2. GETTING TO THE LOWRY THEATRE Graduation will take place at The Lowry Theatre, Pier 8, Salford Quays, M50 3AZ Arriving by car The Lowry is 15 minutes drive from Manchester City Centre, 30 minutes drive from Manchester Airport, and a quarter of a mile from the motorway network. From the M60 take junction 12 for the M602. Salford Quays is a quarter of a mile from junction 3 of the M602. Follow the brown Lowry signs. Secure parking is available in the Lowry Outlet Mall multi-storey car park, which also has designated areas for disabled people on each level. Car parking charges apply (up to £5.50 for 4 hours), but if you make a purchase of £5 in any of the Lowry Outlet Mall shops, you can ask for your car park ticket to be validated and this will entitle you to free parking for up to four hours. 3. ROBING It is extremely important that you treat robing as a priority. You cannot register until you have your gowns. If you do not register, we will NOT know that you have arrived you will NOT be able to Graduate. Please note: In order to collect your robes, you will need to bring the reference number issued to you when you ordered your gowns online. Graduates are asked to arrive at the Lowry Theatre at least two hours before your ceremony is due to start. The following table illustrates what time you should arrive, dependent on the time of your ceremony. Ceremony Time: Arrival Time: 10:00am 8:00am 10.15am 8.15am 12:30pm 10:30am 1.15pm 11.15pm 3:00pm 1:00pm 4.15pm 2.15pm 5:30pm 3:30pm Upon arrival at the Lowry Theatre, Graduates only should go directly to collect robes in the Quays Theatre. Guests are asked to wait in the main foyer for Graduates to return. Graduates: Follow the signage anti-clockwise around the outside of the building to the Quays Theatre where robing and registration will take place. Please remember, only Graduates are allowed in the Quays Theatre. Any guests in this area will be asked to go back to the main theatre lobby. Please see the plan of the Lowry Theatre on the following page for further instructions.

• Upon arrival in the Quays Theatre, first collect your robes using the reference number issued to you when you ordered your gowns. Staff from the gown makers, EDE and Ravenscroft will help you with your robing.

• It is advised that you should wear smart business dress under your robes. • Please note that the hood has a loop that is required to be fastened to a shirt or

blouse button and pins will not be supplied. Once you have robed, move to the Registration Desk, which is also situated in the Quays Theatre. It is vital that you register as this will ensure that your name will be read out when you go on stage.

4. REGISTRATION It is extremely important that you treat registration as a priority; if you do not register, your name will not be on the presenters list and you will NOT be able to Graduate. Please note that you need to register AT LEAST 90 MINUTES BEFORE YOUR CEREMONY.

Registration closes 30 minutes prior to the start of your ceremony.

Once registration closes, you will be classed as a ‘late arrival’ and you will NOT be able to Graduate.

It is your responsibility to ensure that you arrive at the Lowry at the appropriate time – travel disruptions are highly likely so please ensure that you leave plenty of time

to arrive at the Lowry Theatre. This is particularly pertinent if your ceremony is early morning or late afternoon.

• At the registration desk, you will need to collect a lilac registration ticket. • Ensure that you complete your name and programme details on the back of the

ticket • The ticket should then be handed to a member of the registration staff who will

make a note of the details before re-issuing you with a ticket and your seat number. DO NOT LOSE THIS TICKET – YOU WILL NOT BE ALLOWED TO ENTER THE LYRIC THEATRE WITHOUT A LILAC REGISTRATION TICKET. Once you have registered, you will be able to collect one copy of the Graduation Souvenir brochure, as a keepsake. Additional copies will be on sale priced £2.00 at the Graduation Information desk and the Guest Ticket Sales desk (in the Quays Theatre Bar area). When you have received your lilac seat ticket, staff will guide you out of the Quays theatre and into the Quays Theatre bar area, from where you collect your guest tickets and certificates and then make your way back down to the main foyer to rendezvous with your guests

5. COLLECTING YOUR GUEST TICKETS

Guest tickets will be available for collection from the guest ticket desk 90 minutes before

the ceremony begins. See the Lowry floor plan on page six for the Guest Ticket Desk.

Either the Graduate or the guests can collect guest tickets. Please note that guest tickets

will be issued in the name of the student. Please quote the name of the student graduating.

Additional Tickets There may be a limited number of guest tickets to purchase on the day. This is not guaranteed.

In the unlikely event of cancellations, there may be additional guest tickets available for

purchase on the day of the ceremony but we strongly advise that you purchase any

additional tickets beforehand to avoid disappointment. Tickets will be available from 14 May

2013 on the Graduation website and will be charged at £15.00 each.

Please note that we cannot issue refunds for any purchased tickets which are returned unused.

6. INFORMATION FOR GUESTS Please note: Guests are not allowed in the robing and registration areas (Quays Theatre).

Guests should be in their designated seats at least 30 minutes before the ceremony

begins and should listen for the Lowry Theatre announcements asking graduates and

guests to take their seats.

Guests should enter the Lyric Theatre for the ceremony via the door letter indicated on their

ticket. Lowry staff will be available to show guests to their seats.

Please note: Announcements made by the Lowry Theatre cannot be heard outside of the

Lowry building or in the Quays bar area where the guest tickets and certificate desks are

situated.

Special Seating Requirements

It is very important that if you have any guests who have special seating requirements, that

you tell us about this when you order your tickets. Special requirements can include:

• Mobility difficulties

• Visual or Hearing impairment

• Vertigo

• Babies in prams

We can usually accommodate your needs if we know in advance, but it can be very difficult

to re-seat a guest on the day.

7. WHAT TO DO AT THE CEREMONY Graduates should be in their designated seats no less than 45 minutes before the ceremony begins. Please listen for the Lowry Theatre announcements asking graduates and guests to take their seats. Please note that the announcements cannot be heard outside of the building. You will be required to enter the Lyric Theatre via the doors on either side of the main foyer. Please have your lilac registration ticket ready to present to the usher who will show you to your seat. It is vital that you occupy the seat reserved for you to ensure the correct sequence as you go on stage. You are required to leave your seats in rows in order to process across the stage and as such you must have nothing in your hands, apart from your hat or mortar board. We advise that you do not bring any bags or large items but if this is necessary, please ask a guest to look after them for the duration of the ceremony to ensure that all aisles are clear. Under no circumstances must you leave bags under your seats as this may pose a health and safety risk and in some instances, you may not return to your original seat after processing across the stage. Please note: For University of Salford ceremonies, mortar boards are not worn as part of the ceremony. As the ceremony concludes and the audience stands, you should put on your hat on for processing out of the Theatre. Graduates will be directed out by the ushers in order of rows, behind the main procession. Taking Your Seat Your seat number and row will be written on your lilac registration ticket. Be careful not to lose this, as it is very important that you are sitting in the correct seat when you are called up to the stage. If this order changes and does not match the official list of graduates, somebody else’s name may be read out instead of yours. Thirty minutes before the ceremony begins, verifiers will check that everyone is sitting in their correct seats. If you are not sitting in your seat by then, your name may not be read out when you go up on stage.

8. THE CEREMONY SCHEDULE (approximate times) BEFORE CEREMONY 45 minutes Graduates are requested to take their seats in the Lyric

Theatre

45 – 30 minutes Verifiers begin checking Graduates are in the correct Seats

30 minutes Guests are invited to take their seats in the Lyric Theatre

20 minutes University band performs selection of pieces

5 minutes Academic Procession enters the Lyric Theatre

2 minutes Chancellors Procession enters the Lyric Theatre

AT CEREMONY 0 minutes Chancellor’s (or representative’s) speech, declaring the

ceremony open

10 minutes Honorary Graduate’s speech (if applicable)

20 minutes Celebration of Postgraduate awards (Postgraduates process across stage)

30 minutes Celebration of Undergraduate awards (Graduates process across stage)

55 minutes Chancellor (or representative) declares the ceremony closed - Chancellor’s procession exits Lyric Theatre, followed by Academics, followed by Graduates, followed finally by Guests.

9. COLLECTING YOUR CERTIFICATES

During the week of Graduation (16 - 19 July 2013), certificates can be collected on the day

of your ceremony from the Certificate Desk (located in the Quays theatre bar). To collect

your certificate, you will need to present any photographic ID and your lilac registration

ticket.

The Certificate Desk will be staffed from approximately 8:00am until 5:30pm.

If your ceremony is at 5:30pm, the certificate desk will NOT be open when your ceremony concludes. Therefore, please ensure that you collect your certificate before your ceremony starts.

If you do collect your certificate on the day of your ceremony, please ensure you keep it

safe, but DO NOT take it up to stage with you. If you do not collect your certificate at your

ceremony, you can collect it during office hours (09:00 – 16:30) from the Student Records

Office, (1st Floor, Humphrey Booth House) or you can arrange for it to be posted to you by

recorded delivery (there will be a cost attached to this).

10. OFFICIAL PHOTOGRAPHY

The University’s Official Graduation Photographer is H Tempest Ltd. Staff from Tempest

will be identifiable by their yellow polo shirts. The ‘Capture the Moment’ display will be

located in the foyer area adjacent to the Graduation Information Desk in the Lowry Theatre.

Photographs will be available as formal studio portraits for individuals and small groups (up

to 7), and as ‘Capture the Moment’ on stage shaking hands with the presiding officer. To

order your photographs on the day, graduates should make their way to Tempest’s

photographic studios located during Graduation week in the Digital World Centre.

Please note: the University cannot be held responsible for photographs taken by any other

companies who might operate in the area. Please be aware of possible rival photography

suppliers that operate in the Lowry Outlet Mall.

Please be aware that the use of mobile phones and filming and photography equipment is strictly prohibited during the ceremonies.

11. HELP AVAILABLE ON THE DAY Should you require any assistance, please approach the Graduation Information Desk or

any member of University staff wearing a badge displaying the University logo and their

name. Lowry staff wearing red T-shirts and the Lowry logo will also be on hand to assist

with your queries.

Tempest Photography staff wearing gold coloured polo shirts will be on hand to answer any

questions about your official photography.

Please note the Graduation Office will be closed from Monday 15 – Friday 19 July as all

staff will be located at The Lowry. In the event of a problem, please call the University on 0161 295 5000 and a message will be passed to Graduation staff at The Lowry.

GRADUATION CEREMONY CHECKLIST Have you done all of the following: Before The Day:

� Confirmed your attendance by registering at www.graduation.salford.ac.uk (Deadline: 13 May 2013)

� Ordered your robes from Ede & Ravenscroft at www.gownhire.co.uk (Deadline: 3 weeks prior to your Graduation ceremony)

� Ordered any additional guest tickets you require (from 14 May 2013)

� Arranged for any special seating requirements for yourself or your guests (Deadline: 28 June 2013)

� Completed the National Student Survey at www.thestudentsurvey.com

� Returned all library books you may still have (Deadline: 24 May 2013)

� Paid any outstanding debts you may have with the University (Deadline: 14 June 2013)

� Arranged any childcare that you might need

� Booked any overnight accommodation that you or your guests might need

On the day:

� Arrived at the Lowry Theatre 2 hours before your ceremony

� Collected your robes

� Registered and received your lilac ticket

And finally, don’t forget your photographic ID and your Ede & Ravenscroft reference number.
