8 1 Introduction ENWW
Overview
Device Storage Manager is an application plug-in for HP Web Jetadmin that provides
the ability to manage fonts and macros on printers with storage devices. Files that
reside on a printer can be listed, added, or deleted through Device Storage Manager.
For printers that contain a hard disk, Device Storage Manager can initialize orwrite-protect the disk, and can manage any print jobs stored on the disk. These storedprint jobs, called disk jobs, are selected and printed from the printer control panel.
Device Storage Manager supports HP LaserJet printers that have a 2 to 4 MB flashSIMM, a hard drive, or a flash DIMM installed over a network. Device Storage
Manager also supports HP LaserJet printers that have a RAM disk.
From a single workstation, you can perform the following tasks:
download TrueType, PostScript, bitmap, and PCL fonts to printers
download PCL 5 macros (for example, forms, or bitmap signatures) to printers
update the fonts and macros as necessary
print samples of fonts and macros
print disk jobs
remove the fonts and macros from the printers
save a project to a file
assign an ID to fonts and macros
delete disk jobs on a printer
Note Device Storage Manager has the ability to manage HP printers connected through an
external HP Jetdirect server. Because these servers do not support Network FileSystem (NFS), this functionality uses PJL commands sent through sockets.
Managing fonts and macros
You can use Device Storage Manager to manage fonts and macros for an individual
printer or a device group. A device group consists of one or more printers grouped
together based on location, workgroup, owner, or other identifiers. See the
documentation in HP Web Jetadmin for more information about creating devicegroups.
When you create a device group, Device Storage Manager creates a project for the
printers in the device group on HP Web Jetadmins host machine. A project consists ofthe fonts and macros that the printers in the device group use. Device Storage
Manager creates one project for every device group that you create.

You can then upload fonts and macros to HP Web Jetadmins host machine, addthose files to a device groups project, and download the files in the project to all of the
printers in that device group. Before downloading the files, Device Storage Manager
verifies that the printers are supported and that they have a working mass storagedevice.
Downloading fonts and macros, to HP LaserJet printers that have mass storage
devices significantly reduces network traffic and increases printing speed. Forexample, if your company prints many different forms, you can use Device Storage
Manager to improve printing efficiency and ensure that the printed documents are
consistent. You might have different groups within your company that print differentforms, but each group merges the same client data with their particular form files and
prints the resulting documents on HP LaserJet printers. To manage this process, youcan perform the following tasks:
1 Create a device group in HP Web Jetadmin and add the printers that the usersprint their forms on to that device group.
2 From the device groups Device Storage Manager page, add the fonts and
macros to the project.
3 Download the fonts and macros in the project to all of the printers in the device
group.
When users print the forms, only the client data that is required is transferred to theprinter. The font and macro information is already in the printer, greatly reducing
printing time and network traffic. If the font and macro information changes, you canupdate the printers as necessary with a single command.
Managing disk jobs
You can use Device Storage Manager to manage disk jobs that are stored on a printerhard disk. If a printer contains disk jobs, workers can select print jobs directly from the
printer control panel. Disk jobs are divided into four categories:
Proof and Hold. This type of job prints only the first copy of a print job and stores
additional copies until they are requested.
Private Job. This type of job is stored on the printer and is available to workers
who have the proper personal identification number (PIN). Each time the job isprinted, it is deleted from memory.
Quick Copy. This type of job allows a worker to make additional copies from the
control panel, without resending the job from the workstation.
Stored Jobs. This type of job is stored on a printer hard drive and is available toany user. Stored jobs can be deleted from the printer control panel.
Device Storage Manager manages print jobs on individual printers, rather than devicegroups.

Overview
When you create a device group in HP Web Jetadmin, Device Storage Manager
creates a project for that device group on HP Web Jetadmins host machine. A project
consists of the fonts and macros that the printers use. Device Storage Manager
creates one project for every device group that you create. Before you can add fontsand macros to a project, you must upload the font and macro files from any machineon the network to HP Web Jetadmins host machine.
You can perform these tasks on the device groups Device Storage Manager page.See Accessing the Device Storage Manager page on page 14 for instructions on how
to access the Device Storage Manager page.
Uploading files to HP Web Jetadmins host machine
Before you can add fonts and macros to a project, you must upload the files from anymachine on the network to HP Web Jetadmins host machine. You can upload the filesfrom a device groups Device Storage Manager page. After you click the Upload
Files to Server option, an explorer window appears where you can select the filesthat you want to upload.
Note If an error occurs while uploading several files, a dialog box appears indicating the
status of the upload and which file did not upload correctly.
Deleting files from HP Web Jetadmins host machine
If you no longer need fonts or macros, you should delete those files from HP Web
Jetadmins host machine. Deleting unused files frees up space on the host machine.
You can use the Delete Files from Server option on the device groups Device
Storage Manager page to delete fonts and macros from HP Web Jetadmins hostmachine. Device Storage Manager physically deletes the files from the host machine.
CAUTION Remember that other projects might also use the fonts or macros that you want todelete. Once you have deleted the files from HP Web Jetadmins host machine, you
can no longer download those files from other projects.

Overview
When you create a device group, Device Storage Manager creates a project that is
associated with that device group. You can then access the device groups Device
Storage Manager page and perform the following tasks:
add fonts and macros to a project
remove fonts and macros from a project
download the files in a project to all of the printers in the device group
save a project to a file
delete fonts and macros from a printer but not a project
assign an ID to a font or macro file
view the error log
See Chapter 2, Managing files on HP Web Jetadmins host machine for moreinformation about managing files on HP Web Jetadmins host machine.
Note If the printer is connected through an external HP Jetdirect server, Device StorageManager uses PJL commands to perform functions. This process might take several
minutes.
Accessing the Device Storage Manager page
To access a device groups Device Storage Manager page, perform the followingsteps:
1 Access the Device Management > Device Groups > group namepage.
2 In the Toolbox, select Device Storage Manager from the Device Toolsdrop-down list.
The Device Storage Manager page consists of the following areas:
Project Settings This area displays the file information for the device groupsproject, including any fonts, macros, and printers. The section on the left displays
a directory structure showing the types of files that are in the project. When you
select an icon in the directory structure, the section in the middle displays detailedinformation about the files of that type. You can use the options in the section on
the right to download the files to all of the printers in the device group, remove filesfrom the project, view the error log, delete files from the device group, and select
the files destination.
Note You must assign an ID to the font or macro (form) file before a printer can use that font
or macro file. For example, if you want to use a font with an ID of 12, you wouldreference 12 for print job. To assign an ID, click the area in the ID column for the font or
macro, and type a number between 1 and 32499.

Files Available on Server This area displays information about the files that arestored on HP Web Jetadmins host machine. The section on the left displays a
directory structure showing the types of files that are stored on the host machine.
When you select a folder in the directory structure, the section in the middledisplays detailed information about the files in that folder. You can use the options
in the section on the right to add files to the project, upload files to HP Web
Jetadmins host machine, and delete files from HP Web Jetadmins host machine.
Adding files to a project
Once you have uploaded the fonts and macros to HP Web Jetadmins host machine,
you can add the following types of files to the project:
TrueType fonts (.ttf)
TrueType Collection fonts (.ttc)
PostScript fonts (.pfa, .pfb, and .sfp)
bitmap fonts (.r8p)
PCL fonts (.anp)
PCL 5 macros (.prn by default)
You can use the Add Files to Project option on the device groups Device StorageManager page to add fonts and macros to the project. When you add a file to a
project, Device Storage Manager saves a link to the file in the project.
When you add fonts and macros to a project, Device Storage Manager checks the
files to ensure that they can be used. For a font or bitmap file, Device StorageManager checks the file header, but does not check the contents of the file. For a
macro, Device Storage Manager makes a full check of the file to ensure that there areno illegal commands embedded in the file.
Removing files from a project
If a project contains fonts or macros that you no longer need, you can use the
Remove Files from Project option on the device groups Device Storage Manager
page to remove the files from the project. Device Storage Manager only removes the
links for the files from the project. Device Storage Manager does notphysically deletethe files from the HP Web Jetadmin host machine.
CAUTION When you remove fonts or macros from a project, remember that the files are still
installed on the printers associated with that project.

Downloading a project to a device group
Once you have created a device group and added the fonts and macros to the device
groups project, you can download the files to the mass storage devices installed in the
printers in that device group.
The Start Download option on the device groups Device Storage Manager page
starts the batch process of downloading the files in the project to all of the printers inthe device group. While the project is being downloaded, the project is blocked so that
other users cannot modify the project or download the project. When a project isblocked, only the following options are available:
Cancel Download
Upload File
View Error Log
When downloading files to a project, Device Storage Manager checks to see if thefiles already exist on the printers mass storage device. If a file already exists, a dialog
box appears. If you click OK, Device Storage Manager overwrites the file. If you clickCancel, Device Storage Manager does not overwrite the file and stops the
downloading process for that font or macro.
Note If there is an error while downloading several files, an error appears in the error logindicating the status of the download and which file did not download correctly.
You must specify, in the Destination drop-down list, the type of mass storage devicethat you want Device Storage Manager to download the fonts or macros to on the
printers in a device group. If you do not select one of the options or the mass storagedevice cannot accept the files, Device Storage Manager downloads the files to the
largest mass storage device in each printer. If a mass storage device does not have
enough space or there is not a mass storage device in the printer, Device StorageManager writes a message to the error log.

Downloading a project to a file
You can use the Save to File option in the Destination drop-down list on the devicegroups Device Storage Manager page to save a project to another file or disk. This
option is useful for people who use a printer that is not connected to the network and
want to use the same fonts or macros that have already been set up for a DeviceStorage Manager project.
Deleting files from a printer
You can use the Delete Files from Printers option on the device groups Device
Storage Manager page to delete the file from all the printers in the project, but notdelete the file from the project. You can then download the file again using the Start
Download option without having to upload the file from HP Web Jetadmins host
machine.
Viewing the error log
When you download a project, HP Web Jetadmin writes messages to the error logdetailing the status of the download and any errors that occurred during the process.
You can use the information in the error log to troubleshoot any problems thatoccurred.
Device group Status area
The Status area at the bottom of the device groups Device Storage Manager page
indicates the status of the project. The following are some of the status indicators thatmight appear in the Status area:
Ready No action is being performed.
Downloading The project is currently being downloaded to the printers.

Accessing the Device Storage Manager page
To access a printers Device Storage Manager page, perform the following steps:
1 Access the printers Device Status page.
2 Select Device Storage Manager from the drop-down list on the content toolbar.
The Device Storage Manager page consists of the following sections:
The left section displays a directory structure that shows all of the mass storagedevices installed on the printer and the contents of each mass storage device.
Two folders display: fonts and macros. In addition, if the printer you selectedcontains a hard disk, a disk job folder displays. When you select one of the
folders for a mass storage device, the top-middle section displays detailedinformation about the files in that folder. For example, if you select the fonts or
macros folder, name, type, ID, size, and date modified information displays. If you
select the Disk Job folder, name, type, and ID information displays.

Note You must assign an ID to the font or macro (form) file before a printer can use that fontor macro file. For example, if you want to use a font with an ID of 12, you would
reference 12 for print job. To assign an ID, click the area in the ID column for the font or
macro, and type a number between 1 and 32499.
The right section displays information about the mass storage device, includingwhether the printer is formatted (initialized) and write protected, the amount of
free space available on the printer in kilobytes (KB), and the total amount of spaceavailable on the device in kilobytes (KB). You can use the options to install files
into a printer, upload files to HP Web Jetadmins host machine, delete files from
HP Web Jetadmins host machine, delete files from the printer, and view the errorlog. This section also provides options for printing samples of fonts and macros,
and for printing disk jobs.
The bottom-middle section, Files Available on Server, displays information about
the files that are stored on HP Web Jetadmins host machine. The section on theleft displays a directory structure showing the types of files that are stored on the
host machine. When you select a folder in the directory structure, the section in
the middle displays detailed information about the files in that folder.
Note Because disk jobs are stored on the printer hard disk, and noton the server, they do
not display in the Files Available on Server section.
Initializing a mass storage device
The Disk Formatted option on the Device Storage Manager page indicates if themass storage device that you selected in the directory structure is initialized and ready
to use.
You can use the Initialize option to erase all of the files on the mass storage device
that you selected in the directory structure.
WARNING! The Initialize option erases everything on the mass storage device, including files that
do not appear on the Device Storage Manager page, such as the Java VirtualMachine. Applying the Initialize option also erases disk jobs.
Write protecting a mass storage device
Write protecting a mass storage device ensures that the contents of the mass storage
device are not erased and prevents you from adding fonts and macros. If the WriteProtect check box is selected on the Device Storage Manager page, users cannot
modify the contents of the mass storage device. If the Write Protect check box is not
selected, users can modify the contents of the mass storage device.

Deleting files from a mass storage device
If you have fonts, macros, or disk jobs on a mass storage device that you no longer
use, you should delete those files. Deleting unused files frees up space.
You can use the Delete Files from Printer option on the Device Storage Managerpage to delete files from a mass storage device.
Viewing the error log
When you initialize a mass storage device or delete files from the mass storage
device, Device Storage Manager writes messages to the error log indicating the statusof the action and any errors that occurred during the process You can use the
information in the error log to troubleshoot any problems that occurred.
Installing files on the printer
You can use the Start Download option on the Device Storage Manager page to
install font and macro files directly on the printer. You must specify, in the Destinationdrop-down list, the type of mass storage device that you want Device Storage
Manager to download the files to on the printer. If the mass storage device cannotaccept the files, Device Storage Manager downloads the files to the largest mass
storage device in the printer. If a mass storage device does not have enough space orthere is not a mass storage device in the printer, Device Storage Manager writes a
message to the error log.
Note To download a font or macro to a file instead of the printer, select the Save to File
option in the Destination drop-down list.
Note Before fonts and macros appear in the Files Available on Server list, you must
upload the files from any machine on the network to HP Web Jetadmins hostmachine.
Note Device Storage Manager does not install disk jobs to a printer.
Uploading files to HP Web Jetadmins host machine
You can use the Upload Files to Server option on the printers Device StorageManager page to upload font and macro files from any machine on the network to
HP Web Jetadmins host machine. After you click Upload Files to Server, an explorer

content toolbar The part of the content area on each HP Web Jetadmin page that contains thefollowing items:
On some pages, HP Web Jetadmin provides a drop-down list that you can use toaccess other related pages. For example, when you access a DeviceStatus
page, the drop-down list on the content toolbar provides access to otherdevice-related pages, such as the Device Configuration page and the Device
Diagnostics page.
Several icons that provide specific functionality, including the refresh, home,bookmark, and context help.
During some processes, HP Web Jetadmin displays a progress indicator on
the content toolbar.
context help area The area on each HP Web Jetadmin page where the context help is displayed if
you have HP Web Jetadmin set up to display it within the software. By default,HP Web Jetadmin displays the context help in a separate browser window.

device Any peripheral, such as a printer or scanner, that you can attach to the network.Device usually refers to one of the devices HP Web Jetadmin manages, such as
Standard Printer MIB-compliant printers and HP Jetdirect print servers. Also seedevice group.
device group One or more devices grouped together based on location, workgroup, owner, orother identifiers.
DIMM Dual inline memory module.
disk job A print job that is stored on the printer hard drive. This allows workers to accessthe print job from the printer control panel.
DRAM Dynamic random access memory.

font A set of characters of the same type (such as Times), style (such as italic), and
weight (such as bold).

host machine A network machine running administrator software that controls access to all of anetworks resources. A host machine makes network resources available to client
workstations on the network.

ID A unique identifier for a font or macro file.
M
macro A file that contains a set of instructions for outputting information, such as formsor bitmap signatures.
P
project A set of fonts, macros, and printers. A project is associated with a device group.Device Storage Manager stores projects on HP Web Jetadmins host machine.
