GUIDELINES AND STANDARD OPERATING PROCEDURE (SOP)
FOR
MEDICAL SERVICES
AND
PROTOCOL FOR HANDLING POTENTIAL COVID-19 RELATED CASES

The document is prepared to extend guidelines for ensuring proper dissemination of medical
services information and procedure to be followed in case of any Covid-19 outbreak in the
campus.
Effective Date:
The guidelines and SOP outlined in this document shall be implemented with immediate
effect from the date the Institute reopens post Lockdown period, based on the advisories
issued by the Central/State Governments from time to time. These guidelines are subject to
changes as necessitated by changes in circumstances and Government decisions in this
regard.
Purpose:
The purpose of this document is to provide detailed information on services available and
procedures to be followed after resuming of the activities in Indian Institute of Management
Calcutta after Lockdown in case of any medical support required by the IIMC community.

General Medical facilities in the Institute and SOP for handling the situation like
detection of asymptomatic or positive cases inside the campus
The Medical Unit of the Institute provides first-hand medical support/guidance to the
residents. The services of three doctors and one psychiatrist is available with the Medical
Unit as per Institute norms. The Institute Medical Unit is equipped with all necessary safety
protocols and equipment to provide immediate support to individual resident/ employee.
The medical unit follows the safety guidelines as per the ICMR infection prevention &
control practice. These include:
(i) Hand hygiene.
(ii) Use of personal protective equipment (e.g., water resistant apron, gloves,
masks, eyewear, headgear).
(iii) Disinfection of linen as required.
(iv) Cleaning and disinfection of the medical unit twice a day or as required.
Institute has identified TATA Hall as the quarantine facility. SAO (E & M) in consultation
with Resident Medical Officer of the Institute will ensure necessary equipment/services for
the facility. At present 20 rooms are earmarked as quarantine rooms. In case the need arises
more rooms will be assigned.
1. Measures to be taken on occurrence of case(s):
Despite taking all the best possible measures, the occurrence of cases among the employees
working in the office cannot be ruled out. The following measures will be taken in such
circumstances:
(i) As soon as any resident/ employee reports to the Institute’s Resident Medical
Officer (RMO) for having suspected symptoms related to COVID-19 as per ICMR
guidelines, the Institute RMO will examine and advise as per the ICMR guideline
for home quarantine (for employees having appropriate residence) / Institute’s
Quarantine facility at Tata Hall for students and essential staff living in campus and
do not have their residence in Kolkata or refer the person to a designated hospital.
(ii) Appropriate Quarantine notice will be displayed outside the home/room with the
quarantine period and other necessary details as per the guideline.

(iii) RMO will monitor the condition of the person quarantined in campus daily as per
the medical protocol and advice.
(iv) Food and other services will be delivered at room doorstep in case of quarantine at
Tata Hall facility.
(v) In case of any further deterioration of the health parameters of the quarantined
person, SAO (Medical) will take necessary action in consultation with RMO for
referring the case to designated COVID-19 hospitals in the city attached as
Annexure-Ia and Ib in consultation with the affected person.

(vi) Institute will make necessary arrangement for the immediate movement of the
patient to the identified Hospital. The Responsibility chart for actions to be taken
by various officials in such a scenario is given in Annexure–II and transportation
of the affected person to the hospital as per the safety protocol.
(vii) In case a positive case is reported, RMO in coordination with Institute
administration will ensure that necessary protocol as per GOI is followed and
respective State Government authorities are informed for further necessary action.
(viii) If the Isolation beds are not available, then IIMC will enrol in the Advance plan of
Home Services provided by the Hospitals (as per the Institute tie-up) so that the
concerned Hospitals can focus on clinical, emotional, dietary and immunity needs
of patient for 14 days.
(ix) Service Provider will be allotted to provide food, drinking water and any other
requirement for the patient, 24/7 during the period of Home Quarantine.
2. If there are large numbers of contacts from a pre-symptomatic/asymptomatic case,
there could be a possibility of a cluster emerging in workplace setting. Due to the
close environment in workplace settings this could even be a large cluster. The
essential principles of risk assessment, isolation, and quarantine of contacts, case
referral and management will remain the same. SAO (E & M) and SAO (Medical)
will take necessary action in accordance with Institute SoP and Government
advisories.
3. Management of contacts:
(i) The contacts will be categorised into high and low risk contacts by the District
RRT as detailed in the Annexure-III.
(ii) The high-risk exposure contacts shall be quarantined for 14 days.
(iii) These persons shall undergo testing as per ICMR protocol.
(iv) The low risk exposure contacts shall continue to work and closely monitor their
health for next 14 days.
(v) The flowchart for management of contact/ cases is placed at Annexure-IV.
4. Closure of workplace
(i) If there are one or two cases reported, the disinfection procedure will be
limited to places/areas visited by the patient in past 48 hrs. There is no need to
close the entire office building/halt work in other areas of the office and work
can be resumed after disinfection as per laid down protocol.
(ii) However, if there is a larger outbreak, the building/block will have to be
closed for 48 hours after thorough disinfection. All the staff will work from
home, till the building/block is adequately disinfected and is declared fit for
re-occupation.

A. The following 20 (twenty) rooms at Tata Hall are identified for the purpose of Home
Quarantine related to COVID-19. The Room Nos. are as follows:
i. 311-320 2nd Floor 10 Rooms.
ii. 330-334 2nd Floor 5 Rooms.
iii. 226-228 1st Floor 3 Rooms.
iv. 241-242 1st Floor 2 Rooms.
B. A Service Agreement is made with SRL Limited (SRL Diagnostics) for individual routine
& specialized pathology test including COVID-19 related tests on individual payment
basis to the IIM Calcutta community members. It is clarified that the Services will be
provided to candidates at the Company’s designated Centre(s) (as informed by Company
from time to time pursuant to this Agreement) or at the location of Candidate as may be
informed by IIMC. IIMC POC shall inform the Candidate’s details to SRL POC to enable
the Company to arrange the Services accordingly.
PROCESS:
i. For COVID-19 test
a. Candidate of IIMC will share to Company, the list of its Candidates and the required
documents for COVID-19 test i.e. (a) the Prescription for Covid-19 test signed by
qualified Doctor (MBBS and above with registration number), (b) Government
photo-id & Address proof (Aadhar Card/ Voter ID/ Driving License/ Passport), (c)
Duly filled patient information form, (d) Doctor’s contact details like mobile no. &
email id, and (e) such other information and documents as may be required by
Company for providing the Services.
b. Company will collect samples from Candidates for conducting the test in accordance
with the guidelines issued by ICMR from time to time. In case Company, in its
reasonable medical/clinical judgement, ascertains that a test result is unsuccessful or
Company is not satisfied with the findings of the sample collected, Company may re-
collect the sample from or conduct re-test on, the Candidate(s).
c. After processing the test as per the guidelines/ protocol issued by ICMR or
Government of India, Company will share the test reports as per ICMR guidelines
from time to time.
d. Company if unable to conduct the test or deliver test report as per the protocol
within the time line due to any change in policy/ testing protocol by ICMR or Govt.
of India or due to unavailability of raw materials including test kits, personal
protective equipment (PPEs), etc. then Company will inform IIMC about it to make
required changes.
ii) For Non – COVID-19 test(s):
Candidate shall provide the requisite information as desired by the Company for
collection of sample and processing the test requested. Company shall collect the
sample and conduct the test as per SOP and within the TAT and shall deliver the report
on Email of Candidate provided by Candidate at the time to collection of sample.

Annexure-III
Risk profiling of contacts
High Risk Contacts are persons who have been exposed to a confirmed case anytime
between 2 days prior to onset of symptoms (in the positive case) and the date of isolation
(or maximum 14 days after the symptom onset in the case).
(i) Touched body fluids of the patient (respiratory tract secretions, blood, vomit,
saliva, urine, faces; e.g. being coughed on, touching used paper tissues with a
bare hand)
(ii) Had direct physical contact with the body of the patient including physical
examination without PPE
(iii) Touched or cleaned the linens, clothes, or dishes of the patient.
(iv) Lives in the same household as the patient.
(v) Anyone in close proximity (within 1 meter) of the confirmed case without
precautions.
(vi) Passengers in close proximity (within 1 meter) in a conveyance with a
symptomatic person who later tested positive for COVID-19 for more than 6
hours.
Low-risk contact
(i) Shared the same space (worked in same room/similar) but not having a
high-risk exposure to confirmed case of COVID-19.
(ii) Travelled in same environment (bus/train/flight/any mode of transit) but
not having a high-risk exposure.
