Initialize a Position Initializing is used when a department or you would like to use the same data from another position number, but need to make some changes. In essence, you are copying the data over to create a new position that you can edit. If you know the existing position number you would like to copy, you can go directly to Position Management. If you do not know the Position Number, you may need to find it by searching different variables in Position Management or from a specific employee’s record in Job Data. In this case, we will use an Electrician Leadworker in Facilities’ position number. We can find the information by going to Workforce Administration –> Job Data and then finding the Position number on the Work Location tab.

Initialize a Position

Initializing is used when a department or you would like to use the same data from another position number, but need to make some changes. In essence, you are copying the data over to create a new position that you can edit.

If you know the existing position number you would like to copy, you can go directly to Position Management.

If you do not know the Position Number, you may need to find it by searching different variables in Position Management or from a specific employee’s record in Job Data.

In this case, we will use an Electrician Leadworker in Facilities’ position number. We can find the information by going to Workforce Administration –> Job Data and then finding the Position number on the Work Location tab.

Once you have the Position Number, go to the Menu on the left, and click Organizational Development. Then click on the Add/Update Position Info link.

Click on Add a New Value tab.

Click the Add button.

On the Description tab, click the Initialize button in the top right corner.

A small box labelled Default Position Data will appear. Enter the position number you would like copied. Then click the OK button.

After clicking OK, all the information from the position number will appear. You will notice the position number is showing all 0’s. This is because it has not created the position number yet, you are still able to edit the position number before you click the Save button.

Make the necessary changes for the new position number you are creating. Remember to double check the Effective Date. Review the rest of the information on the Description tab page and make changes as needed. You can increase the Headcount on the Specific Information tab and change the chartstring(s) on the Position Funding tab.

Once all changes are made, click the Save button and your new position number will appear at the top. You can now use this new Position Number.
