RUN A SUCCESSFUL TOURNAMENT
Pre-Tournament Duties
Select a date. Review the Tournament Sign-up sheet to see what dates are available and contact theCommissioner to have the date selected is still available. If date is available, Commissioner will place dateon tournament calendar. When requesting a tournament date, the following information must be provided tothe Commissioner:

Number of Courts Number of Team Acceptable
Time facilities available
Tournament Host (Must be non-playing, non-coaching)
Any Special circumstances
Any Additional Costing elements
Sanction the tou rnament.
If your team belongs to a conference or league contact your commissioner to sanction the tournament. TheCommissioner will attempt to find a knowledgeable, non-coaching, non-playing tournament director at the
site at all times. If running more than three courts, additional site directors should be on hand to assist. It isrecommended that there be one site director for every two courts.
The site directors should be able to get all needed forms from the hosting site. See section that states allitems needed to host tournament or home matches.
Verify rosters / seed tou rnament
1. Verify the team rosters. Rosters are automatically verified by the NCVF website. The printed rosters onthe scoresheets are official and no changes / additions are allowed to the scoresheet. Any players notlisted are not allowed to play in the event. Captains/Coaches should cross out any players not attending
the tournament.
Format t he tournament
Within a pool, A=1st Seed, B=2nd seed, 3=3rd Seed, etc. Teams are ranked from 1 (the highest seed)through 20 (the lowest seed). Teams may be moved as many as 3 positions in either direction, asnecessary, to avoid seeding teams constantly in the same pools in a division. The seeding shall bedetermined as follows:

*A lunch break is necessary when scheduling 4 team pools and must be scheduled unless all teamsagree AT THE CAPTAIN'S MEETING not to do so. If there are two or more pools in the tournament andone is a 5-team pool, the 4-team pool should take the designated lunch break to keep as close as possibleto the schedule of the 5-team pool since a 4-team pool usually takes less time to play than a 5-team pool.

A copy of the schedule must be taped to the scorekeeper's table at each court. This sheet must include:
Name of the tournament
Site locations
Tournament date and day of the week
Tournament Site Director's name
Round Robin Schedule, including team assignments for playing and officiating, number of sets per
match, warm-up time limits, points per set, match time limits, and time between matches. Play-off information
Restrictions of food, beverage and smoking in the facility
Organize the tournament materials. You will need to assemble the following items for each cour t:

Since playoffs are not necessary when there is only one pool, review number of teams for otherpools.
Go over ground rules (ceilings, beams, baskets, obstructions, etc.)
Remind teams to start matches on time and follow warm-up times strictly.
Teams are not to leave the site without first checking with the site director.
No food or beverages in the gyms unless otherwise stated. Absolutely no alcoholic beverages areallowed.
Ask for questions.
State the starting time of the first match (start on time!).
Forfeits
If a team does not have enough players to start their match, the following procedure must be followed:
At the scheduled time the match is to begin, the official calls both teams to the end line. No time out may be
taken until a legal number of players are present to start the match. The official declares the first set aforfeit, with a score of 25-0. An interval of up to 10 minutes shall be allowed for the team to producesufficient players to play the next set. If the team has six players present prior to the expiration of thisinterval, play shall begin immediately. If, after the 10-minute interval, a team does not have at least sixplayers present and ready to play, the second set shall be declared a default. If the match consists of threesets (applies to pool play only, an additional 10-minute interval shall be allowed before declaring the matcha forfeit. Teams may play or warm up during this time.
Score of each defaulted set is 25-0. Score of a defaulted match is 2-0 or 3-0, depending on the number ofsets scheduled to play.
Double Forfeits
If neither team is complete at the beginning of a match, both teams forfeit the first set and both scores arerecorded as 0-25. The 10-minute countdown begins. Both teams are entitled to the entire 10 minutes. If oneteam becomes complete and is ready to play, the incomplete team has the remainder of that 10-minuteinterval to make its team complete. If both teams are complete before the expiration of the 10 minutes, theremainder of the match is played immediately. If one team is still incomplete at the end of the 10 minutes,the set shall be declared a forfeit.
In a double default, if the match is two sets, each team shall be charged with the loss of two sets by default.If it is a three-set match, each team will be charged with the loss of three sets by default. The score of a
double default is 0-25 for both teams and 0-3 or 0-3 for the match.
During Play
Collect score sheets and tally match results after each match.

Playoffs
Determine playoff schedule using the following guidelines:
When round robin play qualifies teams for a championship playoff, no more than 50% of the teams
entered and playing in a pool shall advance to the playoffs. The championship bracket is not to exceed eight teams.
Playoff f ormats:
One pool = Playoff are not necessary since it is a complete round robin. Champion is decided bythe won/loss set records, then points.
Two pools = Top two teams for each pool to playoffs.
Three pools - top 2 teams from each pool to playoffs (best two first place pool finishers by win/lossrecord [points if necessary] get first round byes and will officiate the first round of playoffs).
Four pools = 2 teams from each pool to playoffs
These playoff methods are to be used only during regular season. End of season tournament schedule ispre-determined by agreement at annual organizational meeting.
Determine teams for officiating playoffs.
The team that loses the last match of pool play must stay and officiate the first playoff match (see #3 belowfor the exception). If they are in playoffs, the winner stays. If both teams make playoffs, the team whoofficiated the last pool play match must stay.
If there is a one-set tie breaker to determine who goes to playoffs, the criteria in #1 above determines who
officiates the tie breaker. The loser of the tie breaker will officiate the first round of playoffs.
If there are teams with first round byes (6 or 3 team playoff), the team(s) with the bye(s) will officiate thefirst round and the loser of the last match may leave (after checking with the site director).
Once in playoffs, the losing team must stay to officiate the next playoff match.
If there is more than one team to officiate the match, the teams may either flip a coin to see who stays orsplit the duties by each providing the needed officials.
