1.0 INTRODUCTION

Industrial Training (Practicum) is designed as a platform for students (or interns) toadapttotheworkenvironment. Industrial Training is also intended for students toapply what they have learned. Recognising the importance of IndustrialTraining, School ofMultimediaTechnologyandCommunication (SMMTC),Collegeof Arts and Sciences (CAS), Universiti Utara Malaysia (UUM), provides theopportunitiesforstudentsofallprogrammestoundergoIndustrialTraining.

1.1GeneralInformationforUUMstudents

This section consists of the general information about industrial training that isimportantforUUMstudents.

1.1.1 IndustrialTrainingObjectives

IndustrialTrainingisimplementedtomeetthefollowingobjectives:

i. toexposetheinternstotherealworkingenvironmentbeforegraduating.ii. to provide opportunities for interns to relate the theoretical and practical

understanding through industrial training programmes in organisationswhereinternsareplaced.

iii. to provide opportunities for private organisations, statutory bodies,government departments and non-governmental organisations to transferexperience and expertise to interns working towards the creation ofprofessionalhumanresources.

iv. toestablish and strengthen bilateral relations between UUMand the organisation or firm involved in the industrial training programme for mutualbenefit.1.1.2 IndustrialTrainingRegulations

During Industrial Training, intern is subjected toUUMregulations.The followingarethemainmatterstobeawareof:

a) ConfirmationofIndustrialTraining

Studentneedstoconfirmhis/her reportdutystatusat theorganisationbyreturningtheReportDutyform1totheofficeofStudentDevelopmentandAlumni(PPA) -CAS.Student is also required to inform his/her supervisor regarding the aforementionedstatus.

b)PostponementofIndustrialTraining Postponement of Industrial Training is not allowed except for student who hasserioushealthissues.

c)ChangeofOrganisationStudentsarenotallowedtoapply forachangeofpracticumlocationdirectly fromthesupervisor of the organisation. Students are also notallowed to make any changes,exceptwithacceptablejustificationfortheapprovalfromtheDeanofPPA.Thepenaltyrate for theapplicationof changeof industrial trainingplacement (approveornot) isRM500.d)TakingLeaveStudentsarenotallowedtotakeanyannualleaveduringtheirpracticum,notevenforweddings. Studentswhoare marriedandexpected to deliverduring the practicumperiodareadvisedtodefertheirpracticumandregisterinthefollowingsession.

e)ReportPreparation

In preparing report, student is subjected to Act and Regulations of AcademicTreachery from paragraph 12 UUM Act (Examination) 1988. Academic treacheryincludes any acts that break any examination rules and plagiarizing project paper,academicpractice,oranyassignmentsandcourses.Iffoundguilty,StudentsDisciplineBodycanexecuteoneormoreofthefollowingpunishments:

Warning. FinenotmorethanRM200.00. SuspensionfromanyorallUniversity’sfacilitiesinacertaindecided

periodoftime. ExclusionfromanypartsofUniversityinacertaindecidedperiodoftime. ExpulsionfromUniversity.

f) IncompleteGrade(TidakLengkap-TL)

IncompleteGrade (Tidak Lengkap - TL) can be applied by student if he/shehas notcompletedanyspecificcomponentssuchasthefinalreport.Thisapplicationneedstobe submitted to theDean of Student Development and Alumni through the ReportSupervisor(SMMTC).

g) DisciplinesduringIndustrialTraining StudentwhoseinternshiphasbeenterminatedduedisciplinaryissuesasconfirmedbythesupervisorisentitledtogetFgrade.

1.1.3OtherIndustrialTrainingInformation

OtherinformationaboutIndustrialTrainingcanalsobeobtainedfromtheCentreforUniversity Industry Collaboration (CUIC) website (http://cuic.uum.edu.my) andPPACASwebsite(http://ppacas.uum.edu.my).

1.2 SpecificInformationforBachelorofCommunicationwithHonoursstudents

ThePracticum(IndustrialTraining)coursecodeforB.Comm.(Hons)isSCCX3998withcredit valueequivalent to8 credits. Students have to fulfil16weeks (4months)ofIndustrialTrainingat thechosenorganisation.B.Comm. (Hons) students are eligibleto undergo Industrial Training course after accumulating at least 121 credit hours(i.e.,onthe6thsemester).

1.2.1Objective(s)oftheCourseUponcompletionofthecourse,studentsareexpectedto:

i. developsoftskillsinthecontextoforganisationalcommunicationii. relateknowledgeandorganisationalcommunicationstructureiii. applytheoreticalknowledgeandpracticaltechniquesinthefieldof

communicationiv. studytheorganisationalphenomenaincommunicationcontext

2.0 SUPERVISIONANDVISITATIONTOORGANISATION ThepurposeofIndustrialTrainingsupervisionistoensurethestudent isgivenpropertasks based on his/her industrial training project/research scope. Thesupervisionisconductedby:

1) ReportSupervisor(SMMTC)2) OrganisationalSupervisor(Employer)3) VisitingSupervisor(UUM)

Report Supervisor play the role of supervising and monitoring student’s tasksstartingfromthedatetheyregisterattheorganisationuntil theendofthe IndustrialTraining. TheparticularReport Supervisorwill consult the student from the stageofwritingtheproposaltothestageofcheckingthefinalreport.Meanwhile,theVisitingSupervisor act as the link between UUM and organisation in order to establishgood relationship and future cooperation. Visiting Supervisormay be the samewiththeReportSupervisorordifferentbasedontheappointmentbyPPACAS.The following is the listofactionsthatmustbe takenbyall studentsandsupervisors(studentsareadvisedtokindlyremindthesupervisorsregardingactionsthatmustbetaken).Entity ActionsStudent a)SubmitaproposaltoReportSupervisor(optional).

5.0 LOGBOOKWRITINGThis section includes the logbook writing’s requirements and format. The sample oflogbookwritingandadditionalinformationarealsoprovidedtobetterguidetheinterntorecordhis/heractivitiesduringtheindustrialtraining.5.1LogbookRequirementsDuring Industrial Training, intern is required to record his/her daily activities at theorganisation.Internisadvisedtoalwayskeeptherecordupdateddaily.Logbookmust beendorsed by the Organisational Supervisor by signing each sheet of thebook.

The logbook will be reviewed by the Visiting Supervisor (UUM) during the IndustrialTrainingvisit.Hence,studentsneedtopreparetheirlogbookduringthevisits.

Logbookmustbefilledeachdaybythestudents.Thepurposesofwriting a logbookareto:i. facilitatethestudentstoreflectontheactivitiesthathavebeencarriedoutii. enablethestudentsto learnandimprovetheirperformancebasedontheirgiven

tasksintheorganisationiii.enablesupervisorstomonitorthestudent’slearningactivitiesandtoadvisehim/her

whenevernecessary5.2FormatofLogbookWritingAmongthethingsthatneedtoberecordedinthelogbookare:i. Date, day and time of the activities - it should be clearly stated and in correct

sequence.ii.Location,typeandpurposeoftheactivity.iii. Personnelwhodealwiththestudents-whetherfromtheorganisationorclient.iv.OrganisationalSupervisor(Employer)remarksonthereportedactivities.

Client:Individualinvolvedwithstockmarket,corporatesector,financeandbanking.Note:Manyclientsdealthroughtelephone,andsomedealdirectlywiththestaffattheservicedemonstrationroom.Mostcustomerserviceexecutivesservefivetotenclientsinadaybasedonthestockmarketperformanceoftheday.Ifthestockmarketisinfavourableconditions,manyclientswilldealwiththisunit

Additionalnotes:Thepreparationof logbookmustbe insequenceandnotonlydependsontheday,but incasetheeisthedaystudentisrequiredtobe inaseparateunit, itshouldberecordedintheunit'sactivities.

5.4 AdditionalInformation

i. Logbook’stemplatecanbedownloadedfromPPACASwebsite.ii. Studentisrequiredtoalwaysbringthelogbooktowork.ii. Student is required to submit hardcopy of logbook for Organisational

Supervisorendorsementpreferablyonadailybasis,orattheendofeachweek.

iii. Studenthastoensuretheactivitiesrecordedinthelogbookarewrittenneatly.iv. StudentmustshowthelogbooktotheVisitingSupervisorduringthevisit.Failureto

dosomayresulttothedecreasedofmarkoflogbookwriting.

6.0 PROPOSALANDREPORTWRITINGIngeneral,studentsareallowedtodoanyprojects/studieswhicharerelatedtothefield of communication. The students may propose the projects/studies to theReportSupervisor(SMMTC)forapproval.

6.1ReportProposalStudentundergoingIndustrialTrainingisencouragedtoproduceawrittenproposalwithinTWO(2)weeksofitscommencement.Aproposalisproducedbythestudentto explain about future project in the organisation. The proposal must be clear,concise, neat and written in either English or Bahasa Malaysia. Proposalcomponentsareasfollows:

i. Introductionii. Organisationalbackgroundv. Goalsandobjectivesofinternshipiii.Descriptionofjobscopesiv.Summaryvi.References(usingAPAstyle)vii.Appendix(ifany)

In meeting this goal, studentmay discuss with both Report Supervisor (SMMTC)andOrganisationalSupervisoronthescopeoftheproject.However,theproductionofproposalisnotmandatory.Rather,itissubjectedtotherequestfromsupervisor.Thus, it is recommended for student to confirm requirement of proposal byconsultinghis/herrespectiveReportSupervisor.6.2FinalReportWriting The Industrial Training final report is one of the required components. The reportmust follow thedefined specifications. The reportmustbepreparedby the studentbasedonhis/herproject/studyandexperienceduring Industrial Training.The reportwillbeevaluatedbytheReportSupervisor (SMMTC). Studentwhofail tosubmitthefinal report within the timeframe will be given Incomplete Grade (TL). Anyapplication for TL grademust get the Report Supervisor’s approval. After 8 weeks,studentwillbegivenFgradeifhe/shefailstosubmitthefinalreport(pleaserefertogeneralIndustrialTrainingregulationforTLgrade). 6.2.1ScopeofReport Eachstudentisrequiredtoproduceareportafter thecompletionofIndustrialTraining. Students undergoing Industrial Training should take a serious view ofreports being prepared. Industrial Training report covers 30% of the overallmarks.Students are advised to conduct studies or Strength, Weakness, Opportunity andThreat(SWOT)analysisrelatedtocommunicationaspectsofrespectiveorganisationssuch as organisational communication, communication for social change, andinformationandcommunicationtechnology.

Marksdistributionisasfollows:In order to fulfil the requirement, the students need to discuss with ReportSupervisors (SMMTC) regarding the report scope. Theyalsoneed todiscusswith theOrganisationalSupervisorregardingthescopesuitability. Thepurposesofthekeyreportscopesareto:

i.avoid fromusing the company’s annual report as final IndustrialTrainingreport;

ii. encouragestudentstothinkcreativelyandcriticallyonthescopeofresearchundertaken;

iii.exposestudentstothereportwritingprocess;iv. strengthen students' understanding on the application of the

theories learned and how they could be practiced in the real settingsespeciallyinrelationstoadministrationandmanagement;

v. increasestudents'understandingofthescopeofthestudyi.e.,communicationandmanagementaspects.

It is advisable for students toprepare themselveswithappropriate report scope inorder to ensure the smooth flow of the writing process. The scope needs to berelevanttothecommunicationareas.6.2.2LengthofReport

The lengthof Industrial Training final report isbetween30 to50 typedpageswithintervalof two lines (doublespacing).Consent shouldbeobtained fromtheReportSupervisor(SMMTC)ifexceedsthenumberofpagesspecified.

Among the related communication aspects of organisations are organisationalcommunication and communication for social change. For instance, student canexplorefactorsaffectingwomenleadershipinanorganisation.Studentmayapply qualitative method such as observing the management practices at theorganisation inorder tounderstandthecommunicationaspectsandmakeaSWOTanalysis.

6.2.3.11Chapter4:AnalysisandDiscussion

This section requires student to describe SWOT analysis. Each dimension ofStrength,Weakness, Opportunity dan Threat (SWOT) needs to be elaborated indetails. Based on the defined objective(s), the analysis used to determine theinternal and external factors that may support or hinder the communicationaspect. Strengths and weaknesses represent the internal factors affecting anindividual or organisation, while opportunities and threats constitute external,environmentalfactors.

6.2.3.12 Chapter6:SuggestionandConclusion

This section requires student to list and elaborate on the recommendationsregardingtheorganisation’smanagementpracticesandfutureresearch.SinceSWOTanalysisconsidersbothinternalandexternalfactors,studentcantakeanhonestlookattheparticularaspectsthatorganisationcanhandle.Subsequently,thiswillleadtothe recommendations of the strategies or operations that need to be changed ormaintained.Theconclusionisasummarythatrecapthewholecontentofthereportbasedontheobjectivesofthestudy.

6.2.3.13 ReferencesThereference list isa listoftherecordsourcethatyouneedtorefer in thetext. Itshould appear after the final chapter of the report on a new page. The titleReference should be at the top of the page either on the left or middle.Referencesourceconsists of books, journal articles, magazines, newspapers andothers. The style of writing in the style of the reference list must be the latestAmericanPsychologicalAssociation(APA)edition.Refersection7.0.

9.0PROPOSAL&FINALREPORTSUBMISSIONPROCEDURES This section consists of the guidelines and procedures to submit the completedproposalandfinalreport.9.1 ProposalSubmission Completed and approved proposal should be submitted to the Report Supervisor(SMMTC).Thefinaldatetosubmit the proposal is on the 14th day, that is TWO (2)weeksaftertheIndustrialTrainingbegan.

9.2 FinalReportSubmission Studentmustsubmitareportdraftwithin1monthbeforetheIndustrialTrainingendstobe reviewed. The report shouldbecompleteandneat. The ReportSupervisorwillprovidefeedbackbyreturningthereviewedreporttothestudent.StudentsmustcorrectthereportbasedontheReportSupervisor’sfeedback.StudentsneedtoreprintthereportandsubmitittotheReportSupervisor. 9.3.1FinalReportSubmission(AdditionalInfo) StudentmustprovideONE(1)hardcopyofthefinalreportwithsoft cover (color:lightblue/birumuda)andaCD.Thehardcopyofthereportmustbesubmittedtothe Report Supervisor (SMMTC), and the CD to the Programme Coordinator ofCommunication Programme within TWO (2) weeks after the completion of theIndustrial Training. Student is advised to adhere to the deadlines.
