Saving Changes - GradeQuick automatically saves every few minutes, when you move from one class to another, and when you exit the GQ program. Navigation - To move from one gradebook to another, click Window on the Menu Bar and choose from the dropdown list. This also saves any changes you made to the gradebook you are “leaving”. Tests: GradeQuick Assignments Columns

The GradeQuick Menu Bar

The Edit Menu Student Information Includes information on each student. Information can be added or changed as necessary. Some fields are imported from SIS and, if changed, will revert back the next time you open GQ. **Note: This information will only show in the Homeroom Class for Elementary Teachers.

Class Information Includes information on each class. Information can be added or changed as necessary. Some fields are imported from SIS and, if changed, will revert back the next time you open GQ.

Memos>Edit Memo: Decide what type of memo you wish to make. The following memo types are available:

• Student Memos – includes the following types: • Note to Student: appears on Student and

Edline reports. • Term Memos: For Elementary Progress

Reports • Interim Memos: For comments on Interim

Reports • Private Memo: Appears only on

Discipline Report • Current Test: memo that pertains to a

specific test or assignment. • Private Class: memo that pertains to a

class. • Report Memo: memo that prints on all

reports (class announcement, etc.)

Decide if you are going to type your own comments or add Quick Notes. To add Quick notes, in the Memo box, Choose File>Insert Quick notes. Click on a note and insert it. Repeat for all you wish to include. You can also Edit, Delete, or Create Quick notes in this window.

An equals sign (=) will appear next to student names of those who have memos.

The View Menu Student Info – Choose the information you wish to show next to each student name. The columns needed to document students working below grade level (BGL) for Reading and Math for a 4 terms are found here (Elementary Teachers only).

Subtotals – adds a column for the different subtotals in your gradebook spreadsheet.

Select Students – Allow you to choose which students to show in spreadsheet. You can also Hide Dropped by checking the box.

Student Summary – allows you to view basic information on students. Also can be used to enter Skill Assessment grades for individual students in subject areas and homeroom (Elementary Teachers only).

Sort – allows you to reorder students and tests according to your preferences. You can quickly sort students alphabetically by highlighting a student name and clicking the up arrow icon.

Column Widths – choose how wide your spreadsheet columns are. Thin Column Mode reduces them with one click!

The Grading Menu

Weighting – allows you to weight the categories within your gradebook. Terms are already weighted by BPS. To weight categories, check the box and give each category a percentage weight. As you create categories, GQ will remind you to recalculate the weighting. Don’t leave a category weighted with a zero! Those grades won’t be averaged in!

Set Grading Symbols – other symbols available for you to use in your gradebook spreadsheet. Add and change as needed.

Set Score Footnotes – notes you can associate with individual grades within the spreadsheet. You can add, delete, or edit them. But you can have only 10. To add to a Test, highlight the grade, right click, choose from the dropdown menu. **Note: Only one score footnote can be used per test score.

Drop Low Scores – choose the current term, choose a category and the number of grades to drop, click change, and OK. Note: the default setting for this window is to drop a low score for “Any Term”. DO NOT choose this option because it can cause skewing of grading in other terms.

Grading Preferences – choose what the ** means to you, exempt or zero. The default setting is ** = 0, which means that if a student does not have a score entered, it is the same as giving them a zero. Note: this change affects only the gradebook you are currently working in. Repeat for other grade books as needed.

The Reports Menu There are so many reports here! You will have to investigate to find those which best suit your needs. You will need a printer/printer software installed to view the reports. Here are a few commonly used reports. Brevard Grades 3-6 Progress Reports – the Elementary Progress Reports for each term are found here. Detailed information on setting up and printing these Progress Reports is available from the GradeQuick website.

Brevard Reports – Term Interim Reports (either with or without numeric average) are located here. Also the Class Year End Summary Report can be found here.

Student>Standard 1 Configure this report by using the following menu options in the Print Preview Editor of the report.

a. Students – select which students to display/print & what information about them to include.

b. Tests – select which tests & subtotals to display/print, plus test and score information too.

c. Options – format the report to look the way you want.

To save the changes you made go to Print>Save Configuration on the Print Preview Editor of the report.

Spreadsheets Gradebook Spreadsheet Prints a gradebook for the class that is customizable for a term or semester. Use the options outlined for the Student Standard 1 report to choose information.

Blank Spreadsheet : Prints a gridded blank spreadsheet. Include which students and information about them you want. Perfect for substitutes or for taking on a fieldtrip.

Edline Reports Edline Reports are reports that can be sent to Edline online for parents and students to view. Note the font cannot be changed as it is standardized for all computers to view. Single Term Only Basic - configured for most teachers but does NOT include attendance information. This is the Edline Report that is generated when clicking on the “Post to Edline” button on the Big Toolbar.

Standard 1 – this Edline Report contains more information than the Single Term Only Basic report. You may want to configure this report before sending it to parents.

Adding Attendance to Edline Reports- With the Print Preview Editor open, go to Students>Attendance. **Note: for Elementary this would not appear correctly unless sending a report for homeroom class as attendance is only collected in homeroom.

When the Attendance dialog box opens, select Total Absences and Total Tardies. Click OK and this information will be added to Edline Reports. To make this change permanent, go to Print>Save Configuration.

Choose those who will receive the report. • If only the current student choose the first

option. • If you want to select some students from

current class select the second option. • If you want to send to the entire class

choose the third option. • If all of your grade books are ready to send

you can send them all at once by choosing the last option. You will be prompted on which classes you wish to send.

You will need to name the Edline report you are sending.

• If you name the report with the same name each time, you will overwrite previous reports.

• If you use a different name for every report, then all reports will be archived.

After sending the Edline Report you will be logged off of Edline and will have to log back in. The report you sent will appear on your class Edline page under Contents. In this example the report is titled “Weekly Progress Report”. Note: Parents will only be able to see the report(s) for their child.

The Options Menu

Choose different ways to customize your report and make it more visually appealing. Font - Format the font color, size, and style.

Other Options: Adjust Color – make the spreadsheet brighter or darker to make it easier to read. Preferences – where new test should appear, what memos or notes appear, hide dropped students from printed reports.

Attendance information is included in GradeQuick. Attendance will still be taken using AS400, J-Walk, or CrossPoint as usual then automatically brought into GradeQuick. To access the attendance section of GradeQuick, click on the Attendance Icon on the Big Toolbar.

An Attendance Calendar will appear. DO NOT enter your attendance information here! You must enter attendance in your normal attendance software (AS400, J-Walk, etc.). You can choose to print out attendance reports here by week, month, term, etc…

Information for Elementary Teachers Only

OSNU Grade Scale For Grades 1 & 2 which use the OSNU grade scale, teachers will need to assign this scale to their classes. a. In a gradebook spreadsheet, on the Menu Bar,

click the View Menu. b. Choose Student Info. c. Scroll down the list and choose GScale. Click

OK. d. In the GScale column which now appears on

your spreadsheet, make sure the number is 3.

e. If not, click anywhere in the column, right click, then choose Fill Current Column.

f. Type 3 in the box and choose OK. The column should be filled with the new GScale.

g. You can hide this column again if you wish. Repeat for each class.

Importing & Using Report Card Skills Items Within each subject as listed in the table, import the appropriate skills files according to the grade level you teach. 1-2 and 3-6 indicate grade levels. Grades 3-6 are mandatory, grades 1-2 are optional as Progress Reports for these grade cannot be printed from GQ.

Open the appropriate gradebook (chosen by clicking the Window Menu in GradeQuick)

a. Click the Edit Skills icon on the Big Toolbar.

b. Click the Import Icon/Arrow in the next window.

Choose the correct skill set from the list and click Open. The skills are added to the skill list. Be sure that you are in the correct gradebook and enter the correct skills into that gradebook!

To assign scores for skills:

a. Click on the individual skill within the list. b. Choose the Student Assessment Tab to

the right, a list of students shall appear. c. Use the drop down boxes to assign skill

grades to each student.

To assign skills grades to each student individually from the gradebook spreadsheet, click on View>Student Summary View.

Click on the Skill Assessments tab and you can enter Skill grades for each student within the gradebook using the dropdown arrow for O, S, N, U.

Adding Students to Classes – Elementary Teachers Only Homeroom classes in the Elementary school will be updated automatically on a daily basis. This procedure is to be used ONLY by teachers in the elementary school and only for classes other than their homeroom class. If you have GradeQuick open, close it. Students will be added to Edline only. Once added to Edline, they will automatically be added to GradeQuick.

Log into Edline www.edline.net Be sure that you do NOT have GradeQuick open!

Under the My Classes section, click the name of the class you want to add students to the Edline member list.

Click the Manage Class link located in the Command Center.

Scroll down and click Members & Permissions button located under the Class Management section. Click the Search for Users to Add button.

Scroll to the bottom of the window and type in the grade level of your students using the following format: (KK, 01, 02, 03, 04, 05 or 06) Click the drop down box next to Show 50 and select Show All.

You will then be able to view all students registered in your school for that grade level (please allow a minimum of 2 days for a brand new student).

Click in the box to the left of all the students to add to this class so that a checkmark appears in the box. When finished placing checkmarks for all students to add, scroll to the bottom of the page and click Add Selected Users to Group. You have now added the selected students to your Edline members list. Click Done. On the Class Information page, click Save.

Once you have added students to the Edline members list, open GradeQuick. You will be notified of the roster changes in GradeQuick. Click OK.

You will now see the newly added students in your GradeQuick gradebook.

Remember: NEVER add or delete students from GradeQuick, only add or remove users from “Members and Permissions” in Edline.

Hint: It is helpful to have a copy of your student rosters available.

Deleting Students from Classes Homeroom classes in the Elementary school will be updated automatically on a daily basis. This procedure is to be used ONLY by teachers in the elementary school and only for classes other than their homeroom class. Students who are no longer in your class should be removed from the Edline members list only. DO NOT delete students directly from the GradeQuick rosters. Log into Edline

Under the My Classes section, click the name of the class you want to remove students from the Edline members list. Click the Manage Class link located in the Command Center.

Scroll down and click Members & Permissions located under the Class Management section. Place a check mark in the box to the left of the student to remove by clicking in the box. Click Remove Selected.

When the next box opens, asking “Remove the selected members from this group?” Click OK. Your list now reflects that the student has been removed from the Edline members list.

This student will now show up dropped in your GradeQuick gradebook. You may hide the dropped students by right clicking and choosing Hide Dropped.

DO NOT DELETE STUDENTS FROM YOUR GRADEQUICK

GRADEBOOKS!!!!!!!
