How to Scan Answer Sheets

The IBTP Scanning Software only works with a windows computer that is connected via USB to the scanner. Complete the steps described in the How to Setup IBTP Scanning document. Once the setup is completed, follow these instructions to scan answer sheets into IBTP.

How to Scan Answer Sheets:

1. Login to IBTP using Firefox. (The ScanIt software does NOT work in Chrome.) 2. Launch ScanIt by clicking on the ScanIt webpart on your IBTP Home Page.

3. Click the OK button if the following dialog box displays.

4. Click the OK button id the Launch Application dialog box displays.

Once the ScanIt software is running, you will see the following icon displayed in your taskbar.

5. Place the answer sheets face up in the scanner’s Automatic Document Feeder. Note: It doesn’t matter if the answer sheets are placed header or footer first into the Automatic Document Feeder. The indicator dots on the answer sheets tell the IBTP scanning software how to orient the page in order to correctly scan the answer sheet responses. You can also scan the title sheets with the answer sheets if you find that helpful.

6. Click on the Start Scanning button at the bottom-right corner of the ScanIt window.

7. Wait while the scanner scans the answer sheets.

You may see the following dialog boxes appear and disappear as the answer sheets are scanned.

8. If all answer sheets were scanned successfully, without any issues, the following dialog box will display. Click the OK button and you will be returned to the initial ScanIt window.

9. If there are any issues to address, a list of issues will display in the Requires Manual Entry tab and/or the Items to Confirm tab.

a. Requires Manual Entry tab: If you have items in this tab, click on the View Answer Sheet link to verify that the Reasons listed are valid and that no other actions need to be taken. Reference the How to Handle Scanning Issues section below.

b. Items To Confirm tab: If you have items in this tab, review the image of the item on the screen or the actual answer sheet and select the appropriate answer in the Answer drop-down menu. For example, if bubbles are not completely filled in, you may need to review the image provided or the answer sheet and then select the Answer according to the student’s intent by clicking on the Answer drop-down menu. Reference the How to Handle Scanning Issues section below if necessary. Requires Manual Entry tab view:

10. Once you have confirmed all of the issues, click on the Confirm Review button at the bottom-right of the screen.

11. The initial ScanIt window will display. Click the X to close the window.

The test results will now be available within IBTP. Reference the How to View Test Results document.

How to Handle Scanning Issues:

1. Could not establish communication to Scanner: If you see the following dialog box after clicking on the Start Scanning button, assuming you have setup your scanner correctly, it is likely that your scanner has gone to sleep since you last placed the answer sheets into the Automatic Document Feeder. Reseat the answer sheets into the Automatic Document Feeder in order to wake up your scanner and try again.

2. Reason: Blank Response. This means that at least one item on an answer sheet was either not filled in or not filled in sufficiently for the scanner to detect an answer. An image of the answer sheet’s item will display so that you can review it.

a. Click on the Answer drop-down menu to select the student’s response based on

reviewing the image or the answer sheet. The following example shows that the student did not fill in an answer for this item, so the blank option in the Answer drop-down menu is selected. The student’s test result for this item will display as “No Response” in the Item Analysis screen.

b. The following example shows that the student filled in the bubble, but simply did

not completely fill it in, as you can see from the Image. In this case, you would select B in the Answer drop-down menu to reflect the student’s intent.

3. Reason: Multiple responses. This means that the student filled more than one bubble for an item on the answer sheet. If there is no indication that the student meant to erase one of their answers, select the blank option from the Answer drop-down menu.

The student’s test result for this item will display as “No Response” in the Item Analysis screen.

4. Reason: Test ID was not recognized. This means that the test information in the bar code was not valid.

a. You must click on the View Answer Sheet link under the Image column to see the scanned image. This was a sample answer sheet, so not being recognized was a valid response.

5. Reason: No Markers are Found. The full Reason is, “Scan Error – An Error was encountered preparing the image. Details: No markers are found”. This means that the scanner could not detect marker dots on the page. Click on the View Answer Sheet link under the Image column to investigate.

The following scenarios might have caused this message:

a. Title Page: If when you click on the View Answer Sheet link, you see a Title page this simply means that you scanned the title pages along with the answer sheets,

which is fine and this message is valid because obviously the title pages will not have marker dots. You can ignore this “error”.

b. Scanned Upside Down: If when you click on the View Answer Sheet link and see a blank page, check to see if you placed the answer sheet(s) in the scanner face down and thus the back side of the answer sheet was scanned. If this happens, rescan that answer sheet face up.

c. Answer Sheet Missing Marker Dots: If when you click on the View Answer Sheet link, you see an answer sheet with not all 5 its marker dots, this means that when the answer sheets were printed, not all of the five marker dots around the top and left edge of the answer sheets were printed. To correct this, the answer sheet would have to be reprinted at actual size so that the five marker dots are printed, the answers filled in based on the student’s original answer sheet and then scanned. If you get the No Markers are Found error, it is likely that your answer sheets will not have the marker dots highlighted in the sample answer sheet below.

6. Reason: Student ID is blank. This reason will display if you scan an answer sheet in which the student id bubbles were not filled in.

When you click on the View Answer Sheet link, you can confirm that the error is valid if it is a blank answer sheet with no student id filled in.

7. Reason: Blank Sheet. This means that a student’s answer sheet had none of the items bubbled in.

If you click on the View Answer Sheet link, you can see that this is a valid message because none of the answers were bubbled in. The student’s test results will display as “No Response” in the Item Analysis screen and will display as “0.0% (1/10)” in the Student List screen.

8. Screen Resolution: If the numbers under the Sheets Scanned, Sheets Processed, Sheets Uploaded, Sheets Failed, and Items to Confirm headers at the bottom of the screen do not display, go to your Control Panel and select Display. Select the Smaller option instead of Medium or Large. This will make the text on your screen smaller and will enable the full screen to display.
