This guide contains the steps you need to take to “get started” with scheduled video visits.
• Recommendation is to use Haiku/Canto on your personal smart device for the Video & Audio portion; use a desktop or laptop to document in Epic
• The Instructions below on how to download Zoom on a Mac or Windows device are optional
• If interpreter services are needed while using Zoom, click here for directions.

STEP 1 *Please note this is a one-time only step
1) From your Mobile Device:
a) iOS (iPhone/iPad)
i) Open your App Store
ii) Search for Epic Haiku (iPhone)
OR
iii) Search for Epic Canto (iPad)
iv) Install Application

2) Open your device’s Internet Browser and enter the following internet address:

4) Click on the production link for the app you are trying to configure
(Haiku on your phone or Canto on your iPad)
a) When Prompted, open the Haiku/Canto app
5) The app will set the proper configuration, and prompt you for the password
a) Password = smartchart
6) Click OK
7) Your Epic mobile application will now be configured
a) From here, login to the mobile app using your AdvocateAurora Epic username and password
Note: if you are logging into your Haiku account from another institution, you will need to click the button at the top to select which institution you are logging into.

ZOOM INSTALLATION STEPS ON A MAC
STEP 2: Install Zoom *Please note this is a one-time only step Go to https://support.zoom.us/hc/en-us/articles/201362033-Getting-Started-on-Windows-and-Mac Click on “Zoom Desktop Client (Windows or Mac) Zoom will begin to download to your device
Click on Zoom.pkg to install
Click on “Continue”

Video Visit handoff from Hyperspace to Android Device
Click the Handoff to Haiku button in the Hyperspace encounter. This will send a push notification to your registered Android device.
Tap the push notification on the device to launch the video visit. This will require you to login and then launch directly to the video visit.
Note: Haiku v9.2.2 or later is required. If push notification is not received or Telemed activity is not visible, Haiku will need to be updated.
New Telemed Activity on Android Device to Start Video Visit
Patient chart now has a Telemed activity which, once selected, will display a screen where the patient’s connection status is shown along with a button to begin the Video Visit.
HANDOFF TO HAIKU (ANDROID)

1) Handoff feature is available for Haiku
on iOS and Canto Haiku (or Canto) handoff buttons become available in Connect navigator section of patient’s video visit if provider logged into the app in the past 45 days. In example below, provider logged into Haiku app recently thus can access Handoff to Haiku button in the video visit navigator:

device
3) Go to settings on your device, access
Zoom app and enable Microphone and
Camera:
4) If you have a default department set in
Epic Hyperspace at the login, then
before handing off the video visit, you
will need to log into Haiku/Canto app
and switch it to AAH VIRTUAL HEALTH
[500121].
5) If you don’t have default login
department set in Epic Hyperspace and
enter AAH VIRTUAL HEALTH [500121]
at the login, it will apply in mobile apps
automatically and you don’t need to go
in to change it manually.

6) Handoff video visit to Haiku (the same applies for Canto)
Click on Handoff to Haiku in Epic Hyperspace – Video Visit push notification is sent to mobile device. When you click on it, it will pass you through mobile app to the browser:
7) After you select to open page in Zoom,
then it takes you to video visit room. Before joining it, you will be asked to go to your device settings and enable Microphone and Camera, if you haven’t done that yet:

8) Otherwise, it will only prompt you to select audio option:
Please note there are two potential barriers to prevent the ‘Handoff to Haiku’ button from being visible in Hyperspace.
9) Push notifications MUST be turned on
for the Haiku app (iPhone settings-
Notifications-Haiku-Allow Notifications).
10) Go into the notifications inside Haiku
and be sure the ‘Start Video Visit’
notification is turned on. (Log-in to
Haiku-click on your photo/silhouette in
the top right corner-Click Notification
Settings-Scroll all the way to the bottom
and click on ‘Start Video Visit’- Click to
turn on Push Notifications)
11) Go back into the Video Visit in
Hyperspace and see if the Handoff
button is there.
12) If not, click the ‘recycle’ button in the
right corner of the Connect section and
the button should appear.

GUIDELINES • Patients listed below are available to schedule practice video visits. THE TEST PATIENT MUST BE
SCHEDULED ON YOUR SCHEDULE. You must login as the test patient with the given username and
password. Then go through patient process. Next, use your computer/device and go through clinician
process.
• Please see the chart for MyChart login details
• Be succinct with your time spent on the video call and make sure that you end the meeting
• Sign all of the charts once complete
• Reminder: these patients are shared across the entire organization so please be mindful when in the sandbox
IMPORTANT: Please uninstall and reinstall the Live Well app when you are done training with test patients. Failure to do so will result in issues for other providers to test patients.

This document will walk you through how to make a Quick Button for Level of Service, Progress Notes & Chief Complaint.
Please see Part 1 for Level of Service, Part 2 for Progress Notes & Part 3 for Chief Complaint
Part 1: How to make quick buttons in the Level of Service area Click on the wrench in the LOS tab
Make quick buttons and add in the modifier quick button.
Hover over an empty box with your mouse. The “+Add” will appear. Click on it.

Fill in the caption with a name you will recognize, the appropriate level of service, and add a GT modifier. Then click accept.
Do the same for the 3 levels of telephone service: 99441, 99442, and 99443. Also, make a quick button while you’re here for the GT modifier that you’ll be able to use for your video visits when you do them. Click Accept.
Part 2: How to make quick buttons in the Progress Notes. For your first telephone encounter, make a quick-action button for all future telephonic notes. Click on the wrench under the “Progress Note” header.
In the “Smart Text” box, type “"AAH Telephone Virtual” and hit enter

Click Accept
Change the Caption to something that you will recognize, like “Telephonic Care.” Click accept
You now have a quick button to create this note for every patient that you need it in.

Insert a new row at the top of the list
Click in the empty box, then click on magnifying glass
Choose “Database Lookup” at the bottom
Type “MD” in the search box and hit enter
