Hidden Data and Calculations

How Functions Handle Hidden Data

Excel's autofilter has been used here to display a subset of the sample

data. The list rows that didn't meet the criteria are hidden.

478,507 - Is the sum of only the currently visible Volume values.

The SUBTOTAL function must be used (or use the

alternative technique described below).

Syntax: =SUBTOTAL(9,$E$18:$E$1105)

27,543,071 - Is the sum of all Volume values in the list, whether

visible or hidden. The SUM function is used.

Syntax: =SUM($E$20:$E1107)

What to Expect/Alternative Technique

If you use the SUM function and drag over a subsetted list range

to select the data to sum, or if you reference the data with

a range name, your results may be unexpected because Excelwill include in the sum the data in any hidden cells in the range.

To avoid this problem, drag over the subsetted range, click

F5 to open the "Go To" dialog, and choose "Special". On the

"Go To Special" dialog that displays, choose "Visible cells only",

then name the selected range. Use that range name with the SUM

function to get the sum of only the visible cells in the range.

data, Excel's default is to chart only the visible data. However, you candirect Excel to chart using ALL the data if you wish. Select your chartand from Excel's menus choose Tools, Options. On the "Chart" tab check oruncheck the "plot visible cells only" check box.
