What is the difference between my initial deposit and my damage deposit?

Initial deposits reserve the desired space and date . It is half of the total price and must be paid upon booking .

Damage deposit is $500 and is due with the final payment . It is completely refundable after your event given that no damages are incurred and all policies are followed .

When is my final payment due?30 days before your event

What if my event is during Holiday Lights?Holiday Lights is from mid-November through December 31 . During this time, all events must be completed by 4 p .m . The gardens will also be decorated for Christmas as early as November 1, meaning some venues may have decorations that may not be removed for your event . Entrance may be at the service road during this time period .

Does GWG offer extra rentals?For additional fees, GWG offers some rentals including circulations fans, sound system, extra chairs, tablecloths, shuttle service, etc .

Can I add time onto my rental period?With advance notice, some venues allow for ad-ditional time to be added to a standard rental period .

Are any discounts offered?GWG offers a 10% discount for GWG Members at the Fellow level and above .

Which holidays are subject to holiday pricing?MLK Day, Valentine’s Day, Memorial Day, Fourth of July, Labor Day, Christmas Eve, & New Year’s Eve . Garvan Woodland Gardens is closed Thanksgiving, Christmas, and New Year’s days; and events will not be booked on these days .

Do I need a coordinator?Yes, GWG requires a professional event coordina-tor to be present during your entire rental period, including rehearsal(s) .

What does my coordinator need to provide to GWG?

The coordinator needs to provide GWG with an event timeline 14 days prior .

Can my coordinator celebrate with us?Your coordinator is welcome to celebrate the day with you; however, he or she may not consume alcoholic beverages during your event .

Will GWG help me hire a coordinator?Contracting a coordinator for your day is your re-sponsibility .
