refund.

Please remember each situation is different, but we will always be fair and consistent.
