Participants of ICCP9 are free to explore various options on your own. However, for your convenience, special arrangements have been made with the following two hotels. Transport between NUS campus where the conference will be held and both hotels will be provided. Park Avenue Rochester Singapore 31 Rochester Dr, Singapore 138637 Website: www.parkavenuerochester.com This is a 4-star hotel, relatively close to NUS campus. It is near the Buona Vista MRT (Mass Rapid Transit or subway) Station where you can access the East-West Line (goes all the way to Changi Airport) and the Circle Line (NUS Campus is two stops away). Bay Hotel Singapore 50 Telok Blangah Rd, Singapore 098828 Website: www.bayhotelsingapore.com This hotel is located a bit further away from NUS Campus but they offer a slightly cheaper rate. The HarbourFront MRT station is within walking distance from where you can reach NUS Campus directly by the MRT Circle Line. Please refer to information given at the conference web site for booking. Transportation
Traveling within Singapore is easy. Therefore, no airport pick up will be arranged. The easiest way to come to NUS campus or go to a hotel from the Changi Airport is by taxi. Depending on the location of your hotel and the time of your travel, a single trip from the airport to the city may cost 20-30 Singapore dollars. NUS and the Park Avenue Rochester Singapore are a bit further away from the Airport but a single trip by taxi should not cost more than $35. Extra charges apply for trip originating from the Airport, peak/rush hours, late night, and phone booking.
NUS campus can be reached by the following public transportation. (i) Mass Rapid Transit (subway): take the Circle Line (orange) and alight at the Kent Ridge station. You will arrive at the National University Hospital (NUH) from there you can walk to the Faculty of Science, or take the free internal shuttle bus, either route A1 (alight at the second stop), or route D2 (alight at the first stop). Watch out for our conference banner at the bus stop. Please use exit A from the MRT station and look for bus stop 3. (ii) SBST Transit Bus No. 95 goes through NUS Kent Ridge Campus and stops by Faculty of Science (near LT27). NUS Kent Ridge Campus can also be reached by SBST Transit Bus Nos. 10, 33, 151, 151E and 200, and SMRT Bus No. 201. The bus stops are located at various parts on or around the campus. Guidelines for Presenters
Oral Presentation
1. Determine Your Audio-Visual Needs Each meeting room comes equipped with a computer, LCD projector and screen. The computers in the meeting rooms are being provided to Windows-based PC users. The PC will be configured with Windows Operating System. Even though an extra cable will be available for you to connect your own laptop computer to the projector, you are encouraged to bring your presentation files in thumb drives and upload them on the computer provided before your session starts. At the end of the meeting, all presentation files uploaded on the provided computers will be deleted. For MAC-laptop users, please bring your own VGA adapter cable.
2. Prepare your presentation Length of presentation materials should be in accordance with your time allocated. Each plenary presentation is 45 minutes. There will be no discussion following a plenary talk. Each keynote or invited presentation is limited to 30 minutes, including 5 minutes discussion time, while a contributed talk is limited to 15 minutes, including 3 minutes discussion. Please refer to the Program and Abstract Book for actual presentation times. You are kindly requested to be at the presentation room at least 15 minutes before the session starts. Please discuss the same material as reported in your abstract submission.
3. Create a Backup Copy of Your Presentation We recommend that you bring at least 2 copies of your presentation to the meeting for backup purposes. Only thumb drives are acceptable.
4. Manage your time Be considerate to the other speakers and audience by staying within your allocated time. The allocated time for your presentation includes a discussion and a changeover to the next speaker. You are also advised to test your presentation before the session starts, particularly if you want to use your own computer. There will be no make up for time lost due to technical problem caused by your own equipment. Session chairs will hold you to the allotted time. This is essential to ensure adequate time for questions and discussion as well as adherence to the schedule.
Poster Presentation
1. Prepare Your Poster All posters should be A0 size (85 cm by 120 cm), portrait format. Please discuss the same material as reported in your abstract submission.
2. Set Up Your Poster There will be one common poster session for all mini-symposia, at 7pm on Thursday, 8 January. Your assigned poster board will be marked with your Abstract ID which can be found in the Program and Abstract Book. You should mount your posters before lunch on 8 January. Standard mounting materials including poster pins, blue tack, and Velcro tape (male/hook portion) will be provided. Please feel free to approach the help desk for assistance. You are advised to keep your poster up until the end of the conference so that it can be viewed by participants throughout the conference period.
3. Present Your Poster You are requested to stay close to your poster during the poster session, to present your work to viewers, to interact with them. Judges of poster awards may come to view your poster anytime and ask you questions.
4. Poster Awards A number of poster awards will be presented to those authors who best demonstrate high-quality research, display strong understanding of the material, and with excellent oral and visual presentation of their work.
Guidelines for Session Chairs
1. Session chairs are requested to be in the respective meeting room at least 15 minutes before the session starts, to check presence of speakers of the session and remind them to upload their presentations to the computer provided, or test their laptop computers to ensure they function properly, to minimum switch over time later.
2. There might be last minute changes to the programme of the session. In such a case, you will be provided with a revised programme. Please inform the participants of the changes and proceed with the updated programme.
3. It is the job of a session chair to ensure that the session he/she is assigned to chair progresses orderly. At the end of each presentation, the session chair should facilitate discussion, if time permits.
4. It is extremely important for the session chairs to control the presentation time. All presentations should strictly follow the programme schedule. Session chairs should remind speakers to finish their presentation within the stipulated time and leave sufficient time for discussion. Since ICCP9 is a relatively large conference and there are many parallel sessions going on at any given time. Participants may move from one parallel session to another to catch talks of their interest. Any delay or change to the schedule will cause inconvenience to them.
5. In the event of a presenter not showing up or unable to present his/her work, the session chair can make a decision to have a break, or organize a discussion, or proceed with the next presentation. However, you are reminded to be cautious in exercising the last option, due to the reason mentioned above. There might be participants who are not present when you decide to proceed but they may show up later for subsequent talks. We do not want to disappoint them.
