How to Run Monthly Enrollment Reports

First, run Internet Explorer..
WOW Does NOT play well with other browsers
Once Internet Explorer is open then type the following URL in
the address bar and press the enter key on your keyboard:
http://wveis.k12.wv.us
Click on this link to open the WOW login page
Click here to Maximize the new window
Type your WVEIS User ID and Password, then
click the Submit Button
Click on Menus
If it is not already expanded, expand the WVR (West
Virginia State Reporting) menu by clicking on the “+”
beside the menu
Note: If you can’t see all of your menus in WOW, or you
do not appear to have a working scroll bar on the right
then you might need to set your compatibility view
settings in Internet Explorer. Please see the Compatibility
View Settings tutorial for that…
Expand the WVR600
(Student Enrollment Collection) menu by clicking
the “+” beside the menu
Click on the “STU.EDT” (Student
Edit Reports) App to run it
Click on each edit report to make sure you
have no errors. If you do have errors then
you will need to go to the STU.301 and fix
the error in each student’s basic record
Age Related Edits are important too, but
they are mostly intended as flags to get
you to check and make sure the student’s
birth date is correct and the student is
enrolled in the correct class. If those are
correct then it’s “ok” to ignore that error.
It is normal to see several
flags for students under
4yrs old
This is an example of what a report looks like
that has NO errors
Click the Return button to go back
and run the next report
Please Note: You can run these Student Edit Reports
any time, and as many times as you like throughout
the month or year to help keep your enrollment
data clean
When you have finished running
School Edit Reports, you can click on
the “Exit” button to return back to
your menus
If clicking the Exit button did not return you to
your Menus, then click on the Menus button at
the top
Next, navigate back to the WVR600
menu, and click on the “WVP.245E” app
to run it
#1. If your school isn’t already selected
here, then click the dropdown and
select your school
#2. I recommend checking these boxes
#3. Click the Submit button
Once you submit the program should return a completed
status as shown here. If it does not, then go back and run it
again.
#1. Click Exit
#2. Click Reports
Click the report title to show the report.
If you are unsure of which report you
just ran, then check the date and time
When you clicked on the Report Title then the report should pop open as
an Adobe PDF file. If it does not then you might be running a pop-up
blocker. Hold the shift key and try clicking the report title again
This report is the same as the old
green screen report. If you see
errors here then you will need to
open the STU.301 and edit the
student Basic Record to fix those
errors
To print the PDF report, click on the printer Icon and follow
normal printing procedures
Please note, that in WOW you do not need to run the
Green Screen Printer Session to print things. When
you click to print the PDF reports they will
automatically print to your default printer, or the
printer of your choice
When you have finished working with that report and correcting
errors, you can click the Exit button to return to your menus
Now run the “WVS.500” app
#1. Make sure that your school is selected
#2. Select the proper reporting month
#3. Click the Submit button at the
bottom left of the window
You should get a confirmation that the report was completed. If you
do not, then go back and run it again
#1. Click exit to leave the confirmation screen
#2. Click reports to view the report that you just ran
Click on the Report Title to view that PDF report. Remember that if the report doesn’t pop up then
you might be running a pop-up blocker. If so then hold the shift key on your keyboard and then click
the Report Title again
If your not sure which report it was,
look at the most recent date and time
This particular report has no errors. So we
are good to move on to the next step. If it did
have errors then you would need to go to the
STU.301 and work with the students basic
record to fix those errors before moving on.
If you had to fix any errors from this report,
then you will need to go back and run this
report again starting on Slide #25
Once you are finished working with
that report, click the exit button to
go back to your menus list
After you have finished with the “Create and
Run School Edit Report” now you can go
back to your menus and run the “WVS.542”
Student Enrollment Report App
#1. Make sure your school is
selected
#2. Make sure the current
reporting month is selected
#3. Click the Submit Button
You should get a confirmation that the report has completed
successfully. If you do not, then go back and run the report again
#1. Once you have finished viewing the
confirmation screen, click the exit button
#2. Next, click the reports button
Now click on the report title to run the report. Remember, if you have a
pop-up blocker you might need to hold the shift key on your keyboard
while clicking on the report title.
The report should open as a PDF file,
showing you your enrollment numbers
for the reporting month. You can print
this for your records.
Just like with the old Green Screen version of this report. If your class numbers do not
match what you currently have physically in your classes, then you will need to correct
that. After making corrections you will need to go back and run the steps from Slide #25
forward again. Each time you make corrections you will need to “Create a new file” that
is why you have to go back to Slide #25
If your numbers are not correct per class level and you are
having trouble figuring out who is extra or who is missing
you can look at the “CERT.EOY” application in WOW
CERT.EOY can be found under the WVR /
State Reporting Menu
Once you run the CERT.EOY application, click on Live
Enrollment / By Grade
After this loads you can click on each class total to see a list of every student in
that class. This makes it much easier to figure out what’s wrong with your
numbers.!!!
If you approve of all the data in the previous
reports, now you can exit back to your
menus and run the “WVS.521” application
to submit your enrollment file to the county
#1. Make sure your school is
selected
#2. Make sure the proper
reporting month is selected
#3. Click the submit button
Once again, just like the other reports, you should
get a Completed confirmation. If you do not, then
go back and run the report again
Once you finish viewing the confirmation completed screen of the WVS.521 then you are finished submitting your
Monthly Enrollment to the County. You can click the Exit button to return back to your menus.
At this point it doesn’t hurt to email your WVEIS County Contact
to let that person know that you have submitted your report.
The County Contact can check and make sure it’s there by
looking at his/her WVS.522 in WOW
Here are some additional Tips & Tricks
Clicking on the reports button will take you back to your
“OUTQ” where you can see the reports you have
previously ran
You can click on the Report
Titles to open them as PDF
files if you need to view or
print them again
You can click the Trash Can Icon if you are finished with
them and want to delete them out of your OUTQ
