Kent College – Mission Statement

Kent College aims to provide an outstanding, excellent, balanced and well-rounded

education to all of our pupils, both in and out of the classroom.

Respect for the Community

Our girls take pride in being part of the Kent College community and enjoy their time at school.

Whenever girls represent the school, they are acting as ambassadors for Kent College and should act

accordingly.

Conduct

All girls are expected to behave responsibility in school and when travelling to and from school.

Accidents can happen through thoughtless behaviour so safety procedures should always be

followed. Cigarettes, alcohol and illegal drugs are not to be brought into school, consumed on the

premises or on school trips. We expect girls to always consider the consequences of their words and

actions on themselves and on others.

School Grounds

Girls are not permitted to leave the school grounds between 8.30am and 4.00pm unless they have

been given permission by a member of staff to do so. Some areas of the school grounds are

designated out of bounds and should not be entered.

Church and Assembly

Kent College is a Christian community based on a Methodist tradition. All girls in school are expected

to attend all school and house assemblies. Other religious denominations may celebrate their own

religious festivals, and the School will be sensitive to the “special” times of other faiths.

Parental Responsibility

Parents are expected to inform the school of all persons who have parental responsibility for their

daughters. The school should be notified immediately of any court orders (except an order for

adoption) in respect of a pupil entering or attending Kent College.

Absence of Parents

When parents travel away from home for any length of time, the Head should be informed of the

names and addresses of those with responsibility for their daughter during the absence of her parents

and the address where their daughter will stay during this period.

Changes of Contact Details

As the majority of our communication with parents and guardians is by email (or text for urgent

messages) it is vital that parents inform the school immediately of any change of address, email

address and contact phone numbers. Details should be sent to the School Secretary, Mrs Amanda

Masters at [email protected] .

Changes at Home

Please inform the school of any change in family circumstances which may affect your daughter.

Social Media

Parents should not post references of any kind to the school or its girls on social media.

Beginning of Day

Lower and Middle School girls must report to the tutor room by 08.30 for registration. Sixth-formers

register with their tutors in the morning and register electronically in the afternoon.

Reporting an Absence

The school should be notified as soon as possible if your daughter will be late or absent. Parents can

either email [email protected] to report an absence, or telephone the school

office on 01892 822006 and leave an answerphone message if it is outside school hours. Thereafter,

parents are requested to email or telephone on each subsequent day of absence.

If your daughter has a medical appointment during school hours, please inform the school in advance

and remind her to sign out at Reception before she leaves.

Requests for absence for any other reason for one day or more should be made in advance and

directed to the Head or relevant Assistant Head. Any other absence will be recorded as unauthorised.

Lateness to School

All girls who arrive late at school for any reason must sign in at Reception.

Girls on Site during the School Holidays

If girls have arranged with subject staff to use the school facilities during school holidays (for example

for extra revision sessions prior to exams), they must sign in and out of Reception. Girls should only be

on site during holidays by prior agreement and should be accompanied by a member of staff at all

times.

Messages for Girls

Messages for day girls can be left with the main school office (01892 822006) during the school day. If

you need to get a message to your daughter, please telephone before 13.30 if at all possible. Please

note that your daughter’s mobile phone should be switched off during the school day. The main

school office is open until 18.30.

Mobile Phones

Girls may bring mobile phones to school on the following conditions:

Mobile phones must be turned OFF on arrival at school.

Yr 7 – 8 pupils must keep them switched OFF and locked in their locker throughout the

day (8.30am – 4.00pm). They will need permission from a member of staff if they need

to use their mobile phone urgently.

Girls in Yr 9 upwards may use mobile phones during break and lunchtimes only, but

never in the dining hall.

Sixth formers may use their mobile phones anywhere except in the dining hall, or

during lessons and assemblies.

Mobile phones are the responsibility of the owner and should be kept locked in lockers

or in the personal possession of the owner. The school accepts no responsibility for the

loss of a mobile phone.

Girls may use mobile phones after school in form and common rooms, however mobile

phones may not be used in prep.

Mobile phones may be taken on trips out of school. The same conditions apply: they

should always be switched OFF throughout the visit but may be used when the trip has

ended to confirm travel arrangements.

Meals in School

A mid-morning snack and drink are provided for all girls at break each day.

In addition, pupils are also able to purchase refreshments during morning break from the Coffee Shop

located in the Library (on a weekly rota per year group).

Lunch is taken in the school Dining Room except when girls are out on school outings. A packed lunch

can be provided by the school when a girl has a lunchtime activity. All girls below the Sixth Form are

registered at lunchtime.

Mini Tea of cold drinks and biscuits is also available at 4.00pm for girls staying to Prep and after school

activities.

Additional Meals in School

Day girls should sign up by morning break if they wish to stay for evening supper or weekend meals in

school. Charges for extra meals will be added to the end of term account. All meals taken in this way

must be signed for, even if the reason for staying is a rehearsal or sports team event.

Invitations to Boarders for Outings

Parents who wish to invite boarders to specific events or for weekend stays are asked to write in

advance of the events to the boarder’s housemistress giving full details of the proposed arrangements.

Host Families

Some day families act as host families for boarders. If you are interested in the possibility of becoming

a host family please contact the school, for further information. Such families have to undergo DBS

(Disclosure and Barring Service) and other home checks before becoming a host family.

Term Dates

At least a year in advance, parents will be notified of term, half-term and exeat dates. Parents are

asked not to seek permission for their daughter to be absent at the beginning or end of term or indeed

during the term.

Emergency Procedures

ASSUME THAT THE SCHOOL WILL REMAIN OPEN AND LESSONS WILL CONTINUE AS USUAL.

Should there be any alteration to routine during the day, staff and girls will be notified by the Head or

Head of the Preparatory School or other Senior Staff.

Unless specified, the School will ALWAYS BE OPEN ON THE DAY FOLLOWING ANY EMERGENCY CLOSURE

for parents who are able to get their girls to and from school. Information regarding any emergency,

due to weather or another problem, will be put on the school website www.kent-college.co.uk. We

are also able to send computerised emails or text messages to parents via Group Call. Girls must

check the school website and their emails for any work made available by the staff.

Please note, we do not use local radio for announcements.

Girls may not telephone home to arrange to be collected unless the Head or Senior Staff give specific

permission.

Parents who phone in and request permission to remove daughters during the day may be allowed to

do so, and girls must sign out at Reception.

No girl may leave the premises before the usual time without specific permission.

Travel

Travel to School by Car

All parents are expected to take due care and observe speed limits when approaching the school.

Once on site the speed limit is 5mph. Day girls should be dropped off and collected from the front of

the school; parents of day girls should not drive beyond the barriers. Collection can also be made

from the parking areas on the Preparatory School drive. Please do not stop or wait in the red marked

area. See diagram on page 14.

Uniform during Travel

Day girls should wear school uniform, including blazers, when travelling to and from school.

School Transport

Full details of the school transport facility have been emailed to parents.

Both morning and afternoon services are often over-subscribed, and in some cases the school has had

to operate waiting lists. To ensure your daughter is guaranteed a place and in order to enable us to

make adequate provision, it is essential that we know your plans before the end of June for the

following academic year.

Those parents who would like their daughter(s) to start catching the bus/coach when they join the

school should email Beverley Hood at [email protected] with their request, if they have

not done so already.

Afternoon minibuses and coaches on the return routes leave Kent College at 4.15pm.

Late Bus Service

In addition to the main bus routes, the school operates two late buses which run from Monday to

Thursday.

Afternoon late bus to Edenbridge via Tunbridge Wells Assembly Hall, Southborough, Tonbridge,

Hildenborough, Sevenaoks, Riverhead, Westerham, Crockham Hill and Edenbridge.

Afternoon late bus to Hawkhurst via Lamberhurst, Horsmonden, Goudhurst, Sissinghurst,

Benenden and Hawhurst. This minibus may also call at the Assembly Hall (Tunbridge Wells) but

only in the event of the Edenbridge service having insufficient seats.

Late buses do not run on the first or last week of term. Girls must sign up for a seat on a late bus (lists are

pinned up in the Hawkwell corridor outside the Bursary) to reserve a seat before 2pm on the day of

travel. Please note places are strictly limited.

Charging Structure and Prices

The charging structure is split into zones. The School is used as the central point and the charges are

based on the destination distance from the School. A one way journey is 50% of the full return fare.

Charges for the bus are payable in advance and casual use in arrears.

Termly Charge

Zone 1 Up to 7km £310.00 per term return journey

Zone 2 7km to 9km £350.00 per term return journey

Zone 3 Over 9km £450.00 per term return journey

Casual Use (subject to availability)

Zone 1 £6.80 cost per journey

Zone 2 £7.80 cost per journey

Zone 3 £9.80 cost per journey

A 5% sibling discount is offered where two or more daughters are booked to use school transport on a

termly basis.

Casual journeys are limited and girls are requested to sign-up on the bus lists which are put up daily

outside the Bursary. Please note that there are no guarantees for a place for ad-hoc requests and it

can also be more cost effective to reserve a space for your daughter on a termly basis.

Please note that we require half a term’s notice in writing if you wish to cancel the service. Please

School Trips

For curriculum-based day trips where costs do not exceed £30 per trip, parents are asked to sign the

Parental Authorisation Form which gives permission for the cost of these activities to be added to their

term’s account. Parents will receive full details of the trip, including the actual cost, but will not be

required to sign a separate permission slip. The Parental Authorisation Form will be effective for the

whole time your daughter is a pupil at Kent College. We reserve the right to increase this amount in line

with general increases in costs when necessary, but prior notification will be given. The optional trips,

e.g. residential study or activity, theatre trips, courses, etc, will not be covered by this scheme.

Student Cars

Upper Sixth day girls may apply to drive to school. Parking is in the top car park on the left hand side

only. Spaces are on a first come first served basis. If there is insufficient space, girls should park in the

parking area on the drive to the Prep School.

If your daughter is granted this privilege, a form should be completed giving details of your daughter’s

car registration and the purpose for which she may use the car. These forms can be obtained from

the Head of Sixth Form. The Bursary will then issue a parking permit. Girls will be informed of where they

can park within the school grounds and this is dependent on the number of girls with cars and the

weather conditions. Parking permits must be displayed at all times.

The school reserves the right to refuse or rescind permission for a Sixth Former to park on school

premises.

No girl may travel as a passenger in another pupil’s car unless permission has been given by her

parents and logged with her relevant Assistant Head / housemistress.

Sixth Form boarding girls are only permitted to have a car on site with specific permission from the

housemistress and in agreement with their parents.

Flexi-boarding

There are two boarding houses, Hawkwell & Hargreaves for Years 5 — 9 and James & Osborn for Years

10 — Upper Sixth, each with its own house staff.

Flexi-boarding is offered from Year 5, and girls who use the service join the appropriate boarding house

depending on their age. All are welcomed into the boarding community by both staff and girls alike.

Kent College can provide excellent low cost care ensuring that your daughter is well looked after.

Families use the flexi-boarding service for a variety of reasons, which may include business

commitments, overseas trips, and, in many cases, if a girl is participating in an after school club or

drama / music rehearsal. Equally, girls who often compete in sports fixtures on a Saturday may find it

more suitable to board overnight on a Friday for this purpose.

How does flexi-boarding work?

Girls can flexi-board from one night up to 3 nights at a time. At £45.00 per night, this includes dinner

and breakfast. Longer stays are by arrangement and will be charged on a pro-rata basis. We ask that

when booking, at least one week’s advance notice be given. Please note, Senior flexi-boarding

spaces are often limited.

Lower & Middle School Uniform

Whenever girls wear Kent College uniform, they represent the school. Uniform should always be worn

smartly and never be mixed with home clothes.

General Regulations

School coats/blazers must be worn when travelling to and from school.

Hair must be tied back and hairbands should be black or navy blue.

Hair should be of a natural colour.

During the school day, one pair of simple, plain ear studs (only one stud/sleeper in

each ear lobe) is acceptable but no other piercings are allowed, including nose and

tongue studs.

The only jewellery permitted is a simple religious necklace and a watch (and a

Medicare bracelet if needed). All jewellery worn will be taken in by PE staff in lessons

and matches.

No tattoos are permitted.

Make-up, nail varnish and jewellery may only be worn with home clothes.

Outfit List

the UK or to school.

CANVAS OR PLIMSOLL TYPE SHOES ARE NOT PERMITTED

All items of uniform MUST be clearly named. Schoolblazer.com provide this service free of charge for

uniform items purchased from them.

girls to collect from the PE Department at the beginning of term. All items should be clearly marked

with the pupil’s name.

Lockers

Girls are issued with a locker at the start of each school year in which to keep their belongings and all

lockers must be secured with padlocks. Girls are expected to take responsibility at all times for their

own possessions and should ensure that valuable items are not brought to school. The school cannot

take responsibility for personal items that are mislaid or damaged at school. At the end of each term,

any un-named lost property is put on display, and if not claimed, will be taken to a charity shop.

Second-hand Uniform

A second-hand uniform shop is run by members of the Parents' Association. Parents will be informed by

email of opening dates and times. If you have any enquiries, please contact Reception staff who will

be able to pass your enquiry on to the Parents’ Association.

We recommend girls provide their own headphones with 3.5mm minijack (ipod style) socket for music

Instruments must be clearly named and, where applicable, locked securely in a case, also clearly

named.

FOR SIXTH FORM MATHEMATICS LESSONS

A graphical calculator is useful especially for Further Mathematics. The Casio fx-9750GII is

recommended.

GENERAL – ALL GIRLS

The school encourages girls to have their own refillable water bottle to reduce the environmental

impact of throw away plastic water bottles. There are water fountains located around the school and

a filtered water machine is available in the dining hall.

Parents are informed about their daughter’s progress through parents’ consultation evenings, grades

and reports. Additionally, parents of boarders are invited to informal teas on the Friday of some exeats

to meet staff and discuss their daughter’s progress. Dates will be published at the beginning of the

academic year.

Grades for Academic Work

Lower School

In Years 7 to 9, girls are given a combined grade based on their work and effort. There are thirteen

grades available (A*, A1, A2, A3, B1, B2, B3, C1, C2, C3, D1, D2, D3), with full descriptors explaining the

how the grade is awarded and, where appropriate, how girls can improve (shown on the next page).

Please note that all grades are relative to the standards expected at Kent College.

Middle School and Sixth Form

From Year 10, girls are given separate grades for achievement and effort. There are three effort

grades available:

1: Positive effort. Indicates that a girl’s effort is having a positive effect on her learning.

2: Moderate effort. Indicates that a girl is meeting the assessment criteria but her work

could improve with greater effort.

3: Inconsistent effort. Indicates that a girl’s effort is inconsistent and sometimes lacking.

Her effort is likely to be having a detrimental effect on her learning.

Girls are also given achievement grades based on the exam grade she is likely to achieve at the end

of the course should her current rate of progress continue. Teachers may assign ‘slash’ grades (e.g.

A/B) for girls who are working at the borderline between two grades. The following grades are

available:

GCSE courses: A*, A, B, C, D, E, F, G, U (plus borderline grades)

AS courses: A, B, C, D, E, U (plus borderline grades)

A2 courses: A*, A, B, C, D, E, U (plus borderline grades)

Student Achievements & Awards

All girls benefit from encouragement and recognition of achievement and effort. Girls are

encouraged to show their parents their books regularly and to inform them of particular achievements

and awards.

Housepoints

In Years 7 to 11, subject teachers will award housepoints for particular achievement, effort or progress

and housepoints may also be awarded for outstanding contributions to extra-curricular activities.

At the end of each term housepoints are tallied and badges will be given as follows:-

The Housepoint Cup is awarded to the House who gains the highest number of housepoints in the

school each academic year.

Sunny Slips

Sunny slips are given to girls in any year group for completing a good piece of work, for contributing

well in lessons, for being helpful or for trying their best in a lesson.

The Wesley Badge

To emphasise the importance of kindness, care and consideration amongst the members of the

community, the girls may nominate their peers to receive The Wesley Badge. Named after the founder

of Methodism, John Wesley, this coveted badge is awarded three times a year in celebration of a girl’s

upholding of the values so beautifully expressed in his prayer:

At all the times you can.

To all the people you can.

As long as ever you can.

Commendations

Commendations are awarded to girls in Years 7 to Upper Sixth for demonstrating significant progress,

consistency of effort in curriculum subjects and a positive attitude to school.

Commendations are awarded termly and the Head presents a certificate to the commended girls

during the term’s final assembly.

Form Prizes

Awards are given on Speech Day for achievement and progress during the year. There are two

awards per form:

A Form Prize - awarded to the girl who achieves the highest examination results.

A Progress Prize - awarded to the girl who has made significant progress during the academic year.

Sanctions

Communication slips (blue slips) are used by subject staff to inform the form tutor and Assistant Head of

any problems a student might be having at school. The student and the form tutor discuss any

problems and how to resolve them.

If students repeatedly receive communication slips for misdemeanours then a lunchtime or after-

school detention may be set. Parents are contacted if an after-school detention is given.

Examinations

School examinations take place for girls in Years 7 to 9 during the Summer Term and Years 10, 11 and

the Sixth Form during the Spring Term.

Public GCSE, AS and A2 examinations are taken in May and June. Please note that all public exams

and any subsequent appeal or enquiry are subject to charges. These charges are issued by the exam

boards and are beyond the control of the school. They will be added to termly fees (or in the case of

Upper Sixth or Year 11 leavers, paid for on application). More details and approximate costs can be

obtained by email from the Examinations Officer at [email protected].

The Susanna Wesley Library

The library has an extensive collection of books, journals and newspapers, DVDs and CDs as well as

two ICT suites with the latest technology for teaching and learning, and a quiet study room.

The library is open from 7.30am to 9.00pm, seven days a week, but day students wishing to use the

facilities outside the normal school day should ask permission of the Librarian. To ensure easy access to

the resources, the library database is networked and uses a finger scanner when students borrow

materials, eliminating the need for passwords. Girls are allowed to borrow six books for three weeks at

a time. An induction course is taught in Year 7 and in the Sixth Form, while girls joining the school at

other times have an informal introduction. Please note that parents need to sign the biometric

consent form before girls can be enrolled onto the fingerprint system (further details on page 28). An

alternative system is available on request.

Prep

All girls at Kent College are set prep regularly. The purpose of prep is to advance the progress of

learning. Regular prep helps the student establish and maintain sound study habits and independent

learning skills. Day girls may complete prep at home or at school and younger boarders have

supervised prep in the library.

At the start of each academic year, all girls are issued with a student planner; this has space for daily

notes, termly records and contains useful information. Girls are responsible for recording all

assignments in their student planner. All assignments should be completed on time and to the highest

possible standard in the time allocated.

If a day girl who does her prep at home falls behind in the completion of any work, parents will be

advised and, if necessary, arrangements will be made for her to do her prep at school.

Subject teachers set and assess the prep assignments. Form tutors are responsible for reviewing the

overall pattern of prep and liaise directly with the subject teachers. Form tutors will check student

planners regularly and parents of Year 7 and 8 girls are asked to sign their daughter's student planner

at the end of each week. Housestaff check the planners of full boarders. If girls are having difficulties,

or are spending too long or too little time on their work, parents should comment on this in the student

planner or contact their daughter’s form tutor directly.

Extra-Curricular Activities

A wide range of extra-curricular activities is on offer at Kent College, which complements the

academic curriculum. Girls are encouraged to try as many different activities as possible in order to

broaden their interests, experience and skills.

Girls in Years 7 to 9 are expected to join at least two regular after school or lunchtime activities and

Years 10 to Sixth Form at least one after school or lunchtime activity. In addition some activities are

run after supper for different ages. At weekends there are sports matches.

Kent College Academies

Kent College is committed to providing excellent enrichment opportunities, which both enhance

learning and provide pupils with the confidence and ability to perform at their very best in an

enjoyable and rewarding environment. The school has established a set of Academies which focus on

providing specialist teaching and coaching in weekend and holiday workshops.

Kent College Theatre Academy

Kent College has a strong reputation for the Performing Arts, and girls may join clubs or

have extra paid tuition, as well as having timetabled lessons in music and drama. In

addition, the Theatre Academy delivers the teaching of drama, dance and singing to

a professional standard in the Countess of Wessex Theatre, dance studio and music

centre. The Theatre Academy runs on Saturdays, and offers additional holiday

workshops.

Kent College Gym Academy

The Kent College Gym Academy trains pupils in the school Sports Hall. All gym

coaches are trained and qualified through the British Gymnastics Association and

every year the Academy enters and gains fantastic results at local and national

competitions. Since March 2012, Kent College has hosted the annual Girls’

Independent Schools’ Gymnastics Association (GISGA) competition, a high profile

national gym tournament that gives gymnasts the opportunity to perform at the very

top level.

Kent College Swimming Academy

The Swimming Academy holds after school classes throughout the year in our 20m

heated indoor swimming pool. The Academy provides pupils with the opportunity to

excel at all levels in this important sport.

All academies incur an additional charge.

Special Achievements

Parents are asked to let the school know if their daughter does particularly well in a competition,

festival or enterprise which has taken place outside school, so that the school has an opportunity to

congratulate her.

Instrumental, Singing and Speech & Drama Tuition

Commitment to Instrumental, Singing and Speech & Drama Tuition

Due to the high demand for private tuition, Years 7 – 9 instrumental and singing tuition and speech &

drama tuition takes place during normal lesson-time. It is essential therefore that, before signing up for

private tuition, girls and parents consider carefully the overall commitment to attend these lessons to

practise regularly and to catch up on other academic work.

If you would like your daughter to sign up for instrumental, singing or speech and drama lessons,

please complete the forms which accompany this information book. Please note we cannot

guarantee places for lessons.

Instrumental and Singing Tuition

INDIVIDUAL TUITION

Individual tuition is offered in piano, keyboard, flute, oboe, clarinet, saxophone, trumpet, trombone,

french horn, violin, viola, 'cello, double bass, harp, acoustic guitar, electric guitar, bass guitar,

percussion and solo singing. Other instrumental tuition will be arranged, wherever possible.

TRIAL LESSONS FOR BEGINNERS

FREE tuition is available for ONE TERM for any beginner. At the end of term, girls will, on the

recommendation of the Music Staff, proceed to full price individual lessons, for which they should

provide a suitable instrument. Trial lessons are available for violin, viola, ‘cello, oboe, clarinet, trumpet

and trombone.

HIRE OF INSTRUMENT can be arranged.

It is expected that girls who have private music lessons in school will be available for selection to school

music groups and activities where appropriate.

Private Speech and Drama

In addition to class drama, lessons are offered in acting, mime, verse & prose and group performance

(amongst others) with girls working towards taking two LAMDA examinations.

Please be aware that there are a fixed number of Speech and Drama places available each year.

The demand for lessons is great and it may not be possible to offer tuition to every student who

requests lessons. Priority will be given to girls who are able to be flexible.

Year 7, 8 & 9 tuition takes place during normal lesson time and girls miss timetabled subject lessons on

a rotational basis. Lessons for Year 10 will be after school during prep session A and/ or B on Mondays.

Girls normally work in pairs apart from in Year 10 where the girls will work in groups of between 3 and

10. Although our emphasis is on working together, individual lessons can be arranged, if requested.

Details of charges are available from the Bursary. Charges will be added to your school account.

Data Protection

Kent College Pembury processes personal data about its girls and is a “data controller” in respect of

this for the purposes of the Data Protection Act (1998). It processes this data to:

• Support its girls’ teaching and learning;

• Monitor and report on their progress;

• Provide appropriate pastoral care;

• Assess how well the school is doing as a whole

This data includes contact details, national curriculum assessment results, attendance information,

characteristics such as ethnic group, special educational needs and any relevant medical

information.

This data may only be used or passed on for specific purposes allowed by law. From time to time the

school is required to pass on some of this data to authorities and to agencies that are prescribed by

law and organisations that require access to data such as the Learning Records Service (LRS),

previously named MIAP (Managing Information Across Partners) programme. All these are data

controllers in respect of the data they receive, and are subject to the same legal constraints in how

they deal with the data.

Girls, as data subjects, have certain rights under the Data Protection Act, including a general right to

be given access to personal data held about them by any data controller. If you wish to access your

daughter’s personal data, please contact us.

Biometric Registration

We currently use fingerprint recognition software in the library for processing library loans and in the

Sixth Form for registering attendance.

The use of biometric data in schools is regulated by the Data Protection Act (1998) and the Protection

of Freedoms Act (2012) and we wish to reassure you and your daughter that:

All fingerprint/biometric data is encrypted and cannot be used by any other system

We will not share any fingerprint/biometric data with any third party

We will only use your daughter’s data for the reasons stated

When your daughter leaves the school we will delete her fingerprint/biometric data

You will be asked to sign a consent form allowing us to enrol your daughter onto the system. However

you or your daughter may withdraw consent at any time by writing to the school and we will offer

reasonable alternative methods for registering and obtaining library loans.

Publicity and Communication

Use of Girls’ Photographs in Marketing

The school endeavours to use photographs of girls in a sensitive manner, either to demonstrate life at

the school or in order to acknowledge achievement.

At times, when issuing press releases that celebrate school successes and events, we are required to

give the girls’ full names and ages in photographs.

In the school E-newsletter (Pulse), the boarders’ newsletters, on the school website, and on social

media we do like to name girls featured in photographs to give them recognition for their

achievements.

Kent College uses these tools as an important part of its Communications Strategy and will use

marketing platforms to engage audiences in news articles on the website, and to raise awareness of

events and achievements at the school. The Head of External Relations and the Head closely monitor

all marketing accounts.

Therefore, there is an expectation that permission will not be denied by parents/guardians for the

school to use photographs of their daughter/ward for general marketing purposes such as in

prospectuses, press releases and newsletters or videos on the school website.

E-Newsletters

Kent College sends out a regular newsletter every half term by email which is a way for our parents to

keep up to date on all the news and events happening at the school. Please ensure you keep us up

to date with correct email addresses to make sure you receive your copy. The newsletter can also be

viewed on the school website and, if necessary, copies can be printed off. A Pulse Annual Review is

created at the end of the summer term which is sent to all KC families as a keep-sake magazine, in

addition to our feeder Prep Schools so that they can keep up to date with their former pupils. This

publication celebrates the events and news from the school year, in addition to highlighting individual

achievements that girls have gained both at the school and in external clubs.

Videos

Kent College uses a promotional video to demonstrate school life to prospective families and this is

available to view on the school website as well as in the school prospectus pack. This is updated every

3 years and parents will be notified when filming is happening in school and whether their daughters

may be involved. At certain events, some filming may take place for promotional purposes.

Unfortunately we cannot allow parents to take videos and photos during rehearsals or performances

of performing arts or swimming events. In some cases we are restricted by copyright and are not

allowed to video performing arts events.

Communication with Parents

Parents can access extensive information via the website, including:-

accessed via the website. Parents will be advised by email when their daughter’s

grades and reports are available to view.

There is also an on-line Appointments Booking system for Parent Consultation Evenings, and log-in

details will be emailed to parents one week prior to each event.

It is essential therefore that parents keep the school office informed of any changes to their preferred

email contact address.

School Officer Team

The School Officer Team is headed by the Head Girl and Deputy Head Girls and Head of Boarders. In

addition, there are Heads of Boarding Houses and School Houses and 18 other posts. Head Girl and

Deputy Head Girl applicants are interviewed by the Head and those who are short-listed give a

presentation to the whole school. They are then elected by a voting system.

Girls and staff vote for Head Girl, Deputy Head Girl, Head of Boarders and Heads of House, while all

other posts are appointments.

School Representatives

Each form has a Captain, Vice Captain, Charity and Eco representative who are elected termly.

The School Council meets termly and is chaired by the Head Girl. Form Captains sit on the school

council and represent their form in discussions.

Student Concerns

For academic or personal concerns, girls should speak to their form tutor, Assistant Head, boarding

housemistress or any other member of staff.

For sensitive matters, the School Counsellor and School Nurse are available and we provide the girls

with the contact details of an Independent Listener.

School Counsellor

The school has the support of a counsellor. Any girl may talk to her in confidence about any matter

that is troubling her. There is normally no charge. Appointments can be made via email. The

counsellor is also happy to meet with a student's family by arrangement. If any misuse, abuse or other

child protection issue is suspected, she is bound to share her concerns with the Designated Child

Protection Co-ordinator.

Medical Information

School Nursing Sister

The school nurse is Sister Devine, RGN. She works from Sick Bay (telephone number 01892 820216) in

the main school house and is normally in school from 8.00am to 4.30pm Mondays to Fridays and in

attendance at some major home sport fixtures. She is part of our pastoral team and works closely with

the Head, Assistant Heads, Boarding Staff and Tutors. She is responsible for regular health checks of

the girls and for dealing with any accidents or illnesses which occur during the school day. Sister

Devine is assisted by a Medical Assistant, Mrs Greenhalgh. Sister Devine arranges for all staff to

undertake regular emergency first aid training.

Annual Medical Report Card

The Annual Medical Report Update and Medication Consent forms must be completed and returned

when requested.

Reducing the risk of infection – day girls or boarders

To reduce the risk of infection, girls who have suffered from diarrhoea or vomiting, may not return to

school within 48 hours.

Similarly, eye infections such as conjunctivitis are very infectious and girls with eye infections should stay

away from school for at least twenty-four hours.

After each main holiday parents are asked to return the Health Declaration form to inform us of any

contact their daughter has had with infectious diseases.

Illness at School

PLEASE do not send your daughter to school if she is unwell.

Girls who become ill during the school day should report to Sister who will inform parents and take care

of girls until they can be collected. If Sister is not in Sick Bay, girls report to the medical assistant, or in

her absence, to Reception.

Girls may not arrange to be collected themselves; a member of staff will contact parents to arrange

collection if necessary.

Medicine

For girls in Years 7 to 11, all medication to be taken during the school day must be handed to Sister to

be dispensed, except inhalers for asthma and epi-pens for allergic reactions. Medication must be in its

original container, clearly labelled by the pharmacy and with the information sheet. Sister should be

informed if a girl is having medical treatment.

Girls in the Sixth Form may carry with them Paracetamol or Nurofen in small quantities but must not

leave them unattended or give medicine to another student.

Medication Consent Forms

It is essential that the Medication Consent Forms are returned completed at the start of each new

school year.

Immunisation

All girls entering the school are required to have received a complete course of immunisation against

Diphtheria, Tetanus and Poliomyelitis, and MMR.

Medical information relating specifically to boarders can be found in the Boarders’ Information Book.

Safety in School

Electronic Security Barrier

The barrier is only open at the beginning and end of terms, and for parents of boarders. Otherwise

parents or visitors should leave their car at the front of school and report to Reception.

After School

Years 7 to 11

Day girls must either be in Prep or be taking part in an extra-curricular activity. Girls may not work

elsewhere. If parents are collecting their daughters before Session A ends, girls should have an

explanatory note and will be permitted to leave early.

Staff Recruitment

All staff are appointed to Kent College only after DBS (Disclosure and Barring Service) checks have

been completed satisfactorily. We have a strict procedure for the recruitment of new staff.

Behaviour and Child Protection

The school has well-understood policies on behaviour and child protection, health and safety and an

anti-bullying code. Copies are available to view on the school website. All Child Protection matters

should be reported to the Designated Child Protection Coordinator.

Inspection of (Boarding) Schools

The Children Act 1989 requires independent boarding schools to safeguard and promote the welfare

of girls and to undergo regular inspections. The school's inspecting authority is the Independent

Schools Inspectorate (ISI).

The school underwent a full inspection by the Independent Schools Inspectorate in November 2009

and an ISI Boarding, Welfare and Intermediate Inspection in October 2012. Full reports are available

on the school website, or to parents on request.

Finance

Fees

Fees are due for payment on or before the first day of each term. We charge in advance for some

optional subjects, e.g. private music tuition, which involve costs outside school, for school trips which

require advance payments and for the school transport service. Other expenditure is charged in

arrears and is due for settlement on or before the first day of the next term (or within one month in the

case of a girl not returning to school).

The Governors reserve the right to charge interest on accounts not paid by the date due at the rate of

1½% per month.

Failure to pay fees by the due date will put your daughter’s place at the school at risk.

Methods of Payment

TERMLY PAYMENT

By Direct Debit

Fees should be paid termly by direct debit by completing a direct debit mandate (available from the

Bursary on request) and will remain effective (unless terminated) throughout your daughter’s schooling.

The school will advise you of the amounts to be paid and the payment dates. A copy of the

agreement and the completed direct debit mandate must be in the possession of the school at least

14 days before the first payment is due. Payment must be met upon the first request.

By Electronic Bank Transfer

Payments should be directed to HSBC Bank plc, sort code 40-02-06, account number 90010103, clearly

quoting your name and reference. Payment by PC Banking over the Internet should be made

similarly.

By Cheque

The detachable bank giro credit form at the foot of the invoice should be completed and returned

with your cheque, payable to Kent College Pembury, directly to the Bursary.

By Credit Card

Payments by Visa and Mastercard are acceptable. The full amount must be paid by the first day of

term. An administration charge will be made for payments by this method.

PAYMENT BY MONTHLY INSTALMENTS

By Direct Debit

Fees (including extras for each term) may be paid in monthly instalments. This is a concessionary

arrangement available on application, and may be revoked. An invoice for each term is provided

which splits the fee into four monthly amounts. Further details are available from the Bursary, together

with the direct debit mandate. If a direct debit is refused, the direct debit arrangements may be

subject to cancellation and the remaining fee for the term will become payable immediately.

PAYMENTS IN ADVANCE

Composition Fee Scheme

Fees for all or part of the period for which your daughter/ward is expected to be at the school can be

paid in advance. Decisions are made annually regarding the availability of the scheme and details of

the discount available and the terms of the scheme can be obtained from the Bursary.

Notice of Withdrawal

A full term's notice in writing is required before a student is withdrawn from the school, her status

changed, i.e. boarder to day girl, or before an optional subject is discontinued. Notice should be

given by the first day of term to take effect at the end of that term. If notice is not given, the school will

charge a full term's fees in lieu of notice or a term's fees for the optional subject.

Insurances

There are two insurance schemes for which cover is automatically added to the termly account.

Should parents wish to opt out of either scheme, the Bursar should be informed in writing by the start of

term. Alternatively a “request to opt out” form can be completed and returned to the Bursary. This

can be found in the Forms for Completion pack.

Remission of Fees. In the event of absence through sickness, accident or any other

cause, fees cannot be reimbursed by the Governors. However, the school has made

arrangements for girls to be included in the Marsh School Fees Refund Scheme

whereby fees are recovered from insurers for days lost due to absence of more than 5

days. Details of this can be found on page 35. Once you have been registered with

the scheme, we require a term’s notice of intention to withdraw.

Pupils Personal Accident Insurance Scheme. In line with the recommendation made

by the Independent Schools Joint Council, personal accident insurance is taken out

for all girls through Marsh. The insurance cover provided is worldwide and includes

holidays.

Insurance of Personal Effects. The school does not provide cover for girls' personal effects and the school

cannot take responsibility for personal possessions that are mislaid or damaged at school. Parents are

therefore advised to take out their own insurance policy.

Private Medical Insurance. This is available through BUPA Schools Health Insurance Scheme if required –

their membership guide is available to download from the website www.bupa.co.uk/schoolscheme.

Kent College Pembury Parents’ Association (KCPPA)

Dear Parent/s

I would like to extend a very warm welcome to you on behalf of the Kent College Pembury Parents’

Association. As a new parent to the school, you will automatically become a member of the Parents’

Association when your daughter joins Kent College.

What is the KCPPA?

The main aim of the KCPPA is to advance the education of our daughters by developing effective

relationships between staff, parents and others associated with Kent College. A voluntary committee,

composed of parents from each year group, plus staff representatives, runs the KCPPA. We organise a

variety of social and fund-raising events throughout the year for the benefit of our daughters. Past

funds have been used to purchase a Sports Hall climbing wall, mobile theatre lights, fitness suite

equipment and the building of a much used Confidence Course as well as the teachers’ ‘Wish Lists’ for

their own departments.

Events

We have an extremely active and welcoming Parents’ Committee and, in the past, some wonderful

events have been organised and hosted by the Association. We have organised a variety of events

over the years, for example:

• Jazz Evening

• Summer Ball

• Beauty Evening

• Drug Awareness Talk

• E-safety Talk

• KC Quiz Night

• Christmas Flower Workshop

In September, there is a Wine and Canapé Evening for all new parents. This is an opportunity – in an

informal atmosphere – to meet new parents in your daughter’s year group, as well as KCPPA Class

representatives.

The dates of events are included in your daughter’s School Diary, reminders are sent home via girls, by

email, or placed on the KCPPA section of the KC Website. We look forward to seeing you at a future

event.

New Committee Members

To enable the KCPPA Committee to function well, we try to ensure that a parent represents each year

group.

The Committee, along with the Head, meet twice a term, in the evening, for approximately two hours

to discuss future events and other issues. We are always delighted to welcome new members. If you

are interested, please email me at [email protected], with “KCPPA” in the subject title.

Each year group in the school is represented by two KCPPA Class Reps and you will be advised of their

names at the beginning of September. Should you have a question you think a Class Rep may be

able to help you with, then please do not hesitate to contact us at [email protected],

with the committee member’s name in the subject line.

All the KCPPA committee members look forward to meeting you and we hope your daughter settles

happily into Kent College life.

The Kent College Friends’ Association

Friends of Kent College is intended to be a cultural, social and educational society for parents, friends

and Old Girls of the School, including the Old Girls’ Association and the Parents’ Association, and to

promote and provide lifelong connections for former girls and staff, between each other and the

school. As such, Friends of Kent College is an important part of the school community. We hope you

will participate in the wide range of activities we plan throughout the year and that when your

daughter reaches the end of her Kent College education, you will stay in touch. A yearly magazine,

The Kent College Past Pupils’ Association (OGA)

Under the umbrella of the Kent College Friends Association, the Past Pupils Committee organises

several reunions during the year in London and Folkestone and at Kent College in the summer.

The Past Pupils Committee runs an experience pool (help with careers). This is especially helpful if girls

would like to talk to someone about their future careers.

The Past Pupils Committee also safeguards the school’s heritage and archives, available to view in the

Heritage Room in Hawkwell & Hargreaves. If you would like further information about the Past Pupils’

Association, please contact the OGA Secretary, Alison Smith, via Senior School reception.
