YOUR CONDITIONS OF TRAVEL

Tourists & their families need to be aware of our Conditions of Travel. We have highlighted some of these on page 7 and a complete copy is provided with your membership information.

Please complete the enclosed booking form and MAIL it to us. Alternatively, you may email or fax your holiday preferences to us.

Bookings for all holidays in this issue will only be accepted before 4.00pm Fri, 28th Oct 2016

We then allocate holidays according to people’s requests, preferences and to establish compatible tour groups. (Please make sure you put your 1st preference 1st)

Priority for holidays is given to members who live with parents or other unpaid carers; then to mem-bers who live independently and then to all other members.

All bookings are tentative until you receive written confirmation by way of an itinerary for your holiday. You must pay the deposit by the due date, as specified in your itinerary, to secure your place on your holiday.

We will let you know whether or not you have a place on a holiday if you return the booking form to us before the above closing date. (Refer to information & dates on back of booking form)

You may continue to enquire about holidays after the booking period has closed as sometimes there are vacancies and cancellations. Such requests are placed on the ‘standby list’.

Please do not select longer holidays if you are not able to attend the Pre-tour meeting, except for Tourists living in the Country who may have a phone briefing instead.

Hot Weather Guidelines

All trips will proceed in hot weather, however the itinerary will be modified and the trip may be

shortened. Please ensure your Tourist/s bring ‘sun smart’ items for their trip; hat & sunscreen (must be worn when outdoors), water bottle, hand towel or

wash cloth for wetting, sunglasses if they wear them.

We provide an esky with ice & additional water. We’ll visit venues with air-conditioning, shaded areas

or cooler coastal areas.

Vehicles are air-conditioned.

If you have health concerns related to hot weather please speak with our Client Coordinators.

Meet & Greet Service for Country Tourists: Holiday Explorers can meet you in Adelaide if arriving by bus, plane or

train and escort you to the holiday departure and then likewise, assist you at the end of the holiday. If a Holiday Explorers holiday is going through / near where you live in the country, a central pick-up / drop-off location may be arranged. If you are interested in these options please make a note on your Booking Form. Once the holiday is confirmed we send more details with your holiday itin-erary. HOLIDAYS FOR TOURISTS REQUIRING PAID SUPPORT

Holidays for Tourists requiring paid & / or a higher level of support beyond what our VOLUNTEERS are able to provide please note the following:

Paid / Higher Support usually requires either 1 or 2 trained staff (min Certificate 3 qualification) to provide support. This may include medication administration, manual handling & mobility support, maintaining personal hygiene, behaviour management, monitoring a medical condition and providing a response.

The Tourist / Carer is required to cover the costs for staff engaged to provide paid / high support as we are not funded to provide this level of support. However, we work with other agencies who do provide funding and we are able to make a referral and assist you to apply for financial assistance.

Individualised funding from DCSI - You may chose to use your DCSI allocation if you have funds available. Call us if you would like help with this.

We will advise you if we have observed a change in support needs or we think paid support may be required. If you are aware of any changes to support needs please let us know on the booking form or contact our Service Delivery Team asap.

If you require a fully wheelchair accessible or high level of mobility support option please choose from the holidays marked with the ‘’ symbol.

If there is a holiday that you would like to go on, but is not marked as accessible, please call to see if we can modify the itinerary and organise suitable transport and accommodation. Who are Holiday Explorers? Holiday Explorers Inc., a non-profit association established in 1988, provides holidays for South Australians with intellectual disability over 16 years of age, and at the same time offering respite for their families / carers.

How much do the holidays cost? The fee for a Holiday Explorers holiday is based on what any-one in the community would pay for a similar holiday. It co-vers the cost of your main meals, accommodation, transport, entrance fees and activities as per the itinerary. It doesn’t cover personal purchases, souvenirs, snacks or drinks. N.B. Due to the change from block funding to NDIS and My Aged Care funding, fees for using the service and priority of access will change over the next two (2) year transition period. Who would I be holidaying with on my Holiday Explorers holiday? You will be holidaying with at least one other Tourist Member and with two or more volunteer Support Staff. Most often you would be travelling in a group of seven (7) people made up of five (5) Tourists and two (2) volunteer Support Staff. Where practicable, you will be holidaying with people of the same age group who have similar interests and needs as you. Support Staff are volunteers trained and registered with Holi-day Explorers to be tour guides and provide assistance for the Tourists as required.

How do Support Staff find out what assistance I might need on a holiday? The Support Staff are advised about the assistance you may require on your holiday by the Holiday Explorers Client Coor-dinators. Your nominated Key Contact is required to contact us before each holiday to update this information. The Sup-port Staff are trained to treat information about you in the strictest confidence, they sign a confidentiality agreement, and at the end of the holiday, must return any printed material about you to the Holiday Explorers office where it is securely retained. NB: The Holiday Explorers Privacy Officer is the Executive Officer, Lisa Albinus.

CONDITIONS OF TRAVEL REMINDERS

DEPOSIT AND FINAL PAYMENT A deposit of $50, unless otherwise stated, is required within 7 days of receiving your itinerary. The balance of the holiday fee is payable by the date stated on the itinerary.

CHANGES IN PRICES AND ITINERARIES Holiday Explorers reserves the right to alter prices or itineraries without notice, and further reserves the right to can-cel or withdraw any holiday, or to decline to accept any person on any holiday. In the event of Holiday Explorers cancelling a holiday on which Tourists are already booked, such Tourists will be offered either an alternative holiday or a full refund, and liabil-ity of Holiday Explorers in respect thereof shall cease.

CANCELLATIONS AND REFUNDS If a Tourist confirms a booking and subsequently cancels, and Holiday Explorers is unable to find a replacement, the Tourist will be charged an equivalent fee to that levied against Holiday Explorers by the accommodation and tour operators. If Holiday Explorers is able to find a replacement the Tourist will be charged a service fee equivalent to the deposit paid. DAY TRIPS: Generally, there is no refund for cancelling a day trip.

What do I do if I have a complaint or concern about Holiday Explorers services or personnel?

If you are not happy or have concerns about the services you have received from Holiday Explorers, it is important that you tell us. It is only when we know that something is wrong that we can take action to correct it. You may direct your concern/s to our Executive Officer, Lisa Albinus. If you would like to make a formal complaint please provide this in writing, addressed to ‘Chairperson, John Miller’, and send to Holiday Explorers.

Disability Advocacy & Complaints Service of SA (Ph: 7122 6030) or the Health & Community Services Complaints Commissioner (Ph: 8226 8666 or 1800 232 007) can provide assistance if you need help to raise your concerns.
