LOGGING ON TO ILLUSTRATOR

• When you open Illustrator, you will be asked to enter your Username (which is the email address you specified when you registered to use Illustrator) and password.

• If you have not yet registered, you can click on ‘New User Registration’ and follow the prompts. In the unlikely event that you have problems with your registration, you can call the Risk Adviser Services line on 1800 222 066.

• If you have forgotten your password, you can request a new password to be sent to the nominated email address.

Click on ‘New user registration’ and follow the prompts, if you have not registered to use Illustrator previously.

Click on ‘Forgotten password’ if you have forgotten the password for your registered email address.

USEFUL LINKS IN ILLUSTRATOR

• Once you have logged in, you will find that Illustrator has some useful links at the top of each screen

• If you are online at the time, you can click on the relevant link to go to the associated page in the OnePath website (or to the Adviser Advantage login page, if applicable).

Click on ‘Forms’ to access the OnePath online Form library.

Click on ‘Pre-Assessment Wizard’ to download OnePath’s award winning pre-assessment engine. Once logged in the wizard will be available for download.

Click on ‘Book your client’s tele-interview now’ to arrange a time for a tele-interviewer to contact your client to complete their personal statement. Once you have entered your login details, click on ‘Launch OneView Life’, followed by clicking on ‘Tele-interview bookings’ on the left hand panel.

Click on ‘OneView Life’ to access the best site to see your client’s policies with OnePath at a glance. Once you enter your log in details, click on ‘Launch OneView Life’.

Click on ‘Visit OnePath.com.au’ to be taken to the OnePath website home page.

CREATING A NEW ILLUSTRATION

Step 1 Choose Policy Ownership. If you require the policy to link to a Non Superannuation policy using a SuperLink arrangement, tick ‘SuperLink’ below.

Step 2 Check the Cover Required. If you have selected ‘SuperLink’, you will have the options ‘Super’ and ‘Non Super’ appear for the available covers. ‘Super’ refers to covers available on the Super policy, and ‘Non Super’ refers to covers available on the linked Non Superannuation policy.

Step 3Click Create New Life or Find Existing Life to re-use a client from your Illustrator database.

Note: The system has in-built smarts, where it will grey out covers if they are not available ‘in’ or ‘out’ of super.

Adding cover: To add benefit(s) and cover(s).

When TPD Definition ‘Own’ is selected on a Super policy that is part of a SuperLink arrangement, the Policy 2 – Non Super component of the TPD premium appears here. This is in addition to the TPD premium for Policy 1.

Adding lives: To add a life to an existing policy, click Add.

Then click Create a new person

or Find an existing person.

NAVIGATING BETWEEN POLICIES

Use the tree diagram to navigate between policies, lives and covers.

Adding policies: To add a policy to an illustration, click Add.

Click on the Summary tab to show the premium breakdown of covers, stamp duty and policy fee. If a SuperLink arrangement applies, this will include details for the linked policy.

PREVIEWING, COMPLETING

AND PRINTING

Quote summary – Include a summary that outlines total premiums payable across all lives and policies.

Key Cover Facts – Select to display links to sections in the PDS appropriate to covers quoted.

Index sum insured – Select whether to index the sums insured by CPI.

Projection term – select a term of 10, 20 or 30 years; or to age 55, 60 or 65.

Stepped vs. level premiums – Select to display annual comparisons between stepped and level premiums for the selected projection term.

Income Secure Wait/Benefit – Select to compare premiums across a variety of benefit and waiting periods.

Cumulative premiums – Select to display a projected total premium based on the term quoted.

Income Secure Claims Projection – Select to display a projected maximum payable claim benefit, where Income Secure Cover is purchased.

Show commission – View commission projected over five years based on your selected commission type.

Commission comparator – Display the projected commission amounts payable over five years for the available commission types.

Commission type – The commission type used for commission projection purposes.

Save as default – Select to save print options for future quotes.

OneCare Express is an intuitive electronic application program that will revolutionise the way you write life risk insurance business. By providing you with an immediate policy decision, it can:

• increase sales and referral conversion

• boost productivity and

• enhance customer satisfaction.

Instant acceptance

With OneCare Express, your client receives an underwriting decision upfront. With instant acceptance rates of up to 60%, more than 1 in 2 clients could walk out the door fully covered.

Reflexivity

‘Reflexivity’ means that questions are asked progressively, based on preceding responses. This means that only relevant questions are asked and specifics required can be captured upfront – largely eliminating the need to provide additional evidence later.

Clever, convenient features

OneCare Express is designed to expedite and streamline the process. Features include:

• ‘straight through processing’ from application submission to policy acceptance

• simplified questions and the ability to immediately complete questionnaires mean the personal statement is less rigid and more ‘conversational’

• automated search directories for medical providers, BSBs and postcodes

• a vast inbuilt Catalogue of medical, family history, travel and pastime options with an easy search function so that your client can quickly and directly disclose relevant information

• the thousands of aliases in the Catalogue means that your client makes their disclosures using terms they understand

• three-dimensional ‘GoTo’ navigation allows direct access from any part of the personal statement to any other part, at the click of a button

• the ‘GoTo’ functionality also uses colour-coding to show at a glance what has been completed and what remains to be answered in the personal statement

• the ability to attach any extra documentation to assist the assessment

• information validation for credit cards and TFNs ensure only valid numbers are entered

• online and offline functionality so you’re not limited to relying on internet connection alone.

THE ONECARE EXPRESS

APPLICATION PROCESS

Step 1: Open OnePath Illustrator and complete an illustration quote.

Step 2: Then select ‘OneCare Express.’

Step 3: Continue through to OneCare Express and complete the application or your client can

complete in their own time via our Tele-Interview or Client URL. OneCare Express will then confirm

if the application is ‘eligible for issue’ or ‘requires further assessment.’

When the application is ‘eligible for issue’ When the application ‘requires further assessment’

Step 4: Electronically submit the application

to OnePath. Your client is fully covered as soon

as OnePath receives the application.

Step 5: Your client’s details will automatically

be entered into OnePath’s administration systems

using ‘straight through processing’.

If you complete the Personal Statement via OneCare

Express, a ‘Personal Statement Pack’ will be sent to

your client for their review.

Step 6: OnePath will issue policy documentation

to your client.

Step 4: View any outstanding underwriting

requirements. If any additional documentation

is required (e.g. proof of visa), you can attach this

information to the application electronically.

Step 5: Electronically submit the

application to OnePath. Your client may be

eligible for interim cover.

Step 6: Your client’s details will automatically

be entered into OnePath’s administration systems

using ‘straight through processing’.

If you complete the Personal Statement via OneCare

Express, a ‘Personal Statement Pack’ will be sent to

your client for their review.

Step 7: The underwriting process will now apply.

OnePath will review any additional information

disclosed in the application and await any medical

or financial requirements.

If the application is accepted, OnePath will issue

policy documentation to your client.

GETTING STARTED

Moving from an illustration to OneCare Express• As per the standard illustration process, you need to enter the life insured’s basic details and cover information.

To review your illustration: Click on Illustration.

To move from an illustration to OneCare Express: Click on Express Application

You will be asked to confirm that the information being provided in the personal statement is being provided by the life to be insured.

Basic navigation

To keep track of where you are: The > symbol in the left hand column indicates the stage that you are up to.

To return to the illustration: Click on Return to Quote.

Note: All information already provided will have been retained when you re-enter OneCare Express.

To move forward and backward in the application: Click on Next or Back.

Note: Questions can be bypassed and answered later while you complete the rest of the application. However, the application cannot be submitted without all raised questions having been answered.

Lives insured

• This screen allows you to confirm the life insured’s personal details.

• It is automatically populated with the information you entered into the illustration.

• You may need to add additional information here if not provided in the illustration.

• Please ensure that all name and address details are correct, as what appears here will be entered onto our system and reflected on the Policy Schedule.

• To add or delete lives, you will need to return to the illustration.

• Changing the life insured’s personal details may change the illustration.

• In the interest of privacy, the Personal Statement Pack will always be sent to the life insured’s address as provided on this screen.

Occupation and Pastimes lists: Click on A pop up box will appear. Select the applicable occupation or pastime from the list.

If the life insured does not have any listed pastimes, confirm this by checking the box on the top right hand side of the Pastimes pop up.

Note: Any applicable premium adjustments will automatically be applied back into the illustration.

Address finder: Click on A pop up box will appear allowing you to copy an address from an existing life on the quote.

Town/Suburb finder: Click on A pop up box will appear. Select the applicable town or suburb from the list.

USING ONECARE EXPRESS

Existing insurance

• This screen allows you to input details of any existing insurance your client holds and any insurance your client is currently applying for (with OnePath Life or any other insurers, including any insurance held in superannuation or by an employment scheme).

• You will be prompted to include the type of cover, the insurer with which it is held, the cover start date, sum insured and the amount being retained (for other cover currently under application, you will be asked to supply the amount being applied for instead).

To add an existing insurance record: Click on Add insurance. The fields on the lower half of the screen will appear.

Note: Do not include cover you are applying for as part of this application.

Once you have completed all the fields, you may create another entry by clicking Add insurance again.

To remove an existing insurance record: Click on Remove.

Adviser details

• This screen confirms your authorisation for OnePath to contact your clients during the assessment process (Note: this is not applicable to ANZ financial planners).

• It allows you to authorise OnePath to arrange medical tests for any lives on the application, with an independent medical service provider. Note: this defaults to ‘No’ to minimise the risk of accidental replication of tests for the applicant.

• It also confirms the Sales Account Number and commission payment type.

Shows the Sales Account Number of the Illustrator user who created the quote. This can be changed by clicking on the down arrow.

Displays the currently selected commission type. This can be changed (where applicable) by clicking the arrow.

Policy details – General information

• This screen allows you to set up a packaging discount (if applicable).

• If a packaging discount does not apply, click on Next.

• If an external superannuation fund is the policy owner (as set up in Illustrator), there will be an additional section at the bottom of the screen where you will need to add the fund name and Australian Business Number (ABN).

To add the number of lives in the group: Click on the drop down icon and select the applicable number. Note: Any premium adjustments will automatically be applied back into the Illustration.

To add the group type: Click on the drop down icon and select the applicable group, i.e. Family, Business or Combined.

Policy details – Owner information

• This screen allows you to assign a policy owner.

To remove a policy owner: Click on Remove.

To add a policy owner: Click on Add Owner.

A pop up box will appear. Select whether the owner is to be a person, company or trust.

Next, select the applicable policy owner from the list of saved clients or create a new owner.

• If the OnePath MasterFund or an external superannuation fund or Master Trust is the policy owner (as set up in Illustrator), a different screen will appear.

Policy details – Contact Details

• This screen allows you to confirm the mailing address.

• It also indicates how policy information can be provided electronically where possible, as well as enabling consent to receive service messages via SMS.

• This screen is automatically populated with the policy owner’s contact details, which must be confirmed as being correct before proceeding.

To change the address: Check this box.

The address fields will then become active to allow alternate mailing address details to be provided.

Click here to indicate preference as to how information is provided.

Click here to indicate preference to receive service messages via SMS to the nominated mobile number.

Click here to confirm that the given contact details are correct, i.e. mail or email.

Policy details – Beneficiaries

• This screen allows you to confirm the nominated beneficiaries.

• If you select Find an existing person, it is automatically populated with the information you entered in the past.

• If the OnePath MasterFund is the policy owner (as set up in Illustrator), you will be able to set up lapsing and non-lapsing nominations, as well as elect for benefits to be paid as a lump sum or pension.

• In order for the lapsing beneficiary nomination to become effective, you will need to provide us with a signed and witnessed Nomination of Beneficiary form. We are legally bound to obtain this, even where you choose the electronic signature option. If you enter the lapsing beneficiary details into the application form, it will pre-fill a beneficiary form at the end of the application in the declaration section, which you can then print and organise client signature and witnesses. Otherwise, a blank form is available from Illustrator.

To remove beneficiaries: Highlight the beneficiary you wish to remove by clicking on it.

Click on Remove.

To add beneficiaries: Click on Add Beneficiary.

A pop up box will appear. Select whether the beneficiary is to be a person, company or trust.

Select the applicable beneficiary from the list of saved clients or create a new beneficiary.

Address finder: Click on A pop up box will appear. Select the applicable address from an existing life on the quote.

Policy details – Payment information

• This screen allows you to select the payment method and add the payment details.

• If you have previously entered payment details on the application, you may copy these across.

• If you wish to provide payment details later, check the ‘I will provide these details later’ box. However, these must be provided before you submit the application.

To select the payment method: Click on the drop down icon and select the applicable method.

To copy payment details: Click on A pop up box will appear. Select the applicable payment details.

To select the premium frequency: Click on the drop down icon and select the applicable frequency.Note: Any premium adjustments will automatically be applied back into the Illustration.

BSB finder: Click on A pop up box will appear. Select the applicable BSB number from the lists of institutions that appear.

Note: Once you select a BSB, the institution’s details will automatically appear.

To select the billing date: Check the box. The billing date box will then become active.

Enter the billing date (1 – 31).

• If you select credit card as the payment method a different screen will appear.

• This screen allows you to add the credit card details.

• You can provide this information later, if preferred by ticking the ‘I will provide these details later’ box. The screen will be raised again prior to application submission.

A To select the premium frequency: Click on the drop down icon and select the applicable method.

B To nominate the billing date: Check the box.

The billing date box will then become active. Enter the billing date (1 – 31).

C Note: Only valid credit card numbers will be accepted.

• If you select cheque as the payment method a different screen will appear.

D To select the premium frequency: Click on the drop down icon and select the applicable frequency.

Note: Cheque is only available for half-yearly and yearly payment frequencies.

E Information about loyalty programmes (i.e. Qantas Frequent Flyer) can be provided in this screen.

External Rollover Payments• If you select external rollover as the payment method a different screen will appear.

A “I will provide my External Rollover details later”:

If you wish to provide payment details later, check the ‘I will provide these details later’ box.

However, these must be provided before you submit the application.

B “I will provide my External Rollover details after submission of this application”:

If you wish to provide payment details after submitting the application, check the ‘I will provide my External Rollover details after submission of this application’ box.

• Premium Frequency must be annual.

• Available for policy type OnePath MasterFund.

• Entering search details in the fund name field brings up fund look-up (selection autopopulates fund name, product name and ABN, leaving just member number to be entered):

Internal Rollover Payment

• If the application is for a OneCare Super policy, you may choose to pay via internal transfer.

• Premium frequency payments can be monthly, half-yearly or yearly.

• If you wish to provide payment details later, check the ‘I will provide my Internal Rollover details later’ box. However, these must be provided before you submit the application.

Personal Statement completion method

• Here you can indicate how you wish your client’s personal statement to be completed. There are 4 ways to complete a personal statement:

1. It will default to ‘Express Personal Statement’. This means that the full personal statement is to be completed on your machine and then submitted.

2. If you select ‘Client URL Personal Statement’, the general information, occupation and income details are completed on your machine and then submitted. A URL address is securely sent to your client so they can complete and submit the rest of the personal statement at their convenience on their own machine.

3. Similarly, if you select ‘Tele-Interview Personal Statement’, the general information, occupation and income details are completed on your machine and then submitted. A Tele-Interviewer will then contact your client to complete the rest of the personal statement by phone.

4. If you select ‘Scan and Attach Paper Statement’, no personal statement questions will be asked by OneCare Express. Instead, a specially designed paper application can be completed and attached to the OneCare Express application prior to submission. The ‘Scan and Attach paper statement’ is available via the Forms link on the Illustrator home page.

• Click on ‘Skip and Complete Later’ to bypass the current Life Insured on the application and jump to the next Life Insured awaiting completion.

• You will also be required to confirm the Client’s personal, contact and employment details, as these must be correct before proceeding.

Select how the personal statement is to be completed.

Confirm the client’s details by checking the boxes.

• Ensuring that the applicant understands the Duty of Disclosure is a crucial component to any application for life insurance.

• The Duty of Disclosure is detailed on this page before entering the Personal Statement, together with the risks if the life to be insured and/or the policy owner do not tell OnePath something that may affect the decision to offer the insurance and on what terms.

• The Duty of Disclosure must be acknowledged before entering the personal statement in OneCare Express. Similarly, it must be re-acknowledged on each occasion that the personal statement is accessed prior to submission of the application.

Acknowledgement of the Duty of Disclosure must always be made before the personal statement can be accessed.A

Personal Statement – Questions and Questionnaires

• The Personal Statement screens will take you through the occupation, income, lifestyle, medical and family history sections of the application.

• OneCare Express will only ask the questions that are relevant to the type and level of cover being applied for, and the age and gender of the life insured.

• OneCare Express uses reflexive questioning – meaning any additional questions will be based directly on the response to the preceding question, to ensure that we only ask about pertinent information.

• Questionnaires are raised immediately as hyperlinks in the personal statement, so they can be answered immediately or at any later time before submission, if preferred.

Questionnaires provided as hyperlinks: When a disclosure is made in the personal statement and additional information is required, the questionnaire is shown as a hyperlink.

This allows you to answer the questionnaire immediately, or at any time prior to application submission.

You can also click on a completed questionnaire to review the answers provided at any time.

The Catalogue – using the Search Box

• OneCare Express uses a Catalogue of thousands of medical conditions and hundreds of travel destinations and pastimes to make disclosure easy.

• When required, a Search Box will be raised to allow you to directly type in the relevant disclosure. This means you don’t need to find if or where a condition appears in the personal statement – instead you can make the disclosure from multiple locations just by typing it in.

• “Fuzzy matching” logic allows for conditions to be found in the Catalogue, even when the spelling may not be quite correct!

Search from the Catalogue: Here the applicant is looking to disclose a knee condition. Click on the relevant condition and click “OK” to return it to the personal statement.

The Catalogue – aliases

• The Catalogue includes thousands of ‘aliases’ so that a condition can be disclosed the way your client understands it. For example, three different clients may indicate respectively that they have had a history of “Bechterew’s Disease”, “Poker Spine” or “Marie Strumpell’s Disease” – the engine will allow any of these to be selected from the Catalogue, and treat them identically knowing they are all aliases for the medical condition of Ankylosing Spondylitis.

• The concept of aliases extends to pastimes and travel disclosures. For example, a client may indicate that they are travelling to Capetown, Machu Picchu and Disneyland. The engine will allow these disclosures and treat them as travel to South Africa, Peru and the USA respectively.

Select ‘Change’ if you would like to complete the personal statement via another method, e.g. Tele-Interview or Client URL.

Direct selection of conditions, pastimes and travel destinations, together with the huge number of ‘aliases’ in the Catalogue, make full and correct disclosure easy.

The Catalogue – ‘transformations’

• Occasionally an applicant will make a disclosure that is complete from their perspective, but is insufficient to enable an assessment to be made.

• For example, an applicant may have indicated that the reason for their last visit to a hospital was to have a colonoscopy, which is a perfectly valid disclosure. However, to enable an assessment to be made, the engine needs to understand why this investigation was performed and the outcome of the test.

• Rather than refer the case to an underwriter to establish this, the engine will guide the client through the process to ‘transform’ their disclosure into a response that can be assessed by the engine. See the example below:

The ‘transformation’: The engine guides the applicant from disclosure of the colonoscopy, through to a disclosure that can be assessed (and accepted!) without an unnecessary referral to an underwriter.

Search Box restrictions: The Search facility will be restricted to relevant conditions only – e.g. in this case, conditions that might be found via a colonoscopy.

Personal Statement – Doctor Search

• OneCare Express also features a medical provider search function, where required.

• This enables you to look up the details of any doctor, private practice or hospital in Australia that is registered by the Australian Medical Association.

• You can search for the medical practitioner based on an individual doctor’s name, the name of the doctor’s practice, the hospital name or the suburb.

• The ‘Look for’ field enables you to refine your search by entering additional key details (such as an area of speciality, like ‘psychiatry’).

• OneCare Express stores the details of all doctors nominated on the application, so you can easily re-select doctors already identified.

Note: If your client has not consulted a doctor or you cannot find the doctor, practice or hospital in the list, please check this box.You will be prompted to enter additional details.

Personal Statement – Navigation

• OneCare Express has a “GoTo” function that will allow you to jump from any point in a personal statement to any other point at the click of a button.

• The GoTo box shows the personal statement sections using colour-coding, so that you can see what has been completed (green) and what remains outstanding (red).

A The GoTo page: Click here to access the GoTo page from any page within the personal statement.

B Personal Statement sections: Click on the hyperlink to go immediately to the selected page. ‘Green’ means the section is complete, ‘Red’ means there are still questions to be answered in that section.

End of the application: The “GoTo” page will be raised automatically if you reach the end of the application without completing all sections correctly, so you can immediately see and return to whatever was missed.

Details of Insurance

• Once the Personal Statement is complete, this screen will confirm if the policy is eligible for issue or if further assessment is required.

• This screen will also indicate if personalised terms (such as loadings or exclusions) are being applied to policies that are eligible for issue.

• If loadings are applied by OneCare Express, the premium shown will be recalculated to included the loading.

A If loadings are applied by the engine based on the disclosures made, the quoted premium will be amended to include the loading, and details of the loading will be provided.

B Any exclusions imposed by the engine would be displayed here.

Note: the application has not been submitted at this stage.

• After you select next and where the OnePath MasterFund is selected, you need to add the premium contribution type and enter the life insured’s tax file number (TFN).

C To select the contribution type: Click on the drop down icon and select the applicable type.

D To add the TFN: Enter the TFN in this field. This field is mandatory and only valid numbers will be accepted.

Application Form

• This screen provides you with a PDF of the Application Form. This includes the cover details and premiums.

• You can email, export or print this PDF.

• All documents are watermarked with the words For Review, to indicate that they have not yet been submitted to OnePath. The watermark will only be visible if you email, export or print the document.

• Page one of the Application Form contains instructions that outline what is required before submission.

• The Application Form contains all information entered into the illustration.

• Your customer needs to check that all of the responses are correct.

• Any additional underwriting requirements will be outlined in the Underwriting Requirements section of the form.

• Any exclusions imposed by the engine will be shown in the Exclusions section of the form.

FINALISING THE APPLICATION

Submitting the application

• Illustrator works whether you are online or offline.

• When you submit the application, a pop up box will appear.

• You and your client will need to acknowledge your respective electronic acknowledgements, and consent to the submission of the application.

• You can electronically attach documents to the application at this point for example, beneficiary forms.

• If you attempt to submit an application when offline, the application will be saved as Pending in your Application Listing – ready to submit when you next go online and open OnePath’s Illustrator.

• If the application has been successfully submitted to OnePath, a pop up box will appear in confirmation. You will also receive an email confirming that it has been successfully submitted. The application will then be saved as Submitted in your Application Listing.

To electronically attach documents to the application: Click on Attach documents.

A pop up box will appear. Select the applicable document type and life insured from the drop-down menus.

Next, click on Attach to browse in your local drive for the documents. Once these have been selected and attached, click on Close.

Your documents will now be attached to the application.

FINALISING THE APPLICATION

• Once you have submitted the application, you will have access to the final documents which will no longer be watermarked. If you so choose, you may now print out the Declarations Form, have your client sign it, and then send it to OnePath.

• You can now access an updated illustration that reflects the outcome of the application. Where applicable, this will also include an updated commission disclosure, which can then be used in your Statement of Advice.

• Click on Print to select the documents you wish to print.

To print the documents: Check the boxes beside the documents that you wish to print.Click on Print.

• A generic Declarations Form is also available via the Forms link in Illustrator.

• To exit the finalised application, click on Finish and you will be taken back to the illustration screen.

Returning to an application

• You can access your Incomplete, in Review, Pending and Submitted applications by clicking on ‘Open Quote’ on Illustrator’s home page.

• If you have already submitted the Application Form to OnePath, you will only be able to access it as a PDF. You will be unable to make changes to the application.

A To open your Application Listing: Select the File menu in the illustration screen.

Select Open Quote.

Your Application Listing will open. Or you can click ‘Open Quote’

• If accessing an incomplete application, you will have the option to review the entire application from page one, or enter at the first section that requires completion.

How to use the sharing features

Illustrator’s sharing feature saves you time and gives you greater flexibility when preparing quotes and applications for our OneCare insurance range.

Illustrator and OneCare Express deliver you the ‘best of both worlds’ – providing you with the benefits of an online solution, while retaining all the advantages of working offline.

1. Accessing your client data from different computers

You can access your quotes and applications from any computer that has Illustrator installed. Just use your registered email address and password to access your client information.

Enter your email address and password to access Illustrator from any computer that has Illustrator installed.

What if the computer doesn’t have Illustrator installed?

Simply go to onepath.com.au/illustrator, select the Software tab and run OnePath’s Illustrator by clicking on the installation file ‘OnePathIllustratorsetup.exe’ . No administration privileges are required on the computer (so long as it meets some basic system requirements) and generally, on a typical internet connection, you should be up and running within a few minutes.

2. Sharing client information with your colleagues

Illustrator allows you to share quotes and applications across different people in your advice practice.

Who can you grant access to?

Generally, you will be able to share your quotes and applications with other people who have the same email domain name as you (for example, ‘@hotmail.com’), as long as they’ve also registered for Illustrator.

How do you grant another user access?

Users that are set up as ‘Advisers’ are able to delegate access to their quotes to other users. How you do this depends on your predefined Illustrator user group.

If you use a private company email domain name that is known to us, you will see a list of all other users who have registered to use Illustrator and have the same email domain. To grant another user access to your quotes:

1. Open OnePath’s Illustrator and click on the User Settings menu.

2. Select Sharing Settings.

3. Search for or select the specific people you wish to share your quotes with and simply tick the box next to their name – or untick the box if you don’t want to share with them anymore – and click OK to confirm.

Select the people you wish to grant access to and click OK to confirm.

Tip: You will be able to share your quotes and applications with other users by granting them access. To be able to view and edit their quotes, they also need to grant access to you.

If you use a private company email domain name that is not known to us, or a public mail address such as Gmail or Hotmail, you will see a different screen when granting access. In this case, follow these steps:

1. On the Sharing Settings screen, click Add.

2. Type in their email address and click Continue. That person will now appear in your Sharing Settings.

3. If you want to remove their sharing access, select their name and click Remove.

Tip: You must be connected to the internet to modify your sharing delegations.

What’s the difference between ‘Adviser’ access and ‘Support Staff’ access?

When you register to use Illustrator you need to select your user type – either ‘Adviser’ or ‘Support Staff’.

• Advisers are able to create and modify their own quotes and applications, as well as modify other user’s quotes and applications once sharing delegations have been set up.

• Support staff cannot create quotes for themselves, but they are able to create quotes and complete applications on behalf of an adviser – provided they have been delegated access to their quotes and applications from the adviser’s Illustrator account.

How do you access your colleagues’ quotes?

Your colleagues need to go through the same setup process to grant you access. Once they’ve done that, you can access their

quotes and applications by following these steps:

1. Select the appropriate adviser name from the drop down menu at the top of the home page.

2. You will then see a list of that adviser’s quotes, by selecting ‘File’ then ‘Open’. You will also be able to identify who last modified a quote and when.

3. To open the quote, either double click on it or highlight and select Open.

Use the drop-down menu to select the adviser who has granted you access.

How do you edit or complete a quote?

Once you have opened a quote, click Edit at the bottom of the quote screen to make changes on behalf of the ‘quote owner’. You can even complete the application through OneCare Express.

Tips for editing quotes:

• You can select to Modify the current quote or to ‘clone’ or make a Copy of the current quote. Modifying the current quote will overwrite the particular scenario, so if you wish to retain multiple copies or don’t want to overwrite details of the current quote, select ‘Create a copy’ of the quote.

• Any changes to quotes or applications you make, or changes made by other users, are regularly synchronised with the central server. This will ensure you upload and download the latest version of each quote. You must be online to synchronise – but once downloaded, you can continue to modify the quote and application while offline. Your sync status is shown at the bottom left of the Illustrator home screen.

• The quote saved to the central server will be the one that was most recently saved by a user, so if multiple users are accessing and editing the same quote at the same time, the other person’s changes may not be saved.
