1. INTRODUCTION

Prism is a horse racing management system that streamlines the Stable workflow process, reducing pain points and improving efficiencies. The system was designed from the ground up with several leading Trainers, documenting and digitalizing the entire stable operations. As a modular, work-flow management tool it has multi-login options for Staff, Suppliers and Owners, all with various security and permission settings. And being cloud based with web, mobile and tablet interfaces, it is your one stop shop to manage all facets of your Stable from anywhere at any time.

This manual outlines how to use the key functions of the system and includes links to video demonstrations for each item.

The Horse module in Prism manages and stores all items that relate to each horse in your stable. Prism combines data feeds from Racing Australia with content input by trainers and approved staff to manage the information and build a library of information over time.

The Horse module in Prism manages and stores all items that relate to each horse in your stable. Prism combines data feeds from Racing Australia with the content input by Trainers and approved staff to manage the information and build a library over time.

1. Horse List: Shows the list of horses in the stable by alphabetical order where you can scroll down the list to find and select a horse

2. Search Box: enables predictive text and allows you to find a horse by typing their name into the box. You can also find horses by searching for their Sire and Dam

3. Filters: Enables filtering of the list by horse location and status 4. Location: Shows the current location of the horse and (days spent at Location) 5. Status: Shows the current status of the horse (days spent in that Status) 6. Barn: Shows which barn the horse is in 7. Box: Shows which box the horse is in 8. Profile: Provides the key profile information of the horse as well as its current and

previous owners and location history 9. Statistics: Provides the horses racing statistics over time. These are updated

automatically from Racing Australia’s data feed 10. Racing: Provides a list of any upcoming nominations or acceptances as well as the

horse’s racing history 11. Media: Where all photos, video and audio created are stored 12. Reports: Where all pre and post-race reports and general updates are stored 13. Trackwork – provides a list of all the trackwork the horse has scheduled or

completed over time.

14. Procedures - provides a list of all the procedures the horse has scheduled or completed over time.

15. Transport - provides a list of all the transport the horse has scheduled or completed over time.

16. General - provides a list of all the general tasks the horse has scheduled or completed over time.

17. Notes – provides another section for other key info on the horse including general comments, documents, weights, temperature, feed information

Note that tasks can be created from within the horse profile page or they are automatically updated when added from the add anywhere or schedule pages.

2.1 HORSE SEARCH AND FILTERS

In the horse screen, if you would like to search any Horse, type the name of the horse into the search box. Using predictive search, Prism will begin narrowing down the results until you find the horse you are looking for based on the Horses Name, its Sire or Dam. Once found, click on the horse’s name to bring up its profile page. If you would like to narrow down the list, you can narrow by Status or Location or both.

2.2 ADD NEW HORSE - MANUALLY

In the horse screen, to create a new horse, please follow the steps below

1. Click New Horse button 2. Enter the relevant horse details including:

a. Avatar: image of horse b. Horse Name: name of horse c. Location and Status: where the horse is currently located and its status d. Origin: country of origin e. Sire: enter manually or choose from drop down list f. Dam: enter manually or choose from drop down list g. Colour: enter colour h. Foaled Date: date of birth i. Owners: add all relevant owners in this horse, ensuring the % total always

equals 100% 3. Click Create

2.3 UNREGISTERED HORSE DATABASE

Prism currently has a database of unregistered horses from Magic Millions, Inglis and NZ Bloodstock from previous years. To add a Horse from this database:

1. Enter the name of the Dam and click once found 2. A list of corresponding Sires will appear 3. Select the corresponding Sire and Prism will pre-populate the DOB, Sex and Colour 4. Enter the remaining details and click Create

2.4 ADD OWNERS TO THE HORSE PROFILE

Once you have uploaded the horse, you then add the owners of the horse.

1. Click on Edit Ownership to bring up Horse Ownership pop up 2. Under the Owner section, select an existing owner from the drop-down list or add a

new owner using the + button 3. Then add the % ownership in the +% box for the individual owner and click Add 4. Continue adding owners as required 5. You can adjust the shareholding for each owner using the +/- % columns to ensure

to that the total shareholding equals 100% 6. Click Save 7. Each owner will be notified of them being added to that horse

2.5 CHANGING OF OWNERSHIP

Where the ownership of a horse changes hands, you can edit the ownership in the same way as adding the original ownership.

1. Click on Edit Ownership to bring up Horse Ownership pop up 2. Under the Owner section, select an existing owner from the drop-down list or add a

new owner using the + button 3. Then add the % ownership in the +% box for the individual owner and click Add 4. Continue adding owners as required 5. You can adjust the shareholding for each owner using the +/- % columns to ensure

to that the total shareholding equals 100% 6. Click Save 7. This change is then captured in the Transaction History screen and where any

owner no longer has a share in the horse, they will be moved to the Previous owner section

2.6 ADD NEW HORSE – VIA RACING AUSTRALIA

The Prism system is integrated to the Daily Registration File provided by Racing Australia. As a result, any new horse that is registered via Racing Australia, will automatically be added to your horse list and you will be notified.

EDITING HORSE PROFILE FROM RACING AUSTRALIA Note that where a horse has been added from the Daily Registration File, you will only be able to edit the location, status, barn and box. Owners can still be edited using the Edit Ownership process

2.7 MERGING NEWLY REGISTERED HORSES WITH EXISTING

Note that all horses that are registered with Racing Australia will automatically be added to your horse list once they come through from Racing Australia’s Daily Registration File. Where you have added, and managed an unregistered horse within Prism (i.e., a yearling requiring transport, trackwork, procedures, owner updates etc.) and it is then registered, Prism will pick up the horse and match it the unregistered one. You will then be notified and offered the change to merge the historical data with the new Horse that has been added to your horse list. NOTE: All data entered in for a new horse must be accurate for Merge function to work. This means that extra care is needed when entering the Sire, Dam, Foal Date, Sex and Colour of the horse to ensure merge function works. 2.8 LOCATION HISTORY

Location history provides you with an overview of the location history for that horse. When a transport task is completed the location history automatically updates.

Where you need to manually edit or add a new location, you need to:

1. Click Add button

2. Select the Location and/ or Status 3. Input the From date (i.e., the date the Horse first arrived at that location 4. Input the To date (i.e., when the Horse left)

5. Click Save

When adjusting location history, please ensure you monitor the flow of movements to ensure all movements, locations and status changes are accounted for. As long as all movements and status changes are captured in Prism, the location history will stay updated automatically.

2.9 RACING

The Horses’ racing page provides you with an overview of upcoming races as well as the horses previous race results.

2.10 MEDIA

The Horses’ media page stores all of the horses Photos, Video and Audio updates in one easy to view format. To add Media from this page, click the Add Media button and follow the instructions.

2.11 FORWARDING OR RESENDING MEDIA

All Owners can access all historical media pages and information from their own Owners portal, however if you need to resend the media files you can do so by:

1. Click the Forward Media button 2. Select whether you wish to forward to All Owners or enter specific emails 3. Select the Media files you wish to resend 4. Click Forward

2.12 REPORTS

The Horses’ reports page contains all of its Pre and Post Race reports as well as any general Horse Reports. It will also store all Draft versions of reports. You can filter the view by date, type or status To add a Report from this page, click the Create Report button and follow the instructions.

2.13 HORSE TASKS

You can also manage and maintain a horse’s tasks via their individual profile page. To view each task, simply click on the relevant task (trackwork, procedures, transport or general) to display the pending, completed or cancelled Task.

ADD TASK

1. Select the horse from the horse list or via predictive search 2. Click Add Task button in top right 3. Select the task you wish to add and complete the relevant task details. 4. Click Create button to finish 5. System will update the calendar, schedule page, horses task history as well as the

staff’s task list

Alternatively, you can also create a Task from within the Task screen by opening the tab of

the task type to be added and clicking the + New <Task> on the right (e.g. ).

In addition, all tasks created for a horse, whether it be through Schedule module or Add Anywhere will automatically be stored and updated in the horse’s individual profile.

7.14 HORSE NOTES

You can view all of the notes written about the horse from this screen.

1. Select the horse from the horse list or via predictive search

2. Click Add New Note button in top right 3. Input the information required, including any weight, temperature, feed or general

information 4. Click Save button to finish

7.15 DELETING A HORSE

Due to the data structure of the Prism portal, there is no way for the Trainer to delete a Horse from within the system by themselves. If you wish to delete a Horse, please confirm via email to [email protected] and we will implement the change.
