Guidelines for Submitting an Online Application

for Accreditation of Examinations in Accordance with § 78 of the Universities Act 2002 via

MEDonline

Which courses can be accredited?

• Courses that were attended at another university or post-secondary educational institution

and should be accredited at the Medical University of Graz.

• Courses that were attended in another degree program at the Medical University of

Graz and should be accredited for the current degree program. • Courses for which an advance accreditation (Erasmus and other mobility programs) is

required. • Courses for which an advance accreditation (without mobility program) is required.

Why should you submit an application for accreditation?

• So that so examinations you have completed can be recognized and submitted as part of

your current degree program.

• Because only accredited examinations will appear in your "Transcript of Records".

Accredited examinations are not shown under your examination results in MEDonline!

How do I apply for accreditation?

Process: Submitting applications for accreditation via MEDonline (https://online.medunigraz.at)

1. Log into MEDonline via your business card

2. Click the symbol Accreditation/Certificate Submission.

4. Select the relevant degree program, accreditation type and educational institution.

Degree Program: If you have enrolled in several degree programs, choose the program in

which you attended the course that you would like to have accredited.

Select the correct accreditation type:

General Accreditation:

For examinations that were completed at an Austrian or foreign university (also for free electives if accreditation is required)

General Accreditation (Other: accreditation according to the curriculum etc.) For examinations/courses that have been completed at the Medical University of Graz and can not be submitted under the first type. This mainly concerns practical training (e.g. clinical traineeships, internships, etc.)

Advance Accreditation (study abroad) For advance accreditation as part of studying abroad

For accreditation as part of studying abroad

You can ignore the fields for business number, Dean number and notes. Please be

absolutely sure to enter the date! The current date must be entered. Educational

Institution: Select the institution at which the examination to be accredited was

completed. If you do not find the relevant educational institution, please contact the

Examination Department (Ms. Hackl or Ms. Plazovnik) with your original certificate. For

practical training (clinical traineeship, department, etc.) enter foreign educational

institution/external hospital.

Then confirm by clicking Save. You can edit the data you have entered until you confirm all

entries by clicking on Confirm all entries.

5. Next, enter the courses that you would like to have accredited by clicking 0/0/0

6. Click on New entry. A new entry must be created for each course that you would like to have accredited!!!

7. a) Entering a course that was NOT completed at the Medical University of Graz:

A new window will open when you click on "New entry": "Create a new entry." Now click

on "Add" under Add course(s) to be accredited.

Complete the fields marked with an asterisk* and then click on Save.

Under original grade, please always enter the grade given by the educational institution where the course was completed. The valid grade for the Medical University of Graz will be entered later when it has been accredited.

Under Title (English), please always enter the official English title of the course as it appears in the transcript of records from the respective university. If there is no English title, please leave this field blank.

b) Entering a course that was completed at the Medical University of Graz:

A new window will open when you click on "New entry": "Create a new entry." Now click on "Add"

under Add course(s) to be accredited.

A list of the examinations you have completed will appear. Select the examination to be accredited and add it by clicking on the title. You can now close the window with the examination results.

8. Now you need to assign the course to be accredited to an equivalent course at the Medical University of Graz.

Clicking on Add course to be accredited for MUG course(s) opens a window in which you can search

for equivalent courses.

EXCEPTION: it is not necessary to assign an equivalent course for free electives. You are now finished with this entry. Once you have completed all of your entries, you can finalize the accreditation application.

Check the box "Limit search and results to courses/subjects from the degree program of the student". Where applicable, enter the academic year and the title or partial title (please always put an asterisk before and after the search phrase * ... *) or the course number and start the search.

If you click search without entering any search criteria, all the subjects of your curriculum with the

relevant courses will be displayed.

In the results list, click Select next to the course you would like to assign for accreditation. You can

now close the window with the search results.

NOTICE: Entries under "Add freely definable academic credit(s)"are only to be made by employees of the Examination Department. You are absolutely not to use this function for any reason. Applications that have not been submitted properly will have to be entered into the system again.

In the window "Accreditation-/Decision Entries", please enter the grade given by the Medical

University of Graz and confirm by clicking Save (see screenshot below).

9. Check all the information to ensure it is correct. If you would like to have multiple courses accredited, simply create multiple entries. Any entries that you have not yet confirmed can be opened, edited or deleted by clicking on them (entry number). Afterwards, confirm all your entries by clicking on Confirm all entries.

Warning! It is no longer possible to edit the entries once they have been confirmed!!

10. Once you confirmed your entries, click on View accreditation list. Print this list and submit it together with your original certificates to the Examination Department (Neue Stiftingtalstraße 2/1, 8010 Graz). Please do not sign this printout! For the accreditation of foreign educational institutions, please bring along your original transcript of records or a certified copy.

If all the examinations that you would like to have accredited appear in MEDonline, it is not necessary to submit your application to the Examination Department personally. After completing the application in MEDonline, simply send a short email with your student number to the person responsible for accreditations so that your application can be printed and processed.

Internal process:

• After you have submitted your application for accreditation to the Examination Department, the application will be checked and recorded and then presented to the Studies Rector for approval.

• After the Studies Rector has processed the application, the decision will be generated by

MEDonline. • After the decision has been signed by the Studies Rector, it will be sent to you by return

receipt mail.

Processing time:

• The accreditation process can take up to 8 weeks.
