1.0 Introductiou
The Department of Indian and Northern Affairs Canada has responsibility for control
and administration of the lands in the Northwest Territories and the Yukon under the
Department of Indian Affairs and Northern Development Act (1970). The department’s
duties include management of surficial rights and resource extraction in the North, The
Northern Granular Resources Program, administered by the Land Programs Section, Land
Management Division, Natural Resources and Environment Branch, has been engaged in
various information gathering and analysis activities to help manage granular resources in the
North. Numerous field investigations of granular resources, funded by the department and
others, have in the past five years, been converted to digital form through the entry of this
data into database format. These databases contain descriptions of field investigations, site
descriptions, locations, estimated material quality, results of geotechnical tests, estimated
volumes and detailed borehole logs of subsurface conditions and sample test results. The
current challenge is to standardize the databases in order to facilitate information extraction
and to allow for the databases to be amalgamated, at a future date, into three units, the
Yukon, the NWT and the Offshore/Beaufort Sea. This data will aid resource managers with:
the creation of granular resource management plans, with long-term land use planning and
with the issue/administration of resource extraction permits.
This report describes the initial database structures and contents, documents changes
in file structures and field names, and summarizes the new databases. The intent is to
provide a clear path to the new databases for those familiar with the old, and detailed
descriptions of their development and contents for new users.

2.0 Main Database CornDonen@
There are four main database components: the Report Catalogue, the Deposit
Database, the Borehole Database and the-Historical Database. All the databases are x-base
compatible (.dbf) fdles. The first three databases can be linked through two common fields
designated as Study Number and Source Number. Figure 1 illustrates the linkages between
the main departmental granular databases and summarizes the type of information each
database provides. The key field in the historical database is the database name. Each
database will be discussed further below. (The first three descriptions are taken from
Trimble and Gowan, 1990.)
Report Catalogue - This contains a listing of all available reports containing granular
resource data for the area under study; included are geotechnical, surficial geology, airphoto
interpretation and geophysical reports. This information extends beyond a bibliographic
database by including a preliminary evaluation of the extent and usefulness of the data in the
reports. (A separate Bibliographic database for the Mackenzie Valley, is in the Same format
as a report catalogue, but also contains reports lacking information about specific granular
sources.) Report Catalogues are simple flat-file (or data table) type databases.
Deposit Database - Data for individual sources (gravel pits and/or deposits) that was
obtained from the reports listed in the Report Catalogue is included in this database. A
comprehensive description of a Source and its materials is obtained if all fields are filled out.
This database summarizes the information contained in the Borehole Database and is
available for all study areas except the Beaufort Sea. Deposit Databases are also simple flat-
file (or data table) type databases.

Borehole Database - Geotechnical borehole data from reports listed in the Report
Catalogues and for individual sources listed in the Deposit Databases is included in this
component. These include a description of the borehole, stratigraphic data and laboratory
test results. A complete borehole log, and other graphical or tabular output can also be
generated with the borehole database software. The Borehole Databases are relational
databases created and accessed using the ESEBase borehole database management software.
Borehole databases consist of a series of files related to each other on common key fields,
Historical Database - This is a database file designed to summarize all database work
done by region. This file, done in a simple flat-file database format, catalogues and
summarizes work done on any departmental databases (Report Catalogues, Deposit Databases
or Borehole Databases) by contractors or departmental personnel. These entries replace the
specific fields, including: compiler, compile date, data compilation project number, updater,
update date, and update project number which have been included in previous databases (See
Appendix 1 for an explanation of the fields which have been replaced by the Historical
Database). This change reduces duplication and decreases the amount of data entry work per
record for the contractor. As well, it provides the department with an easy access, detailed
record of work completed on the databases. Initially, we have created the historical
databases for the existing work. In the future, the historical database will be created or
updated by any contractor who does work on a database as part of their contract. Table 1 is
the structure and data dictionary of a Historical Database. Appendix 2 contains print outs of
the various historical databases created during this project.

This database contains a database (.dbf) file and a second accompanying file, with the
same name as the .dbf file, but with the extension .dbt (for dB=) or .fpt (for FoxPro), for
data in memo fields. These files (the .dbf and .dbt/.fpt) must be kept together since losing
the memo file will result in the loss of all descriptions of the work done, thereby negating
the purpose of the summary database.

All mjor changes to specific records should be noted here. Proper documentation in this field is necessary M) that older information is not used by mistake.

2.1 Database Namin? Convention
It was necessary to develop a standardized naming convention to describe and
delineate all of our database files. The structure which was chosen is as follows: up to four
characters which represent the abbreviated geographical region name (NAME), two
characters which indicate the year work was completed (YY) and two characters which
indicate the type (TP) or content of the database (eg. DP - Deposit, RP - Report, BH -
Borehole, HS - History, BB - Bibliography). Therefore the names follow the format:
NAMEYYTP. For example, in the Mackenzie Valley files would be called:
NMK93DP.DBF, SMK93DP,DBF, MK93RP.DBF, MK93BH.DBF, MK93BB.DBF and
MK93HS.DBF.

3.0 Methodology
The first step of this project involved collecting all the databases and related reports
completed by the Granular Resources Program. A total of twenty three flat-file databases
were found. Eight of these databases were Deposit Databases, eight were Report Catalogues
and one was a Bibliographic database (same format as a Report Catalogue). Table 2 shows
the pertinent data about each of these databases. As well, a number of relational databases,
containing detailed borehole logs were found. It was decided to work on the databases in
two phases, Phase one for the flat-file databases and Phase 2 for the relational databases.
The current listing of contractor abbreviations and geographical place name abbreviations is
included in Appendix 3.

3.1 &¶&hodoIoeV Ph= 1 - ".Database
Initially all the files were loaded into the sections computer where they could be
manipulated with FoxPro 2.0 software and their database structures were printed.
(Appendix 4 contains the original database structures of each of these files.) This data was
summarized by creating a chart which showed field names on one axis and file names on the
other. As well, the data dictionaries were searched to verify the definitions for various field
names.
Standardized field names were developed for each data classification. An effort was
made to make these field names as meaningful as possible to aid future database users. As
well, location fields (eg. longitude and latitude) were named using a format which is
compatible with the QuikMap mapping program. Using these standardized field names two
new standard structures were crated, one for Report Catalogues and one for Deposit
Databases. (Initially, field lengths for these two structures were determined by surveying the
data. Over time, the field lengths were changed as longer fields were encountered in the
files.)
It was decided to eliminate a number of fields which related to the data compilation
and updating by contractors as these contained the same information for each database.
These fields were moved to a sepatate file called a Historical Database.

3.2 Database Standardizatioq
The standardization process consisted of a number of steps. Care was taken to
document and back up each step to ensure no data was lost. The steps required are listed
below, with FoxPro commands shown in bold.

Select the database which is being changed, ex. SRCE92NM.dbf. Use SRCE92NM.
Copy the old database structure to a file using the following command. Copy to
(path)\NMK93DP.old structure extended.
Use the old database structure. Use N”D3DP.old. Append from the template
database structure, Deposit-str or ReportAr depending on the database type. Append
from Deposit.str. The database structure will now contain all the old fields (from the
original database) and all the new fields (from the template database).
Edit the structure using browse and add an “n” to the beginning of all the new field
names. This is necessary since the database cannot be created unless the field names
are unique. This also helps the user easily distinguish between new and old fields.
Care must be taken to ensure that the data fields are of the same length and trpe
otherwise data could be lost. If the new field length was not sufficient the length was ’
increased to match the old field length. As well, the database structure template
(Report.str and Deposit.str) was edited to show the change.

4. Create a new database from the structure NMK93DP.old. Create NMK93DP from
NMK93DP.old. This command creates a new database with the structure of both the
old database and new databases.
5 . Use the new database, MK93DP.dbf. Use NMK93DP. Append all the old records.
Append from SRCE92NM. This crates a database which contains all the original
data, stored under the original field names. The new fields are present but empty.
(Note: In some cases when this command was attempted it generated the error - Not
a Database File. In these cases it was necessary to go back to the structure
Report.old created in step 3 and edit it. Field lengths were reduced to one for many
of the new fields and the database was again created using steps 4 and 5 . Later, as
fields were deleted in step 6, the new fields were again expanded back to their proper
length.)
6. Using the replace command, transfer the data from the old fields to the new fields.
Replace all NMK93DP. < new field name > with < old field name > . Visual
verification of the transfer should be used to check that data is actually transferred.
Once the data was successfully transferred the old field was deleted from the
structure. This step is repeat4 until all fields are transferred to the new field names.

7. Once all the data has been transferred and all the old field names deleted, the new
field names must be edited ta remove the character "n" which identified it as a new
field. Using the modify structure command in the FoxPro menus the "n" is removed
from each field and the original name restored.
8. After all databases have been standatdized it is necessary to compare the structures
with the final structure of the files Report.str and Deposit.str. Any field lengths
which have been changed in each database must be edited. This ensures that all the
databases have the exact same file structure, both in terms of field names and field
length.
9. Back up all work to disk to ensure that the finished product is saved.
It should be noted that a number of fields have changed name. In general this has
lead to little change in the databases. One exception is the problem of Study Numbers. In
highway corridors (North Alaska and Dempster) Study Numbers were assigned according to
a chronological listing of reports on the study area with the oldest report being O01 and
progressing forward to the most recent report. In these cases the Study Number from the
original database is now in a field c a l l e d Study Order. Where possible, study numbers have
been created in these databases to fill in this data field, In these areas Study Order is a
unique identifier which cm be used to link the databases.

The new standardized structure and data dictionary for a Report Catalogue is located
in Appendix 5 and Appendix 6 contains the Same information for the new Deposit Database.
3.2.1 Historical Database
Historical databases were crated as part of this project. Historical databases are
designed to provide a summary of work done on regional database, including any changes or
updates to the original files. The Historical databases were created by researching past
database activity in consultants reports. In the future, records should be added by the
contractors who updatdcreate the databases as part of their contract requirements. The
structure and data dictionary for a Historical Database is included in Table 1. Printed
reports of each Historical Database can be found in Appendix 2.
3.3 Standardized Ries
The resultant files created by this procedure are consistent with the new standardized
format and have been named using the database naming convention described earlier.
Table 3 illustrates the old and new database file names, as well as the geographic area which
the data in the file covers.

4.0 &Iethodoloev Phase 2 - Borehole Dalabase
For phase two of the project it was necessary to describe all available borehole
databases. The twenty borehole databases located are summarized in Table 4. The borehole
software, ESEBase, uses a specific relational database structure, hence changes to files were
not possible. The ESEBase program links several .dbf files together through a common
field, the borehole number. Each series of .dbf files has the Same file name from borehole
database to borehole database, including: Where, Who, Misc, Sample, Basic, Comments,
Consolid(ation), Custom, Science, Soil, Strength, Measfact, Measunit, Viewdefs, Views, and
Wells. Thus each database is in a separate directory to maintain the file names. ESEBase
allows the user to access these component databases through menu driven views. These
views, summarized in Table 5 and Appendix 7, make the storage of data in each of these
component databases transparent to the user.

5.0 Conclusions
This project had two main objectives, to catalogue all existing database work (Report
Catalogues, Deposit Databases and Borehole databases), and .to standardize the structure of
all Report and Deposit Databases so that database amalgamation can occur. Twenty three
flat-file databases and twenty relational borehole databases are catalogued in this report.
New file structures were developed for Report Catalogues and Deposit Databases and the
flat-file format databases (eight source catalogue databases, eight report catalogue databases
and one bibliographic database) were formatted to match this new standard. A departmental
database file naming convention was also designed and implemented in this project. The
standardization process and the new standardized structures for these databases are fully
documented in this report and its appendices.
To facilitate the use of the database information, a new "historical" database was
designed and implemented to provide a documentation of database work done (database
creation, update and/or reformatting). This process resulted in the creation of historical
databases for the regions of Beaufort Sea, Dempster Highway Corridor, Inuvialuit
Settlement Area, Holman, Mackenzie Valley, North Alaska Highway Corridor, Paulatuk,
Sachs Harbour and the Yukon (includes: Beaver Creek, Carmacks, Dawson, Laberge, Ross
River, Tagish, Teslin and Watson Lake). Finally, a comprehensive bibliography recording
all DIAND reports which detail the creation/update of report catalogue, source catalogue
and/or borehole databases was assembled.

6.0
During the project it was noted that study numbers appeared in a number of different
formats. These differences could lead to future problems, especially once the various
component databases are combined into two large territorial databases. It is recommended
that the study numbers be analyzed and a comprehensive study number definition determined.
Special care should be taken to ensure that the study number standard which is chosen is
meaningful, easy to implement, and that it provides a unique identifier for each record.
Finally, this- definition should be implemented by editing the study numbers in all the
applicable databases.
