High School Assistant Principal Job Description  

QUALIFICATIONS: • Valid Oregon Administrator's License; • Minimum of five years experience in the field of public education, including experience as a classroom teacher; • Such alternatives to the above qualifications as the Board may find appropriate and acceptable; and • Have a First Aid card or obtain one, as required by supervisor.  

 REPORTS TO:   

• High School Principal  JOB GOAL:     

• The Assistant Principal assists the Principal with responsibilities of general school operation and with development of policies and programs relative to school management, and supervision of personnel, organization, and community relations.  The Assistant Principal leads and coordinates attendance procedures, as well as assists the Principal with the supervision and evaluation of licensed and classified personnel.  The Assistant Principal coordinates staff development, State Assessment Testing and AYP planning. 

 PERFORMANCE RESPONSIBILITIES: 

• Serve as Principal in the absence of the Principal; • Assist the Principal in the overall administration of the school; • Works with the Principal in the preparation of the student/faculty handbook; • Responsible for maintaining discipline throughout the student body, and deal with special cases as delegated by Principal;  • Serve with parent, faculty, and student groups as requested in advancing education and related activities and objectives; • Monitor the attendance and the procedures related to students ; • Facilitate student recognition programs; • Follow district policies, building rules, and perform other duties as assigned; • Conduct fire drills in accordance with state laws and local district procedures; • Assist in the evaluation of staff; • Supervise GHS TESA and OSAT Testing Coordinator; • Plan / conduct staff inservice training using OSAT data; • Curriculum mapping of Oregon Content Standards by subject area specialist; • In‐service Teaching Staff on using OSAT testing information to direct remedial instruction, i.e. Test, Instruct, and Re‐test; • Improve High School student performance on all OSAT measures  ; • Meet NCLB Test Score standards in reading, writing and math grades 9‐12; • District Attendance Officer; • Lead the student advisory program; • Curriculum committee chair; • Assists the principal with the supervision and evaluation of license and classified personnel. • Supervision of all non‐athletic activities;

BUSINESS MANAGER/DEPUTY CLERK

OUALIFICATIONS: Prior experience in fiscal operations of a public educational facility or related field; Have had successful educational training and experience in business administration of schools and/or accounting; Have knowledge of computer, budgeting and data processing principles and applications; Such alternatives to the above qualifications as the Board of Education or the Superintendent may find acceptable; Have a First Aid card as requested by supervisor.

To assure the smooth and efficient operation of the fiscal matters of the district and of the operation of the central office.

PERFORMANCE RESPONSIBILITIES:

Serve as a member on the Administrative Council; Serves as an advisory to the Superintendent on all questions related to the financial management of the District; Implements all administrative regulations, board policies, state laws, and federal laws relevant to the financial

management of the district; Prepares such fiscal reports and other related materials as are necessary or required by the School Board, the

Superintendent, auditors or governmental agencies; Provides supervision of all insurance coverage, contracts, agreements and transactions affecting the business function

of the district; Establishes and supervises a program of accounting sufficiently to record in detail all money and credit transactions; Assists the Superintendent in the preparation of the budget and administers a budget control system for the district; Audits all bills, payrolls, and claims against the district, and upon authorization, makes payments from available

funds; Maintains such accounts and accounting procedures that are necessary to prepare the reports on expenditures,

revenues, and financial affairs of the district as are required by auditors, laws, the District School Board, and the Superintendent;

Provides a monthly report on the status of the budget for the School Board; Determines the cash flow needs of the District and supervises the short-term investment of any excess funds; Establishes and maintains a system of purchasing, of recording financial transactions, and of controlling inventory; Supervises the collection, safekeeping and distribution of funds; Serves as the district’s Elections Authority - ORS 225.295 Serves as the district’s Director of Business Services/Deputy Clerk - ORS 332.515; Serves as the district’s Custodian of Funds - ORS 328.441; Serves as the district’s Health and Safety Officer - ORS 332.155; Performs such duties and assumes such other responsibilities as the Superintendent may determine.

JOB GOAL:     

The Director of Special Services coordinates and directs services and programs for students with special needs; 

To use leadership, supervisory, and administrative skills so as to promote the educational development of each 

special needs student and the professional growth of the staff; and

PERFORMANCE RESPONSIBILITIES: 

1. Supervising the districts’ various special education and state and federal programs including ESEA, collecting data for 

the evaluation of each program, interpreting the data, and recommending changes based on these findings. 

2. Monitoring programs to determine their compliance with various federal and state laws and regulations and with 

the districts’ policies.  

3. Preparing applications for funds and related reports for special education services and state and federal programs 

including ESEA which are funded externally.  

4. Assists in the evaluation of special programs and federal program employees. 

5. Assuming primary responsibility for evaluating special education staff members.  Assists in the evaluation of 

employees under intensive review.  

6. Preparing and administering the special education and state and federal program including ESEA budgets.  

7. Making referrals to other agencies whose services complement or extend those of the districts. 

8. Designing and supervising the assessment necessary to administer the early entry policy of the districts and 

recommending actions on all such applications.  

9. Oversee the preparing and implementing of all individual education plans to ensure state minimums counts are 

achieved for state funding.  

10. Establishing criteria which are compatible with federal and state requirements for selecting pupils to participate in 

special education programs and ensuring their equitable application. 

11. Participating in parent conferences when requested by other administrators or teachers.  

12. Representing the districts at local, county, and state levels in matters related to the area of special education. 

13. Recommending policies and procedures essential to special education and federally funded programs.

14. Communicating to school administrators and staff information about each program and information about changes 

or developments within each ongoing program. 

15. Participating as necessary as a member of any evaluation team involved in deciding placement or recommending 

placement in special programs.  

16. Visiting on a regular basis all physical sites at which special, state and federal programs are conducted during hours 

when the programs are in operation. 

17. Making recommendations for the creation of new special, state and federal programs including ESEA based on 

identified student needs and identified community or governmental resources.  

18. Developing and initiating survey programs for the continuous identification of exceptional children.  

19. Assisting in the recruiting, interviewing, hiring, and assigning of all special services staff.  20. Supervising and coordinating home instruction for home‐bound or hospitalized students.  

21. Ensuring complete and cumulative individual records for all children receiving special services or enrolled in special 

classes.  

22. Arranging for the transportation of all children placed in special programs.  

23. Serves as the district’s Section 504 Compliance Officer, Affirmative Action Officer and Civil Rights Officer. 

24. Coordinate curriculum development, staff development and testing for all K‐12 programs. 

25. Maintain current knowledge of all ESEA Program changes. 

26. Complete all other assignments and duties as assigned by the Superintendent. 

 

Management Team Member 

1. Understands the operation of the district management team and is a fully functioning member of the group.  

2. Keeps abreast of changes and developments in the profession by attending professional meetings, reading 

professional journals and other publications, and discussing problems of mutual interest with colleagues.  

3. Participates in administrators’ meetings, negotiation meetings, and such other meetings as are required or 

appropriate.

QUALIFICATIONS: Minimum - Associates Degree in Computer Sciences, or equivalent; Preferred - BS in Computer Sciences, or equivalent; Trouble shooting skills on both Macintosh, Windows and DOS based computers; Previous experience with a variety of common software - MS Office, Claris Works, Diagnostic programs,

Back-up programs, web browsers, Outlook; Such alternatives to the above qualifications as the district may find appropriate and acceptable; and Have a First Aid card as requested by supervisor.

Superintendent JOB GOAL:

The Director of Technology coordinates and directs services and programs for district technology. To use leadership, supervisory, and administrative skills so as to promote the efficient use of district

technology to assist staff in meeting district educational goals. ESSENTIAL FUNCTIONS:

Provide methods to meet staff technical assistance needs in the use of Macintosh, Windows and DOS based computers;

Oversee necessary software updates on district servers as required; Oversee a system to troubleshoot computer problems, both hardware and software, make repairs as needed

or send to appropriate support services for repair; Make program and budget decisions according to District policy and regulations; Serve on the Administrative council; Prepare recommendations for the technology budget annually and present program and budget requests to

the Board as necessary; Oversee the updating and implementation of the district technology plan; Adhere to prescribed routine; Maintain the confidentiality of staff and student business; Participate in inservice training programs as assigned; and Perform other reasonable duties the Superintendent may assign.

Knowledge of dietary principles and practices related to school lunch programs; Procedures and equipment used in preparation, cooking and serving food in large quantities; food values, proper

food combinations and economical substitutions that may be made; Factors involved in menu planning and state laws and district policies pertaining to the school lunch program;

knowledge of budgeting and bidding procedures; Ability to maintain cooperative relationships with subordinate employees; and Have a First Aid card as requested by supervisor.

JOB GOAL:

To promote a district-wide food services program which meets state and federal guidelines while providing healthy, appealing and nutritious meals which represent cultures of the community.

REPORTS TO:

Superintendent PERFORMANCE RESPONSIBILITIES: Serves as a member of the Administrative Council 1. Management and evaluation of kitchen and lunchroom operations.

To identify and provide services to students and families that qualify as homeless under the McKinney-Vento Homeless Act.

ESSENTIAL FUNCTIONS

Identify homes students using the following criteria: o Students living in shelters. o Students living in shared housing. o Students without shelter at night. o Students living in hotels/motels. o Students whose living arrangements are unknown.

Notify building principals of students that qualify as homeless; Provide financial support to student and family as outlined in the McKinney-Vento Homeless Act; Immediately enroll all identified homeless students in Gervais School District schools; Complete all required federal and state reports for homeless youth; Monitor the progress of enrolled homeless students quarterly; Notify Gervais School District Food Service Director of homeless student participation in school lunch

program; and Other duties as assigned by the Superintendent.

MAINTENANCE/ CUSTODIAL SUPERVISOR QUALIFICATIONS:

Demonstrate aptitude or competence for assigned responsibility; Designated Person Asbestos Certification; Ability to communicate with other program managers and Administrators; Experience with budgeting; Ability to supervise and evaluate personnel; Computer skills - word processing and spreadsheets; Ability to maintain cooperative relationships with subordinate employees; and Ability to plan and manage a long-term maintenance plan for the District.

REPORTS TO:

Superintendent of Schools JOB GOAL:

To oversee the maintenance and custodial systems for the school district providing quality services in a timely, efficient and economical manner.

PERFORMANCE RESPONSIBILITIES: Serves as a member of the Administrative Council 1. Facilities:

Ensure that school buildings are repaired and maintained as scheduled; Examine the cost of repair projects in terms of labor, material, and overhead, and implement a regular preventative

maintenance program; Establish and maintain a long range plans for building and site use; Develop a system for dealing with emergency repair problems in a timely and efficient manner; and Oversee the ordering of materials and supplies as needed, make recommendations for equipment purchases.

2. Custodial and Maintenance:

Assign and supervise crews of personnel for maintenance work such as repairing or replacing defective work, wiring, switches, plumbing, fixtures, and miscellaneous other structural repair;

Evaluate personnel; Supervise and schedule custodial and grounds work for vacation periods; Recruit, screen, and recommend for hiring, and train all personnel; and Establish and maintain custodial and maintenance crew work schedules.

3. Compliance with State, Federal and Local Laws:

Asbestos Designated Person; Keep District in compliance with State and Federal mandates pertaining to buildings and grounds; and Attend required compliance training meetings.

4. Other Duties

Advise on selection of contractors, and advertising for bids, for the performance of maintenance and repair services; Consult with building principals regarding building use, and custodial, and maintenance Other duties as determined by the Superintendent.

HIGH SCHOOL HEAD COACH  

MINIMUM QUALIFICATIONS:  The ability to organize and supervise a total sports program;  Previous successful coaching experience in assigned sport;  Must have a substantial knowledge of the technical aspects of the sport, and must continue to examine new 

theories and procedures in the  sport;   A keen understanding that you will be a role model and a willingness to maintain that image;  A personal commitment to academics, sportsmanship and the character development of your athletes; and  Must hold a valid First Aid card.

High School Athletic Director       JOB GOAL: 

Sportsmanship is the primary goal of any program.      To instruct athletes in the fundamental skills, strategy and physical training necessary for them to realize a 

degree of individual and team success.  At the same time, the student shall receive instruction that will lead to the formulation of moral values, pride of accomplishment, acceptable social behavior, self‐discipline and self‐confidence.   

Although the importance of winning in a program is often downplayed, it is an expectation that success is measured by winning.  The success of a program is often nebulous as the standards for success are often relative to a variety of factors; however, winning games and/or events is the goal of the program.  If winning were not the goal then we would not have interscholastic competition, each school would have intramural sports. 

 PERFORMANCE RESPONSIBILITIES: 

 OVERALL PROGRAM 

 Coordinate and maintain grades 5‐12 skill, drill and sports team development program.  Hold coaches clinics for all 5‐8 coaches and PE teachers in their sports.  Hold at least one youth clinic 5‐8.  Organize out of season development opportunities for athletes in grades 9‐12.  Organizes parents, coaches, players and guests for at least one pre‐season meeting. 

 STAFF 

Train new staff members about procedures that are necessary for the proper function of the program; such as program philosophy, team rules, district and school rules, specific coaching duties, and others. 

Deliver communications from the administration and /or athletic director to assistant coaches as is necessary to keep all members up to date on expectations. 

Provide the Athletic Director with evaluations of all assistant coaches.  Holds regular staff meetings and attends athletic committee meetings and booster club events.  Maintain discipline and promote a high degree of staff and team morale.  Make a positive contribution to the physical, social, and emotional development of each athlete.

PERSONAL CHARACTER  Set the example of sportsmanship and good behavior at all times.  Check with faculty members to see that each athlete is doing acceptable classroom work.  By his/her presence at all practices, games and while traveling, provides assistance, guidance and safeguards for

SAFETY  Initiates programs and policies concerning injuries, medical attention and emergencies.  Completes paperwork on all serious athletic injuries on proper forms and submits to athletic office within 24

3. Personnel Supervision: Recruits, trains, directs, and supervises support staff, community volunteers, and partners. Assists the project director in the development of job responsibilities for support staff and

Detailed Duties of a Class or Club Advisor  This detailed description is intended to provide some clarity regarding expectations and responsibilities of Class / Club Advisors at Gervais High School.  There are few responsibilities as extensive and exhausting as these assignments, but there are also few which are more rewarding.    Communication Parents: Whenever possible club and class advisors should avail themselves of the opportunity to communicate with parents via the school newspaper, email, or letters home.  Communication does not need to be lengthy; a few lines outlining the class or club’s most recent activities and upcoming events are sufficient.  Communication with Students: Throughout the year there are dozens of times where students have questions about what is and is not permitted.  This is true of individual classes, a yearbook issue, or a particular club activity.  In these situations, the Class/Club Advisor should come to the Principal directly with questions rather than sending students.  If a meeting with students seems useful, that certainly can take place.  Also, keep the Principal informed throughout the year of how activities are going and if any unique or potentially problematic issues arise.  Keep in mind the need for appropriate notice and planning so that events which you might want to schedule can be properly placed on the school calendar and will not conflict with other school‐wide events.  Advisors will use appropriate methods and professional discretion for communication with students.  Texting and emailing students is allowed but staff must follow the district’s electronic communication policy.  Use of social networking sites for communicating with students is not considered best practice and is strongly discouraged.  Chaperones for events: All student social events must have chaperones.  The Principal and/or Assistant Principal determine the number of chaperones.  Dances, evening events and other such activities need no fewer than three faculty chaperones in addition to the administrator on duty.  Also there needs to be at least four parent chaperones as well.  It is important that students understand this requirement for sufficient chaperones and that they be involved in soliciting chaperones for each of their events.  We need to be sure that chaperones are sufficient in number to safely run our many events.  Once again, students should understand that it is their responsibility to procure chaperones for events which they wish to run.  Please submit the names of chaperones in writing five days prior to the event.  Any event which does not have sufficient chaperones will be cancelled.  Any activities which take place off campus and require supervised travel should plan for one chaperone for each fifteen students.  Dances: When a class and/or club wishes to have a dance, it is up to that group to secure a sufficient number of chaperones (no fewer than three faculty and four parents, plus the administrator on duty) and it is the responsibility of the advisor to notify the administration of who the chaperones will be and to arrange for police coverage.  This must be done five days prior to any dance, and must be submitted in writing to the Principal.  Trips: All school sponsored trips must be cleared through the Office of the Principal.  All students must have a signed parent/guardian permission slip.  All information regarding the trip must be submitted at least two weeks in advance.  All transportation is to be arranged by the Advisor.  The Advisor is responsible for completing all requisite paperwork and making certain that the funds needed are available through the club/class account.

Posters, Signs and Bulletin Board Displays: All posters, signs and bulletin board displays are to be checked by the Class / Club Advisor for correct spelling and appropriate slogans and/or pictures.  The Advisor must initial each display in the lower right‐hand corner.  This applies to all fliers as well.  When in doubt as to what is appropriate, have it checked by the Activities Director.  All signs, posters and display boards not initialed will be removed and brought to the attention of the particular Advisor.  All signs are to be removed when the activity is over.  Announcements: Morning announcements need to be submitted to the Activities Director by 1:00 p.m. of the previous day.  All announcements must be signed by the Advisor.

1. Answer the phones, giving accurate information to all inquiries and taking messages when necessary. All phone

inquiries will be logged on the phone log. 2. Greet visitors in a prompt, professional and friendly manner. Answer visitor questions as thoroughly as possible,

using resources available in the Chamber office. (i.e. Chamber Information Book, Visitors Guide, Phone Books, Brochures, etc.)

3. Respond to requests for information. Prepare information packets to be mailed out on a daily basis. 4. Maintain the Visitor Center brochures in an orderly and efficient manner. File as necessary. 5. Stock all information kiosks at the Visitor Center, City Hall and the Oregon Garden on a weekly basis. Monitor

available brochures at each location. 6. Assist in the collection of money at Chamber Forum Lunches as needed. 7. Assist in the editing and production of the monthly newsletter. 8. The Visitor Center Assistant will act as an ambassador for the City of Silverton and the Chamber and will conduct

him/herself in a professional manner at all times. 9. Various duties as instructed by the Executive Director or Board of Directors. Measures of Performance &Evaluation: The Visitor Center Assistant will be considered performing adequately if the above duties are performed in a timely and efficient manner. Feedback on the Visitor Center Assistant’s performance will be solicited at the time of review, from Board Members, Volunteers, Guests and the Executive Director.
