CATERING POLICIES

FUNCTION SPACE Function rooms are assigned according to the anticipated number of guests. The Hotel reserves the right to reassign Banquet function rooms at its discretion.

ADVANCE DEPOSIT An advance deposit for social events is necessary to guarantee event space. All deposits will be applied as a credit to your final bill and are non-refundable in the event of cancellation.

APPROVING BANQUET ORDERS It is necessary that your menu selection and all detailed arrangements be confirmed a minimum of 30 days prior to the function. Food and beverage prices are subject to change based upon the fluctuating economic market. Prices are locked in once your Banquet Event Orders are signed.

MINIMUM GUARANTEE Your final minimum guaranteed number of guests must be received no later than three business days prior to the start of your event. Should the final guarantee not be received three business days prior, the estimated number of guests will be the basis for the billing charges. In any event, you will be charged the equivalent minimum guarantee or the actual number of guests attending, whichever is greater.

ADDITIONAL FEES All prices (Including, but not limited to Food, Beverage, AV, Room Rental) are subject to 19% service charge fee which is not included in prices shown. A fee of $75.00 per station attendant will apply to any food station requiring the services of a chef (e.g., carver, sauté cook, etc). A $75 fee will apply per bartender.

FOOD & BEVERAGE No Food or Beverage may leave the hotel premises under any circumstance. Left over food and beverage items may not be boxed and taken at the conclusion of your event. No food or beverage of any kind, will be permitted to be brought into the Hotel by the group or any other guests or invitees from the outside without prior consent of the Catering Department.

DECORATIONS Round dining tables will be dressed in white 80” x 80” linens, and white linen napkins are folded at each place setting. Centerpieces include our tapered white candles, glistening hurricane globes, and polished round mirrors for dinner events. You are welcome to provide your own decorations and centerpieces, as long as this is discussed in advanced & approved by our Catering & Events Manager.

PAYMENT TERMS Payment in full of estimated charges must be received by the Hotel at least 3 (three) business days in advance of your event, unless arrangements have been made to apply charges to a credit card. All banquet checks must be signed by the person in charge or a designated representative at the completion of each function. Any discrepancies in counts or charges should be identified and resolved at that time. In the event the group vacates premises prior to signing the banquet check, all charges will be charged to the credit card on file.

ALCOHOLIC BEVERAGES Any special orders for liquor, beer or wine items outside the Hotel’s ordinary inventory will be sold to the group by case lot or other minimum requirement per vendor. The Hotel requires that beverages be dispensed only by Hotel employed servers and bartenders. The Hotel’s alcoholic beverage license requires the Hotel to request proper identification (photo ID) of any person of questionable age. Hotel reserves the right to refuse alcoholic beverage service if the person is underage, proper identification cannot be produced or appears intoxicated.

SHIPPING & STORAGE If it is necessary for you to ship materials to the Hotel, each item should be clearly marked with the following: Organization name and name of event planner, date of event and the name or your Hotel catering contact. Boxed packages and display materials will be accepted no earlier than one day prior to your scheduled event. Please advise your Hotel contact of any special arrangements or requirements concerning your materials. A labor charge may be assessed if the Hotel’s assistance is required in unloading vehicles and/or moving items to storage areas. The Hotel should be advised of any items over 100 pounds that will be displayed in any function room, or shipment of over 5 boxes of materials. Arrangements must be made for prompt return or shipping of material upon conclusion of event. A $50.00 per day storage fee will be assessed for any items remaining in the Hotel’s possession 24 hours after the conclusion of event.
