Getting started with Broker Fact Find
1. Create a new contact in the 'Contacts' screen (or select an existing contact). As a minimum, the First Name, Last name and Email need to be filled.
2. Click on the 'Customer DIY' (new) tab. 3. New Opportunity
a. Click on ‘1. Create Opportunity’ b. Select the broker, add referrers, enter the Referrer as on RCTI if applicable
4. Use and existing Opportunity a. Select the opportunity to send to Customer DIY
5. Click the ‘2. Send Selected Opportunity To Customer DIY’ button. This will create an interview record for the customer in the www.brokerfactfind.com.au website.
6. When the interview record has been created, the username and password will be updated on the contact record. An opportunity record will also be created with the 'System Ownership' (new) set to 'Customer DIY'.
Note: the opportunity record can only be edited by one person at a time. When it has been sent to the customer to complete it will be locked in FLEX (ie. System Ownership is set to Customer DIY). The System Ownership is automatically set back to FLEX when the customer submits the fact find record. The broker can unlock the opportunity if required but it will be removed from the Broker Fact Find website when unlocked by the broker (ie. System Ownership is set back to FLEX)
7. Click into the Username that was just created for the customer.
8. Generate an email to the customer by pressing 'F9'. This will bring up a window to select an e-mail template. Select the 'AFG Broker Fact Find' template and push 'Ok'. Note: Email integration to Outlook must be setup for this step to work. (see next page)
An e-mail is generated for the contact with their login details.
Setting up your FLEX for Outlook integration
Note: the Broker Fact Find requires Microsoft Outlook in order to send the email communication to
the client.
1. In a FLEX session, navigate to Tools -> User Preferences -> Email
2. Fill in the Outbound Communications preferences as follows:
a. Default Message Format = HTML
b. Email Client = Microsoft Outlook
c. Siebel/Outlook Form = IPM.Note.siebel
d. Siebel/Lotus Form = Siebel Memo
e. Locale = ENU
3. Click on the Save button
Unlocking an Opportunity If you need to update an opportunity that has been sent to a customer to complete (ie. System Ownership is set to Customer DIY), you can unlock it from the Opportunity screen in FLEX. Note: This will remove the interview record from the Broker Fact Find website and discard any information entered by the customer.
1. To unlock the opportunity, push the 'Unlock Opportunity' (new) button under Opportunities.
2. You will be asked to confirm that the data in broker fact find will be cleared.
3. You will now have access to edit the opportunity in FLEX.
