INITIAL 6 MONTHS’ CONTRACT WHICH MAY BE EXTENDED DEPENDING ON THE NEEDS OF THE BUSINESS

The Human Resources Administrator will assist in providing a professional and effective Human Resources ser-vice, initially for a one years’ maternity cover. Reporting The HR Administrator works as part of the Human Resources Department which comprises of the Head of HR, HR Advisor and Part-Time HR Administrator, reporting to the Head of Human Resources. Job Purpose Working with the Head of HR who is responsible for ensuring the Schools compliance with safeguarding and safer recruitment procedures and supports the School in all aspects of Human Resource Management. The HR Admin-istrator will provide secretarial and administrative support, in particular concentrating on recruitment activity, main-taining and updating HR records and assisting with the administration for Disclosure and Barring checks. The suc-cessful person must have excellent IT and Data Input skills. All to be delivered to the highest standards of accura-cy, confidentiality, timeliness, attention to detail and customer service. Responsibilities The Human Resources Administrator’s responsibilities include, but are not limited to, the following:

Recruitment and Selection Managing the recruitment and selection process for all teaching and support staff, including: Assisting the HR Advisor in:

• Preparing and placing of advertisements;

• Liaising with Heads of Departments to ensure timely provision of job descriptions and person specifications;

• Processing all applications and contacting applicants for interview;

• Dealing with recruitment enquiries from staff and those external to the School;

• Promptly requesting references and monitoring their return;

• Organising logistics for recruitment days and preparing timetables for interview and other selection activities, liaising with the Head’s PA, for Teaching Staff, and relevant managers ensuring they are kept informed throughout the process;

• Responsible for running recruitment days and being the first point of contact for all matters;

• Ensuring all pre-employment checks are carried out promptly including references, qualifications, right to work, medical, DBS checks, overseas checks and chasing outstanding checks as necessary;

• Ensuring payroll are advised of all new starters. Compliance

• Liaise with the Head of HR to ensure compliance with Benenden School Policies and Employment Law Leg-islation at all times.

Human Resources Systems

• Supporting the permanent HR Administrator and completing HR system work in their absence which will in-clude:

• Ensuring all new starter details are entered promptly into the HR database and changes to current staff terms and conditions are logged, liaising with payroll and IT;

• Advising all relevant departments of new starters;

• Updating and maintaining staff details as required;

• Ensuring accurate and legally compliant personnel files for staff;

• Logging staff absence on the HR database;

• Development of HR system, within guidelines agreed with the Head of HR;

• Training staff on use of the HR system;

• Providing reports from the HR systems as required by the Head of HR and the HR Advisor. General Human Resources Administration Providing full generalist HR support to the Head of HR and HR Advisor, including but not exclusively:

• Providing administrative support with respect to employee correspondence;

• Referring managers and staff requesting advice on HR related issues to the Head of HR;

• Assisting in Disciplinary and Grievance or other HR related meetings, specifically note taking;

• Archiving leaver’s personnel files;

• Positively promoting the HR function to make staff aware of the services available;

• Assisting the Head of HR and HR Advisor on various projects;

• Any other task the Head of Human Resources might reasonably request to support the smooth running of the department.

Person Specification Benenden School is one of the top schools in the country and, as such, staff are encouraged to maintain its high standards. The following qualities are considered essential:

• Advanced IT skills using Microsoft Office package;

• Proven data management skills;

• Strong organisational skills with excellent attention to detail;

• Ability to prioritise, work methodically and remain calm under pressure to prescribed deadlines with a ‘can-do’ attitude;

• Excellent verbal, written and numeracy skills with attention to detail;

• Ability to work within a small team, within prescribed guidelines and using own initiative;

• Flexible and adaptable;

• Approachable and friendly;

• To be comfortable working alone and unsupervised;

• Good communication and interpersonal skills;

• A good sense of humour! Desirable:

• IT Systems experience, specifically iTrent, however training will be provided for the right candidate.

Benenden has been one of the leading boarding schools in Britain for the last 90 years. We were founded in 1923

and we are situated in 240 acres of attractive parkland in Kent, the Garden of England. There are 550 girls in the

school, aged 11-18, with approximately 180 of those in the Sixth Form.

The Campus Benenden enjoys a beautiful and historic 250 acre parkland setting in the Weald of Kent. Living, learning, sporting and leisure facilities are clustered around the original 19th century mansion which adds to Benenden’s sense of close community and enables students to get the most out of the wide variety of activities on offer every day. Over the last 12 years almost £30 million has been spent on improving every facet of living and learning at Benenden: investing in facilities, widening the curriculum, extending activities outside the classroom, and improving its boarding facilities. Most recently we have opened our new All-Weather Pitch, Sports Pavilion and Staff Housing and are now working to build a new School Hall and Music School.

Co-Curricular life

Sport All girls are expected and encouraged to participate in a variety of sport, exercise and wellbeing related activities at Benenden. Physical Education is compulsory in all year groups and while the programme remains more rigid in the younger years, as girls’ progress to the upper school, they have a completely flexible programme with numerous option choices. We very much aim to promote both performance and participation, thus we strive to excel on the competitive sports field but also endeavour to help each girl find something she is good at and enjoys, in order that she may develop a lifelong commitment to keeping fit and healthy. Our major sports are Lacrosse, Netball and Tennis, and the September 2016 opening of our state-of-the-art all-weather pitch, has enabled us to expand our Hockey provision. There are also a wide range of other opportunities to take part and/or compete and the list includes Squash, Rugby, Trampoline, Athletics, Cross Country, Rounders, Equestrian, Badminton, Cricket, Judo, Karate, Fencing and SCUBA Diving. Benenden competes consistently and with much success in county, regional and national level sports competitions, with staff and students also representing their country. In addition to the incredible sporting programme on offer, girls can benefit from accessing a well-equipped Fitness Gym and 25m Swimming Pool, which are open seven days a week, as well as a plethora of Fitness and Pool-based exercise classes/activities and a host of active sports support services. Model United Nations MUN has continued to grow into an established and much celebrated activity within the life of the School, with a large number of girls competing in MUN conferences in the UK and abroad. Increasingly Benenden pupils are being given significant roles and awards at national and international conferences. Music Our lively Music department offers countless opportunities for all girls. Ensembles range from the flagship Chamber Choir and Concert Band to the elite choir The Chapel Choir, from numerous string and wind groups to a Folk Club. The School’s Symphony Orchestra welcomes advanced local students to complement Benenden’s musicians, and is thereby a valuable link with the community. As well as the weekly Friday lunchtime concerts, performances abound both in and out of the School in prestigious venues such as Westminster Abbey, Drapers’ Hall and St Paul’s Cathedral. Drama Drama at Benenden benefits from a purpose-built 300 seat theatre, which houses an additional 100 seat ‘black box’ Studio Theatre. Nearly 40% of our girls take Extra Drama in one form or another and we mount at least four productions each year. Students of Drama at Benenden have gone on to notable success in the fields of Theatre and Television.

Working within the School

The post-holder is responsible for promoting and safeguarding the welfare of children and young persons for whom

s/he is responsible, or with whom s/he comes into contact. S/He must adhere to and ensure compliance with the

School’s Safeguarding Policies at all times. If in the course of carrying out the duties of the post the post-holder be-

comes aware of any actual or potential risks to the safety or welfare of the children in the School, s/he must report

any concerns immediately to the School’s Safeguarding team.

Contract This is a fixed-term and full-time position.

Salary

A highly competitive salary will be paid, determined by knowledge and experience.

Hours

The core hours for this all year position are 8:30am-5:00pm (one hours’ unpaid lunch break), Monday to Friday. Due to the nature of this role flexibility is required at busy times.

Place of Work and Travel Your principal place of work will be at Benenden School but the School may request you to undertake travel within the UK as may be necessary to fulfil your responsibilities. You will be reimbursed for any travel and accommodation as required when travelling on Benenden School business.

Fee Remission

Members of staff receive a discount on the fees if their daughters are accepted into the School.

Pension As per government legislation, you will be automatically enrolled into the school pension scheme if you meet the eligibility criteria.

Holiday Holiday entitlement is 5 weeks plus statutory Bank Holidays. The holiday year runs from September-August, in line with the academic year. Any Bank Holiday will normally be worked when the School is in full session. Holidays should be taken during the School holidays.

Fitness Centre Membership

All staff are eligible for free membership of the Fitness Centre, including the swimming pool.

Learning and Development

The School aims to support individuals in their employment by the provision of appropriate opportunities for learning and development. Pre-Employment Checks Any offer of employment will be subject to a minimum of two references satisfactory to the School, then a successful outcome of a medical questionnaire, checks of qualifications, right to work and identification. An offer of employment will also be subject to a satisfactory Enhanced Disclosure & Barring Service (DBS) check.
