Introduction

This booklet is an organizational tool for you, as the NJTL program leader, to coordinate running the Arthur Ashe Essay Contest in your off-court tennis programming. Many NJTLs participate in the Contest and find that this is an exciting and educational way to get their children involved and learning about Arthur Ashe. But for those NJTLs that are not sure how to get started or want to augment the educational component to their program, holding the Contest may be a daunting task. This handout is designed to give step by step pointers on how to make the experience enjoyable and beneficial for all. Enclosed you will find strategies for organizing the kids, the official Contest application form, the full rules and guidelines for NJTL program leaders holding the Contest, a book list of related biographical information on Arthur Ashe, important deadlines, and more. USTA/ NJTL encourages all NJTL chapters and programs to participate in this National contest by having as many of their NJTL participants submit entries. Prizes: Ten (10) national essay winners will be awarded a trip for two to New York (Aug. 22-24) and will be guests at the 2014 Arthur Ashe Kids’ Day presented by Hess on Aug. 23 (ARV: $1,600 each). Finalists from each USTA Section will receive a plaque in their honor (ARV: $25 each). Our goal is to make youngsters around the country aware of the legacy of Arthur Ashe and his importance to the mission of NJTL.

Entries, including completed entry form, must be submitted online to the USTA at www.usta.com/aaec or mailed / hand delivered to your local NJTL Program/Chapter by June 25, 2014 at 5:00 PM ET (mail-in entries must be postmarked by June 25, 2014 and received by your local NJTL Program/Chapter no later than July 2, 2014). For a list of all NJTL Programs/Chapters and their addresses visit www.usta.com/njtl.

parent or legal guardian. In addition, the following must appear on the back of your essay: your

name, address, date of birth, telephone number, and name of participating NJTL Chapter or

Program. You must mail in your properly labeled essay along with a completed and signed

Contest Entry Form, or deliver the same in person, to your local NJTL Program/Chapter. The

addresses of all NJTL Programs/Chapters can be found at www.usta.com/njtl. Entries submitted

by hand delivery must be received by the NJTL Chapter/Program by June 25, 2014 at 5:00PM

ET. Entries submitted by mail must be postmarked by June 25, 2014 and received by the NJTL

Chapter/Program no later than July 2, 2014. NJTL Chapter leaders are responsible for

submitting all entries to the USTA National Office no later than 5:00PM ET July 10, 2014.

www.usta.com/aaec, complete the Contest Entry Form, including parent/legal guardian contact

information, and follow the instructions for uploading your essay. Entrants must have a

parent’s/legal guardian’s permission to submit an entry. Sponsor will contact entrant’s parent/

legal guardian to verify consent. If a parent/legal guardian cannot be contacted, or fails to

provide verifiable consent, such entrant will be disqualified.

The National Junior Tennis & Learning (NJTL) network was founded in 1969 by Arthur Ashe, Charlie Pasarell, and Sheridan Snyder as a way to develop the charac-ter of young people through tennis and education:

Reaching out to those who may not otherwise have the opportunity to play the sport. Instilling in youngsters the values of leadership and academic excellence. Giving youngsters the opportunity to fully develop their tennis skills so they can de-

rive a lifetime of enjoyment form the sport.

Arthur Ashe was one of tennis’s greatest ambassadors both on and off the court. In addition to winning 33 career titles, Ashe worked tirelessly to eliminate racism and poverty around the world. Arthur Ashe lived an exemplary life, donating his time to underprivileged youngsters of all backgrounds and to growing the game of tennis. USTA/NJTL honors his legacy through this annual contest by encouraging kids to learn, write, draw, and explore why Arthur Ashe’s legacy of humanitarianism lives on. Each year NJTL participants are asked to respond to a different question about Arthur Ashe. Typically, they are asked to write their response to the question and include examples of how they relate to Arthur Ashe.

General Guidelines

Eligibility: Open to legal residents of the 50 United States and/or D.C., 18 or younger as of June 1, 2014, who are participants in a program sponsored by a local NJTL Program/Chapter as of July 10, 2014. Visit www.usta.com/njtl for more information. Prizes: Ten (10) national essay winners will be awarded a trip for two to New York (Aug. 22-24) and will be guests at the 2014 Arthur Ashe Kids’ Day pre-sented by Hess on Aug. 23 (ARV: $1,600 each). Finalists from each USTA Section will receive a plaque in their honor (ARV: $25 each).

Write and You Could Win a Trip to New York City (open to all contestants age 18 and under participating in an NJTL chapter): Contestants will compete in one of the five age categories listed below. Write your answer to the question, “If you could follow in Arthur Ashe’s footsteps and 'give back' to tennis, what would you do to give back to the game and how would it impact others?” in 350 words or less on one written 8.5” x11” page or less and you could be one of ten (10) national winners who win a trip for you and a parent/legal guardian to New York City. Be a VIP at Arthur Ashe Kids’ Day presented by Hess, attend a professional sporting event, see a Broadway show and receive a special award at a luncheon held in your honor. Finding materials and resources about Arthur Ashe is easy. Visit your local library to borrow the recommended books below. Conduct some research online or watch the suggested videos before beginning the lesson. A little pre-work will give you a good foun-dation of who the man was. Show the video Arthur Ashe: Citizen of the World. This HBO Sports presentation (available at the library or any video retailer) and the Run Athletics adaptation of this video shows Arthur Ashe’s life as both a ten-nis star and as a human rights advo-cate. The documentary includes trib-utes to Ashe from several of his friends and admirers. The video may be shown during an assembly, class, after school program or rainy day, but it should be viewed by the youngsters be-fore they write their essays. The USTA may be able to provide you a copy of these videos; email [email protected] for availability. Read up! Following is a suggested reading list of books and websites about Arthur Ashe. The books are listed by age group and can be used along with or in place of the video for background on Arthur Ashe. The book(s) should be read by the youngsters before they write their essays.

Lesson 2: Give/Discuss Key Points

You can discuss key points of Ashe’s life to ensure everyone understands the mean-ing of the video, what they read in their book(s), and generally what they have learned. Here are a list of a few of his accomplishments:

First African American male to win both Wimbledon (1975) and the US Open (1968).

Founded the National Junior Tennis League (now National Junior Tennis and Learning) in 1969 as a means to make tennis accessible to all and to develop the character of young people through tennis and education.

First African American picked for US Davis Cup team (1963). First and only African American male to be the number one tennis player in

the world. Went to UCLA on a tennis scholarship, graduated with a BA in Business Ad-

ministration in 1966. Founded Arthur Ashe Institute for Urban Health to help address issues of in-

adequate health care. Ashe had over 800 career wins. Served in the US Army from 1966-1968 during which he became First Lieu-

tenant Ashe was an advocate for human rights, crusaded against South African

Apartheid and for fair treatment of Haitian refugees. Here are a few examples of key points:

Arthur Ashe was a great tennis player and a great man. Ashe was an ambassador of many things. Arthur Ashe fought against discrimination in tennis and throughout the

world. Ashe used his celebrity as a tennis champion to call attention to racism, pov-

erty, and AIDS awareness. Arthur Ashe cared a lot about helping children everywhere to use tennis as a

way to improve their lives.

Lesson 3: Create an Outline

This is the chance for Questions & Answers. Have the participants write down the key point(s), leaving space for specific examples. Discuss these key points as a group, listing examples from what they have learned. Or if a book or books were read, the group can discuss specific examples from the book(s) for each key point. Another option is to discuss the key points as a group, but allow each participant to list their own examples as homework. These outlines will be the basis of the essays that each person writes in their own words.

Lesson 4: Writing the Essay

Option 1: In-Program Have the kids use the outlines they created to create their essay during program hours. Be sure to stress that the actual essay should be in their own words and must be 350 words or less on one written 8.5”x 11” page. If you have access to a classroom with computers, this may be a good opportunity to have the participants write their essays on any word processing software. Upload their entries to the new online submission form at www,usta.com/aaec. In order to do this, the participants must provide a valid parent/guardian email address. In all cases, submissions will not be returned. The participant or you may make copies before submitting to the USTA. Option 2: At-Home Have the kids take the outline and the application form home and create their en-tries on their own time. Be sure to give a specific deadline for when the entries should be returned to you and allow enough time during the program to answer any additional questions that might come up. Be sure to stress that the actual essay should be in their own words and must be 350 words or less on one written 8.5”x 11” page. Participants may submit their entries via the new online submission form at www,usta.com/aaec. In order to do this, the participants must provide a valid parent/guardian email address. Lesson 4: Writing the Essay

When reviewing the project with your participants, remember to: Announce the name of your NJTL and NJTL ID#. Make sure the partici-

pant includes this name on their entry form. Get parental approval for participation in Contest. Share sample winning essays. Read the essays. Help with grammar. Make sure the essays answer the question. Congratulate and thank the students for participating. Let participants know that if selected, they will be notified in early August.

NJTL 2013 Arthur Ashe Essay Contest

I have many plans to give back to the sport of tennis, but most of all, I wish

to coach. Every player comes from humble beginnings, from not knowing how to

keep score to being unable to read what kind of spin the ball has. Mr. Ashe could

not have been the tennis giant that we all hold in such in high regard today if not

for one player who taught him the very basics. That player was Ronald Charity. A

young Ashe was preoccupied with grief after his mother’s death, so he poured all

of his passion into tennis and school. With Charity’s guidance, Ashe moved onto

greater things such as winning the 1968 US Open and the 1970 Wimbledon

tournaments. I already volunteer teaching young children the game of tennis, but I

wanted to do more with it. I began volunteering to coach the junior varsity players

on our high school team, players that tend to be left out or overlooked by others.

Arthur Ashe knew that it was important to give back to his community, and this is

my way of giving back. Not only do I wish to coach, but I am using tennis to pay

for my college in order to get my teaching certification. Using both tennis and

academics like Mr. Ashe did, I will be able to reach out and touch the lives of

many of those around me. If I continue on the path that I am currently on with my

coaching a d plans to teach, I can feel just like Ronald Charity did when he saw a

young Arthur hit his first stroke, a feeling that I have made a difference in the life

of somebody else. And who knows, that person may notice a change in their life

and will create a ripple effect of good will and education, both in tennis and in life

in general. All it takes is that initial spark for a wild-fire of joy and great things to

occur. I want to be that spark, much like Arthur Ashe was that same spark for me.

give back to the game and how would it impact others?”

If I Could Follow In Arthur Ashe’s Footsteps

Arthur Ashe an incredible man. There are no words to explain his greatness, but sadly that is

not what I’m here to tell you about today. Today I’m here to tell you how I, Destiny Steward

Bowden would follow in Arthur Ashe’s footsteps. Let us begin.

Well as you know, Arthur Ashe was the co-founder of the National Junior Tennis & Learning

Network, “NJTL”. This is a network of youth serving organizations that provides tennis and

education for all. I think Arthur Ashe’s idea was phenomenal. Arthur Ashe hade to be one of

extreme intelligence to have thought of such a program. I could only try to live up to his great

name, if I was to try and make an effective program for the community it would be called the

Program for Athletics and Knowledge, “PFAK”.

PFAK would be a program much like “NJTL”, except with a twist. My program would only be

for ages 12-17. You might ask yourself why limit the program to only those ages? My reason-

ing is PEER PRESSURE! Most adults think that peer pressure starts around when the child gets

to high school. When I say peer pressure I’m talking about things that kids today are getting

involved in. Kids are burdened with pressures of sex, drugs, cutting school, vandalizing proper-

ty, getting into fights, and joining gangs. PFAK would support kids in finding ways excuse

themselves from those type of situations. Some kids find peer pressure at school and at home as

well. PFAK would be a place where kids wouldn’t have to worry about kids forcing them into

situations that leave them feeling hurt or neglected. PFAK wouldn’t be just a place it would be

a home away from home.

There is however, other ways to make an impact on kids’ lives than just talking to kids person-

ally. My reason for saying this is that kids need to release unnecessary stress and as a partici-

pant of the Harlem Amory Tennis program I can truthfully say that tennis relieves me from the

stresses of youth. I can also say form looking around when I’m at my tennis center that the oth-

er kids must feel that way too. That is why at PFAK we would support tennis as a stress reliever

and a way of life.

That is how I plan to follow in Arthur Ashe’s footsteps. May my work flourish and help kids

my age see themselves in a better light. Thank you and may you have a good day.

Reviewing the Application and Process

Copy the official application and application rules provided at the end of this handout. Or download a copy of the contest form at www.usta.com/aaec.

Make sure each applicant receives a copy of the application and the Official Con-

test Rules. Explain the rules and prizes (include program and/or section prizes if applica-

ble). Key highlights: All applicants must participate at a registered NJTL. ENSURE YOUR PARTICIPANTS KNOW THE NAME OF YOUR

NJTL. Have them write your program name (with Account ID, if appli-cable) on the submission form.

Each submission must include an entry form signed by a parent or legal guardian.

Participants 18 and under may write an essay. One submission per entrant. Submissions must be in English only. Essays must be 350 words or less on one written 8.5” x 11” page. Each submission should have the participant’s name, date of birth, NJTL

chapter name and/or Account ID#, address, and phone number written on the back.

Participants must submit their pieces to the NJTL leader no later than June 25, 2014 (chapter leaders must collect, organize materials, and send the materials to the USTA to be received no later than July 10, 2014).

If submitting online, participant parent/guardian must have a valid email address. If yes, then entrants can submit at www.usta.com/aaec no later than June 25, 2014.

If submitting by mail, entries must be postmarked by June 25, 2014 and received by July 2, 2014.

Collecting the Essays

Leave yourself enough time to: Review the Length - essays must be 350 words or less on one written 8.5” x

11”page. Verify the Consent - the application information must be completed and

signed by each participant’s parent or legal guardian. Incomplete applications will be disqualified and the accompanying essays will not be read.

Organize the Submissions - Essay submissions must be separated and each

bundled by age group. The total number of essay submissions should be clearly noted on the top page of the bundle.

A rthur Ashe was an American hero fighting battles both on and off the court. He broke barriers in the

tennis world, becoming a three time grand slam champion, and the first African Ameri-can male to win a grand slam tournament. Off the court, he was a social activist taking on issues like racial prejudice, AIDS, apart-heid, and education. One of his many lega-cies includes the National Junior Tennis & Learning (“NJTL”), a network of youth serving organizations that provides tennis and education for all. THIS IS A SKILL CONTEST, NOT A SWEEPSTAKES. NO PURCHASE NECESSARY TO ENTER OR WIN. MANY WILL ENTER, FEW WILL WIN.

ELIGIBILITY. Contest open to boys and girls who (a) as of June 1, 2014 are 18 years of age and younger and legal residents of the 50 United States and the District of Columbia, and (b) are participants in a program sponsored by your local NJTL Program/Chapter as of February 1, 2014. To determine your local NJTL chapter, visit the “Locate an NJTL” function at www.usta.com/njtl. Employees, officers, directors and volunteers of the United States Tennis Association Incorporated (the “USTA”), the USTA/NJTL, the USTA National Tennis Center Incorporated, the US Open, and their respective parent companies, subsidiaries, and affiliates, and anyone involved in the Contest’s development or execution, the immediate families (meaning spouse, parents, siblings, children and each of their spouses) and members of the households of any such employee, officer, director, volun-teer or person, are not eligible. All decisions by the judges will be final and binding in all respects. The essay finalists will move on to Round 2. Round 2: The USTA/NJTL Arthur Ashe Essay Contest Subcommittee will judge all finalist submissions, and select (a) one (1) boy and one (1) girl from each of five (5) age groups as essay winners for a total of ten (10)

national essay winners. Essays will be judged based on the following criteria: (i) knowledge of Arthur Ashe; (ii) message clarity; (iii) quality of expression; and (iv) creative style. Each of the criteria will be given equal weight. Ties will be broken by the judges who shall select the entry that best meets criteria ii (message clarity). All decisions by the USTA and the judges will be final and binding in all respects. Selected contestants will be notified by telephone and/or mail and confirmed winners in accordance with these Official Contest Rules. Selected contestants will be asked to sign an Affidavit of Eligibility and Release and may be asked to provide proof of age, residency, parenthood/guardianship. If prize/prize notification is returned as undeliverable, requisite release and documentation suitable to the USTA are not provided, or a selected contestant is unable to accept prize, prize will be forfeited and the contestant that has submitted the next best submission of the same type (i.e., essay in the same age/gender category) will be selected as an alternate winner in accordance with these Official Contest Rules. The USTA further reserves the right to disqualify any selected contestant whose behavior, past or present, the USTA, in its sole discretion, deems to be inappropriate or an embarrassment to the USTA. PRIZES/APPROXIMATE RETAIL VALUE. Ten (10) national essay winners will be selected. Each national winner shall receive the following: A trip to New York City for winner and a parent/legal guardian from August 22-24, 2014 consisting of: attendance at the 2014 Arthur Ashe Kids’ Day presented by Hess at the US Open on August 23, 2014; roundtrip coach air transportation for winner and a parent or legal guardian from a major commercial airport near winner’s residence to New York (if winner lives within a 100 mile radius of New York City, round trip ground transportation provided by the USTA may be substituted for roundtrip airfare); 3 days/2 nights at the Grand Hyatt New York (one standard room, double occupancy); five (5) meals; two (2) tickets to a professional sporting event; two (2) tickets to a Broadway show; and luncheon where winners will receive awards. Approximate Retail Value (“ARV”) of each prize trip is $1,600.00 USD, but the actual retail value will depend on place of resi-dence of each winner. Each national winner and his/her parent/guardian must travel together at times requested by the USTA and have all requisite travel documentation. All details of trip, including, airline, hotel, meals, ground transportation, sporting event and Broadway show are to be determined by the USTA in its sole discretion and are subject to change based on availability. In the event Arthur Ashe Kids’ Day is postponed or cancelled for any reason, no compensation or substitution will be provided for that portion of the prize; however, the remainder of the prize package will be awarded and Sponsor will have no further obligation to winner. Tickets are subject to terms and conditions specified by issuer. Each essay finalist will receive a plaque in their honor. ARV of each plaque is $25.00 USD. Each winner is solely responsible for all other expenses not specifically set forth herein, including, without limitation, taxes, gratuities, spending money, insurance and any other incidentals. No prize substitution or cash equivalent of prize will be given for any reason except at the USTA’s sole discretion due to prize unavailability, and then only for a prize of equal or greater value. By participating, each contestant and his/her parent/guardian (on behalf of himself/herself and contestant), releases, indemnifies and holds harmless USTA/NJTL, USTA, the USTA National Tennis Center Incorporated, the US Open, the City of New York, and their respective parent companies, subsidiaries, affiliates, dealers, and all others involved in the Contest’s development or execution and each of their respective owners, principals, shareholders, directors, officers, volunteers, employ-ees, agents, contractors and representatives (collectively the “Released Parties”) from any and all liability for any injuries, losses or damages of any kind related to or arising from (i) participation in the Contest; (ii) ac-ceptance, possession, use and/or misuse of any prize; (iii) the Released Parties’ review and use of the contestant’s entry or Likeness (defined below), except where prohibited by law; and/or (iv) third party claims relating to the representations and warranties being made in connection with the contestant’s entry. Los ensayos no pueden, tal y como esté determinado por el USTA a su discreción única, incluir material ilegal, amenazante, calumnioso, difamatorio, obsceno, inapropiado o profano, material que viole la propiedad intelectual, privacidad o derechos de terceras partes, o material que de cualquier otra forma viole estas Bases de Concurso. Al enviar tu ensayo, representas y garantizas (al igual que lo hacen tus padres / tutores legales) que tu ensayo es original, que nadie te haya ayudado al crear tu ensayo, que eres propietario exclusivo a los derechos del ensayo que has enviado, y que el uso por parte del USTA del ensayo, en sus partes o indivisible, no violaran los derechos de terceras partes. Todas las obras han de estar en inglés. A pesar de que el formulario de concur-sar está disponible en español, las obras en español no son elegibles para ganar y serán descalificadas. COMO CONCURSAR POR CORREO O ENTREGA PERSONAL. Visita tu sección USTA/NJTL local para obtener un formulario de concursante o visita el www.usta.com/aaec donde puedes imprimir una copia del formulario de concursante. Has de completar el formulario de concursante y tus padres o tutor legal lo han de firmar. Además, lo siguiente ha de aparecer al dorso del ensayo: tu nombre, dirección, fecha de nacimiento, número de teléfono, y el nombre del programa o sección NJTL participante. Has de enviar por correo tu ensayo con la información requerida con el formulario de concursante comple-tado y firmado, o entregar el mismo personalmente a tu programa o sección NJTL local. Las direcciones de todos los programas / secciones del NJTL se pueden encontrar en el www.usta.com/njtl. Las obras entregadas en persona se han de recibir por la sección / el programa NJTL entre el 1 de febrero del 2014 y las 5:00 pm ET el 25 de junio del 2014. Las obras enviadas por correo han de llevar mata sellos con fecha entre el 1 de febrero del 2014 y las 5:00 pm ET el 25 de junio del 2014, y ser recibidas por el programa / sección del NJTL para el 2 de julio del 2014. SELECCIÓN DE GANADORES: Primera Ronda: Un panel de jueces será nombrado por cada una de las diecisiete (17) secciones del USTA para juzgar todas las entradas de ensayos de todos los concursantes de su área geográfica. PREMIOS / PRECIO VENTA AL PUBLICO APROXIMADO: Se seleccio-naran diez (10) ganadores nacionales de ensayos. EXIMIR DE RESPONSBAILIDAD: Al participar, cada concursante y sus padres / tutor legal ( a nombre de si mismo y los concursantes ) exime, indemniza y libera de responsabilidad al USTA/NJTL, el USTA, el USTA Nacional Tennis Centers Incorporated, el US Open, la Ciudad de Nueva York y sus compañías matrices respectivas, subsidiarios, afiliados, distribuidores y todos demás envueltos en el desarrollo o ejecución del Concurso, sus respecti-vos propietarios, principales, accionistas, directores, administradores, volunta-rios, empleados, agentes, contratistas y representantes ( colectivamente “partes eximidas”) de toda y cualquier responsabilidad de cualquier lesión, perdidas o daños de cualquier tipo relacionados con o a raíz de (i) la participación en el concurso (ii) aceptación, uso y/ o desuso del premio (iii) la revisión y uso de las partes eximidas de la obra del concursante o semejante (definido a continua-ción), salvo donde esté prohibido por ley; y /o (iv) reclamos por terceras partes relacionadas a las representaciones y garantías declaradas en conexión con la obra del concursante. Al concursar y enviar un ensayo, cada concursante y sus padres / tutores legales ( a nombre de él mismo o el concursante) (a) renuncia sus derechos al ensayo y asigna los derechos, titulo e interés en o del ensayo, incluyendo derechos de autor, al USTA; (b) afirma y está de acuerdo que el USTA como propietario tiene el derecho exclusivo, no restrictivo, perpetuo, libre de regalías por derecho de autor, mundialmente, libremente asignable e

irrevocables, pero no la obligación de usar, editar, alterar, copiar, reproducir, licenciar, vender, alquilar, divulgar, exponer, publicar, preparar derivativos del mismo, interpretar, distribuir, exhibir, difundir, o de otra forma explotar el

ensayo, en su totalidad o en parte, a través de cualquier medio, conocido o desarrollado en un futuro, incluyendo y sin limitarse a la difusión por la televisión, radio, o Internet, por cualquier razón, sin pagos a o autorizaciones futuras del concursante o sus padres / tutor legal; (c) afirma y está de acuerdo en que las partes eximidas poseen el derecho sin restricciones e irrevocable pero no la obligación de usar el nombre del concursante, dirección, fotografía, parecido, imagen cinematográfica, voz, material bibliográfica, información personal, y cualquier interpretación por parte del concursante, sea en su forma original o alterada, editada, extractada o reproducida por las partes eximidas (colectivamente “su semejanza”) en perpetuidad por todo el mundo, o bien en conexión con el concurso o no, en cualquier medio (incluyendo la difusión por la televisión, la radio, y el Internet), ahora en existencia o descubierto o desarrollado en un futuro, para todos y cualquier propósito, sin limitaciones, anuncios, promociones, entretenimiento, y propósitos comerciales, sin pago alguno o autorización futura del concursante o sus padres / tutor legal, excepto donde y cuando esté prohibido por ley; y (d) está de acuerdo en ejecutar dichos futuros documentos e instrumentos y tomar actos futuros tal y como sean solicitados razonablemente por el USTA para poder efectuar estos términos.

CONDICIONES GENERALES: Los gastos incurridos por crear y enviar una obra no serán reembolsados por USTA o nadie más. Ninguna compensación monetaria, pagos, residuos u honorarios de uso se harán a los concursantes con respeto al uso por parte del USTA del ensayo. Al enviar el ensayo, cada concursante y sus padres / tutor legal están de acuerdo en acatar estas Bases del Concurso. El USTA se reserva el derecho de descalificar permanentemente a cualquier concursante que cree haya violado estas Bases del Concurso. NJTL Chapters and Programs administering the Arthur Ashe Essay Contest in their curriculum must abide by the following Policies and Procedures when submitting entries to the USTA National Office:

Start/End Dates: Contest officially begins at 12:01 AM ET, February 1, 2014. Mail-in entries must be received by your office on or before 5:00 PM ET on June 25, 2014. Any entry that does not meet these requirements will be disqualified by the USTA National Office. Please submit to the USTA National Office all late entries in their unopened, date stamped envelopes.

Essay Contest Eligibility: Contest open to boys and girls who (a) as of June 1, 2014 are 18 years of age and younger and legal residents of the 50 United States and the District of Columbia, and (b) are participants in a program sponsored by your local NJTL Program/Chapter as of July 10, 2013. To determine your local NJTL chapter, visit the “Locate an NJTL” function at www.usta.com/njtl. Rules.” On each Contest Entry Form, the NJTL Chapter or Program leader must also receive a written acknowledgement by the parent/legal guardian of each participant that they have reviewed, understood and agree to the Official Contest Rules. The failure of a parent/legal guardian to sign a participant’s Contest Entry Form in this manner will result in disqualification. Web Entrants must have a parent’s/legal guardian’s permission to submit an entry. Sponsor will contact entrant’s parent/legal guardian to verify consent. If a parent/legal guardian cannot be contacted, or fails to provide verifiable consent, such entrant will be disqualified. The “Official Contest Rules” can be viewed at www.usta.com/aaec. Please print out copies of the Official Contest Rules and Contest Entry Form and always keep a sufficient quantity on hand to share with entrants and potential entrants.

Submitted Entries by Participants: Participants must submit their essays through their NJTL Chapter or Program. All entries submitted to the NJTL Chapter or Program are eligible for consideration and must be forwarded to the USTA National Office. If a completed entry has been submitted to you as the local NJTL Chapter or Program leader, then you in good faith must forward that entry along with all other completed entries to the National USTA office in accordance with these Policies and Procedures. No completed entries must be excluded or eliminated for any reason.

How to Submit Entries from your NJTL: All entries collected by the NJTL Chapter or Program leader must include a completed official entry form stapled to the essay. The author’s name, date of birth, chapter name and/or NJTL ID#, address, and phone number written on the back of each submission in case the entry form gets separated from the submission. Entry forms can be downloaded at www.usta.com/aaec. Although Spanish language entry forms are available, submissions written in Spanish are ineligible. All entry forms must be signed by the participant’s party/legal guardian. NJTL Chapter or Program leaders must submit bundled essays by age group, then alphabetical order – all Girls 10 and under alphabetized, Boys 10 and under alphabetized, Girls 11/12 alphabetized, Boys 11/12 alphabetized, and so forth. The total number of essay submissions should be clearly noted on the top page of the bundle.

Late entries received past 5:00PM ET July 10, 2014 must be date stamped and remain sealed. All sealed late entries must be submitted to the USTA National Office by 5:00PM ET July 10, 2014. Essay submissions will not be returned to the NJTL Chapter/Program or the participant. The chapter leader should make a copy of the essay for their records.

Entries Sent to the USTA National Office: Participants who mail submissions directly to the USTA National Office (and not their local NJTL Program or Chapter) are subject to disqualification. However, should individual essays be received at the USTA National Office, the USTA National Office will make efforts to do one of the following: Send the submission directly to the NJTL Chapter or Program Leader if NJTL name is indicated. Return the submission to the participant with the address of the closest NJTL in their area.

Winner Selection: Round 1: A panel of qualified judges will be appointed by each of the seventeen (17) USTA Sections to judge all essay submissions from entrants within each such Section’s geographical area. Round 2: The USTA/NJTL Arthur Ashe Essay Contest Subcommittee will judge all finalist submissions, and select (a) one (1) boy and one (1) girl from each of five (5) age groups as essay winners for a total of ten (10) national essay winners. Essays will be judged based on the following criteria: (i) knowledge of Arthur Ashe; (ii) message clarity; (iii) quality of expression; and (iv) creative style. Each of the criteria will be given equal weight. Ties will be broken by the judges who shall select the entry that best meets criteria ii (message clarity). All decisions by the USTA and the judges will be final and binding in all respects. Selected contestants will be notified by telephone and/or mail and confirmed winners in accordance with these Official Contest Rules. Selected contestants will be asked to sign an Affidavit of Eligibility and Release and may be asked to provide proof of age, residency, parenthood/guardianship. If prize/prize notification is returned as undeliverable, requisite release and documentation suitable to the USTA are not provided, or a selected contestant is unable to accept prize, prize will be forfeited and the contestant that has submitted the next best submission of the same type (i.e. essay in the same age/gender category) will be selected as an alternate winner in accordance with these Official Contest Rules. The USTA further reserves the right to disqualify any selected contestant whose behavior, past or present, the USTA, in its sole discretion, deems to be inappropriate or an embarrassment to the USTA.
