Microsoft expects Suppliers to act ethically and with integrity. Suppliers demonstrate this commitment by complying with the SCoC and ensuring their employees are trained on the Code. This requirement is included in the Master Agreement as well as in the Terms and Conditions of the Purchase Order. Q Is this SCoC Training new? No. The “Vendor Code of Conduct” or VCC Training Program had been in place for four years. The current program (est 2016), referred to as “Supplier Code of Conduct” training, is refreshed content and requires completion prior to External Staff gaining access credentials at Microsoft. The training is hosted for Microsoft by a third party, eLearning (aka Course4You). Q Who is required to take the Supplier Code of Conduct (SCoC) training? Q Is this SCoC Training new?

Q When will the SCoC Training Program and Policy be implemented in my country?

See the most up-to-date timeline for global implementations.

Q Will my current External Staff (those who started prior to my country’s policy implementation) need to take the SCoC training if they have not already done so?

Yes. We will provide additional information when appropriate. No action required at this time.

Q What about External Staff who don’t need access credentials?

They will also be required to take the SCoC training. However, their employer (Microsoft supplier) will manage the process with them via a new Attestation process being rolled out in FY19. No action is required at this time.

Q Does the Supplier, Requestor, and/or (Microsoft) Sponsor receive the required SCoC training email?

The original training request email is sent directly to the External Staff (to email address provided in setup tool). Forty-eight (48) to 72 hours following new position creation, External Operations (ExtOps) will send email to the Microsoft Sponsor and Requestor as to status of setup (RAA missing, SCoC needs completing, etc.).

Q If training has not been completed, when (and how often) will a “reminder” email be sent? Who receives the reminders?

Forty-eight (48) to 72 hours following new position creation, External Operations (ExtOps) will send email to the Microsoft Sponsor and Requestor as to status of setup (RAA missing, SCoC needs completing, etc.). Fifteen (15) days after setup, if action is still required that has not been closed out, ExtOps will close the position.

Q How long does it take to set up an External Staff (from start to finish) and how much of an impact does this training have?

Average processing time is 24 to 48 hours from the time that the request is received. Please note that this includes checking many factors, including the Resource Access Agreement (RAA) completion, SCoC training completion, eligibility status at Microsoft, policy adherence/violations, previous history, previous records, and so forth. The training requirement takes approximately 30 minutes to complete.

Q At what point in the External Staff setup process does the individual receive the training email? And does it contain a link?

The email is generated out of Headtrax/Microsoft (same timing as when the Resource Access Agreement (RAA) email is sent). The email will come from [email protected]. The email contains the position number and the link to the online training, which will direct the staff to a registration process allowing them to access the training. Below is a visual of the External Staff setup process and where/when the SCoC training step takes place.

Q How do I know if my External Staff have completed their training?

You can check training status here: https://msstaff.course4you.com/course/checkcompletionstatus This will require either a current position number or an email (one used to register on the training site) Note: if status is not found, it means the individual has not registered for the training. Please follow up directly with the individual to ensure that they received the training email (from [email protected]) or that it did not go to their junk mail folder.

Q What if an individual encounters technical difficulties when accessing the online training?

They should send email to: [email protected].

Q What is the expected turnaround time for online course technical support?

Support inquiries related to accessing the course will be responded to by the next business day.

Q I need a position number to register for the training (pre-access requirement). Where do I find this?

The position number is listed in the original training requirement email. This email comes from Microsoft External Operations ([email protected]) during the External Staff setup process.

Q What if I have additional questions or comments related to the Supplier Code of Conduct training

program?

Q Are there any technical requirements for individuals to be able to complete the Supplier Code of Conduct training?

No. All suppliers are required to review and comply with each section of Microsoft’s Supplier Code of Conduct, including:
