Guidelines for Customer Care Executives.

A Customer Care is the vital link between a customer and a company thus it is essential that for the right chord to be struck between Timesol and customers hence it is required that the executive follow the following instructions.

1) Reporting on time is a must as per the client requirements, else penalty clues as applicable as per company norms.

2) Leave applications are to be avoided between Monday to Friday .Only emergency leave applications would be considered .All leave application are to be planned and informed well in advance (minimum one week in advance )

3) The phone should be picked up within two rings and at maximum three rings. 4) The executives attending the phone lines should “greet” has Timesol (morning,

afternoon etc.). 5) The voice of executives is expected to be soft at the same time clear and loud. 6) The executive will take the request only in the prescribed format and will not at any

time use registers or any other paper to write any details. 7) The executive will take the required information and will pass the same to the

customer and mention it in the prescribed request format. 8) Executives attending the requests should take clear details of the request and also

the landmarks of the delivery or pick-up address.

9) Executive attending the customers should be confident on the information passed on to members.

10) The executive is expected to put across other related services to the request taken. 11) The executive will add a personal touch during the short conversation with the

customer. For e.g. at the end of the request saying “have a good day” or “have a nice journey” etc.,

12) Executive attending the request should treat all request equally important and shall follow up with the request till it is COMPLETED and strictly in accordance with the SLA’s

13) Executives are expected to inform the customers about their request status and update him/her in case of a delay through mobile / landline / email

14) Executives are expected to own up responsibility pertaining to any mis-communication from their end.

15) No personal calls outgoing or incoming will be entertained from the client location. However in case of emergency calls can be made...

16) The executives will maintain their cool temperament and at no point of time use high pitched voice against the members.

17) Every call on information is expected to be followed up within the stipulated time. 18) Every call on utility bills in this month will be followed up at the due dates for next

month. 19) Detailed report according to the format specified should be given to the head office

before leaving for the day. 20) Do not visit other corporate without prior approval/information. 21) Service Request Form should have complete request details –It should be easy to

understand. 22) Thanking mailer with completed request update to the customer is must. 23) Handover the completed request receipt, bills and acknowledgement to respective

customers. 24) Mention the requested courier service name in SRF and check the service availability

before sending to head office .For non-documents declaration is must. 25) Try to believe in ‘Under Commitment and Over Delivery’ and ensure if the job is not

doing able, the customer should know about it beforehand. 26) All conversations between you and customers should be supported by mails.(Apart

from non-system Corporate ) 27) Improve your knowledge on vendor related services. 28) Revert for all the official mails. 29) Handover the request on time to field executives. 30) Do not use official internet and phone for personal use and do not access

unauthorized website (Face Book, Google talk etc…) 31) Maintain the corporate timings and SLA ( Service Level Agreement ) 32) Get all the completed books on Saturday’s. 33) Do not send the huge files .Report file should contain current year data 34) Take things seriously and fall in line of the co.’s collective responsibility in achieving

BSNL LANDLINE PAYMENT Details Required: Telephone number Bill number Amount Note: Cheque should be in favor of “BSNL BG TD”. Amount above Rs.1000 should be paid by either cheque or DD only. Outstanding amount could not be paid through cheque; it should be paid only by cash (below 1000 Rs) or DD (above 1000 Rs) Outstanding amount cannot be paid in BANGALORE ONE. Outstation cheque / DD cannot be accepted.

BSNL MOBILE BILL PAYMENT (CELLONE PAYMENT) Details required: Mobile Number Mobile holder’s name Account Number Amount Note: Cheque should be in favor of “BSNL A/O CMTS” For cash payment if there is no original bill kindly write all the details in a sheet of paper & attach with the SRF.

BSNL LANDLINE - NEW CONNECTION Details required: Application form has to be filled. VODAFONE MOBILE BILL PAYMENT Details required: Mobile number Mobile holder’s name Amount Note: Cheque should be in favor of “VODAFONE” followed by A/c Number or mobile number. Note: There are 3 Banks that don’t accept cash for credit card payments: State Bank of India (SBI), Citibank & Barclays. These banks accept only Cheques.

DEPOSIT OF CHEQUE:

2. See that Account Number and name is proper in the cheque

3. Mobile number should be written back side of the cheque

4. Attached the cheque with transaction slip and send it to the

office.

applicant has to go directly to the Bank to make the DD. Only in

1. Take a letter from a Customer for what purpose he is Canceling

the DD

2. Demand Draft.

Note: for all Cheque drop there is no Payment Receipt

INSURANCE PREMIUM:

Encumbrance Certificate – most important legal document for buying property

The “Encumbrance” means the charges or obligations produced with a specific property, whereby it is kept as a security for any legal liability of its owner which has not been discharged as on date. The encumbrance certificate includes all the transactions (financial & others) related to a specific property for a time period as required.

ENCUMBURANCE CERTIFICATE:

MARRIAGE CERTIFICATE:

PROCEDURE FOR MARRIAGE CERTIFICATE: Documents required are given below: There are 3 types of form available: Hindu Act Intend to get married Special act (For other Religion) In the case of intend to get married or special act, it will take 30 days to get the marriage certificate from the date of registration, the applicant should go after 30days or within 90days to collect the marriage certificate or else the request stands cancelled.

Vehicle Re-registration Process:

Process: Re-registration is a lengthy process. First to file an application at RTO, we need to get

clearance from various departments-like Police, Commercial tax and Magistrate court for affidavit,

etc. After we obtain these documents, the RTO will send out an order to the Motor Vehicle Inspector

to inspect the vehicle, (The applicant should come to RTO with Vehicle for inspection) after which

the road tax can be paid on same day.

After the completion of the above, the Chennai RTO will send out a letter by register post to the

NOC-issued State RTO to confirm the genuineness of the NOC issued by them. If they don’t get any

response, the process will get delayed and we have to wait till the RTO receives an

acknowledgement after which we can request for the Re-Registration.

For the Re-registration process, the customer has to obtain the verification report from police

department and bring the vehicle to RTO for first inspection. The final inspection process can be

done by us, since the owner of the vehicle is not required.

In this process the owner of the vehicle has to approach The Commissioner of the Police,

Chinthadripet, Chennai-600 002 to get the police clearance. (Letter format enclosed)

Please note the customer has to enclose the photocopy of the RC book, Insurance, NOC (Form 28)

Company ID along with address proof. This office functions till 1 pm only on all week days.
