1.How to clear Negative Card Data entry in WWER

Click on Unapplied to check all the

Negative and Positive card data

which need to be applied

Select the unapplied card data entry which has

to be applied in the Expenses tab reflecting the

Unapplied card data.



Click on New to raise a Fresh

claim to apply the Negative and

Positive card data entry


Expense Report is the form to be selected to claim all types of

expenses. Select Expense Report

After selecting the expense report

click Ok



Select Category as Appropriate. In this case select

Non Travel Expenses from the

drop down

After selecting the

Category click Next to

proceed to the next

screens & Click Finish

You notice a Pop up which prompts you with a message on the entries available in the card data . Click Yes for applying the card data .

1.Select the checkbox on the

expense tab reflecting the

Unapplied card data.

2. Click on Apply all expenses

for applying the Unapplied card

data .




Note : For Air Travel - select Agency transaction fee and for other expenses -select None of the above

When you click on the Apply all expenses button you get a list of Expense heads. Select the appropriate Expense head from the list .Example :In this case Car Rental/Hire


After applying all expenses you get a message that the card data has been successfully applied Click Ok




1.Change the Label Expense

is as Non-Reimbursable Note : A Negative entry will be

Non Reimbursable when the

Employee raises a claim as

Non Reimbursable just to clear

the card data.

2.Click

on Apply

Note: When will a Negative entry be reimbursable? A Negative entry will be Reimbursable when the Employee raises a claim of Negative amount as reimbursable when the Air Travel/Cab is cancelled and he has got a refund to his Amex card, He includes the positive and Negative entry as reimbursable to claim the cancellation charges.


After changing the Expense is as

Non Reimbursable & Clicking on Apply you get a pop up to

input a reason .Mention the

reason as Clearing card data, Amount adjusted with claims and Click Ok

Click OK




Click on Save &

Submit to submit the

claim after the

changes have been

done

Here you see the

changes which are

reflecting



Click on Save &

Submit to submit the

claim



The claim is being

submitted



Upon submitting the claim, WWER will trigger the Print Form . Click on No Print & Done


2.How to clear Zero entry in WWER

1.Click on the checkbox

When you click on the Apply button you get a list Air Travel (Used) & (Unused) You need to select Air Travel (Unused)

2.Click on Apply

Why would there be a zero entry in the WWER tool? Zero Entry Arises in the tool when the Employee raises a claim before the travel date and to get the same nullified.


Click on Save &

Submit

Click on Apply to apply this

expense to your report .

This screen appears asking for changing the destination city. Change the destination city & click on Apply


After applying all expenses you get a message that the card data has been successfully applied Click on Ok



Select Yes in the Documents submitted drop down.

Once you click on Save & Submit you get a pop up which shows you the screen where you need to select Document submitted as Yes. & then click OK.

Click on OK



Click on Save & Submit

to submit the claim
